  • Build an Organization Chart In Visio 2010

    With trying to manage a business these days, it’s very important to have an Organization Chart to keep everything manageable. Here we’ll show you how to build one in Visio 2010. This Guest Article was written by our friends over at Office 2010 Club. Need for Organization Charts The need of creating Organization Charts are becoming indispensable these days, as companies start focusing on extensive hiring for far reach availability, increase in productivity and targeting diverse markets. Considering this rigorous change, creating an organization chart can help stakeholders in comprehending the ever growing organization structure & hierarchy with an ease. It shows the basic structure of organization along with defining the relationships between employees working in different departments. Opportunely, Microsoft Visio 2010 offers an easy way to create Organization chart. As before now, orthodox ways of listing organization hierarchy have been used for defining the structure of departments along with communication possible including; horizontal and vertical communications. To transform these lists which defines organizational structure, into a detailed chart, Visio 2010 includes an add-in for importing Excel spreadsheet, which comes in handy for pulling out data from spreadsheet to create an organization chart. Importantly, you don’t need to indulge yourself in maze of defining organizational hierarchies and chalking-out structure, as you just need to specify the column & row headers, along with data you need to import and it will automatically create out chart defining; organizational hierarchies with specified credentials of each employee, categorized in their corresponding departments. Creating Organization Charts in Visio 2010 To start off with, we have created an Excel spreadsheet having fields, Name, Supervisor, Designation, Department and Phone. The Name field contains name of all the employees working in different departments, whereas Supervisor field contains name of supervisors or team leads. This field is vital for creating Organization Chart, as it defines the basic structure & hierarchy in chart. Now launch Visio 2010, head over to View tab, under Add-Ons menu, from Business options, click Organization Chart Wizard. This will start Organization Chart Wizard, in the first step, enable Information that’s already stored in a file or database option, and click Next. As we are importing Excel sheet, select the second option for importing Excel spreadsheet. Specify the Excel file path and click Next to continue. In this step, you need to specify the fields which actually defines the structure of an organization. In our case, these are Name & Supervisor fields. After specifying fields, click Next to Proceed further. As organization chart is primarily for showing the hierarchy of departments/employees working in organization along with how they are linked together, and who supervises whom. Considering this, in this step we will leave out Supervisor field, because it’s inclusion wouldn’t be necessary as Visio automatically chalks-out the basic structure defined in Excel sheet. Add the rest of the fields under Displayed fields category, and click Next. Now choose the fields which you want to include in Organization Chart’s shapes and click Next. This step is about breaking the chart into multiple pages, if you are dealing with 100+ employees, you may want to specify numbers of pages on which Organization Chart will be displayed. But in our case, we are dealing with much less amount of data, so we will enable I want the wizard to automatically break my organization chart across pages option. Specify the name you need to show on the top of the page. If you are having less than 20 hierarchies, enter the name of the highest ranked employee in organization and click Finish to end the wizard. It will instantly create an Organization chart out of specified Excel spreadsheet. Highest ranked employee will be shown on top of the organization chart, supervising various employees from different departments. As shown below, his immediate subordinates further manages other employees and so on. For advance customizations, head over to Org Chart tab, here you will find different groups for setting up the Org Chart’s hierarchy and manage other employees’ positions. Under Arrange group, shapes’ arrangements can be changed and it provides easy navigation through the chart. You can also change the type of the position and hide subordinates of selected employee. From Picture group, you can insert a picture of the employees, departments, etc. From synchronization group, you have the option of creating a synced copy and expanding subordinates of selected employee. Under Organization Data group, you can change whole layout of Organization chart from Display Options including; shape display, show divider, enable/disable imported fields, change block position, and fill colors, etc. If at any point of time, you need to insert new position or announce vacancy, Organization Chart stencil is always available on the left sidebar. Drag the desired Organization Chart shape into main diagram page, to maintain the structure integrity, i.e, for inserting subordinates for a specific employee, drag the position shape over the existing employee shape box. For instance, We have added a consultant in organization, who is directly under CEO, for maintaining this, we have dragged the Consultant box and just dropped it over the CEO box to make the immediate subordinate position. Adding details to new position is a cinch, just right-click new position box and click Properties. This will open up Shape Data dialog, start filling in all the relevant information and click OK. Here you can see the newly created position is easily populated with all the specified information. Now expanding an Organization Chart doesn’t require maintenance of long lists any more.   • How to bill a client for frequently-interrupted time

    I find that when I'm working on hourly-billable projects (in particular, those that are research/design/architecture-oriented as opposed to straight coding) that I'm easily distracted by any number of things (email, grab a drink (loss of focus, but nature happens), link off the webpage I was reading, wandering mind (easy when the job calls for a lot of thinking), etc.) This results in very fragmented time, far too incremental IMO to accurately track with a timeclock, and some time very gray. I frequently end up billing for only some fraction of the elapsed time I spent in order to feel fair, but sometimes it takes a really long time to put in an 8-hour day. By contrast, when I've worked for salary I've not worried about whether I'm actively working at any given minute, I just get the job done, and I've never had anything but stellar reviews/feedback from past salaried employers, so I think I get the job done well. I personally believe in an 80/20 cycle: I get 80% of my work done during an inspired 20% of my time. But I have to screw around the other 80% of the time in order to get that first 20%. So the question: what billing/time-tracking policy can I adopt in order to be fair to my hourly customers without having to write off my own less-productive 80% that a salaried employer is willing to overlook in light of the complete package? Note: This question is not about how to be more productive or focused. It's about how to work around whatever salient limitations that I have in a way that's both fair to me and to my customers. Update: A little clarification (to pre-emptively stop some righteous indignation): I currently have a half dozen different project/client groups. It's not a great situation and I'm working at reducing it down to two, but that's my current reality. It's very easy to get off on a thread related to a different project than the one I'm clocking, and I'm not always conscious of it at the time. [I did not intend the question to mean that I was off playing games or making personal calls, etc., and have adjusted wording above to be clearer. Most of the time. I am only human, and sometimes the mind does force you to take a break! :-)]

    Smart TV Remote is an unofficial Android app that lets you control Samsung Smart TVs connected over a local WiFi network. This app comes very handy when you want to control your TV which is not in line of sight of your TV remote control or just want to use your mobile phone/tablet to control the TV. Setting up a TV  is very easy using auto scan feature . Once the TV is setup, you are all set to start using the app as a remote control. A traditional remote controls makes use of infra red technology and it needs to be in the line of sight of the TV receiver to work. But this app make use of WiFi technology which give it flexibility of controlling the TV as long as the mobile & TV is connected to WiFi network. It just works even if the TV is behind a wall. The App provides very easy to use options to switch between channels and separate remotes with media controls, smart hub features and a numeric key pad if you want to navigate to a channel through its number. The App also provides a home screen widget with volume controls and channel navigation options. I use  this App to control Samsung E Series Smart Tv at home and it works very well. I’m impressed by the ease at which it allows to setup a TV, support for multiple TVs, controlling the TV though I’m not in the line of sight and using volume buttons of smart phone to control volume of TV. What’s annoying and missing with the app As advertised the app works very well in controlling Samsung TVs (B-, C-, D- E-, and F-Series) except it is very painful to move mouse pointer while browsing web on TV. When you try to move mouse pointer using the App, it mouse painfully slow especially. I gave us using the app to control mouse pointer after trying couple of times. I installed this App thinking that it may help me browse web on Smart TVs, especially a key board support to type web urls. App does not supports entering text either while browsing web or searching through Smart TV apps like YouTube, App Store etc. Developers of this App never advertised keyboard support so no complaints about this. But it would be very helpful if the developers allow this app use as a keyboard and rescue me from the pain of typing text using TV Remote control.     In the past I have described the team I belong to here at Microsoft (Parallel Computing Platform) in terms of contributing to Visual Studio and related products, e.g. .NET Framework. To be more precise, our team is part of the Technical Computing group, which is still part of the Developer Division. This was officially announced externally earlier this month in an exec email (from Bob Muglia, the president of STB, to which DevDiv belongs).   • SQL SERVER – Faster SQL Server Databases and Applications – Power and Control with SafePeak Caching Options

    Update: This blog post is written based on the SafePeak, which is available for free download. Today, I’d like to examine more closely one of my preferred technologies for accelerating SQL Server databases, SafePeak. Safepeak’s software provides a variety of advanced data caching options, techniques and tools to accelerate the performance and scalability of SQL Server databases and applications. I’d like to look more closely at some of these options, as some of these capabilities could help you address lagging database and performance on your systems. To better understand the available options, it is best to start by understanding the difference between the usual “Basic Caching” vs. SafePeak’s “Dynamic Caching”. Basic Caching Basic Caching (or the stale and static cache) is an ability to put the results from a query into cache for a certain period of time. It is based on TTL, or Time-to-live, and is designed to stay in cache no matter what happens to the data. For example, although the actual data can be modified due to DML commands (update/insert/delete), the cache will still hold the same obsolete query data. Meaning that with the Basic Caching is really static / stale cache.  As you can tell, this approach has its limitations. Dynamic Caching Dynamic Caching (or the non-stale cache) is an ability to put the results from a query into cache while maintaining the cache transaction awareness looking for possible data modifications. The modifications can come as a result of: DML commands (update/insert/delete), indirect modifications due to triggers on other tables, executions of stored procedures with internal DML commands complex cases of stored procedures with multiple levels of internal stored procedures logic. When data modification commands arrive, the caching system identifies the related cache items and evicts them from cache immediately. In the dynamic caching option the TTL setting still exists, although its importance is reduced, since the main factor for cache invalidation (or cache eviction) become the actual data updates commands. Now that we have a basic understanding of the differences between “basic” and “dynamic” caching, let’s dive in deeper. SafePeak: A comprehensive and versatile caching platform SafePeak comes with a wide range of caching options. Some of SafePeak’s caching options are automated, while others require manual configuration. Together they provide a complete solution for IT and Data managers to reach excellent performance acceleration and application scalability for  a wide range of business cases and applications. Automated caching of SQL Queries: Fully/semi-automated caching of all “read” SQL queries, containing any types of data, including Blobs, XMLs, Texts as well as all other standard data types. SafePeak automatically analyzes the incoming queries, categorizes them into SQL Patterns, identifying directly and indirectly accessed tables, views, functions and stored procedures; Automated caching of Stored Procedures: Fully or semi-automated caching of all read” stored procedures, including procedures with complex sub-procedure logic as well as procedures with complex dynamic SQL code. All procedures are analyzed in advance by SafePeak’s  Metadata-Learning process, their SQL schemas are parsed – resulting with a full understanding of the underlying code, objects dependencies (tables, views, functions, sub-procedures) enabling automated or semi-automated (manually review and activate by a mouse-click) cache activation, with full understanding of the transaction logic for cache real-time invalidation; Transaction aware cache: Automated cache awareness for SQL transactions (SQL and in-procs); Dynamic SQL Caching: Procedures with dynamic SQL are pre-parsed, enabling easy cache configuration, eliminating SQL Server load for parsing time and delivering high response time value even in most complicated use-cases; Fully Automated Caching: SQL Patterns (including SQL queries and stored procedures) that are categorized by SafePeak as “read and deterministic” are automatically activated for caching; Semi-Automated Caching: SQL Patterns categorized as “Read and Non deterministic” are patterns of SQL queries and stored procedures that contain reference to non-deterministic functions, like getdate(). Such SQL Patterns are reviewed by the SafePeak administrator and in usually most of them are activated manually for caching (point and click activation); Fully Dynamic Caching: Automated detection of all dependent tables in each SQL Pattern, with automated real-time eviction of the relevant cache items in the event of “write” commands (a DML or a stored procedure) to one of relevant tables. A default setting; Semi Dynamic Caching: A manual cache configuration option enabling reducing the sensitivity of specific SQL Patterns to “write” commands to certain tables/views. An optimization technique relevant for cases when the query data is either known to be static (like archive order details), or when the application sensitivity to fresh data is not critical and can be stale for short period of time (gaining better performance and reduced load); Scheduled Cache Eviction: A manual cache configuration option enabling scheduling SQL Pattern cache eviction based on certain time(s) during a day. A very useful optimization technique when (for example) certain SQL Patterns can be cached but are time sensitive. Example: “select customers that today is their birthday”, an SQL with getdate() function, which can and should be cached, but the data stays relevant only until 00:00 (midnight); Parsing Exceptions Management: Stored procedures that were not fully parsed by SafePeak (due to too complex dynamic SQL or unfamiliar syntax), are signed as “Dynamic Objects” with highest transaction safety settings (such as: Full global cache eviction, DDL Check = lock cache and check for schema changes, and more). The SafePeak solution points the user to the Dynamic Objects that are important for cache effectiveness, provides easy configuration interface, allowing you to improve cache hits and reduce cache global evictions. Usually this is the first configuration in a deployment; Overriding Settings of Stored Procedures: Override the settings of stored procedures (or other object types) for cache optimization. For example, in case a stored procedure SP1 has an “insert” into table T1, it will not be allowed to be cached. However, it is possible that T1 is just a “logging or instrumentation” table left by developers. By overriding the settings a user can allow caching of the problematic stored procedure; Advanced Cache Warm-Up: Creating an XML-based list of queries and stored procedure (with lists of parameters) for periodically automated pre-fetching and caching. An advanced tool allowing you to handle more rare but very performance sensitive queries pre-fetch them into cache allowing high performance for users’ data access; Configuration Driven by Deep SQL Analytics: All SQL queries are continuously logged and analyzed, providing users with deep SQL Analytics and Performance Monitoring. Reduce troubleshooting from days to minutes with database objects and SQL Patterns heat-map. The performance driven configuration helps you to focus on the most important settings that bring you the highest performance gains. Use of SafePeak SQL Analytics allows continuous performance monitoring and analysis, easy identification of bottlenecks of both real-time and historical data; Cloud Ready: Available for instant deployment on Amazon Web Services (AWS).
