  • Links on SharePoint 2010 Master Page not changed based on Alternate Access Mappings

    We are creating a custom branded Master Page in SharePoint 2010. To make the page similar to a legacy page we have implemented an html based custom dropdown navigation menu we had in place directly on the Master Page (consisted of basic HTML elements ULs and LIs with A tags styled with a CSS class). I assumed the links from the basic HTML on the page would be subject to Alternate Access Mappings currently in place, but it seems to not be the case. On a test page opened in 3 different URLs (http://sharepoint2010, http://sharepoint2010.mydomain.com, https://sharepoint2010.mydomain.com) the links from a WIKI page are modified as I expected, but the links from the Custom Navigation Menu (plain HTML on the Master Page) are not modified. I can see where that would be useful... But is there a way that I can add links on the MasterPage in a way that SharePoint parses them first, making them subject to Alternate Access Mapping translation? I tried placing a link inside a SPLinkButton control, but it didn't achieve the desired behavior. e.g. <ul id="navmenu"> <li><SharePoint:SPLinkButton runat="server" NavigateUrl="http://sharepoint2010">sharepoint link</SharePoint:SPLinkButton></li> <li><a href="http://sharepoint2010">sharepoint2010</a></li> <li>test</li> </ul> When I access the page via https://sharepoint2010.mydomain.com the links above are still http://sharepoint2010 rather than https://sharepoint2010.mydomain.com Any thoughts?   • SharePoint 2010 release date - is it that important?

    There has been lots of excitement in the SharePoint community over the last few days as Microsoft have announced the official release date of SharePoint 2010. May 12th is the date for your diaries (RTM in April.) The twittersphere has been telling everyone for the last few days about this news and there is much excitement. The major conferences this year all seem to have a SharePoint 2010 focus and some are entirely focussed on the new product (e.g. SharePoint Evolution Conference.)  Now by all accounts Microsoft have plugged some significant functionality gaps that exist in WSS 3.0 and MOSS 2007 and provided some exciting new functionality.  You don't need me to tell you about these as the MVPs (and other community members) are doing a sterling job, after all that is why Microsoft has MVPs in the first place. Lets get real for a second though as there is a significant investment involved in moving to SharePoint 2010:  Firstly you need 64 bit architecture across the board, now for some environments that is no inconsequential hurdle, that's a pretty significant roadblock.   The development farm, test farm and UAT farm are all going to require the same infrastructure upgrades. To take advantage of the tooling for SP2010 you will need to upgrade to Visual Studio 2010 and your development team is going to require 64 bit hardware/OS too.  I would not recommend installing SP 2010 in client installation mode (i.e. for Windows 7) on your developer machines, I would use this for demo machines only. Something that lots of people seem to forget in all their whooping and hollering about the new release is that there is a large amount of end user training going to be required as the browser UI has now adopted the omnipotent ribbon interface and there are other new and more complicated features. SharePoint Designer has also entirely changed in both look and feel and some significant feature changes have taken place. Lest we should forget that some companies have not long upgraded to MOSS 2007 and are yet to see a significant ROI for that project. And the reticence that most companies feel about implementing v1 Microsoft products.  This is only the surface of the deeper issues which would be involved in any upgrade process, so I guess I share a small part of the concern voiced by Mark Miller of EndUserSharePoint.com.  Is SharePoint 2010 relevant? I don't share this sentiment in its entirety as I firmly believe that all companies should be looking at SharePoint 2010 from day one, however most large scale existing implementations of MOSS 2007 are going to be several years away from a serious upgrade project.  So should the conference organisers and the SharePoint community as a whole be a little more understanding of the real world issues?  It's easy to get carried away in the excitement of a new product and new tools to play with but there needs to be a focus on the real world issues that most people are facing day to day and at the moment and for the short term future (at the very least the next 12 months) that is fairly and squarely in the WSS 2.0/3.0 and SPS 2003/MOSS 2007 camps. Don't get me wrong, I am very very excited about getting to grips with SharePoint 2010 in the real world and I cannot wait for my first real project to come along, but for now I am just being realistic about the reality for most people who work with SharePoint. I have been spending a lot of time on www.sharepointoverflow.com recently as there is a community of people building up who are committed to answering the real world questions that folks are dealing with every day.  I urge you to take a look and either ask or answer some questions direct from the front line of the SharePoint world.

  • Installing SharePoint 2013 on Windows 2012- standalone installation

    In this article, I am going to share my experience while installing SharePoint 2013 on Windows 2012. This was the first time I tried SharePoint 2013. So I thought sharing the same will benefit somebody who would like to install SharePoint 2013 as a standalone installation. Standalone installation is meant for evaluation/development purposes. For production environments, you need to follow the best practices and create required service accounts. Microsoft has published the deployment guide for SharePoint 2013, you can download this from the below link. http://www.microsoft.com/en-us/download/details.aspx?id=30384 Since this is for development environment, I am not going to create any service account, I logged in to Windows 2012 as an administrator and just placed my installation DVD on the drive. When I run the setup from the DVD, the below splash screen appears. This reflects the new UI changes happening with all Microsoft based applications; the interface matches the metro style applications (Windows 8 style). As you can see the options are same as that of the SharePoint 2010 installation screen. Click on the “install software prerequisites” link to get all the prerequisites get installed. You need a valid internet connection to do this. Clicking on the install software prerequisites will bring the following dialog. Click Next, you will see the terms and conditions. Select I accept check box and click Next. The installation will start immediately. For any reason, if you stop the installation and start it later, the product preparation tool will check whether a particular component is installed and if yes, then the installation of that particular component will be skipped. If you do not have internet connection, you will face the download error as follows. At any point of failure, the error log will be available for you to review. If all OK, you will reach the below dialog, this means some components will be installed once the PC is rebooted. Be noted that the clicking on finish will not ask you for further confirmation. So make sure to save all your work before clicking on finish button. Once the server is restarted, the product preparation tool will start automatically and you will see the following dialog. Now go to the SharePoint 2013 splash page and click on “Install SharePoint Server” link. You need to enter the product key here. Enter the product key as you received and click continue. Select the Checkbox for the license agreement and click on continue button. Now you need to select the installation type. Select Stand-alone and click on “Install Now” button. A dialog will pop up that updates you with the process and progress. The installation took around 15-20 minutes with 2 GB or Ram installed in the server, seems fair. Once the installation is over, you will see the following Dialog. Make sure you select the Run the products and configuration wizard. If you miss to select the check box, you can find the products and configuration wizard from the start tiles. The products and configuration wizard will start. If you get any dialog saying some of the services will be stopped, you just accept it. Since we selected standalone installation, it will not ask for any user input, as it already knows the database to be configured. Once the configuration is over without any problems you will see the configuration successful message. Also you can find the link to central administration on the Start Screen.     Troubleshooting During my first setup process, I got the below error. System.ArgumentException: The SDDL string contains an invalid sid or a sid that cannot be translated. Parameter name: sddlForm at System.Security.AccessControl.RawSecurityDescriptor.BinaryFormFromSddlForm(String sddlForm) at System.Security.AccessControl.RawSecurityDescriptor..ctor(String sddlForm) at Microsoft.SharePoint.Win32.SPNetApi32.CreateShareSecurityDescriptor(String[] readNames, String[] changeNames, String[] fullControlNames, String& sddl) at Microsoft.SharePoint.Win32.SPNetApi32.CreateFileShare(String name, String description, String path) at Microsoft.SharePoint.Administration.SPServer.CreateFileShare(String name, String description, String path) at Microsoft.Office.Server.Search.Administration.AnalyticsAdministration.CreateAnalyticsUNCShare(String dirParentLocation, String shareName) at Microsoft.Office.Server.Search.Administration.AnalyticsAdministration.ProvisionAnalyticsShare(SearchServiceApplication serviceApplication) ………………………………………… ………………………………………… The configuration wizard displayed the error as below. The error occurred in step 8 of the configuration wizard and by the time the central administration is already provisioned. So from the start, I was able to open the central administration website, but the search service application was showing as error. I found a good blog that specifies the reason for error. http://kbdump.com/sharepoint2013-standalone-config-error-create-sample-data/ The workaround specified in the blog works fine. I think SharePoint must be provisioning Search using the Network Service account, so instead of giving permission to everyone, you could try giving permission to Network Service account(I didn’t try this yet, buy you could try and post your feedback here). In production environment you will have specific accounts that have access rights as recommended by Microsoft guidelines. Installation of SharePoint 2013 is pretty straight forward.   • SharePoint 2010 – SQL Server has an unsupported version 10.0.2531.0

    I am trying to perform a database attach upgrade to SharePoint Foundation 2010. At this point I am trying to attach the content database to a Web application by using Windows Powershell: Mount-SPContentDatabase -Name <DatabaseName> -DatabaseServer <ServerName> -WebApplication <URL> [-Updateuserexperience] I am following the directions from this TechNet article: Attach databases and upgrade to SharePoint Foundation 2010.  When I go to mount the content database I am receiving this error: Mount-SPContentDatabase : Could not connect to [DATABASE_SERVER] using integrated security: SQL server at [DATABASE_SERVER] has an unsupported version 10.0.2531.0. Please refer to “http://go.microsoft.com/fwlink/?LinkId=165761” for information on the minimum required SQL Server versions and how to download them. At first this did not make sense because the default SharePoint Foundation 2010 website was running just fine.  But then I realized that the default SharePoint Foundation site runs off of SQL Server Express and that I had just installed SQL Server Web Edition (since the database is greater than 4GB) and restored the database to this version of SQL Server. Checking the documentation link above I see that SharePoint Server 2010 requires a 64-bit edition of SQL Server with the minimum required SQL Server versions as follows: SQL Server 2008 Express Edition Service Pack 1, version number 10.0.2531 SQL Server 2005 Service Pack 3 cumulative update package 3, version number 9.00.4220.00 SQL Server 2008 Service Pack 1 cumulative update package 2, version number 10.00.2714.00 The version of SQL Server 2008 Web Edition with Service Pack 1 (the version I installed on this machine) is 10.0.2531.0. SELECT @@VERSION: Microsoft SQL Server 2008 (SP1) - 10.0.2531.0 (X64)   Mar 29 2009 10:11:52   Copyright (c) 1988-2008 Microsoft Corporation  Web Edition (64-bit) on Windows NT 6.1 <X64> (Build 7600: ) (VM) But I had to read the article several times since the minimum version number for SQL Server Express is 10.0.2531.0.  At first I thought I was good with the version of SQL Server 2008 Web that I had installed, also 10.0.2531.0.  But then I read further to see that there is a cumulative update (hotfix) for SQL Server 2008 SP1 (NOT the Express edition) that is required for SharePoint 2010 and will bump the version number to 10.0.2714.00. So the solution was to install the Cumulative update package 2 for SQL Server 2008 Service Pack 1 on my SQL Server 2008 Web Edition to allow SharePoint 2010 to work with SQL Server 2008 (other than the SQL Server 2008 Express version).   • Conversation as User Assistance

    Applications User Experience members (Erika Web, Laurie Pattison, and I) attended the User Assistance Europe Conference in Stockholm, Sweden. We were impressed with the thought leadership and practical application of ideas in Anne Gentle's keynote address "Social Web Strategies for Documentation". After the conference, we spoke with Anne to explore the ideas further. Anne Gentle (left) with Applications User Experience Senior Director Laurie Pattison In Anne's book called Conversation and Community: The Social Web for Documentation, she explains how user assistance is undergoing a seismic shift. The direction is away from the old print manuals and online help concept towards a web-based, user community-driven solution using social media tools. User experience professionals now have a vast range of such tools to start and nurture this "conversation": blogs, wikis, forums, social networking sites, microblogging systems, image and video sharing sites, virtual worlds, podcasts, instant messaging, mashups, and so on. That user communities are a rich source of user assistance is not a surprise, but the extent of available assistance is. For example, we know from the Consortium for Service Innovation that there has been an 'explosion' of user-generated content on the web. User-initiated community conversations provide as much as 30 times the number of official help desk solutions for consortium members! The growing reliance on user community solutions is clearly a user experience issue. Anne says that user assistance as conversation "means getting closer to users and helping them perform well. User-centered design has been touted as one of the most important ideas developed in the last 20 years of workplace writing. Now writers can take the idea of user-centered design a step further by starting conversations with users and enabling user assistance in interactions." Some of Anne's favorite examples of this paradigm shift from the world of traditional documentation to community conversation include: Writer Bob Bringhurst's blog about Adobe InDesign and InCopy products and Adobe's community help The Microsoft Development Network Community Center ·The former Sun (now Oracle) OpenDS wiki, NetBeans Ruby and other community approaches to engage diverse audiences using screencasts, wikis, and blogs. Cisco's customer support wiki, EMC's community, as well as Symantec and Intuit's approaches The efforts of Ubuntu, Mozilla, and the FLOSS community generally Adobe Writer Bob Bringhurst's Blog Oracle is not without a user community conversation too. Besides the community discussions and blogs around documentation offerings, we have the My Oracle Support Community forums, Oracle Technology Network (OTN) communities, wiki, blogs, and so on. We have the great work done by our user groups and customer councils. Employees like David Haimes reach out, and enthusiastic non-employee gurus like Chet Justice (OracleNerd), Floyd Teter and Eddie Awad provide great "how-to" information too. But what does this paradigm shift mean for existing technical writers as users turn away from the traditional printable PDF manual deliverables? We asked Anne after the conference. The writer role becomes one of conversation initiator or enabler. The role evolves, along with the process, as the users define their concept of user assistance and terms of engagement with the product instead of having it pre-determined. It is largely a case now of "inventing the job while you're doing it, instead of being hired for it" Anne said. There is less emphasis on formal titles. Anne mentions that her own title "Content Stacker" at OpenStack; others use titles such as "Content Curator" or "Community Lead". However, the role remains one essentially about communications, "but of a new type--interacting with users, moderating, curating content, instead of sitting down to write a manual from start to finish." Clearly then, this role is open to more than professional technical writers. Product managers who write blogs, developers who moderate forums, support professionals who update wikis, rock star programmers with a penchant for YouTube are ideal. Anyone with the product knowledge, empathy for the user, and flair for relationships on the social web can join in. Some even perform these roles already but do not realize it. Anne feels the technical communicator space will move from hiring new community conversation professionals (who are already active in the space through blogging, tweets, wikis, and so on) to retraining some existing writers over time. Our own research reveals that the established proponents of community user assistance even set employee performance objectives for internal content curators about the amount of community content delivered by people outside the organization! To take advantage of the conversations on the web as user assistance, enterprises must first establish where on the spectrum their community lies. "What is the line between community willingness to contribute and the enterprise objectives?" Anne asked. "The relationship with users must be managed and also measured." Anne believes that the process can start with a "just do it" approach. Begin by reaching out to existing user groups, individual bloggers and tweeters, forum posters, early adopter program participants, conference attendees, customer advisory board members, and so on. Use analytical tools to measure the level of conversation about your products and services to show a return on investment (ROI), winning management support. Anne emphasized that success with the community model is dependent on lowering the technical and motivational barriers so that users can readily contribute to the conversation. Simple tools must be provided, and guidelines, if any, must be straightforward but not mandatory. The conversational approach is one where traditional style and branding guides do not necessarily apply. Tools and infrastructure help users to create content easily, to search and find the information online, read it, rate it, translate it, and participate further in the content's evolution. Recognizing contributors by using ratings on forums, giving out Twitter kudos, conference invitations, visits to headquarters, free products, preview releases, and so on, also encourages the adoption of the conversation model. The move to conversation as user assistance is not free, but there is a business ROI. The conversational model means that customer service is enhanced, as user experience moves from a functional to a valued, emotional level. Studies show a positive correlation between loyalty and financial performance (Consortium for Service Innovation, 2010), and as customer experience and loyalty become key differentiators, user experience professionals cannot explore the model's possibilities. The digital universe (measured at 1.2 million petabytes in 2010) is doubling every 12 to 18 months, and 70 percent of that universe consists of user-generated content (IDC, 2010). Conversation as user assistance cannot be ignored but must be embraced. It is a time to manage for abundance, not scarcity. Besides, the conversation approach certainly sounds more interesting, rewarding, and fun than the traditional model!   • Using Completed User Stories to Estimate Future User Stories

    In Scrum/Agile, the complexity of a user story can be estimated in story points. After completing some user stories, a programmer or team of programmers can use those experiences to better estimate how much time it might take to complete a future user story. Is there a methodology for breaking down the complexity of user stories into quantifiable or quantifiable attributes? For example, User Story X requires a rich, new view in the GUI, but User Story X can perform most of its functionality using existing business logic on the server. On a scale of 1 to 10, User Story X has a complexity of 7 on the client and a complexity of 2 on the server. After User Story X is completed, someone asks how long would it take to complete User Story Y, which has a complexity of 3 on the client and 6 on the server. Looking at how long it took to complete User Story X, we can make an educated estimate on how long it might take to complete User Story Y. I can imagine some other details: The complexity of one attribute (such as complexity of client) could have sub-attributes, such as number of steps in a sequence, function points, etc. Several other attributes that could be considered as well, such as the programmer's familiarity with the system or the number of components/interfaces involved These attributes could be accumulated into some sort of user story checklist. To reiterate: is there an existing methodology for decomposing the complexity of a user story into complexity of attributes/sub-attributes, or is using completed user stories as indicators in estimating future user stories more of an informal process?

In this post, I’d like to show you how to call the same web service in the cloud, aka Office365.In office365, it uses claims authentication as opposed to windows authentication for normal in-house SharePoint Deployment. You then need to pass this token to your HTTP request as cookie to make the web service call.   • Developer Dashboard in SharePoint 2010

    Introducing the Developer Dashboard As a SharePoint developer (or IT Professional), how many times have you had the pleasure of figuring out why a particular page on your site is taking too long to render? I'm sure one of the techniques you have employed in troubleshooting is the process of elimination - removing individual web parts from the page hoping to identify which web part is misbehaving. One of the new features of SharePoint 2010 is the Developer Dashboard. This dashboard provides tracing and performance information that can be useful when you are trying to troubleshoot pages that are loading too slow. The Developer Dashboard is turned off by default and I'll go over 3 different ways to display it. Here is a screenshot of what the Developer Dashboard looks like when displayed at the bottom of the page:   You can see on the left side the different events that fired during the page processing pipeline and how long these events took. This is where you will see individual web parts being processed and how long it took to complete (obviously the kind of processing depends on what the web part does). On the right side you would see the different database calls issued through the SharePoint Object Model to process the page. You will notice that each of these database queries are actually a hyperlink and clicking on it displays a pop-up window that shows the actual SQL Query Text, the Call Stack that triggered the database call, and the IO statistics of that query. Enabling the Developer Dashboard Option 1: Managed Code   The Developer Dashboard is a farm-wide setting and the code above won't work if it is used within a web part hosted on any non-Central Admin site. The SPDeveloperDashboardLevel enum has three possible values: On, Off, and OnDemand. Setting it to On will always display the Developer Dashboard at the bottom of the page. Setting it Off will hide the Developer Dashboard. Setting it to OnDemand will add an icon at the top right corner of the page (see screenshot below) where a Site Collection Admin can toggle the display of the Developer Dashboard for a particular site collection. In my opinion, OnDemand is the best setting when troubleshooting a page or during development since a Site Collection Admin can turn it on or off and for a particular site only. The first cool thing about this is that the Site Collection Admin that turned it on will be the only one to see the Developer Dashboard output. Everyday users won't see the Developer Dashboard output even if it was turned on by a Site Collection Admin. If you need more flexibility on who gets to see the Developer Dashboard output, you can set the SPDeveloperDashboardSettings.RequiredPermissions to control which group of users will have the permission to see the output. Option 2: Using stsadm Using stsadm, you can run the following command to configure the Developer Dashboard: STSADM –o setproperty –pn developer-dashboard –pv OnDemand To successfully execute this command, be sure you that are running as a Farm Admin. Option 3: Using PowerShell For all scripts in SharePoint 2010, I prefer writing them as PowerShell scripts. Though the stsadm command is less verbose, the PowerShell equivalent is pretty straightforward and uses the SharePoint Object Model: You can of course parameterized the value that gets assigned to the DisplayLevel property so you can turn it On, Off or OnDemand depending on the parameter. Events and the Developer Dashboard  Now, don't assume that all the code inside your web part or page will show up in the Developer Dashboard complete with all the great troubleshooting information. Only a finite set of events are monitored by default (for a web part it will events in the base web part class). Let's say you have a click event that could take some time, for example a web service call. And you want to include troubleshooting information for this event in the Developer Dashboard. Enter SPMonitoredScope which is also a new feature in SharePoint 2010. In SharePoint 2010, everything is executed within a "Monitored Scope". And each scope has a set of "Monitors" that measures and counts calls and timings which appears in the Developer Dashboard. Below is an example on how to get your custom code to get included in the Developer Dashboard by wrapping it inside a new monitored scope: The code above would include your new scope "My long web service call" into the Developer Dashboard and would log the time it took to complete processing. In my opinion, wrapping your custom code in a SPMonitoredScope is a SharePoint development best practice since it provides you visibility and a better understanding on the performance of your components.

This is very useful if we are working at home and we want to access a shared document (ex. VPN connection settings) or continue working directly on a file. Steps to configure the connection: 1. In Outlook you will see the documents as outlook email items with the ability to preview them. When a document is updated, Outlook will notify you that you have items unread.   • Building The Right SharePoint Team For Your Organization

    I see the question posted fairly often asking what kind SharePoint team an organization should have. How many people do I need? What roles do I need to fill? What is best for my organization? Well, just like every other answer in SharePoint, the correct answer is “it depends”. Do you ever get sick of hearing that??? I know I do… So, let me give you my thoughts and opinions based upon my experience and what I’ve seen and let you come to your own conclusions. What are the possible SharePoint roles? I guess the first thing you need to understand are the different roles that exist in SharePoint (and their are LOTS). Remember, SharePoint is a massive beast and you will NOT find one person who can do it all. If you are hoping to find that person you will be sorely disappointed. For the most part this is true in SharePoint 2007 and 2010. However, generally things are improved in 2010 and easier for junior individuals to grasp. SharePoint Administrator The absolutely positively only role that you should not be without no matter the size of your organization or SharePoint deployment is a SharePoint administrator. These guys are essential to keeping things running and figuring out what’s wrong when things aren’t running well. These unsung heroes do more before 10 am than I do all day. The bad thing is, when these guys are awesome, you don’t even know they exist because everything is running so smoothly. You should definitely invest some time and money here to make sure you have some competent if not rockstar help. You need an admin who truly loves SharePoint and will go that extra mile when necessary. Let me give you a real world example of what I’m talking about: We have a rockstar admin… and I’m sure she’s sick of my throwing her name around so she’ll just have to live with remaining anonymous in this post… sorry Lori… Anyway! A couple of weeks ago our Server teams came to us and said Hi Lori, I’m finalizing the MOSS servers and doing updates that require a restart; can I restart them? Seems like a harmless request from your server team does it not? Sure, go ahead and apply the patches and reboot during our scheduled maintenance window. No problem? right? Sounded fair to me… but no…. not to our fearless SharePoint admin… I need a complete list of patches that will be applied. There is an update that is out there that will break SharePoint… KB973917 is the patch that has been shown to cause issues. What? You mean Microsoft released a patch that would actually adversely affect SharePoint? If we did NOT have a rockstar admin, our server team would have applied these patches and then when some problem occurred in SharePoint we’d have to go through the fun task of tracking down exactly what caused the issue and resolve it. How much time would that have taken? If you have a junior SharePoint admin or an admin who’s not out there staying on top of what’s going on you could have spent days tracking down something so simple as applying a patch you should not have applied. I will even go as far to say the only SharePoint rockstar you NEED in your organization is a SharePoint admin. You can always outsource really complicated development projects or bring in a rockstar contractor every now and then to make sure you aren’t way off track in other areas. For your day-to-day sanity and to keep SharePoint running smoothly, you need an awesome Admin. Some rockstars in this category are: Ben Curry, Mike Watson, Joel Oleson, Todd Klindt, Shane Young, John Ferringer, Sean McDonough, and of course Lori Gowin. SharePoint Developer Another essential role for your SharePoint deployment is a SharePoint developer. Things do start to get a little hazy here and there are many flavors of “developers”. Are you writing custom code? using SharePoint Designer? What about SharePoint Branding?  Are all of these considered developers? I would say yes. Are they interchangeable? I’d say no. Development in SharePoint is such a large beast in itself. I would say that it’s not so large that you can’t know it all well, but it is so large that there are many people who specialize in one particular category. If you are lucky enough to have someone on staff who knows it all well, you better make sure they are well taken care of because those guys are ready-made to move over to a consulting role and charge you 3 times what you are probably paying them. :) Some of the all-around rockstars are Eric Shupps, Andrew Connell (go Razorbacks), Rob Foster, Paul Schaeflein, and Todd Bleeker SharePoint Power User/No-Code Solutions Developer These SharePoint Swiss Army Knives are essential for quick wins in your organization. These people can twist the out-of-the-box functionality to make it do things you would not even imagine. Give these guys SharePoint Designer, jQuery, InfoPath, and a little time and they will create views, dashboards, and KPI’s that will blow your mind away and give your execs the “wow” they are looking for. Not only can they deliver that wow factor, but they can mashup, merge, and really help make your SharePoint application usable and deliver an overall better user experience. Before you hand off a project to your SharePoint Custom Code developer, let one of these rockstars look at it and show you what they can do (in probably less time). I would say the second most important role you can fill in your organization is one of these guys. Rockstars in this category are Christina Wheeler, Laura Rogers, Jennifer Mason, and Mark Miller SharePoint Developer – Custom Code If you want to really integrate SharePoint into your legacy systems, or really twist it and make it bend to your will, you are going to have to open up Visual Studio and write some custom code.  Remember, SharePoint is essentially just a big, huge, ginormous .NET application, so you CAN write code to make it do ANYTHING, but do you really want to spend the time and effort to do so? At some point with every other form of SharePoint development you are going to run into SOME limitation (SPD Workflows is the big one that comes to mind). If you truly want to knock down all the walls then custom development is the way to go. PLEASE keep in mind when you are looking for a custom code developer that a .NET developer does NOT equal a SharePoint developer. Just SOME of the things these guys write are: Custom Workflows Custom Web Parts Web Service functionality Import data from legacy systems Export data to legacy systems Custom Actions Event Receivers Service Applications (2010) These guys are also the ones generally responsible for packaging everything up into solution packages (you are doing that, right?). Rockstars in this category are Phil Wicklund, Christina Wheeler, Geoff Varosky, and Brian Jackett. SharePoint Branding “But it LOOKS like SharePoint!” Somebody call the WAAAAAAAAAAAAHMbulance…   Themes, Master Pages, Page Layouts, Zones, and over 2000 styles in CSS.. these guys not only have to be comfortable with all of SharePoint’s quirks and pain points when branding, but they have to know it TWICE for publishing and non-publishing sites.  Not only that, but these guys really need to have an eye for graphic design and be able to translate the ramblings of business into something visually stunning. They also have to be comfortable with XSLT, XML, and be able to hand off what they do to your custom developers for them to package as solutions (which you are doing, right?). These rockstars include Heater Waterman, Cathy Dew, and Marcy Kellar SharePoint Architect SharePoint Architects are generally SharePoint Admins or Developers who have moved into more of a BA role? Is that fair to say? These guys really have a grasp and understanding for what SharePoint IS and what it can do. These guys help you structure your farms to meet your needs and help you design your applications the correct way. It’s always a good idea to bring in a rockstar SharePoint Architect to do a sanity check and make sure you aren’t doing anything stupid.  Most organizations probably do not have a rockstar architect on staff. These guys are generally brought in at the deployment of a farm, upgrade of a farm, or for large development projects. I personally also find architects very useful for sitting down with the business to translate their needs into what SharePoint can do. A good architect will be able to pick out what can be done out-of-the-box and what has to be custom built and hand those requirements to the development Staff. Architects can generally fill in as an admin or a developer when needed. Some rockstar architects are Rick Taylor, Dan Usher, Bill English, Spence Harbar, Neil Hodgkins, Eric Harlan, and Bjørn Furuknap. Other Roles / Specialties On top of all these other roles you also get these people who specialize in things like Reporting, BDC (BCS in 2010), Search, Performance, Security, Project Management, etc... etc... etc... Again, most organizations will not have one of these gurus on staff, they’ll just pay out the nose for them when they need them. :) SharePoint End User Everyone else in your organization that touches SharePoint falls into this category. What they actually DO in SharePoint is determined by your governance and what permissions you give these guys. Hopefully you have these guys on a fairly short leash and are NOT giving them access to tools like SharePoint Designer. Sadly end users are the ones who truly make your deployment a success by using it, but are also your biggest enemy in breaking it.  :)  We love you guys… really!!! Okay, all that’s fine and dandy, but what should MY SharePoint team look like? It depends! Okay… Are you just doing out of the box team sites with no custom development? Then you are probably fine with a great Admin team and a great No-Code Solution Development team. How many people do you need? Depends on how busy you can keep them. Sorry, can’t answer the question about numbers without knowing your specific needs. I can just tell you who you MIGHT need and what they will do for you. I’ll leave you with what my ideal SharePoint Team would look like for a particular scenario: Farm / Organization Structure Dev, QA, and 2 Production Farms. 5000 – 10000 Users Custom Development and Integration with legacy systems Team Sites, My Sites, Intranet, Document libraries and overall company collaboration Team Rockstar SharePoint Administrator 2-3 junior SharePoint Administrators SharePoint Architect / Lead Developer 2 Power User / No-Code Solution Developers 2-3 Custom Code developers Branding expert With a team of that size and skill set, they should be able to keep a substantial SharePoint deployment running smoothly and meet your business needs. This does NOT mean that you would not need to bring in contract help from time to time when you need an uber specialist in one area. Also, this team assumes there will be ongoing development for the life of your SharePoint farm. If you are just going to be doing sporadic custom development, it might make sense to partner with an awesome firm that specializes in that sort of work (I can give you the name of a couple if you are interested).  Again though, the size of your team depends on the number of requests you are receiving and how much active deployment you are doing. So, don’t bring in a team that looks like this and then yell at me because they are sitting around with nothing to do or are so overwhelmed that nothing is getting done. I do URGE you to take the proper time to asses your needs and determine what team is BEST for your organization. Also, PLEASE PLEASE PLEASE do not skimp on the talent. When it comes to SharePoint you really do get what you pay for when it comes to employees, contractors, and software.  SharePoint can become absolutely critical to your business and because you skimped on hiring a developer he created a web part that brings down the farm because he doesn’t know what he’s doing, or you hire an admin who thinks it’s fine to stick everything in the same Content Database and then can’t figure out why people are complaining. SharePoint can be an enormous blessing to an organization or it’s biggest curse. Spend the time and money to do it right, or be prepared to spending even more time and money later to fix it.

Like creating web-app for site collections, creating the very first site collection, and any other service applications. I needed this to create a public-facing installation of SharePoint Foundation RTM on a server which didn’t have AD. Now I am going to setup FBA, and possibly Live ID Auth as well. I will be also setting up RBS, and multi-tenancy on this farm ,and would post any notes, and findings here… --Sharad

  • SharePoint Upgade Question

    My company will be upgrading our SharePoint 2007 site to SP2010 and I know how to do it. But there is one step in the migration step that I don't. The pre-upgrade checker will give you a list of components/solutions that are referenced in the contentDBs but is not installed on the upgraded sharepoint farm. What do you do if the component is not available for 2010? (I believe the only option is uninstall the component before migration). Even if an upgrade is available for upgraded components won't it have a different GUID and therefore not solve the migration error messages? In other words, isn't it true that "install missing components" advice for 07 components only work if the 07 components works in 2010 (which I think is very few components.). Thanks. Seth

In this post I provide a quick start guide to get you up and running quickly so you can try it out for yourself. This quick start creates a simple HTML5 site with a page to show-case the basics and the power of DualLayout. We will create the site in its own web application. Normally there are many things you have to do to create a clean start point for your SharePoint 2010 WCM site. All those steps will be provided in later posts. For now we want to give you the minimal set of steps to take to get DualLayout working on your machine. Create an authenticated web application with hostheader cms.html5demo.local on port 80 for the cms side of the site. Click the Create Site Collection link on the Application Created dialog box and create a Site Collection based on the Publishing Portal site template. Before we can click the site link in the Top-Level Site Successfully Created dialog we need to add the new host header cms.html5demo.local to the hosts file.   • SharePoint 2010 – Central Admin tooling to create host header site collections

    Just like SharePoint 2007, you can create host-header based site collections in SharePoint 2010 as well. It means, that you do not necessarily need to create a site-collection under a managed path like /sites/, you can create multiple root-level site collections on same web-application/port by using host-header site collections. All you need to do is point your domain or sub-domain to your web-application and create a matching site-collection that you want. But, just like in 2007, it is something that you do by using STSADM, and is not available on Central Admin UI in 2010 as well. I used PowerShell initially, but then got interested to build my own UI on Central Admin instead. Developed with Visual Studio 2010 So I used new Visual Studio 2010 tooling to create an empty SharePoint 2010 project. Added an application page (there is no option to add _Admin page item in VS 2010 RC), that got created in Layouts “mapped” folder. Created a new Admin mapped folder for 14-“hive”, and moved my new page there instead. Yes, I didn’t change the base class for page, its just that it runs under _admin, but it is indeed a LayoutsPageBase inherited page.   • How to setup AD group to work with SharePoint group security

    Issue: Recently, I am having issues with the permission setup at client side. The way we setup permission is we create AD Group and add the add AD Group to the proper SharePoint Group. If we need to grant permission to a user, we then add the user to the correct AD group. But end user reports that by adding a user to an AD group, this user does not have any access to the SharePoint site. Solution: Change the AD Group scope from Global to Universal fix the problem.   • Fixing SharePoint 2010 Permission Problems on Windows 7

    I had a tough time trying to have SharePoint working perfectly on a Windows 7 development machine that was occasionally disconnected from the Active Directory (when I am home I must connect through a VPN). I mostly had problems with service applications such as User Profile, Managed Metadata, Business Connectivity Services and the like, and all I knew were cryptical messages such as “access denied” or “the service or application pool is not started”. I was sure that both the services and application pools were running under a domain account that had proper permissions on the SQL Server instance, and basically it was a fresh installation. Lots of people are having the same problem, apparently. After banging my head against the wall for several days, I remembered about farm (what I had) versus stand-alone (which I had never tried) installations. Bingo! Here’s what I did: I dropped all SharePoint databases and logins and reinstalled SP from scratch, only this time not in farm mode, but as stand-alone. After the SharePoint Configuration Wizard started, I cancelled it and started the Management Shell. I created the configuration database manually by using the New-SPConfigurationDatabase cmdlet where I specified a local account – something that the Configuration Wizard wouldn’t allow me to do. Then I restarted the Configuration Wizard and everything began working perfectly! Yes, I got some pre-configured service applications and also some content which I didn’t need, but I realized it was possible to drop and recreate everything the way I wanted to. All services and application pools are now running under local accounts, which is fine for my development needs. Really, Microsoft… I hope this will bring light to someone facing the same problems!

  • Changing farm account in Sharepoint 2010

    After changing the the farm account to a domain user account I get the following error when trying to access the Central Administration page: "Cannot connect to configuration database" After I realized the headache may not be worth it, I decided to a reinstall using the following SP user account guidelines: http://technet.microsoft.com/en-us/library/ee662513.aspx After getting everything up, I am getting an error when using the designated farm account under the Central Admin Website Manage Service Accounts: "Access denied" If it is the farm administrator, why would I not be able to manage service accounts? I am able to access the other part of the admin site. Also, when logging in with the farm account it lists me as a "system account" not the domain account which I used for log in. Am I missing something or is this normal behavior? Am I not suppose to login with the farm account? When I log in with the Setup account (also a domain account) I can access everything with no errors on the site. The only difference between the two accounts is one has local admin privileges on the Sharepoint farm server which is the setup account. if you notice those privileges are not necessary for the farm account according to the article cited.

All told, there could be around 50 images involved, and a few hundred CSS (style) classes.  Installing a theme once it’s been created is no great feat.  Given the number of pieces, of course, creating a new theme could take anywhere from a day to a week… once decisions have been made about the desired appearance. 2)      Master Page – A master page provides the framework for page layout.  This includes all the top and side menus, where content shows up, et cetera.  Master pages have been around for a long time in ASP.NET (Microsoft’s web development platform), and they do require some .NET programming knowledge.  Beyond that, in SharePoint, there are a few dozen controls which the system expects find on a given page.  They’re not all used at once, but if they’re not there when they’re needed, chaos ensues.  Estimating a custom master page is difficult, as it depends on the level of customization.  I’ve been on projects where I was brought in simply to fix some problems and add a few finishing touches, and it took 2-3 weeks.  Master page customization requires a large amount of testing time to make sure that the HTML, JavaScript, CSS, and control placement all work well together. 3)      Individual page layout – Each page (ideally) uses a master page for its template, but within the content areas defined by the master page, web parts can be added, removed, and configured from within the browser.  The wireframe that Brent provided could most likely be completed simply by manipulating the content on the home page in this fashion, and we had allowed about a day of effort for the task.  If needed, further functionality can be provided by an experienced ASP.NET developer; custom forms are a common example.  This of course is a bit more in-depth than simple content manipulation and could take several days per page (or more; there’s really no way to quantify this without a set of requirements).   That’s basically it.  To recap:  Fonts and coloring are done with themes, and can take anywhere from a day to a week to create (not counting creative time); required technical skills include HTML, CSS, and image manipulation.  Templated layout is done with master pages, and generally requires a developer familiar with both ASP.NET and SharePoint in particular; it can have far-reaching consequences depending on the complexity of the changes, and could add weeks or months to a project.  Page layout can be as simple as content manipulation in the web browser, taking a few hours per page, or it can involve more detail, like custom forms, and can require programming expertise and significantly more development time.

  • Integrate SharePoint 2010 with Team Foundation Server 2010

    Our client is using a brand new shiny installation of SharePoint 2010, so we need to integrate our upgraded Team Foundation Server 2010 instance into it. In order to do that you need to run the Team Foundation Server 2010 install on the SharePoint 2010 server and choose to install only the “Extensions for SharePoint Products and Technologies”. We want out upgraded Team Project Collection to create any new portal in this SharePoint 2010 server farm. There a number of goodies above and beyond a solution file that requires the install, with the main one being the TFS2010 client API. These goodies allow proper integration with the creation and viewing of Work Items from SharePoint a new feature with TFS 2010. This works in both SharePoint 2007 and SharePoint 2010 with the level of integration dependant on the version of SharePoint that you are running. There are three levels of integration with “SharePoint Services 3.0” or “SharePoint Foundation 2010” being the lowest. This level only offers reporting services framed integration for reporting along with Work Item Integration and document management. The highest is Microsoft Office SharePoint Services (MOSS) Enterprise with Excel Services integration providing some lovely dashboards. Figure: Dashboards take the guessing out of Project Planning and estimation. Plus writing these reports would be boring!   The Extensions that you need are on the same installation media as the main TFS install and the only difference is the options you pick during the install. Figure: Installing the TFS 2010 Extensions for SharePoint Products and Technologies onto SharePoint 2010   Annoyingly you may need to reboot a couple of times, but on this server the process was MUCH smother than on our internal server. I think this was mostly to do with this being a clean install. Once it is installed you need to run the configuration. This will add all of the Solution and Templates that are needed for SharePoint to work properly with TFS. Figure: This is where all the TFS 2010 goodies are added to your SharePoint 2010 server and the TFS 2010 object model is installed.   Figure: All done, you have everything installed, but you still need to configure it Now that we have the TFS 2010 SharePoint Extensions installed on our SharePoint 2010 server we need to configure them both so that they will talk happily to each other. Configuring the SharePoint 2010 Managed path for Team Foundation Server 2010 In order for TFS to automatically create your project portals you need a wildcard managed path setup. This is where TFS will create the portal during the creation of a new Team project. To find the managed paths page for any application you need to first select the “Managed web applications”  link from the SharePoint 2010 Central Administration screen. Figure: Find the “Manage web applications” link under the “Application Management” section. On you are there you will see that the “Managed Paths” are there, they are just greyed out and selecting one of the applications will enable it to be clicked. Figure: You need to select an application for the SharePoint 2010 ribbon to activate.   Figure: You need to select an application before you can get to the Managed Paths for that application. Now we need to add a managed path for TFS 2010 to create its portals under. I have gone for the obvious option of just calling the managed path “TFS02” as the TFS 2010 server is the second TFS server that the client has installed, TFS 2008 being the first. This links the location to the server name, and as you can’t have two projects of the same name in two separate project collections there is unlikely to be any conflicts. Figure: Add a “tfs02” wildcard inclusion path to your SharePoint site. Configure the Team Foundation Server 2010 connection to SharePoint 2010 In order to have you new TFS 2010 Server talk to and create sites in SharePoint 2010 you need to tell the TFS server where to put them. As this TFS 2010 server was installed in out-of-the-box mode it has a SharePoint Services 3.0 (the free one) server running on the same box. But we want to change that so we can use the external SharePoint 2010 instance. Just open the “Team Foundation Server Administration Console” and navigate to the “SharePoint Web Applications” section. Here you click “Add” and enter the details for the Managed path we just created. Figure: If you have special permissions on your SharePoint you may need to add accounts to the “Service Accounts” section.    Before we can se this new SharePoint 2010 instance to be the default for our upgraded Team Project Collection we need to configure SharePoint to take instructions from our TFS server. Configure SharePoint 2010 to connect to Team Foundation Server 2010 On your SharePoint 2010 server open the Team Foundation Server Administration Console and select the “Extensions for SharePoint Products and Technologies” node. Here we need to “grant access” for our TFS 2010 server to create sites. Click the “Grant access” link and  fill out the full URL to the  TFS server, for example http://servername.domain.com:8080/tfs, and if need be restrict the path that TFS sites can be created on. Remember that when the users create a new team project they can change the default and point it anywhere they like as long as it is an authorised SharePoint location. Figure: Grant access for your TFS 2010 server to create sites in SharePoint 2010 Now that we have an authorised location for our team project portals to be created we need to tell our Team Project Collection that this is where it should stick sites by default for any new Team Projects created. Configure the Team Foundation Server 2010 Team Project Collection to create new sites in SharePoint 2010 Back on out TFS 2010 server we need to setup the defaults for our upgraded Team Project Collection to the new SharePoint 2010 integration we have just set up. On the TFS 2010 server open up the “Team Foundation Server Administration Console” again and navigate to the “Team Project Collections” node. Once you are there you will see a list of all of your TPC’s and in our case we have a DefaultCollection as well as out named and Upgraded collection for TFS 2008. If you select the “SharePoint Site” tab we can see that it is not currently configured. Figure: Our new Upgrade TFS2008 Team Project Collection does not have SharePoint configured Select to “Edit Default Site Location” and select the new integration point that we just set up for SharePoint 2010. Once you have selected the “SharePoint Web Application” (the thing we just configured) then it will give you an example based on that configuration point and the name of the Team Project Collection that we are configuring. Figure: Set the default location for new Team Project Portals to be created for this Team Project Collection This is where the reason for configuring the Extensions on the SharePoint 2010 server before doing this last bit becomes apparent. TFS 2010 is going to create a site at our http://sharepointserver/tfs02/ location called http://sharepointserver/tfs02/[TeamProjectCollection], or whatever we had specified, and it would have had difficulty doing this if we had not given it permission first. Figure: If there is no Team Project Collection site at this location the TFS 2010 server is going to create one This will create a nice Team Project Collection parent site to contain the Portals for any new Team Projects that are created. It is with noting that it will not create portals for existing Team Projects as this process is run during the Team Project Creation wizard. Figure: Just a basic parent site to host all of your new Team Project Portals as sub sites   You will need to add all of the users that will be creating Team Projects to be Administrators of this site so that they will not get an error during the Project Creation Wizard. You may also want to customise this as a proper portal to your projects if you are going to be having lots of them, but it is really just a default placeholder so you have a top level site that you can backup and point at. You have now integrated SharePoint 2010 and team Foundation Server 2010!
