• Filtering List Data with a jQuery-searchFilter Plugin

  When dealing with list based data on HTML forms, filtering that data down based on a search text expression is an extremely useful feature. We’re used to search boxes on just about anything these days and HTML forms should be no different. In this post I’ll describe how you can easily filter a list down to just the elements that match text typed into a search box. It’s a pretty simple task and it’s super easy to do, but I get a surprising number of comments from developers I work with who are surprised how easy it is to hook up this sort of behavior, that I thought it’s worth a blog post. But Angular does that out of the Box, right? These days it seems everybody is raving about Angular and the rich SPA features it provides. One of the cool features of Angular is the ability to do drop dead simple filters where you can specify a filter expression as part of a looping construct and automatically have that filter applied so that only items that match the filter show. I think Angular has single handedly elevated search filters to first rate, front-row status because it’s so easy. I love using Angular myself, but Angular is not a generic solution to problems like this. For one thing, using Angular requires you to render the list data with Angular – if you have data that is server rendered or static, then Angular doesn’t work. Not all applications are client side rendered SPAs – not by a long shot, and nor do all applications need to become SPAs. Long story short, it’s pretty easy to achieve text filtering effects using jQuery (or plain JavaScript for that matter) with just a little bit of work. Let’s take a look at an example. Why Filter? Client side filtering is a very useful tool that can make it drastically easier to sift through data displayed in client side lists. In my applications I like to display scrollable lists that contain a reasonably large amount of data, rather than the classic paging style displays which tend to be painful to use. So I often display 50 or so items per ‘page’ and it’s extremely useful to be able to filter this list down. Here’s an example in my Time Trakker application where I can quickly glance at various common views of my time entries. I can see Recent Entries, Unbilled Entries, Open Entries etc and filter those down by individual customers and so forth. Each of these lists results tends to be a few pages worth of scrollable content. The following screen shot shows a filtered view of Recent Entries that match the search keyword of CellPage: As you can see in this animated GIF, the filter is applied as you type, displaying only entries that match the text anywhere inside of the text of each of the list items. This is an immediately useful feature for just about any list display and adds significant value. A few lines of jQuery The good news is that this is trivially simple using jQuery. To hook up the search filter with jQuery is merely a matter of a few lines of jQuery code hooked to the .keyup() event handler: <script type="text/javascript"> $("#txtSearchPage").keyup(function() { var search = $(this).val(); $(".time-entry").show(); if (search) $(".time-entry").not(":contains(" + search + ")").hide(); }); </script> The idea here is pretty simple: You capture the keystroke in the search box and capture the search text. Using that search text you first make all items visible and then hide all the items that don’t match. Since DOM changes are applied after a method finishes execution in JavaScript, the show and hide operations are effectively batched up and so the view changes only to the final list rather than flashing the whole list and then removing items on a slow machine. You get the desired effect of the list showing the items in question. Case Insensitive Filtering But there is one problem with the solution above: The jQuery :contains filter is case sensitive, so your search text has to match expressions explicitly which is a bit cumbersome when typing. In the screen capture above I actually cheated – I used a custom filter that provides case insensitive contains behavior. jQuery makes it really easy to create custom query filters, and so I created one called containsNoCase. Here’s the implementation of this custom filter:$.expr[":"].containsNoCase = function(el, i, m) { var search = m[3]; if (!search) return false; return new RegExp(search, "i").test($(el).text()); }; This filter can be added anywhere where page level JavaScript runs – in page script or a seperately loaded .js file.  The filter basically extends jQuery with a : expression. Filters get passed a tokenized array that contains the expression. In this case the m[3] contains the search text from inside of the brackets. A filter basically looks at the active element that is passed in and then can return true or false to determine whether the item should be matched. Here I check a regular expression that looks for the search text in the element’s text. Optionally you can specify a character count at which the filter kicks in since it’s kind of useless to filter at a single character typically. Summary This is s a very easy solution to a cool user interface feature your users will thank you for. Search filtering is a simple but highly effective user interface feature, and as you’ve seen in this post it’s very simple to create this behavior with just a few lines of jQuery code. While all the cool kids are doing Angular these days, jQuery is still useful in many applications that don’t embrace the ‘everything generated in JavaScript’ paradigm. • Not attending the LUGM mini-meetup - 05. Oct 2013

  Not attending a meeting of the LUGM can be fun, too. It's getting a bit of a habit that Ish is organising small gatherings, aka mini-meetups, of the Linux User Group Mauritius/Meta (LUGM) almost every Saturday. There they mainly discuss and talk about various elements of using Linux as ones main operating systems and the possibilities you are going to have. On top of course, some tips & tricks about mastering the command line and initial steps in scripting or even writing HTML. In general, sounds like a good portion of fun and great spirit of community. Unfortunately, I'm usually quite busy with private and family matters during the weekend and so I already signalised that I wouldn't be around. Well, at least not physically... But this Saturday a couple of things worked out faster than expected and so I was hanging out on my machine. I made virtual contact with one of Pawan's messages over on Facebook... And somehow that kicked off some kind of an online game fun on basic configuration of Apache HTTPd 2.2.x, PHP 5.x and how to improve the overall performance of a newly installed blog based on WordPress. Default configuration files Nitin's website finally came alive and despite the dark theme and the hidden Apple 'fanboy' advertisement I was more interested in the technical situation. As with any new installation there is usually quite some adjustment to be done. And Nitin's page was no exception. Unfortunately, out of the box installations of Apache httpd and PHP are too verbose and expose too much information under the hood. You might think that this isn't really a problem at all, well, think about it again after completely reading this article. First, I checked the HTTP response headers - using either Chrome Developer Tools or Firefox Web Developer extension - of Nitin's page and based on that I advised him to lower the noise levels a little bit. It's not really necessary that detailed information about web server software and scripting language has to be published in every response made. Quite a number of script kiddies and exploits actually check for version specifics prior to an attack. So, removing at least version details hardens the system a little bit. In particular, I'm talking about these response values: Server X-Powered-By How to achieve that? By tweaking the configuration files... Namely, we are going to look into the following ones: apache2.conf httpd.conf .htaccess php.ini The above list contains some additional files, I'm talking about in the next paragraphs. Anyway, those are the ones involved. Tweaking Apache Open your favourite text editor and start to modify the apache2.conf. Eventually, you might like to have a quick peak at the file to see whether it is necessary to adjust it or not. Following is a handy combination of commands to get an overview of your active directives: # sudo grep -v '#' /etc/apache2/apache2.conf | grep -v '^$' | less There you keep an eye on those two Apache directives: ServerSignature Off ServerTokens Prod If that's not the case, change them as highlighted above. In order to activate your modifications you have to restart Apache httpd server. On Debian and Ubuntu you might use apache2ctl for that, on other distributions you might have to use service or run the init-scripts again: # sudo apache2ctl configtestSyntax OK# sudo apache2ctl restart Refresh your website and check the HTTP response header. Tweaking PHP5 (a little bit) Next, check your php.ini file with the following statement: # sudo grep -v ';' /etc/php5/apache2/php.ini | grep -v '^$' | less And check the value of expose_php = Off Again, if it's not as highlighted, change it... Some more Apache love Okay, back to Apache it might also be interesting to improve the situation about browser caching and removing more obsolete information. When you run your website against the usual performance checks like Google Page Speed and Yahoo YSlow you might see those check points with bad grades on a standard, default configuration. Well, this can be done easily. Configure entity tags (ETags) ETags are only interesting when you run your websites on a farm of multiple web servers. Removing this data for your static resources is very simple in Apache. As we are going to deal with the HTTP response header information you have to ensure that Apache is capable to manipulate them. First, check your enabled modules: # sudo ls -al /etc/apache2/mods-enabled/ | grep headers And in case that the 'headers' module is not listed, you have to enable it from the available ones: # sudo a2enmod headers Second, check your httpd.conf file (in case it exists): # sudo grep -v '#' /etc/apache2/httpd.conf | grep -v '^$' | less In newer (better said fresh) installations you might have to create a new configuration file below your conf.d folder with your favourite text editor like so: # sudo nano /etc/apache2/conf.d/headers.conf Then, in order to tweak your HTTP responses either check for those lines or add them: Header unset ETagFileETag None In case that your file doesn't exist or those lines are missing, feel free to create/add them. Afterwards, check your Apache configuration syntax and restart your running instances as already shown above: # sudo apache2ctl configtestSyntax OK# sudo apache2ctl restart Add Expires headers To improve the loading performance of your website, you should take some care into the proper configuration of how to leverage the browser's ability to cache certain resources and files. This is done by adding an Expires: value to the HTTP response header. Generally speaking it is advised that you specify a near-future, read: 1 week or a little bit more, for your static content like JavaScript files or Cascading Style Sheets. One solution to adjust this is to put some instructions into the .htaccess file in the root folder of your web site. Of course, this could also be placed into a more generic location of your Apache installation but honestly, I'd like to keep this at the web site level. Following some adjustments I'm currently using on this blog site: # Turn on Expires and set default to 0ExpiresActive OnExpiresDefault A0 # Set up caching on media files for 1 year (forever?)<FilesMatch "\.(flv|ico|pdf|avi|mov|ppt|doc|mp3|wmv|wav)$">ExpiresDefault A29030400Header append Cache-Control "public"</FilesMatch> # Set up caching on media files for 1 week<FilesMatch "\.(js|css)$">ExpiresDefault A604800Header append Cache-Control "public"</FilesMatch> # Set up caching on media files for 31 days<FilesMatch "\.(gif|jpg|jpeg|png|swf)$">ExpiresDefault A2678400Header append Cache-Control "public"</FilesMatch> As we are editing the .htaccess files, it is not necessary to restart Apache. In case that your web site doesn't load anymore or you're experiencing an error while trying to restart your httpd, check that the 'expires' module is actually an enabled module: # ls -al /etc/apache2/mods-enabled/ | grep expires# sudo a2enmod expires Of course, the instructions above a re not feature complete but I hope that they might provide a better default configuration for your LAMP stack. Resume of the day Within a couple of hours, and while being occupied with an eLearning course on SQL Server 2012, I had some good fun in helping and assisting other LUGM members while they were some kilometers away at Bagatelle. According to other blog articles it seems that Nitin had quite some moments of desperation. Just for the records: At no time it was my intention to either kick his butt or pull a leg on him. • Why Is Vertical Resolution Monitor Resolution so Often a Multiple of 360?

  Stare at a list of monitor resolutions long enough and you might notice a pattern: many of the vertical resolutions, especially those of gaming or multimedia displays, are multiples of 360 (720, 1080, 1440, etc.) But why exactly is this the case? Is it arbitrary or is there something more at work? Today’s Question & Answer session comes to us courtesy of SuperUser—a subdivision of Stack Exchange, a community-driven grouping of Q&A web sites. The Question SuperUser reader Trojandestroy recently noticed something about his display interface and needs answers: YouTube recently added 1440p functionality, and for the first time I realized that all (most?) vertical resolutions are multiples of 360. Is this just because the smallest common resolution is 480×360, and it’s convenient to use multiples? (Not doubting that multiples are convenient.) And/or was that the first viewable/conveniently sized resolution, so hardware (TVs, monitors, etc) grew with 360 in mind? Taking it further, why not have a square resolution? Or something else unusual? (Assuming it’s usual enough that it’s viewable). Is it merely a pleasing-the-eye situation? So why have the display be a multiple of 360? The Answer SuperUser contributor User26129 offers us not just an answer as to why the numerical pattern exists but a history of screen design in the process: Alright, there are a couple of questions and a lot of factors here. Resolutions are a really interesting field of psychooptics meeting marketing. First of all, why are the vertical resolutions on youtube multiples of 360. This is of course just arbitrary, there is no real reason this is the case. The reason is that resolution here is not the limiting factor for Youtube videos – bandwidth is. Youtube has to re-encode every video that is uploaded a couple of times, and tries to use as little re-encoding formats/bitrates/resolutions as possible to cover all the different use cases. For low-res mobile devices they have 360×240, for higher res mobile there’s 480p, and for the computer crowd there is 360p for 2xISDN/multiuser landlines, 720p for DSL and 1080p for higher speed internet. For a while there were some other codecs than h.264, but these are slowly being phased out with h.264 having essentially ‘won’ the format war and all computers being outfitted with hardware codecs for this. Now, there is some interesting psychooptics going on as well. As I said: resolution isn’t everything. 720p with really strong compression can and will look worse than 240p at a very high bitrate. But on the other side of the spectrum: throwing more bits at a certain resolution doesn’t magically make it better beyond some point. There is an optimum here, which of course depends on both resolution and codec. In general: the optimal bitrate is actually proportional to the resolution. So the next question is: what kind of resolution steps make sense? Apparently, people need about a 2x increase in resolution to really see (and prefer) a marked difference. Anything less than that and many people will simply not bother with the higher bitrates, they’d rather use their bandwidth for other stuff. This has been researched quite a long time ago and is the big reason why we went from 720×576 (415kpix) to 1280×720 (922kpix), and then again from 1280×720 to 1920×1080 (2MP). Stuff in between is not a viable optimization target. And again, 1440P is about 3.7MP, another ~2x increase over HD. You will see a difference there. 4K is the next step after that. Next up is that magical number of 360 vertical pixels. Actually, the magic number is 120 or 128. All resolutions are some kind of multiple of 120 pixels nowadays, back in the day they used to be multiples of 128. This is something that just grew out of LCD panel industry. LCD panels use what are called line drivers, little chips that sit on the sides of your LCD screen that control how bright each subpixel is. Because historically, for reasons I don’t really know for sure, probably memory constraints, these multiple-of-128 or multiple-of-120 resolutions already existed, the industry standard line drivers became drivers with 360 line outputs (1 per subpixel). If you would tear down your 1920×1080 screen, I would be putting money on there being 16 line drivers on the top/bottom and 9 on one of the sides. Oh hey, that’s 16:9. Guess how obvious that resolution choice was back when 16:9 was ‘invented’. Then there’s the issue of aspect ratio. This is really a completely different field of psychology, but it boils down to: historically, people have believed and measured that we have a sort of wide-screen view of the world. Naturally, people believed that the most natural representation of data on a screen would be in a wide-screen view, and this is where the great anamorphic revolution of the ’60s came from when films were shot in ever wider aspect ratios. Since then, this kind of knowledge has been refined and mostly debunked. Yes, we do have a wide-angle view, but the area where we can actually see sharply – the center of our vision – is fairly round. Slightly elliptical and squashed, but not really more than about 4:3 or 3:2. So for detailed viewing, for instance for reading text on a screen, you can utilize most of your detail vision by employing an almost-square screen, a bit like the screens up to the mid-2000s. However, again this is not how marketing took it. Computers in ye olden days were used mostly for productivity and detailed work, but as they commoditized and as the computer as media consumption device evolved, people didn’t necessarily use their computer for work most of the time. They used it to watch media content: movies, television series and photos. And for that kind of viewing, you get the most ‘immersion factor’ if the screen fills as much of your vision (including your peripheral vision) as possible. Which means widescreen. But there’s more marketing still. When detail work was still an important factor, people cared about resolution. As many pixels as possible on the screen. SGI was selling almost-4K CRTs! The most optimal way to get the maximum amount of pixels out of a glass substrate is to cut it as square as possible. 1:1 or 4:3 screens have the most pixels per diagonal inch. But with displays becoming more consumery, inch-size became more important, not amount of pixels. And this is a completely different optimization target. To get the most diagonal inches out of a substrate, you want to make the screen as wide as possible. First we got 16:10, then 16:9 and there have been moderately successful panel manufacturers making 22:9 and 2:1 screens (like Philips). Even though pixel density and absolute resolution went down for a couple of years, inch-sizes went up and that’s what sold. Why buy a 19″ 1280×1024 when you can buy a 21″ 1366×768? Eh… I think that about covers all the major aspects here. There’s more of course; bandwidth limits of HDMI, DVI, DP and of course VGA played a role, and if you go back to the pre-2000s, graphics memory, in-computer bandwdith and simply the limits of commercially available RAMDACs played an important role. • Real tortoises keep it slow and steady. How about the backups?

    … Four tortoises were playing in the backyard when they decided they needed hibiscus flower snacks. They pooled their money and sent the smallest tortoise out to fetch the snacks. Two days passed and there was no sign of the tortoise. "You know, she is taking a lot of time", said one of the tortoises. A little voice from just out side the fence said, "If you are going to talk that way about me I won't go." Is it too much to request from the quite expensive 3rd party backup tool to be a way faster than the SQL server native backup? Or at least save a respectable amount of storage by producing a really smaller backup files?  By saying “really smaller”, I mean at least getting a file in half size. After Googling the internet in an attempt to understand what other “sql people” are using for database backups, I see that most people are using one of three tools which are the main players in SQL backup area:  LiteSpeed by Quest SQL Backup by Red Gate SQL Safe by Idera The feedbacks about those tools are truly emotional and happy. However, while reading the forums and blogs I have wondered, is it possible that many are accustomed to using the above tools since SQL 2000 and 2005.  This can easily be understood due to the fact that a 300GB database backup for instance, using regular a SQL 2005 backup statement would have run for about 3 hours and have produced ~150GB file (depending on the content, of course).  Then you take a 3rd party tool which performs the same backup in 30 minutes resulting in a 30GB file leaving you speechless, you run to management persuading them to buy it due to the fact that it is definitely worth the price. In addition to the increased speed and disk space savings you would also get backup file encryption and virtual restore -  features that are still missing from the SQL server. But in case you, as well as me, don’t need these additional features and only want a tool that performs a full backup MUCH faster AND produces a far smaller backup file (like the gain you observed back in SQL 2005 days) you will be quite disappointed. SQL Server backup compression feature has totally changed the market picture. Medium size database. Take a look at the table below, check out how my SQL server 2008 R2 compares to other tools when backing up a 300GB database. It appears that when talking about the backup speed, SQL 2008 R2 compresses and performs backup in similar overall times as all three other tools. 3rd party tools maximum compression level takes twice longer. Backup file gain is not that impressive, except the highest compression levels but the price that you pay is very high cpu load and much longer time. Only SQL Safe by Idera was quite fast with it’s maximum compression level but most of the run time have used 95% cpu on the server. Note that I have used two types of destination storage, SATA 11 disks and FC 53 disks and, obviously, on faster storage have got my backup ready in half time. Looking at the above results, should we spend money, bother with another layer of complexity and software middle-man for the medium sized databases? I’m definitely not going to do so.  Very large database As a next phase of this benchmark, I have moved to a 6 terabyte database which was actually my main backup target. Note, how multiple files usage enables the SQL Server backup operation to use parallel I/O and remarkably increases it’s speed, especially when the backup device is heavily striped. SQL Server supports a maximum of 64 backup devices for a single backup operation but the most speed is gained when using one file per CPU, in the case above 8 files for a 2 Quad CPU server. The impact of additional files is minimal.  However, SQLsafe doesn’t show any speed improvement between 4 files and 8 files. Of course, with such huge databases every half percent of the compression transforms into the noticeable numbers. Saving almost 470GB of space may turn the backup tool into quite valuable purchase. Still, the backup speed and high CPU are the variables that should be taken into the consideration. As for us, the backup speed is more critical than the storage and we cannot allow a production server to sustain 95% cpu for such a long time. Bottomline, 3rd party backup tool developers, we are waiting for some breakthrough release. There are a few unanswered questions, like the restore speed comparison between different tools and the impact of multiple backup files on restore operation. • DevConnections Spring 2010 Speaker Evals and Tips

  As a conference speaker, I always look forward to hearing from attendees whether they felt my sessions were valuable and worth their time.  Its always gratifying  get a high score, but of course its the (preferably constructive) criticism thats key to continued improvement.  Im by no means the best technical presenter around, and Im always looking for ways to improve. Ive recently spoken at a few events, including TechEd and an Ohio event called Stir Trek.  DevConnections was actually back in April, but theyre just getting their final evals out to speakers.  TechEd, of course, does online evals so immediately after your talks you can see what people think.  Ill try and post my TechEd evals in the next week or so. I gave 3 talks at DevConnections Spring 2010 / VS2010 Launch which I discussed in this previous blog post.  In this follow-up, Im just going to share some eval info and my thoughts on it, albeit a couple of months later. Pragmatic ASP.NET Tips, Tricks, and Tools Evals Turned In: 27 Overall Eval: 3.74 Average Score: 3.47 89% found the technical level Just Right.  7.4% thought it was too basic (3.6% did not respond).  Since nobody thought the content was Too complex, I could perhaps have added some more complex material, but having about 90% say its Just Right is pretty good. 92% said at least 50% of the material was new to them.  36% said 75% or more was new.  Thats also pretty good, I think. 77.8% can use the information immediately; 15% can use it within 2-6 months (7.2 % no response). Overall 78% rated the session Excellent, 18% Good, 4% Fair. All comments (9): Steve did a great job Excellent session! It was good. Im now super excited to attend Steves other sessions later today.  Very useful. One of the best speakers here.  Bring him back to future conferences please. Continue to have this session with new and old stuff.  I always find something I did not know about. Excellent!  This was the best session Ive seen all week. Did not increase font on all pages could not see. For Steve to have had more sessions. Note to self make the fonts bigger across the board.  Otherwise, this is all good for my ego. :)  This is always a very popular session and one I really enjoy giving.  Tips and Tricks talks are pretty easy because you dont have to go in depth with any particular thing, and theyre almost always with existing technology so youre not dealing with betas, lack of documentation, and other issues.  Its an easy session to do well, in my experience, and one which I think attendees definitely appreciate.   Whats New in ASP.NET MVC 2 Evals Turned In: 23 Overall Eval: 3.77 Average Score: 3.47 (wow, I cant believe I scored better on this talk than the tips and tricks talk, which Ive given many times and was more excited about) 96% found the technical level Just Right.  90% found 50% or more of the material to be new.  43% can use the info immediately, and another 43% can use it within 2-6 months I guess that speaks to adoption rates of MVC 2 among my attendees Overall 74% said the session was Excellent, 22% Good.  4% No Response. All Comments (6): Great job, thank you. Great speaker! Really good, a little lost in the code at some points, but great information. Speaker needs to repeat questions from audience for everyone to hear. Exceeded my expectations. Great speaker, very informative. I really do try to religiously repeat questions from the audience for everyone to hear, but obviously I didnt do it 100% of the time.  Note to self remember to repeat questions.  That and making fonts big are really basic speaker best practices, which just goes to prove that fundamentals are always something that can be perfected.   SOLIDify Your ASP.NET MVC 2 Application Evals Turned In: 8 (!) Overall Eval: 3.63 Average Score: 3.47 As I recall this was one of the last talks of the day / show, which might account for the low number of evals turned in.  I dont recall speaking to an empty room for this talk, although it certainly wasnt as crowded as the tips and tricks talk. 100% found the technical level Just Right.  100% found at least half the material new.  62.5% can use it at once and 37.5% within 2-6 months.  62.5% rated the session Excellent overall; 37.5% Good.  Im thinking there were 5 evals with all 4s checked and 3 with all 3s checked (4 = Excellent, 3 = Good) All Comments (3): This covered many topics Ive read about recently, and it helped reinforce them. It was a nice overview of the solid principle, but I thought there might be specifics for MVC2.  I am glad there is not. Move a little slower. Ok, so another fundamental dont go too fast.  Looks like I got one fundamental tip from the comments of each talk. My Take-Aways Remember the fundamentals.  Its worth going through a checklist prior to presenting to make sure these things are fresh in your mind.  Increase all font sizes.  Repeat all questions from audience members without microphones (this is also a great way to stall for time, btw).  Resist the urge to move too quickly especially if youre nervous or short of time.  Writing this up in a blog post also further reinforces these fundamentals for me, which is one of the main reasons why I do it I retain things better when I write them, and even moreso when I write them for public consumption since I have to really think about what Im saying.  And maybe a few of you find this interesting or helpful, which is a bonus. • Conducting Effective Web Meetings

  There are several forms of corporate communication. From immediate, rich communications like phones and IM messaging to historical transactions like e-mail, there are a lot of ways to get information to one or more people. From time to time, it's even useful to have a meeting. (This is where a witty picture of a guy sleeping in a meeting goes. I won't bother actually putting one here; you're already envisioning it in your mind) Most meetings are pointless, and a complete waste of time. This is the fault, completely and solely, of the organizer. It's because he or she hasn't thought things through enough to think about alternate forms of information passing. Here's the criteria for a good meeting - whether in-person or over the web: 100% of the content of a meeting should require the participation of 100% of the attendees for 100% of the time It doesn't get any simpler than that. If it doesn't meet that criteria, then don't invite that person to that meeting. If you're just conveying information and no one has the need for immediate interaction with that information (like telling you something that modifies the message), then send an e-mail. If you're a manager, and you need to get status from lots of people, pick up the phone.If you need a quick answer, use IM. I once had a high-level manager that called frequent meetings. His real need was status updates on various processes, so 50 of us would sit in a room while he asked each one of us questions. He believed this larger meeting helped us "cross pollinate ideas". In fact, it was a complete waste of time for most everyone, except in the one or two moments that they interacted with him. So I wrote some code for a Palm Pilot (which was a kind of SmartPhone but with no phone and no real graphics, but this was in the days when we had just discovered fire and the wheel, although the order of those things is still in debate) that took an average of the salaries of the people in the room (I guessed at it) and ran a timer which multiplied the number of people against the salaries. I left that running in plain sight for him, and when he asked about it, I explained how much the meetings were really costing the company. We had far fewer meetings after. Meetings are now web-enabled. I believe that's largely a good thing, since it saves on travel time and allows more people to participate, but I think the rule above still holds. And in fact, there are some other rules that you should follow to have a great meeting - and fewer of them. Be Clear About the Goal This is important in any meeting, but all of us have probably gotten an invite with a web link and an ambiguous title. Then you get to the meeting, and it's a 500-level deep-dive on something everyone expects you to know. This is unfair to the "expert" and to the participants. I always tell people that invite me to a meeting that I will be as detailed as I can - but the more detail they can tell me about the questions, the more detailed I can be in my responses. Granted, there are times when you don't know what you don't know, but the more you can say about the topic the better. There's another point here - and it's that you should have a clearly defined "win" for the meeting. When the meeting is over, and everyone goes back to work, what were you expecting them to do with the information? Have that clearly defined in your head, and in the meeting invite. Understand the Technology There are several web-meeting clients out there. I use them all, since I meet with clients all over the world. They all work differently - so I take a few moments and read up on the different clients and find out how I can use the tools properly. I do this with the technology I use for everything else, and it's important to understand it if the meeting is to be a success. If you're running the meeting, know the tools. I don't care if you like the tools or not, learn them anyway. Don't waste everyone else's time just because you're too bitter/snarky/lazy to spend a few minutes reading. Check your phone or mic. Check your video size. Install (and learn to use)  ZoomIT (http://technet.microsoft.com/en-us/sysinternals/bb897434.aspx). Format your slides or screen or output correctly. Learn to use the voting features of the meeting software, and especially it's whiteboard features. Figure out how multiple monitors work. Try a quick meeting with someone to test all this. Do this *before* you invite lots of other people to your meeting.   Use a WebCam I'm not a pretty man. I have a face fit for radio. But after attending a meeting with clients where one Microsoft person used a webcam and another did not, I'm convinced that people pay more attention when a face is involved. There are tons of studies around this, or you can take my word for it, but toss a shirt on over those pajamas and turn the webcam on. Set Up Early Whether you're attending or leading the meeting, don't wait to sign on to the meeting at the time when it starts. I can almost plan that a 10:00 meeting will actually start at 10:10 because the participants/leader is just now installing the web client for the meeting at 10:00. Sign on early, go on mute, and then wait for everyone to arrive. Mute When Not Talking No one wants to hear your screaming offspring / yappy dog / other cubicle conversations / car wind noise (are you driving in a desert storm or something?) while the person leading the meeting is trying to talk. I use the Lync software from Microsoft for my meetings, and I mute everyone by default, and then tell them to un-mute to talk to the group. Share Collateral If you have a PowerPoint deck, mail it out in case you have a tech failure. If you have a document, share it as an attachment to the meeting. Don't make people ask you for the information - that's why you're there to begin with. Even better, send it out early. "But", you say, "then no one will come to the meeting if they have the deck first!" Uhm, then don't have a meeting. Send out the deck and a quick e-mail and let everyone get on with their productive day. Set Actions At the Meeting A meeting should have some sort of outcome (see point one). That means there are actions to take, a follow up, or some deliverable. Otherwise, it's an e-mail. At the meeting, decide who will do what, when things are needed, and so on. And avoid, if at all possible, setting up another meeting, unless absolutely necessary. So there you have it. Whether it's on-premises or on the web, meetings are a necessary evil, and should be treated that way. Like politicians, you should have as few of them as are necessary to keep the roads paved and public libraries open.
