  I've just started playing with The Django Form Validation Framework on Google App Engine (from google.appengine.ext.db import djangoforms) and I got stuck googling how to customize forms using it. I was wondering whether the following are possible using the package: Add help texts beside/below input/select fields and textareas (e.g. "This field is required", "Example: qwerty123") Add/modify attributes for the input/select fields and textareas (e.g. adding the following attributes: class, id, name, maxlength, minlength, etc.) Add custom validations like checking whether a particular field should be unique or checking a value against a regular expression Modify the error messages Add another column to the table generated by the form Also note that djangoforms.ModelForm is different from django.forms.Form.

  I am having an impossible time getting asp.net 4.0 to work in any fashion at all. In fact, I completely wiped my server, reinstalled with Server 2008 R2 Standard (running on a VMWare ESXi box, not that it should matter), and cannot even get a test .aspx page to work. Here is exactly what I did: Installed 2008 R2 Standard Activated windows and enabled Remote Desktop Installed the Web Server Role with the necessary role services(common http, asp.net, logging, tracing, management service and FTP) Enabled the management service Installed .Net Framework 4.0 via web executable Added FTP publishing to the default web site Switched default web site application pool to asp.net 4.0 (integrated) Added a 'test.aspx' file to the inetpub\wwwroot folder (contents below) Opened a browser to http://localhost/test.aspx and received a 500.0 error (also below) What am I missing? I haven't touched IIS in a while (3+ years), so it could be something stupid/trvial. Please point it out, call me a noob; my ego can take it. • ADO Entity Framework 4 to WPF Datagrid. DatagridComboBox nightmare.

  The WPF datagrid -seems- like it's going to work, but the combobox implementation does not work straight from the designer. So I'm left wandering around in the XAML randomly changing things trying to get it to work. The problems are numerous. I want to display a foreign key relationship (with drop down) instead of a bunch of numbers for a selection. It seems like it shouldn't be this hard. I can get the right values to show up (their description instead of an ID), but the table freaks out thinking that all the values have been modified. If I select a drop down, it refuses to allow me to edit anything else. I want to chalk this up as a .NET bug, but since I'm new to WPF datagrids, it's probably just me.   Hi, I just want to ask, I know that standart system calls in Linux are done by int instruction pointing into Interrupt Vector Table. I assume this is similiar on Windows. But, how do you call some higher-level specific system routines? Such as how do you tell Windows to create a window? I know this is handled by the code in the dll, but what actually happend at assembler-instruction level? Does the routine in dll calls software interrupt by int instruction, or is there any different approach to handle this? Thanks.

• CakePHP: 2-level JOIN with one Query

  I have the following models in CakePHP: A Deposit belongs to an Account An Account belongs to a Customer I want to have a list of Deposits, and I need to show the name of the customer (so I have to join through the Customer). I also need to paginate this list. If I set Deposit->recursive = 2, I can get the Customer, however, CakePHP runs one query joining Deposit and Account, and then runs one query per each Deposit, to get the Customer. How can I make it get both models with only one query? I tried this, but it didn't work: $this->paginate = array('joins' => array( array( 'table' => 'customers', 'alias' => 'AccountCustomer', 'type' => 'inner', 'foreignKey' => false, 'conditions' => array('Account.customer_id = AccountCustomer.id') ) )); Any ideas? • ASP.NET Web Forms Extensibility: Providers

  Introduction This will be the first of a number of posts on ASP.NET extensibility. At this moment I don’t know exactly how many will be and I only know a couple of subjects that I want to talk about, so more will come in the next days. I have the sensation that the providers offered by ASP.NET are not widely know, although everyone uses, for example, sessions, they may not be aware of the extensibility points that Microsoft included. This post won’t go into details of how to configure and extend each of the providers, but will hopefully give some pointers on that direction. Canonical These are the most widely known and used providers, coming from ASP.NET 1, chances are, you have used them already. Good support for invoking client side, either from a .NET application or from JavaScript. Lots of server-side controls use them, such as the Login control for example. Membership The Membership provider is responsible for managing registered users, including creating new ones, authenticating them, changing passwords, etc. ASP.NET comes with two implementations, one that uses a SQL Server database and another that uses the Active Directory. The base class is Membership and new providers are registered on the membership section on the Web.config file, as well as parameters for specifying minimum password lengths, complexities, maximum age, etc. One reason for creating a custom provider would be, for example, storing membership information in a different database engine. 1: <membership defaultProvider="MyProvider"> 2: <providers> 3: <add name="MyProvider" type="MyClass, MyAssembly"/> 4: </providers> 5: </membership> Role The Role provider assigns roles to authenticated users. The base class is Role and there are three out of the box implementations: XML-based, SQL Server and Windows-based. Also registered on Web.config through the roleManager section, where you can also say if your roles should be cached on a cookie. If you want your roles to come from a different place, implement a custom provider. 1: <roleManager defaultProvider="MyProvider"> 2: <providers> 3: <add name="MyProvider" type="MyClass, MyAssembly" /> 4: </providers> 5: </roleManager> Profile The Profile provider allows defining a set of properties that will be tied and made available to authenticated or even anonymous ones, which must be tracked by using anonymous authentication. The base class is Profile and the only included implementation stores these settings in a SQL Server database. Configured through profile section, where you also specify the properties to make available, a custom provider would allow storing these properties in different locations. 1: <profile defaultProvider="MyProvider"> 2: <providers> 3: <add name="MyProvider" type="MyClass, MyAssembly"/> 4: </providers> 5: </profile> Basic OK, I didn’t know what to call these, so Basic is probably as good as a name as anything else. Not supported client-side (doesn’t even make sense). Session The Session provider allows storing data tied to the current “session”, which is normally created when a user first accesses the site, even when it is not yet authenticated, and remains all the way. The base class and only included implementation is SessionStateStoreProviderBase and it is capable of storing data in one of three locations: In the process memory (default, not suitable for web farms or increased reliability); A SQL Server database (best for reliability and clustering); The ASP.NET State Service, which is a Windows Service that is installed with the .NET Framework (ok for clustering). The configuration is made through the sessionState section. By adding a custom Session provider, you can store the data in different locations – think for example of a distributed cache. 1: <sessionState customProvider=”MyProvider”> 2: <providers> 3: <add name=”MyProvider” type=”MyClass, MyAssembly” /> 4: </providers> 5: </sessionState> Resource A not so known provider, allows you to change the origin of localized resource elements. By default, these come from RESX files and are used whenever you use the Resources expression builder or the GetGlobalResourceObject and GetLocalResourceObject methods, but if you implement a custom provider, you can have these elements come from some place else, such as a database. The base class is ResourceProviderFactory and there’s only one internal implementation which uses these RESX files. Configuration is through the globalization section. 1: <globalization resourceProviderFactoryType="MyClass, MyAssembly" /> Health Monitoring Health Monitoring is also probably not so well known, and actually not a good name for it. First, in order to understand what it does, you have to know that ASP.NET fires “events” at specific times and when specific things happen, such as when logging in, an exception is raised. These are not user interface events and you can create your own and fire them, nothing will happen, but the Health Monitoring provider will detect it. You can configure it to do things when certain conditions are met, such as a number of events being fired in a certain amount of time. You define these rules and route them to a specific provider, which must inherit from WebEventProvider. Out of the box implementations include sending mails, logging to a SQL Server database, writing to the Windows Event Log, Windows Management Instrumentation, the IIS 7 Trace infrastructure or the debugger Trace. Its configuration is achieved by the healthMonitoring section and a reason for implementing a custom provider would be, for example, locking down a web application in the event of a significant number of failed login attempts occurring in a small period of time. 1: <healthMonitoring> 2: <providers> 3: <add name="MyProvider" type="MyClass, MyAssembly"/> 4: </providers> 5: </healthMonitoring> Sitemap The Sitemap provider allows defining the site’s navigation structure and associated required permissions for each node, in a tree-like fashion. The base class is SiteMapProvider and you can extend it in order to supply you own source for the site’s structure, which may even be dynamic. Its configuration must be done through the siteMap section. 1: <siteMap defaultProvider="MyProvider"> 2: <providers><add name="MyProvider" type="MyClass, MyAssembly" /> 3: </providers> 4: </siteMap> Web Part Personalization Web Parts are better known by SharePoint users, but since ASP.NET 2.0 they are included in the core Framework. Web Parts are server-side controls that offer certain possibilities of configuration by clients visiting the page where they are located. The infrastructure handles this configuration per user or globally for all users and this provider is responsible for just that. The base class is PersonalizationProvider and the only included implementation stores settings on SQL Server. Add new providers through the personalization section. 1: <webParts> 2: <personalization defaultProvider="MyProvider"> 3: <providers> 4: <add name="MyProvider" type="MyClass, MyAssembly"/> 5: </providers> 6: </personalization> 7: </webParts> Build The Build provider is responsible for compiling whatever files are present on your web folder. There’s a base class, BuildProvider, and, as can be expected, internal implementations for building pages (ASPX), master pages (Master), user web controls (ASCX), handlers (ASHX), themes (Skin), XML Schemas (XSD), web services (ASMX, SVC), resources (RESX), browser capabilities files (Browser) and so on. You would write a build provider if you wanted to generate code from any kind of non-code file so that you have strong typing at development time. Configuration goes on the buildProviders section and it is per extension. 1: <buildProviders> 2: <add extension=".ext" type="MyClass, MyAssembly” /> 3: </buildProviders> New in ASP.NET 4 Not exactly new since they exist since 2010, but in ASP.NET terms, still new. Output Cache The Output Cache for ASPX pages and ASCX user controls is now extensible, through the Output Cache provider, which means you can implement a custom mechanism for storing and retrieving cached data, for example, in a distributed fashion. The base class is OutputCacheProvider and the only implementation is private. Configuration goes on the outputCache section and on each page and web user control you can choose the provider you want to use. 1: <caching> 2: <outputCache defaultProvider="MyProvider"> 3: <providers> 4: <add name="MyProvider" type="MyClass, MyAssembly"/> 5: </providers> 6: </outputCache> 7: </caching> Request Validation A big change introduced in ASP.NET 4 (and refined in 4.5, by the way) is the introduction of extensible request validation, by means of a Request Validation provider. This means we are not limited to either enabling or disabling event validation for all pages or for a specific page, but we now have fine control over each of the elements of the request, including cookies, headers, query string and form values. The base provider class is RequestValidator and the configuration goes on the httpRuntime section. 1: <httpRuntime requestValidationType="MyClass, MyAssembly" /> Browser Capabilities The Browser Capabilities provider is new in ASP.NET 4, although the concept exists from ASP.NET 2. The idea is to map a browser brand and version to its supported capabilities, such as JavaScript version, Flash support, ActiveX support, and so on. Previously, this was all hardcoded in .Browser files located in %WINDIR%\Microsoft.NET\Framework(64)\vXXXXX\Config\Browsers, but now you can have a class inherit from HttpCapabilitiesProvider and implement your own mechanism. Register in on the browserCaps section. 1: <browserCaps provider="MyClass, MyAssembly" /> Encoder The Encoder provider is responsible for encoding every string that is sent to the browser on a page or header. This includes for example converting special characters for their standard codes and is implemented by the base class HttpEncoder. Another implementation takes care of Anti Cross Site Scripting (XSS) attacks. Build your own by inheriting from one of these classes if you want to add some additional processing to these strings. What happens is, since it runs from changing the index, the one that always comes selected (alexander) can only me chosen if you choose another one, then choose alexander. poor alexander. What I want is to put a blanc option at the beginning (default) and (if possible) a option as second. I can't add this option manually, since the binding wipes whatever was in the dropdown list and puts the content of the datasource.

• Why does select SCOPE_IDENTITY() return a decimal instead of an integer?

  So I have a table with an identity column as the primary key, so it is an integer. So, why does SCOPE_IDENTITY() always return a decimal value instead of an int to my C# application? This is really annoying since decimal values will not implicitly convert to integers in C#, which means I now have to rewrite a bunch of stuff and have a lot of helper methods because I use SQL Server and Postgres, which Postgres does return an integer for the equivalent function.. Why does SCOPE_IDENTITY() not just return a plain integer? Are there people out there that commonly use decimal/non-identity values for primary keys?

• C++ custom exceptions: run time performance and passing exceptions from C++ to C

  I am writing a custom C++ exception class (so I can pass exceptions occuring in C++ to another language via a C API). The information I want to pass to the C side is the following: (a). What (b). Where (c). Simple Stack Trace (just the sequence of error messages in order they occured, no debugging info etc) I want to modify my C API, so that the API functions take a pointer to a struct ExceptionInfo, which will contain any exception info (if an exception occured) before consuming the results of the invocation. This raises two questions: Question 1 1. Implementation of each of the C++ methods exposed in the C API needs to be enclosed in a try/catch statement. The performance implications for this seem quite serious (according to this article): "It is a mistake (with high runtime cost) to use C++ exception handling for events that occur frequently, or for events that are handled near the point of detection." At the same time, I remember reading somewhere in my C++ days, that all though exception handling is expensive, it only becmes expensive when an exception actually occurs. So, which is correct?. what to do?. Is there an alternative way that I can trap errors safely and pass the resulting error info to the C API?. Or is this a minor consideration (the article after all, is quite old, and hardware have improved a bit since then). Question 2 I wuld like to modify the exception class given in that article, so that it contains a simple stack trace, and I need some help doing that. Again, in order to make the exception class 'lightweight', I think its a good idea not to include any STL classes, like string or vector (good idea/bad idea?). This is, in fact, a command syntax very much like the AT command syntax used by modems, a standard described in the 3GPP document number TS 27.007 and related specifications. • NHibernate which cache to use for WinForms application

  I have a C# WinForms application with a database backend (oracle) and use NHibernate for O/R mapping. I would like to reduce communication to the database as much as possible since the network in here is quite slow, so I read about second level caching. I found this quite good introduction, which lists the following available cache implementations. I'm wondering which implementation I should use for my application. The caching should be simple, it should not significantly slow down the first occurrence of a query, and it should not take much memory to load the implementing assemblies. (With NHibernate and Castle, the application already takes up to 80 MB of RAM!) Velocity: uses Microsoft Velocity which is a highly scalable in-memory application cache for all kinds of data. Prevalence: uses Bamboo.Prevalence as the cache provider. Bamboo.Prevalence is a .NET implementation of the object prevalence concept brought to life by Klaus Wuestefeld in Prevayler. Bamboo.Prevalence provides transparent object persistence to deterministic systems targeting the CLR. It offers persistent caching for smart client applications. SysCache: Uses System.Web.Caching.Cache as the cache provider. This means that you can rely on ASP.NET caching feature to understand how it works. SysCache2: Similar to NHibernate.Caches.SysCache, uses ASP.NET cache. This provider also supports SQL dependency-based expiration, meaning that it is possible to configure certain cache regions to automatically expire when the relevant data in the database changes. MemCache: uses memcached; memcached is a high-performance, distributed memory object caching system, generic in nature, but intended for use in speeding up dynamic web applications by alleviating database load. Basically a distributed hash table. SharedCache: high-performance, distributed and replicated memory object caching system. See here and here for more info My considerations so far were: Velocity seems quite heavyweight and overkill (the files totally take 467 KB of disk space, haven't measured the RAM it takes so far because I didn't manage to make it run, see below) Prevalence, at least in my first attempt, slowed down my query from ~0.5 secs to ~5 secs, and caching didn't work (see below) SysCache seems to be for ASP.NET, not for winforms. MemCache and SharedCache seem to be for distributed scenarios. Which one would you suggest me to use? There would also be a built-in implementation, which of course is very lightweight, but the referenced article tells me that I "(...) should never use this cache provider for production code but only for testing." Besides the question which fits best into my situation I also faced problems with applying them: Velocity complained that "dcacheClient" tag not specified in the application configuration file. Specify valid tag in configuration file," although I created an app.config file for the assembly and pasted the example from this article. Prevalence, as mentioned above, heavily slowed down my first query, and the next time the exact same query was executed, another select was sent to the database. Maybe I should "externalize" this topic into another post. I will do that if someone tells me it is absolutely unusual that a query is slowed down so much and he needs further details to help me.

  I am trying to do record inserts on a table where the primary key is an Identity field. I have tried calling mycontext.ExecuteCommand("SET identity_insert myTable ON") but this doesn't do any good. I get an error saying that identity_insert is off when I submit changes. How can I turn it ON from the c# code before I submit changes? EDIT I have read that this is because ExecuteCommand's code gets executed in a different session. EDIT 2 Is there any way I can execute some DDL to remove the Identity Specification from my C# code, do the inserts, and then turn Identity Specification back on?

The PageIndexChanging event is never called. • Recreating OMS instances in a HA environment when instances on all nodes are lost

  Oracle highly recommends deploying EM in a HA environment. The best practices for HA deployments, backup and housekeeping of your Enterprise Manager environment are documented in the Oracle Enterprise Manager Advanced Configuration Guide. It is imperative that there is a good disaster recovery plan in place for your EM deployment. In this post I want to talk about a customer who failed to do the correct planning and housekeeping for EM and landed in a situation where we the all the OMSes were nearly blown away had we not jumped to help. We recently hit an issue at a customer site where we had a two node OMS setup of the Enterprise Manager and a RAC Database being used as the EM repository. An accidental delete of the OMS oracle home left us with a single node deployment. While we were trying to figure out a possible path to recover the first node, the second node was rebooted under a maintenance window. What followed was a complete site outage as the Admin and managed servers would not start on either of the nodes. In my situation there were - No backups of the Oracle Homes from any node - No OMS Configuration snapshots (created using the “emctl exportconfig oms” command) and the instance home was completely lost on node 1 which also had the Admin Server  We did however have: - A copy of the emkey.ora that I found under the OMS_ORACLE_HOME/ of the second node (NOTE: it is a bad practice to have your emkey present under the OMS Oracle home directory on the same server as the OMS. The backup of the emkey should be maintained on some other server. In this case however it was a savior in my situation since there were no backups - The oms oracle home on the second node but missing a number of files and had a number of changes done to the files in the home. There were a number of attempts to start the server by modifying various files based on the Weblogic server logs to have atleast node up and running but all of them failed. Here is how you can recover from this scenario: Follow these steps: STEP 1: Check status of emkey.ora Check whether the emkey exists is present in the EM repository or not. Run the following command: $OMS_ORACLE_HOME/bin/emctl status emkey If the output is something like this below then you are good to go and the key is present in the repository ./emctl status emkey Oracle Enterprise Manager 11g Release 1 Grid Control Copyright (c) 1996, 2010 Oracle Corporation. All rights reserved. Enter Enterprise Manager Root (SYSMAN) Password : The EMKey is configured properly. Here are the messages that you might see as the emctl status emkey output depending upon whether the EM Admin Server is up and if the key is configured properly: Case1:  AdminServer is up, emkey is proper in CredStore & not in repos. This is same as the output of the command shown above:The EMKey is configured properly Case 2: AdminServer is up, emkey is proper in CredStore & exists in repos:The EMKey is configured properly, but is not secure. Secure the EMKey by running "emctl config emkey -remove_from_repos".Case 3: AdminServer is down or emkey is corrupted in CredStore) & (emkey exists in repos): The EMKey exists in the Management Repository, but is not configured properly or is corrupted in the credential store.Configure the EMKey by running "emctl config emkey -copy_to_credstore".Case 4: (AdminServer is down or emkey is corrupted in CredStore) & (emkey does not exist in repos): The EMKey is not configured properly or is corrupted in the credential store and does not exist in the Management Repository. To correct the problem:1) Get the backed up emkey.ora file.2) Configure the emkey by running "emctl config emkey -copy_to_credstore_from_file". If not the key was not secured properly, we will have to be put in the repository before proceeding. Look at the next step 2 for doing this There may be cases (like mine) where running emctl may give errors like the following: $OMS_ORACLE_HOME/bin/emctl status emkey Exception in thread “Main Thread” java.lang.NoClassDefFoundError: oracle/security/pki/OracleWallet At oracle.sysman.emctl.config.oms.EMKeyCmds.main (EMKeyCmds.java:658) Just move to the next step to put the key back in the repository STEP 2: Put emkey.ora back in the repository Skip this step if your emkey.ora is present in the repository. If not, you need to put the key back in the repository See if you can run the following command (with sample output): $OMS_ORACLE_HOME/bin/emctl config emkey –copy_to_repos Oracle Enterprise Manager 11g Release 1 Grid Control Copyright (c) 1996, 2010 Oracle Corporation. All rights reserved. The EMKey has been copied to the Management Repository. This operation will cause the EMKey to become unsecure. After the required operation has been completed, secure the EMKey by running "emctl config emkey -remove_from_repos". Typically the key is present under $OMS_ORACLE_HOME/sysman/config directory before being removed after the install as a best practice. If you hit any errors while running emctl commands like the one mentioned in step 1, jump to step 3 and we will take care of the emkey.ora in Step 5 STEP 3: Get the port information Check for the existing port information in the emd.properties file under EM_INSTANCE_DIRECTORY (typically gc_inst directory right above the Middleware home where you have deployed em. For eg. /u01/app/oracle/product/gc_inst in case your oms home is /u01/app/oracle/product/Middleware/oms11g) In my case I got the information from the emgc.properties present in the gc_inst on the second node. If you can run emctl you may want to try the following command as well $OMS_ORACLE_HOME/bin/emctl status oms –details Note this information as this will be used in the next step STEP 4: Perform cleanup on Node 1 Note the oracle home of the Weblogic and OMS, get the list of applied patches in the homes (using opatch lsinventory command), take a backup copy of the home just in case we need it and then de-install/remove oracle homes, update inventory and cleanup processes on the first node STEP 5: Perform Software Only Installation of OMS on Node 1 Perform Weblogic 10.3.2 installation exactly under the same location as present in the earlier installation. Perform software only installation of the OMS using the following command. This will not run any configuration assistants and bypass all user interface validations runInstaller –noconfig -validationaswarnings Select the “Additional OMS” option while performing the installation. Provide the same path for OMS and Instance directories like the previous installation Use the port information collected in Step 3 while performing the installation. Once the installation is complete run the allroot.sh script to complete the binary deployment STEP 6: Apply one-off patches At this point you can apply any patches to the OMS Oracle Home previously. You only need to run opatch to install the patch in the home and not required to run the SQLs STEP 7: Copy EM key This step is only required if you were not able to use emctl command to put the emkey back into the EM repository in STEP 2 Copy the emkey.ora file of the old installation you have under $OMS_ORACLE_HOME/sysman/config directory of the newly installed OMS STEP 8: Configure Grid Control Domain Run the following command to configure the EM domain and OMS. Note that you need to use a different GC Domain name than what you used earlier. For example I have used GCDOMAIN11 as the new domain name when my previous domain name was GCDOMAIN $OMS_ORACLE_HOME/bin/omsca new –AS_USERNAME weblogic –EM_DOMAIN_NAME GCDOMAIN11 –NM_USER nodemanager -nostart This command as shown below will prompt for a number of inputs like Admin Server hostname, port, password, etc. Verify if the defaults shown are correct by pressing enter or provide a new value STEP 9: Run Add-ON Configuration Assistant After this step run the following add-on configuration assistant. This was used in my case to configure the virtualization add-on $OMS_ORACLE_HOME/addonca -oui -omsonly -name vt -install gc STEP 10: Start the OMS Now start the OMS using $OMS_ORACLE_HOME/bin/emctl start oms In a multi-node setup like mine you would either have a software load balancer or DNS round robin (using a virtual host name that resolves to one of multiple OMS hostnames) being used for load balancing. Secure the OMS against the SLB or DNS virtual hostname using the following $ OMS_HOME/bin/emctl secure oms -host slb.example.com -secure_port 1159 -slb_port 1159 -slb_console_port 443 STEP 11: Configure the Agent From the $AGENT_ORACLE_HOME/bin run the ./agentca –f At this point you should have your OMS on node 1 fully re-covered. Clean up node 2 and use the normal Additional OMS installation process documented in the official installation guide to add the additional OMS on node 2 Summary It took us nearly a little over two days to completely recover the environment with some other non-EM related issues that hit us along the way as well. In the end a situation like this could have been completely avoided had the proper housekeeping and backup of the Enterprise Manager Deployment been done in the first place. This is going to a topic that we cover in the next post. • Using VLOOKUP in Excel

  VLOOKUP is one of Excel’s most useful functions, and it’s also one of the least understood.  In this article, we demystify VLOOKUP by way of a real-life example.  We’ll create a usable Invoice Template for a fictitious company. So what is VLOOKUP?  Well, of course it’s an Excel function.  This article will assume that the reader already has a passing understanding of Excel functions, and can use basic functions such as SUM, AVERAGE, and TODAY.  In its most common usage, VLOOKUP is a database function, meaning that it works with database tables – or more simply, lists of things in an Excel worksheet.  What sort of things?   Well, any sort of thing.  You may have a worksheet that contains a list of employees, or products, or customers, or CDs in your CD collection, or stars in the night sky.  It doesn’t really matter. Here’s an example of a list, or database.  In this case it’s a list of products that our fictitious company sells: Usually lists like this have some sort of unique identifier for each item in the list.  In this case, the unique identifier is in the “Item Code” column.  Note:  For the VLOOKUP function to work with a database/list, that list must have a column containing the unique identifier (or “key”, or “ID”), and that column must be the first column in the table.  Our sample database above satisfies this criterion. The hardest part of using VLOOKUP is understanding exactly what it’s for.  So let’s see if we can get that clear first: VLOOKUP retrieves information from a database/list based on a supplied instance of the unique identifier. Put another way, if you put the VLOOKUP function into a cell and pass it one of the unique identifiers from your database, it will return you one of the pieces of information associated with that unique identifier.  In the example above, you would pass VLOOKUP an item code, and it would return to you either the corresponding item’s description, its price, or its availability (its “In stock” quantity).  Which of these pieces of information will it pass you back?  Well, you get to decide this when you’re creating the formula. If all you need is one piece of information from the database, it would be a lot of trouble to go to to construct a formula with a VLOOKUP function in it.  Typically you would use this sort of functionality in a reusable spreadsheet, such as a template.  Each time someone enters a valid item code, the system would retrieve all the necessary information about the corresponding item. Let’s create an example of this:  An Invoice Template that we can reuse over and over in our fictitious company. First we start Excel… …and we create ourselves a blank invoice: This is how it’s going to work:  The person using the invoice template will fill in a series of item codes in column “A”, and the system will retrieve each item’s description and price, which will be used to calculate the line total for each item (assuming we enter a valid quantity). For the purposes of keeping this example simple, we will locate the product database on a separate sheet in the same workbook: In reality, it’s more likely that the product database would be located in a separate workbook.  It makes little difference to the VLOOKUP function, which doesn’t really care if the database is located on the same sheet, a different sheet, or a completely different workbook. In order to test the VLOOKUP formula we’re about to write, we first enter a valid item code into cell A11: Next, we move the active cell to the cell in which we want information retrieved from the database by VLOOKUP to be stored.  Interestingly, this is the step that most people get wrong.  To explain further:  We are about to create a VLOOKUP formula that will retrieve the description that corresponds to the item code in cell A11.  Where do we want this description put when we get it?  In cell B11, of course.  So that’s where we write the VLOOKUP formula – in cell B11. Select cell B11: We need to locate the list of all available functions that Excel has to offer, so that we can choose VLOOKUP and get some assistance in completing the formula.  This is found by first clicking the Formulas tab, and then clicking Insert Function:   A box appears that allows us to select any of the functions available in Excel.  To find the one we’re looking for, we could type a search term like “lookup” (because the function we’re interested in is a lookup function).  The system would return us a list of all lookup-related functions in Excel.  VLOOKUP is the second one in the list.  Select it an click OK… The Function Arguments box appears, prompting us for all the arguments (or parameters) needed in order to complete the VLOOKUP function.  You can think of this box as the function is asking us the following questions: What unique identifier are you looking up in the database? Where is the database? Which piece of information from the database, associated with the unique identifier, do you wish to have retrieved for you? The first three arguments are shown in bold, indicating that they are mandatory arguments (the VLOOKUP function is incomplete without them and will not return a valid value).  The fourth argument is not bold, meaning that it’s optional:   We will complete the arguments in order, top to bottom. The first argument we need to complete is the Lookup_value argument.  The function needs us to tell it where to find the unique identifier (the item code in this case) that it should be retuning the description of.  We must select the item code we entered earlier (in A11). Click on the selector icon to the right of the first argument: Then click once on the cell containing the item code (A11), and press Enter: The value of “A11” is inserted into the first argument. Now we need to enter a value for the Table_array argument.  In other words, we need to tell VLOOKUP where to find the database/list.  Click on the selector icon next to the second argument: Now locate the database/list and select the entire list – not including the header line.  The database is located on a separate worksheet, so we first click on that worksheet tab: Next we select the entire database, not including the header line: …and press Enter.  The range of cells that represents the database (in this case “’Product Database’!A2:D7”) is entered automatically for us into the second argument. Now we need to enter the third argument, Col_index_num.  We use this argument to specify to VLOOKUP which piece of information from the database, associate with our item code in A11, we wish to have returned to us.  In this particular example, we wish to have the item’s description returned to us.  If you look on the database worksheet, you’ll notice that the “Description” column is the second column in the database.  This means that we must enter a value of “2” into the Col_index_num box: It is important to note that that we are not entering a “2” here because the “Description” column is in the B column on that worksheet.  If the database happened to start in column K of the worksheet, we would still enter a “2” in this field. Finally, we need to decide whether to enter a value into the final VLOOKUP argument, Range_lookup.  This argument requires either a true or false value, or it should be left blank.  When using VLOOKUP with databases (as is true 90% of the time), then the way to decide what to put in this argument can be thought of as follows: If the first column of the database (the column that contains the unique identifiers) is sorted alphabetically/numerically in ascending order, then it’s possible to enter a value of true into this argument, or leave it blank. If the first column of the database is not sorted, or it’s sorted in descending order, then you must enter a value of false into this argument As the first column of our database is not sorted, we enter false into this argument: That’s it!  We’ve entered all the information required for VLOOKUP to return the value we need.  Click the OK button and notice that the description corresponding to item code “R99245” has been correctly entered into cell B11: The formula that was created for us looks like this: If we enter a different item code into cell A11, we will begin to see the power of the VLOOKUP function:  The description cell changes to match the new item code: We can perform a similar set of steps to get the item’s price returned into cell E11.  Note that the new formula must be created in cell E11.  The result will look like this: …and the formula will look like this: Note that the only difference between the two formulae is the third argument (Col_index_num) has changed from a “2” to a “3” (because we want data retrieved from the 3rd column in the database). If we decided to buy 2 of these items, we would enter a “2” into cell D11.  We would then enter a simple formula into cell F11 to get the line total: =D11*E11 …which looks like this… Completing the Invoice Template We’ve learned a lot about VLOOKUP so far.  In fact, we’ve learned all we’re going to learn in this article.  It’s important to note that VLOOKUP can be used in other circumstances besides databases.  This is less common, and may be covered in future How-To Geek articles. Our invoice template is not yet complete.  In order to complete it, we would do the following: We would remove the sample item code from cell A11 and the “2” from cell D11.  This will cause our newly created VLOOKUP formulae to display error messages: We can remedy this by judicious use of Excel’s IF() and ISBLANK() functions.  We change our formula from this…       =VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) We would copy the formulas in cells B11, E11 and F11 down to the remainder of the item rows of the invoice.  Note that if we do this, the resulting formulas will no longer correctly refer to the database table.  We could fix this by changing the cell references for the database to absolute cell references.  Alternatively – and even better – we could create a range name for the entire product database (such as “Products”), and use this range name instead of the cell references.  The formula would change from this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,’Product Database’!A2:D7,2,FALSE)) …to this…       =IF(ISBLANK(A11),”",VLOOKUP(A11,Products,2,FALSE)) …and then copy the formulas down to the rest of the invoice item rows. We would probably “lock” the cells that contain our formulae (or rather unlock the other cells), and then protect the worksheet, in order to ensure that our carefully constructed formulae are not accidentally overwritten when someone comes to fill in the invoice. We would save the file as a template, so that it could be reused by everyone in our company If we were feeling really clever, we would create a database of all our customers in another worksheet, and then use the customer ID entered in cell F5 to automatically fill in the customer’s name and address in cells B6, B7 and B8.
