• Is this the only way to pass a parameter for Cakephp to work with JQuery Ajax

  Hi all, I was doing some self-learning on how to pass data from JQuery Ajax to a particular URL in CakePHP: I have tested three sets of codes that the first one was working well, but the rest failed to work, which makes me so confused. Could some experts here tell why the second and the third sets of codes failed to pass any data? • AngularJS: Using Shared Service(with $resource) to share data between controllers, but how to define callback functions?

In CountryController, I'm retrieving a list of countries from a CountryService that uses the $resource object. This works fine, but I want to be able to share the list of countries with the ClientController. After some research, I read that I should use the CountryService to store the data and inject that service into both controllers. • Database (MySQL) structuring: pros and cons of multiple tables

  I am collecting data and storing it MySQL, for: 75 variables 55 countries Each year I have, at this stage since I am building this tool created a single table, of variables / countries (storing 1 year worth of data). Next year (and for several years after that) a new set of data will be input for each country. There are therefore 3 variables in controlling data returned to a user reviewing all collected data. The general form of any query would be: Show me these specifics variables, for these specific countries, for these specific years. (Show me average age and weight, for USA and Canada, for 2012 and 2009, for example) My question is, it seems that I have two options for arranging this data: -Multiple tables where I create a table of country / variable for each year data is collected - Single table and simply add a column (field) for the year that data relates to. As far as I can tell I could make these database calls with either sructure, but is one more powerful / efficient / quicker, and why? Thanks for your consideration. It's a PDO / PHP interface if that is relevent.

• Help with a loop to return UIImage from possible matches

  I am parsing a list of locations and would like to return a UIImage with a flag based on these locations. I have a string with the location. This can be many different locations and I would like to search this string for possible matches in an NSArray, and when there's a match, it should find the appropriate filename in an NSDictionary. Here's an example of the NSDictionary and NSArray: NSDictionary *dict = [NSDictionary dictionaryWithObjectsAndKeys: @"franceFlag", @"france", @"greeceFlag", @"greece", @"spainFlag", @"spain", @"norwayFlag", @"norway", nil]; NSArray *array = [NSArray arrayWithObjects: @"france" @"greece" @"spain" @"portugal" @"ireland" @"norway", nil]; Obviously I'll have a lot more countries and flags in both. Here's what I have got to so far: -(UIImage *)flagFromOrigin:(NSString *)locationString { NSRange range; for (NSString *arrayString in countryArray) { range = [locationString rangeOfString:arrayString]; if (range.location != NSNotFound) { return [UIImage imageWithContentsOfFile:[[NSBundle mainBundle] pathForResource:[dictionary objectForKey: arrayString] ofType:@"png"]]; } } return nil; } Now, the above doesn't actually work. I am missing something (and perhaps not even doing it right in the first place) The issue is, the locationString could have several locations in the same country, described something like this "Barcelona, Spain", "Madrid, Spain", "North Spain", etc., but I just want to retrieve "Spain" in this case. (Also, notice caps for each country). Basically, I want to search the locationString I pass into the method for a possible match with one of the countries listed in the NSArray. If/When one is found, it should continue into the NSDictionary and grab the appropriate flag based on the correct matched string from the array. I believe the best way would then to take the string from the array, as this would be a stripped-out version of the location. Any help to point me in the right direction for the last bit is greatly appreciated.

  Hello im trying to get the hang of using bb codes onto my normal php site ( not forum or anything just a normal site ) I have seen a few posts like this one http://www.pixel2life.com/forums/index.php?/topic/10659-php-bbcode-parser/ which says i need a bb parser. I was just wondering can anyone show me how i would use one ? I have a status box were users can update there status but i would like to allow bb codes but not java script. So when im doing my inserting into the db i strip the status like so.. $status= mysql_real_escape_string($_POST['status']); $status2= strip_tags($status); And that stops the java script and tags from getting though but i need the bb code tags to come though but carry on blocking the java script code is there anyway to do this ? Also then i just echo it out echo $status2 ; But just plain text shows so was just wondering if anyone knows how to let though bb code and stop java script and could some one show me how to use the bb parasher ? also need to know how to echo out the bb coding...

• Quickest way to compare a buch of array or list of values.

  Can you please let me know on the quickest and efficient way to compare a large set of values. Its like there are a list of parent codes(string) and each code has a series of child values(string). The child lists have to be compared with each other and find out duplicates and count how many times they repeat. code1(code1_value1, code1_value2, code3_value3, ..., code1_valueN); code2(code2_value1, code1_value2, code2_value3, ..., code2_valueN); code3(code2_value1, code3_value2, code3_value3, ..., code3_valueN); . . . codeN(codeN_value1, codeN_value2, codeN_value3, ..., codeN_valueN); The lists are huge say like there are 100 parent codes and each has about 250 values in them. There will not be duplicates within a code list. Doing it in java and the solution i could figure out is. Store the values of first set of code in as codeMap.put(codeValue, duplicateCount). The count initialized to 0. Then compare the rest of the values with this. If its in the map then increment the count otherwise append it to the map. The downfall of this is to get the duplicates. Another iteration needs to be performed on a very large list. An alternative is to maintain another hashmap for duplicates like duplicateCodeMap.put(codeValue, duplicateCount) and change the initial hashmap to codeMap.put(codeValue, codeValue). Speed is what is requirement. Hope one of you can help me with it.

I've got that all done and dusted, but it just seems really long winded on the PHP side of things. • Desine time XAML serialization problem in VS2010 Designer

  The wired problem is, in VS 2008, everything works fine. In VS2010 while serializing, it is missing the "ReportDimensionElements" so I'm unable to get the values back from the serialized value back from the XAML. It says, "'ReportDimensionElements' is null" am I missing anything silly. Note: I have marked the ReportDimensionElements class with [DefaultValue(null)] for avoiding {x:Null} being serialized. Will it be causing this by any way?   My question may be very easy to lots of people, but I am new to Javascript. I really do not know what is wrong with the following codes. var newValue = 1; function getCurrentAmount() { return [newValue,2,3]; } var result = getCurrentAmount(); console.log(result[0] + "" + result[1] + result[2]); In the above code, the result shown in console is: undefined23 Why is the result not "123"? I am trying to use global variable because I want to increment newValue by 1 each time when the function is called. • Oracle Insert via Select from multiple tables where one table may not have a row

  I have a number of code value tables that contain a code and a description with a Long id. I now want to create an entry for an Account Type that references a number of codes, so I have something like this: insert into account_type_standard (account_type_Standard_id, tax_status_id, recipient_id) ( select account_type_standard_seq.nextval, ts.tax_status_id, r.recipient_id from tax_status ts, recipient r where ts.tax_status_code = ? and r.recipient_code = ?) This retrieves the appropriate values from the tax_status and recipient tables if a match is found for their respective codes. Unfortunately, recipient_code is nullable, and therefore the ? substitution value could be null. Of course, the implicit join doesn't return a row, so a row doesn't get inserted into my table. I've tried using NVL on the ? and on the r.recipient_id. I've tried to force an outer join on the r.recipient_code = ? by adding (+), but it's not an explicit join, so Oracle still didn't add another row. Anyone know of a way of doing this? I can obviously modify the statement so that I do the lookup of the recipient_id externally, and have a ? instead of r.recipient_id, and don't select from the recipient table at all, but I'd prefer to do all this in 1 SQL statement.

• How can I generate a list of #define values from C code?

  I have code that has a lot of complicated #define error codes that are not easy to decode since they are nested through several levels. Is there any elegant way I can get a list of #defines with their final numerical values (or whatever else they may be)? As an example: <header1.h> #define CREATE_ERROR_CODE(class, sc, code) ((class << 16) & (sc << 8) & code)) #define EMI_MAX 16 <header2.h> #define MI_1 EMI_MAX <header3.h> #define MODULE_ERROR_CLASS MI_1 #define MODULE_ERROR_SUBCLASS 1 #define ERROR_FOO CREATE_ERROR_CODE(MODULE_ERROR_CLASS, MODULE_ERROR_SUBCLASS, 1) I would have a large number of similar #defines matching ERROR_[\w_]+ that I'd like to enumerate so that I always have a current list of error codes that the program can output. I need the numerical value because that's all the program will print out (and no, it's not an option to print out a string instead). Suggestions for gcc or any other compiler would be helpful.

• LINQ - 'Could not translate expression' with previously used and proven query condition

  I am fairly new to LINQ and can't get my head around some inconsistency in behaviour. Any knowledgeable input would be much appreciated. I see similar issues on SO and elsewhere but they don't seem to help. I have a very simple setup - a company table and an addresses table. Each company can have 0 or more addresses, and if 0 one must be specified as the main address. I'm trying to handle the cases where there are 0 addresses, using an outer join and altering the select statement accordingly. Please note I'm currently binding the output straight to a GridView so I would like to keep all processing within the query. The following DOES work IQueryable query = from comp in context.Companies join addr in context.Addresses on comp.CompanyID equals addr.CompanyID into outer // outer join companies to addresses table to include companies with no address from addr in outer.DefaultIfEmpty() where (addr.IsMain == null ? true : addr.IsMain) == true // if a company has no address ensure it is not ruled out by the IsMain condition - default to true if null select new { comp.CompanyID, comp.Name, AddressID = (addr.AddressID == null ? -1 : addr.AddressID), // use -1 to represent a company that has no addresses MainAddress = String.Format("{0}, {1}, {2} {3} ({4})", addr.Address1, addr.City, addr.Region, addr.PostalCode, addr.Country) }; but this displays an empty address in the GridView as ", , ()" So I updated the MainAddress field to be MainAddress = (addr.AddressID == null ? "" : String.Format("{0}, {1}, {2} {3} ({4})", addr.Address1, addr.City, addr.Region, addr.PostalCode, addr.Country)) and now I'm getting the Could not translate expression error and a bunch of spewey auto-generated code in the error which means very little to me. The condition I added to MainAddress is no different to the working condition on AddressID, so can anybody tell me what's going on here? Any help greatly appreciated.

• Application HANGS UP if 3G connection is used (WiFi is OK)

  Hi, My application uses the following codes to connect to web site and download a web page for processing. HttpURLConnection c = (HttpURLConnection) url.openConnection(); c.setRequestMethod("GET"); c.setRequestProperty("User-Agent", "Mozilla/3.0 (compatible; MSIE 4.0; Windows NT)"); c.setRequestProperty("Accept-Language", "zh-hk"); c.setRequestProperty("Connection", "Keep-Alive"); c.setConnectTimeout(6000); // mTimeout is in seconds intTries = 3; do { c.connect(); if (c.getResponseCode() == 200) { break; } else { intTries --; } } while (intTries > 0); The codes are run in main thread only. If WiFi is being used, it is nice and clean. If 3G connection is being used, sometimes, it cannot get connected OR application HANGS. Is there any significant difference between handling WiFi and 3G ? Thanks.

• Why are some classes created on the fly and others aren't in CakePHP 1.2.7?

  I have the following model classes: class User extends AppModel { var $name= 'User'; var $belongsTo=array('SellerType' => array('className' => 'SellerType'), 'State' => array('className' => 'State'), 'Country' => array('className' => 'Country'), 'AdvertMethod' => array('className' => 'AdvertMethod'), 'UserType' => array('className' => 'UserType')); var $hasMany = array('UserQuery' => array('className' => 'UserQuery'));} And: class UserQuery extends AppModel { var $name = 'UserQuery'; var $belongsTo = array('User', 'ResidenceType', 'HomeType');} Everything works fine with the user class and all its associations, but the UserQuery class is being completely ignored by the orm (table name user_queries and the generated queries do cast it as UserQuery. Another weird thing is that if I delete the code inside the User class I get an error, but if I do the same for the UserQuery class I get no errors. So my question is why does cakephp generate a class on the fly for the UserQuery and ignores my class, and why doesn't it generate a class on the fly for the User as well ?

• Making more recent items more likely to be drawn

  There are a few hundred of book records in the database and each record has a publish time. In the homepage of the website, I am required to write some codes to randomly pick 10 books and put them there. The requirement is that newer books need to have higher chances of getting displayed. Since the time is an integer, I am thinking like this to calculate the probability for each book: Probability of a book to be drawn = (current time - publish time of the book) / ((current time - publish time of the book1) + (current time - publish time of the book1) + ... (current time - publish time of the bookn)) After a book is drawn, the next round of the loop will minus the (current time - publish time of the book) from the denominator and recalculate the probability for each of the remaining books, the loop continues until 10 books have been drawn. Is this algorithm a correct one? By the way, the website is written in PHP. Feel free to suggest some PHP codes if you have a better algorithm in your mind. Many thanks to you all.

• C#/.NET Little Wonders: The Joy of Anonymous Types

  Once again, in this series of posts I look at the parts of the .NET Framework that may seem trivial, but can help improve your code by making it easier to write and maintain. The index of all my past little wonders posts can be found here. In the .NET 3 Framework, Microsoft introduced the concept of anonymous types, which provide a way to create a quick, compiler-generated types at the point of instantiation.  These may seem trivial, but are very handy for concisely creating lightweight, strongly-typed objects containing only read-only properties that can be used within a given scope. Creating an Anonymous Type In short, an anonymous type is a reference type that derives directly from object and is defined by its set of properties base on their names, number, types, and order given at initialization.  In addition to just holding these properties, it is also given appropriate overridden implementations for Equals() and GetHashCode() that take into account all of the properties to correctly perform property comparisons and hashing.  Also overridden is an implementation of ToString() which makes it easy to display the contents of an anonymous type instance in a fairly concise manner. To construct an anonymous type instance, you use basically the same initialization syntax as with a regular type.  So, for example, if we wanted to create an anonymous type to represent a particular point, we could do this: 1: var point = new { X = 13, Y = 7 }; Note the similarity between anonymous type initialization and regular initialization.  The main difference is that the compiler generates the type name and the properties (as readonly) based on the names and order provided, and inferring their types from the expressions they are assigned to. It is key to remember that all of those factors (number, names, types, order of properties) determine the anonymous type.  This is important, because while these two instances share the same anonymous type: 1: // same names, types, and order 2: var point1 = new { X = 13, Y = 7 }; 3: var point2 = new { X = 5, Y = 0 }; These similar ones do not: 1: var point3 = new { Y = 3, X = 5 }; // different order 2: var point4 = new { X = 3, Y = 5.0 }; // different type for Y 3: var point5 = new {MyX = 3, MyY = 5 }; // different names 4: var point6 = new { X = 1, Y = 2, Z = 3 }; // different count Limitations on Property Initialization Expressions The expression for a property in an anonymous type initialization cannot be null (though it can evaluate to null) or an anonymous function.  For example, the following are illegal: 1: // Null can't be used directly. Null reference of what type? 2: var cantUseNull = new { Value = null }; 3:  4: // Anonymous methods cannot be used. 5: var cantUseAnonymousFxn = new { Value = () => Console.WriteLine(“Can’t.”) }; Note that the restriction on null is just that you can’t use it directly as the expression, because otherwise how would it be able to determine the type?  You can, however, use it indirectly assigning a null expression such as a typed variable with the value null, or by casting null to a specific type: 1: string str = null; 2: var fineIndirectly = new { Value = str }; 3: var fineCast = new { Value = (string)null }; All of the examples above name the properties explicitly, but you can also implicitly name properties if they are being set from a property, field, or variable.  In these cases, when a field, property, or variable is used alone, and you don’t specify a property name assigned to it, the new property will have the same name.  For example: 1: int variable = 42; 2:  3: // creates two properties named varriable and Now 4: var implicitProperties = new { variable, DateTime.Now }; Is the same type as: 1: var explicitProperties = new { variable = variable, Now = DateTime.Now }; But this only works if you are using an existing field, variable, or property directly as the expression.  If you use a more complex expression then the name cannot be inferred: 1: // can't infer the name variable from variable * 2, must name explicitly 2: var wontWork = new { variable * 2, DateTime.Now }; In the example above, since we typed variable * 2, it is no longer just a variable and thus we would have to assign the property a name explicitly. ToString() on Anonymous Types One of the more trivial overrides that an anonymous type provides you is a ToString() method that prints the value of the anonymous type instance in much the same format as it was initialized (except actual values instead of expressions as appropriate of course). For example, if you had: 1: var point = new { X = 13, Y = 42 }; And then print it out: 1: Console.WriteLine(point.ToString()); You will get: 1: { X = 13, Y = 42 } While this isn’t necessarily the most stunning feature of anonymous types, it can be handy for debugging or logging values in a fairly easy to read format. Comparing Anonymous Type Instances Because anonymous types automatically create appropriate overrides of Equals() and GetHashCode() based on the underlying properties, we can reliably compare two instances or get hash codes.  For example, if we had the following 3 points: 1: var point1 = new { X = 1, Y = 2 }; 2: var point2 = new { X = 1, Y = 2 }; 3: var point3 = new { Y = 2, X = 1 }; If we compare point1 and point2 we’ll see that Equals() returns true because they overridden version of Equals() sees that the types are the same (same number, names, types, and order of properties) and that the values are the same.   In addition, because all equal objects should have the same hash code, we’ll see that the hash codes evaluate to the same as well: 1: // true, same type, same values 2: Console.WriteLine(point1.Equals(point2)); 3:  4: // true, equal anonymous type instances always have same hash code 5: Console.WriteLine(point1.GetHashCode() == point2.GetHashCode()); However, if we compare point2 and point3 we get false.  Even though the names, types, and values of the properties are the same, the order is not, thus they are two different types and cannot be compared (and thus return false).  And, since they are not equal objects (even though they have the same value) there is a good chance their hash codes are different as well (though not guaranteed): 1: // false, different types 2: Console.WriteLine(point2.Equals(point3)); 3:  4: // quite possibly false (was false on my machine) 5: Console.WriteLine(point2.GetHashCode() == point3.GetHashCode()); Using Anonymous Types Now that we’ve created instances of anonymous types, let’s actually use them.  The property names (whether implicit or explicit) are used to access the individual properties of the anonymous type.  The main thing, once again, to keep in mind is that the properties are readonly, so you cannot assign the properties a new value (note: this does not mean that instances referred to by a property are immutable – for more information check out C#/.NET Fundamentals: Returning Data Immutably in a Mutable World). Thus, if we have the following anonymous type instance: 1: var point = new { X = 13, Y = 42 }; We can get the properties as you’d expect: 1: Console.WriteLine(“The point is: ({0},{1})”, point.X, point.Y); But we cannot alter the property values: 1: // compiler error, properties are readonly 2: point.X = 99; Further, since the anonymous type name is only known by the compiler, there is no easy way to pass anonymous type instances outside of a given scope.  The only real choices are to pass them as object or dynamic.  But really that is not the intention of using anonymous types.  If you find yourself needing to pass an anonymous type outside of a given scope, you should really consider making a POCO (Plain Old CLR Type – i.e. a class that contains just properties to hold data with little/no business logic) instead. Given that, why use them at all?  Couldn’t you always just create a POCO to represent every anonymous type you needed?  Sure you could, but then you might litter your solution with many small POCO classes that have very localized uses. It turns out this is the key to when to use anonymous types to your advantage: when you just need a lightweight type in a local context to store intermediate results, consider an anonymous type – but when that result is more long-lived and used outside of the current scope, consider a POCO instead. So what do we mean by intermediate results in a local context?  Well, a classic example would be filtering down results from a LINQ expression.  For example, let’s say we had a List<Transaction>, where Transaction is defined something like: 1: public class Transaction 2: { 3: public string UserId { get; set; } 4: public DateTime At { get; set; } 5: public decimal Amount { get; set; } 6: // … 7: } And let’s say we had this data in our List<Transaction>: 1: var transactions = new List<Transaction> 2: { 3: new Transaction { UserId = "Jim", At = DateTime.Now, Amount = 2200.00m }, 4: new Transaction { UserId = "Jim", At = DateTime.Now, Amount = -1100.00m }, 5: new Transaction { UserId = "Jim", At = DateTime.Now.AddDays(-1), Amount = 900.00m }, 6: new Transaction { UserId = "John", At = DateTime.Now.AddDays(-2), Amount = 300.00m }, 7: new Transaction { UserId = "John", At = DateTime.Now, Amount = -10.00m }, 8: new Transaction { UserId = "Jane", At = DateTime.Now, Amount = 200.00m }, 9: new Transaction { UserId = "Jane", At = DateTime.Now, Amount = -50.00m }, 10: new Transaction { UserId = "Jaime", At = DateTime.Now.AddDays(-3), Amount = -100.00m }, 11: new Transaction { UserId = "Jaime", At = DateTime.Now.AddDays(-3), Amount = 300.00m }, 12: }; So let’s say we wanted to get the transactions for each day for each user.  That is, for each day we’d want to see the transactions each user performed.  We could do this very simply with a nice LINQ expression, without the need of creating any POCOs: 1: // group the transactions based on an anonymous type with properties UserId and Date: 2: byUserAndDay = transactions 3: .GroupBy(tx => new { tx.UserId, tx.At.Date }) 4: .OrderBy(grp => grp.Key.Date) 5: .ThenBy(grp => grp.Key.UserId); Now, those of you who have attempted to use custom classes as a grouping type before (such as GroupBy(), Distinct(), etc.) may have discovered the hard way that LINQ gets a lot of its speed by utilizing not on Equals(), but also GetHashCode() on the type you are grouping by.  Thus, when you use custom types for these purposes, you generally end up having to write custom Equals() and GetHashCode() implementations or you won’t get the results you were expecting (the default implementations of Equals() and GetHashCode() are reference equality and reference identity based respectively). As we said before, it turns out that anonymous types already do these critical overrides for you.  This makes them even more convenient to use!  Instead of creating a small POCO to handle this grouping, and then having to implement a custom Equals() and GetHashCode() every time, we can just take advantage of the fact that anonymous types automatically override these methods with appropriate implementations that take into account the values of all of the properties. Now, we can look at our results: 1: foreach (var group in byUserAndDay) 2: { 3: // the group’s Key is an instance of our anonymous type 4: Console.WriteLine("{0} on {1:MM/dd/yyyy} did:", group.Key.UserId, group.Key.Date); 5:  6: // each grouping contains a sequence of the items. 7: foreach (var tx in group) 8: { 9: Console.WriteLine("\t{0}", tx.Amount); 10: } 11: } And see: 1: Jaime on 06/18/2012 did: 2: -100.00 3: 300.00 4:  5: John on 06/19/2012 did: 6: 300.00 7:  8: Jim on 06/20/2012 did: 9: 900.00 10:  11: Jane on 06/21/2012 did: 12: 200.00 13: -50.00 14:  15: Jim on 06/21/2012 did: 16: 2200.00 17: -1100.00 18:  19: John on 06/21/2012 did: 20: -10.00 Again, sure we could have just built a POCO to do this, given it an appropriate Equals() and GetHashCode() method, but that would have bloated our code with so many extra lines and been more difficult to maintain if the properties change.  Summary Anonymous types are one of those Little Wonders of the .NET language that are perfect at exactly that time when you need a temporary type to hold a set of properties together for an intermediate result.  While they are not very useful beyond the scope in which they are defined, they are excellent in LINQ expressions as a way to create and us intermediary values for further expressions and analysis. On a mission to restore health and save lives during times of disaster, the nonprofit international relief and humanitarian aid organization delivers donated medicines, medical supplies, and humanitarian aid to people in the U.S. and around the globe. Founded in 1982 with the express mission of responding as quickly and efficiently as possible to help people in need, the Stamford, Connecticut-based AmeriCares has delivered more than US$10.5 billion in aid to 147 countries over the past three decades. Launch the Slideshow “It’s critically important to us that we steward all the donations and that the medical supplies and medicines get to people as quickly as possible with no loss,” says Kate Sears, senior vice president for finance and technology at AmeriCares. “Whether we’re shipping IV solutions to victims of cholera in Haiti or antibiotics to Somali famine victims, we need to get the medicines there sooner because it means more people will be helped and lives improved or even saved.” Ten years ago, the tracking systems used by AmeriCares associates were paper-based. In recent years, staff started using spreadsheets, but the tracking processes were not standardized between teams. “Every team was tracking completely different information,” says Megan McDermott, senior associate, Sub-Saharan Africa partnerships, at AmeriCares. “It was just a few key things. For example, we tracked the date a shipment was supposed to arrive and the date we got reports from our partner that a hospital received aid on their end.” While the data was accurate, much detail was being lost in the process. AmeriCares management knew it could do a better job of tracking this enterprise data and in 2011 took a significant step by implementing Oracle’s Primavera P6 Professional Project Management. “It’s a comprehensive solution that has helped us improve the monitoring and controlling processes. It has allowed us to do our distribution better,” says Sears. In addition, the implementation effort has been a change agent, helping AmeriCares leadership rethink project management across the entire organization. Initially, much of the focus was on standardizing processes, but staff members also learned the importance of thinking proactively to prevent possible problems and evaluating results to determine if goals and objectives are truly being met. Such data about process efficiency and overall results is critical not only to AmeriCares staff but also to the donors supporting the organization’s life-saving missions. Efficiency Saves Lives One of AmeriCares’ core operations is to gather product donations from the private sector, establish where the most-urgent needs are, and solicit monetary support to send the aid via ocean cargo or airlift to welfare- and health-oriented nongovernmental organizations, hospitals, health networks, and government ministries based in areas in need. In 2011 alone, AmeriCares sent more than 3,500 shipments to 95 countries in response to both ongoing humanitarian needs and more than two dozen emergencies, including deadly tornadoes and storms in the U.S. and the devastating tsunami in Japan. When it comes to nonprofits in general, donors want to know that the charitable organizations they support are using funds wisely. Typically, nonprofits are evaluated by donors in terms of efficiency, an area where AmeriCares has an excellent reputation: 98 percent of expenses go directly to supporting programs and less than 2 percent represent administrative and fundraising costs. Donors, however, should look at more than simple efficiency, says Peter York, senior partner and chief research and learning officer at TCC Group, a nonprofit consultancy headquartered in New York, New York. They should also look at whether organizations have the systems in place to sustain their missions and continue to thrive. An expert on nonprofit organizational management, York has spent years studying sustainable charitable organizations. He defines them as nonprofits that are able to achieve the ongoing financial support to stay relevant and continue doing core mission work. In his analysis of well over 2,500 larger nonprofits, York has found that many are not sustaining, and are actually scaling back in size. “One of the biggest challenges of nonprofit sustainability is the general public’s perception that every dollar donated has to go only to the delivery of service,” says York. “What our data shows is that there are some fundamental capacities that have to be there in order for organizations to sustain and grow.” York’s research highlights the importance of data-driven leadership at successful nonprofits. “You’ve got to have the tools, the systems, and the technologies to get objective information on what you do, the people you serve, and the results you’re achieving,” says York. “If leaders don’t have the knowledge and the data, they can’t make the strategic decisions about programs to take organizations to the next level.” Historically, AmeriCares associates have used time-tested and cost-effective strategies to ship and then track supplies from donation to delivery to their destinations in designated time frames. When disaster strikes, AmeriCares ships by air and generally pulls out all the stops to deliver the most urgently needed aid within the first few days and weeks. Then, as situations stabilize, AmeriCares turns to delivering sea containers for the postemergency and ongoing aid so often needed over the long term. According to McDermott, getting a shipment out the door is fairly complicated, requiring as many as five different AmeriCares teams collaborating together. The entire process can take months—from when products are received in the warehouse and deciding which recipients to allocate supplies to, to getting customs and governmental approvals in place, actually shipping products, and finally ensuring that the products are received in-country. Delivering that aid is no small affair. “Our volume exceeds half a billion dollars a year worth of donated medicines and medical supplies, so it’s a sizable logistical operation to bring these products in and get them out to the right place quickly to have the most impact,” says Sears. “We really pride ourselves on our controls and efficiencies.” Adding to that complexity is the fact that the longer it takes to deliver aid, the more dire the human need can be. Any time AmeriCares associates can shave off the complicated aid delivery process can translate into lives saved. “It’s really being able to track information consistently that will help us to see where are the bottlenecks and where can we work on improving our processes,” says McDermott. Setting a Standard Productivity and information management improvements were key objectives for AmeriCares when staff began the process of implementing Oracle’s Primavera solution. But before configuring the software, the staff needed to take the time to analyze the systems already in place. According to Greg Loop, manager of database systems at AmeriCares, the organization received guidance from several consultants, including Rich D’Addario, consulting project manager in the Primavera Global Business Unit at Oracle, who was instrumental in shepherding the critical requirements-gathering phase. D’Addario encouraged staff to begin documenting shipping processes by considering the order in which activities occur and which ones are dependent on others to get accomplished. This exercise helped everyone realize that to be more efficient, they needed to keep track of shipments in a more standard way. “The staff didn’t recognize formal project management methodology,” says D’Addario. “But they did understand what the most important things are and that if they go wrong, an entire project can go off course.” Before, if a boatload of supplies was being sent to Haiti and there was a problem somewhere, a lot of time was taken up finding out where the problem was—because staff was not tracking things in a standard way. As a result, even more time was needed to find possible solutions to the problem and alert recipients that the aid might be delayed. “For everyone to put on the project manager hat and standardize the way every single thing is done means that now the whole organization is on the same page as to what needs to occur from the time a hurricane hits Haiti and when a boat pulls in to unload supplies,” says D’Addario. With so much care taken to put a process foundation firmly in place, configuring the Primavera solution was actually quite simple. Specific templates were set up for different types of shipments, and dashboards were implemented to provide executives with clear overviews of every project in the system. AmeriCares’ Loop reports that system planning, refining, and testing, followed by writing up documentation and training, took approximately four months. The system went live in spring 2011 at AmeriCares’ Connecticut headquarters. While the nonprofit has an international presence, with warehouses in Europe and offices in Haiti, India, Japan, and Sri Lanka, most donated medicines come from U.S. entities and are shipped from the U.S. out to the rest of the world. In addition, all shipments are tracked from the U.S. office. AmeriCares doesn’t expect the Primavera system to take months off the shipping time, especially for sea containers. However, any time saved is still important because it will allow aid to be delivered to people more quickly at a lower overall cost. “If we can trim a day or two here or there, that can translate into lives that we’re saving, especially in emergency situations,” says Sears. A Cultural Change Beyond the measurable benefits that come with IT-driven process improvement, AmeriCares management is seeing a change in culture as a result of the Primavera project. One change has been treating every shipment of aid as a project, and everyone involved with facilitating shipments as a project manager. “This is a revolutionary concept for us,” says McDermott. “Before, we were used to thinking we were doing logistics—getting a container from point A to point B without looking at it as one project and really understanding what it meant to manage it.” AmeriCares staff is also happy to report that collaboration within the organization is much more efficient. When someone creates a shipment in the Primavera system, the same shared template is used, which means anyone can log in to the system to see the status of a shipment. Knowledgeable staff can access a shipment project to help troubleshoot a problem. Management can easily check the status of projects across the organization. “Dashboards are really useful,” says McDermott. “Instead of going into the details of each project, you can just see the high-level real-time information at a glance.” The new system is helping team members focus on proactively managing shipments rather than simply reacting when problems occur. For example, when a container is shipped, documents must be included for customs clearance. Now, the shipping template has built-in reminders to prompt team members to ask for copies of these documents from freight forwarders and to follow up with partners to discover if a shipment is on time. In the past, staff may not have worked on securing these documents until they’d been notified a shipment had arrived in-country. Another benefit of capturing and adopting best practices within the Primavera system is that staff training is easier. “Capturing the processes in documented steps and milestones allows us to teach new staff members how to do their jobs faster,” says Sears. “It provides them with the knowledge of their predecessors so they don’t have to keep reinventing the wheel.” With the Primavera system already generating positive results, management is eager to take advantage of advanced capabilities. Loop is working on integrating the company’s proprietary inventory management system with the Primavera system so that when logistics or warehousing operators input data, the information will automatically go into the Primavera system. In the past, this information had to be manually keyed into spreadsheets, often leading to errors. Mining Historical Data Another feature on the horizon for AmeriCares is utilizing Primavera P6 Professional Project Management reporting capabilities. As the system begins to include more historical data, management soon will be able to draw on this information to conduct analysis that has not been possible before and create customized reports. For example, at the beginning of the shipment process, staff will be able to use historical data to more accurately estimate how long the approval process should take for a particular country. This could help ensure that food and medicine with limited shelf lives do not get stuck in customs or used beyond their expiration dates. The historical data in the Primavera system will also help AmeriCares with better planning year to year. The nonprofit’s staff has always put together a plan at the beginning of the year, but this has been very challenging simply because it is impossible to predict disasters. Now, management will be able to look at historical data and see trends and statistics as they set current objectives and prepare for future need. In addition, this historical data will provide AmeriCares management with the ability to review year-end data and compare actual project results with goals set at the beginning of the year—to see if desired outcomes were achieved and if there are areas that need improvement. It’s this type of information that is so valuable to donors. And, according to York, project management software can play a critical role in generating the data to help nonprofits sustain and grow. “It is important to invest in systems to help replicate, expand, and deliver services,” says York. “Project management software can help because it encourages nonprofits to examine program or service changes and how to manage moving forward.” Sears believes that AmeriCares donors will support the return on investment the organization will achieve with the Primavera solution. “It won’t be financial returns, but rather how many more people we can help for a given dollar or how much more quickly we can respond to a need,” says Sears. “I think donors are receptive to such arguments.” And for AmeriCares, it is all about the future and increasing results. The project management environment currently may be quite simple, but IT staff plans to expand the complexity and functionality as the organization grows in its knowledge of project management and the goals it wants to achieve. “As we use the system over time, we’ll continue to refine our best practices and accumulate more data,” says Sears. “It will advance our ability to make better data-driven decisions.”
