  • Create a Customized Tab on the Office 2010 Ribbon

    Some MS Office users were put off a bit by the Ribbon feature in 2007 for being cumbersome and confusing. Today we look at a cool new feature in Office 2010 that allows you to create your own custom tabs with specific commands for easier document creation. Create a Customized Tab In our example we’re using Word, but you can create a custom tab in the other Office apps as well. To do so, right-click on the Ribbon and select Customize the Ribbon. The Word Options screen opens up and from here you can manage a lot of customization options. We want to create a new customized tab, so click on the New Tab button.   Now give it a name… Now just drag the commands you want to add from the left column over to your new custom group. You have every command available to choose from. You can select specific groups or all commands from the dropdown menu on the left. That is all there is to it…now you have your own customized tab with the commands you use most often to help you work more efficiently. In this example We didn’t add a whole lot of commands, but you can customize it with as many as you need. You can also create other tabs with different sets of commands too. When you create a customized tab in one application, it’s only going to be in that app. For example if you create on in Word, it’s not going to show in Excel as commands differ between apps. If you want a custom tab in another Office app you’ll need to create one for it. Another very cool thing you can do is export the customizations to use on another machine or pass them to a coworker. To export the customizations, go to the Customize Ribbon section and at the bottom of the right field click Import/Export then Export all customizations. Then save the file to a location on your hard drive.   To import the settings to another machine, go into Ribbon Customizations and select Import customizations file… then browse the the file you exported. You’ll be prompted to confirm you want to import he customizations… After confirming the choice now you’ll see the customization show up on the other machine. This is very handy if you work on several machines throughout the day and want to easily bring your customized tabs with you. If you find yourself using a lot of specific commands throughout the day, creating your own customized tab will help access them more quickly.   • Add Your Gmail Account to Outlook 2010 using POP

    Are you excited about the latest version of Outlook, and want to get it setup with your Gmail accounts?  Here’s how you can easily add your Gmail account using POP to Outlook 2010. Getting Started Log into your Gmail account an go to your settings page. Under the Forwarding and POP/IMAP tab make sure POP is enabled.  You can choose to enable POP access for all new mail that arrives from now on, or for all mail in your Gmail account.  On the second option, we suggest you chose keep Gmail’s copy in the Inbox so you can still access your emails on the Gmail server.   Add Your Account to Outlook 2010 If you haven’t run Outlook 2010 yet, click Next to start setup and add your email account. Select Yes to add an email account to Outlook.  Now you’re ready to start entering your settings to access your email. Or, if you’ve already been using Outlook and want to add a new POP account, click File and then select Add Account under Account Information.   Outlook 2010 can often automatically find and configure your account with just your email address and password, so enter these and click Next to let Outlook try to set it up automatically. Outlook will now scan for the settings for your email account. If Outlook was able to find settings and configure your account automatically, you’ll see this success screen.  Depending on your setup, Gmail is automatically setup, but sometimes it fails to find the settings.  If this is the case, we’ll go back and manually configure it. Manually Configure Outlook for Gmail Back at the account setup screen, select Manually configure server settings or additional server types and click Next. Select Internet E-mail and then click Next. Enter your username, email address, and log in information. Under Server information enter in the following: Account Type: POP3 Incoming mail server: pop.gmail.com Outgoing mail server: smtp.gmail.com Make sure to check Remember password so you don’t have to enter it every time. After that data is entered in, click on the More Settings button. Select the Outgoing Server tab, and check My outgoing server (SMTP) requires authentication.  Verify Use same settings as my incoming mail server is marked as well. Next select the Advanced tab and enter the following information: Incoming Server (POP3): 995 Outgoing server (SMTP): 587 Check This server requires an encrypted connection (SSL) Set Use the following type of encrypted connection to TLS You also might want to uncheck the box to Remove messages from the server after a number of days.  This way your messages will still be accessible from Gmail online. Click OK to close the window, and then click Next to finish setting up the account.  Outlook will test your account settings to make sure everything will work; click Close when this is finished. Provided everything was entered in correctly, you’ll be greeted with a successful setup message…click Finish.   Gmail will be all ready to sync with Outlook 2010.  Enjoy your Gmail account in Outlook, complete with fast indexed searching, conversation view, and more! Conclusion Adding Gmail using the POP setting to Outlook 2010 is usually easy and only takes a few steps.  Even if you have to enter your settings manually, it is still a fairly simple process.   • Sort Your Emails by Conversation in Outlook 2010

    Do you prefer the way Gmail sorts your emails by conversation?  Here’s how you can use this handy feature in Outlook 2010 too. One exciting new feature in Outlook 2010 is the ability to sort and link your emails by conversation.  This makes it easier to know what has been discussed in emails, and helps you keep your inbox more tidy.  Some users don’t like their emails linked into conversations, and in the final release of Outlook 2010 it is turned off by default.  Since this is a new feature, new users may overlook it and never know it’s available.  Here’s how you can enable conversation view and keep your email conversations accessible and streamlined. Activate Conversation View By default, your inbox in Outlook 2010 will look much like it always has in Outlook…a list of individual emails. To view your emails by conversation, select the View tab and check the Show as Conversations box on the top left. Alternately, click on the Arrange By tab above your emails, and select Show as Conversations. Outlook will ask if you want to activate conversation view in only this folder or all folders.  Choose All folders to view all emails in Outlook in conversations. Outlook will now resort your inbox, linking emails in the same conversation together.  Individual emails that don’t belong to a conversation will look the same as before, while conversations will have a white triangle carrot on the top left of the message title.  Select the message to read the latest email in the conversation. Or, click the triangle to see all of the messages in the conversation.  Now you can select and read any one of them. Most email programs and services include the previous email in the body of an email when you reply.  Outlook 2010 can recognize these previous messages as well.  You can navigate between older and newer messages from popup Next and Previous buttons that appear when you hover over the older email’s header.  This works both in the standard Outlook preview pane and when you open an email in its own window.   Edit Conversation View Settings Back in the Outlook View tab, you can tweak your conversation view to work the way you want.  You can choose to have Outlook Always Expand Conversations, Show Senders Above the Subject, and to Use Classic Indented View.  By default, Outlook will show messages from other folders in the conversation, which is generally helpful; however, if you don’t like this, you can uncheck it here.  All of these settings will stay the same across all of your Outlook accounts. If you choose Indented View, it will show the title on the top and then an indented message entry underneath showing the name of the sender. The Show Senders Above the Subject view makes it more obvious who the email is from and who else is active in the conversation.  This is especially useful if you usually only email certain people about certain topics, making the subject lines less relevant. Or, if you decide you don’t care for conversation view, you can turn it off by unchecking the box in the View tab as above. Conclusion Although it may take new users some time to get used to, conversation view can be very helpful in keeping your inbox organized and letting important emails stay together.  If you’re a Gmail user syncing your email account with Outlook, you may find this useful as it makes Outlook 2010 work more like Gmail, even when offline.   • Preview Before You Paste with Live Preview in Office 2010

    Do you often find yourself frustrated that content you just copied and pasted didn’t turn out the way you expected? With the new Live Preview in Office 2010, you can preview how copied content will look when it’s pasted even between Office applications. Not every paste preview option will be available in every circumstance. The available options will be based on the applications being used and what content is copied. Copy your content like normal by right-clicking and selecting Copy, pressing Crtl + C, or selecting Copy from the Home tab. Next, select your location to paste the content. Now you can access the Paste Preview buttons either by selecting the Paste dropdown list from the Home tab…   …Or by right-clicking. As you hover your cursor over each of the Paste Options buttons, you will see a preview of what it will look like if you paste using that option. Click the corresponding button when you find the paste option you like. The “Paste” will paste all the content and formatting as you can see below. Values will paste values only, no formatting.   Formatting will paste only the formatting, no values. Hover over Paste Special to reveal any additional paste options. The process is similar in other Office applications. As you can see in the Word document below, Keep Text Only will paste the text, but not the orange color format from the original text.   Even after you’ve pasted, there is still time to change your mind. After you paste content you’ll see a Paste Option button near your content. If you don’t, you can pull it up by pressing the Ctrl key. Note: This is also available after using Ctrl + V to paste. Click to enable the dropdown and select one of the available options.   Using Live Paste Preview between multiple applications is just as easy. If we preview pasting the content from our Word document into PowerPoint by using the Keep Source Formatting option, we’ll see that the outcome looks awful. Selecting the Use Destination Theme will merge the text into the theme of the PowerPoint document and looks a lot better on our slide.   Live Paste Preview is a nice addition to Office 2010 and is sure to save time spent undoing the unexpected consequences of pasting content.   • How can I modify the "Picture Styles" shortcut gallery in Microsoft Office (Word and Powerpoint, specifically)?

    The Microsoft Office Ribbon has a convenient gallery of styles to apply to pictures, shown here. It functions much like the Quick Styles gallery in Word for quickly applying formatting to text. But whereas one can create a new text style and add it to the Quick Styles gallery, I haven't been able to find a way to do the same with the Picture Styles gallery. The default styles aren't what I need, and the styles I do need involve changing multiple settings, so a shortcut would be nice. Am I stuck just using the copy-paste format options?

I just downloaded the release candidate SDK for Visual Studio 2010, but the installer fails saying that I don't have Visual Studio installed (which is true since i use Visual C++ 2010 Express). Have I missed something? Is there a version of the extension SDK that works with Express?

  • SharePoint 2010 – Central Admin tooling to create host header site collections

    Just like SharePoint 2007, you can create host-header based site collections in SharePoint 2010 as well. It means, that you do not necessarily need to create a site-collection under a managed path like /sites/, you can create multiple root-level site collections on same web-application/port by using host-header site collections. All you need to do is point your domain or sub-domain to your web-application and create a matching site-collection that you want. But, just like in 2007, it is something that you do by using STSADM, and is not available on Central Admin UI in 2010 as well. Yeah, though you can now also use PowerShell to create one: C:\PS>$w = Get-SPWebApplication http://sitename   C:\PS>New-SPSite http://www.contoso.com -OwnerAlias "DOMAIN\jdoe" -HostHeaderWebApplication $w -Title "Contoso" -Template "STS#0"   This example creates a host header site collection. I used PowerShell initially, but then got interested to build my own UI on Central Admin instead. Developed with Visual Studio 2010 So I used new Visual Studio 2010 tooling to create an empty SharePoint 2010 project. Added an application page (there is no option to add _Admin page item in VS 2010 RC), that got created in Layouts “mapped” folder. Created a new Admin mapped folder for 14-“hive”, and moved my new page there instead. Yes, I didn’t change the base class for page, its just that it runs under _admin, but it is indeed a LayoutsPageBase inherited page. From there I quickly created a similar code behind, without all the fancy of Farm Config Wizard handling and dealt with alternate implementations of sealed classes! Goal was to create a professional looking and OOB-type experience. I also added Regex validation to ensure user types a valid domain name as header value.     I'm trying to setup the outgoing email settings on my sharepoint 2010 Server. I have installed an exchange 2010 server out of the box but when I type in the FQDN address to the exchange 2010 server in the outgoing settings on the SharePoint 2010 page I'm not getting any emails from the sharepoint 2010 server. How can I configure my Exchange 2010 server to work with SharePoint Server 2010 for outgoing email notifications?

  • Add Artistic Effects to Your Pictures in Office 2010

    Do you ever wish you could add cool effects to images in your Office document pictures, but don’t have access to a graphics editor? Today we take a look at the Artistic Effects featire which is a new feature in Office 2010. Note: We will show you examples in Excel, but the Artistic Effect are available in Word, Excel, and PowerPoint. To insert a picture into your Office document, click the Picture button on the Insert tab. Once you import your picture, the Picture Tools format ribbon should be active. If not, click on the image.     In the Adjust group, click on Artistic Effects. You will see a selection of effects previews images in the dropdown list. Hover your cursor over the effects to use Live Preview to see what your picture will look like if that effect is applied.   When you find an effect you like, just click to apply it to the image. There are also some additional Artistic Effect Options. Each effect will have a it’s own set of available options that can be adjusted by moving the sliders left or right. If you find you want to undo an effect after it has been applied, simply select the None option from the previews under Artistic Effects. Conclusion Artistic Effects provides a really easy way to add professional looking effects to images in Office 2010 without the need to access graphics editing software.   • Stop Office 2010 Upload Center Icon from Displaying in the Taskbar

    One of the new features in Office 2010 is the ability to upload your files to Office Web Apps. When you do, an Upload Center icon appears in the Taskbar and helps manage documents. Here’s how to stop it from showing up. If you’re running Office 2010 and upload files to the web, you’ll notice the Microsoft Office Upload Center Icon appears on the Taskbar in the Notification Area. It will stay there even after you’re done uploading the document and closed out of all Office apps. You can use this to monitor and control the documents you’re uploading to the web. Getting rid of it is fairly simple. Right-click the icon and select Settings. When the Microsoft Office Upload Center Settings window appears, under Display Options, uncheck Display icon in notification area and click OK. That is all there is to it…now it will no longer appear in the Taskbar.   After you upload your first document, it will also want to startup with Windows. You can go into msconfig and disable it from automatically starting up. If you need to access it again, it’s part of  Office 2010 Tools which you can access from the Start Menu. Or you can type upload center into the Search box in the Start Menu and hit Enter. If you upload a lot of work to Microsoft Web Apps you might find this tool useful, but if you only occasionally upload docs, you might be annoyed by it always being in the Taskbar.   • Installing SharePoint 2010 and PowerPivot for SharePoint on Windows 7

    Many people like me want (or need) to do their business intelligence development work on a laptop. As someone who frequently speaks at various events or teaches classes on all subjects related to the Microsoft business intelligence stack, I need a way to run multiple server products on my laptop with reasonable performance. Once upon a time, that requirement meant only that I had to load the current version of SQL Server and the client tools of choice. In today's post, I'll review my latest experience with trying to make the newly released Microsoft BI products work with a Windows 7 operating system.The entrance of Microsoft Office SharePoint Server 2007 into the BI stack complicated matters and I started using Virtual Server to establish a "suitable" environment. As part of the team that delivered a lot of education as part of the Yukon pre-launch activities (that would be SQL Server 2005 for the uninitiated), I was working with four - yes, four - virtual servers. That was a pretty brutal workload for a 2GB laptop, which worked if I was very, very careful. It could also be a finicky and unreliable configuration as I learned to my dismay at one TechEd session several years ago when I had to reboot a very carefully cached set of servers just minutes before my session started. Although it worked, it came back to life very, very slowly much to the displeasure of the audience. They couldn't possibly have been less pleased than me.At that moment, I resolved to get the beefiest environment I could afford and consolidate to a single virtual server. Enter the 4GB 64-bit laptop to preserve my sanity and my livelihood. Likewise, for SQL Server 2008, I managed to keep everything within a single virtual server and I could function reasonably well with this approach.Now we have SQL Server 2008 R2 plus Office SharePoint Server 2010. That means a 64-bit operating system. Period. That means no more Virtual Server. That means I must use Hyper-V or another alternative. I've heard alternatives exist, but my few dabbles in this area did not yield positive results. It might have been just me having issues rather than any failure of those technologies to adequately support the requirements.My first run at working with the new BI stack configuration was to set up a 64-bit 4GB laptop with a dual-boot to run Windows Server 2008 R2 with Hyper-V. However, I was generally not happy with running Windows Server 2008 R2 on my laptop. For one, I couldn't put it into sleep mode, which is helpful if I want to prepare for a presentation beforehand and then walk to the podium without the need to hold my laptop in its open state along the way (my strategy at the TechEd session long, long ago). Secondly, it was finicky with projectors. I had issues from time to time and while I always eventually got it to work, I didn't appreciate those nerve-wracking moments wondering whether this would be the time that it wouldn't work.Somewhere along the way, I learned that it was possible to load SharePoint 2010 in a Windows 7 which piqued my interest. I had just acquired a new laptop running Windows 7 64-bit, and thought surely running the BI stack natively on my laptop must be better than running Hyper-V. (I have not tried booting to Hyper-V VHD yet, but that's on my list of things to try so the jury of one is still out on this approach.) Recently, I had to build up a server with the RTM versions of SQL Server 2008 R2 and Sharepoint Server 2010 and decided to follow suit on my Windows 7 Ultimate 64-bit laptop. The process is slightly different, but I'm happy to report that it IS possible, although I had some fits and starts along the way.DISCLAIMER: These products are NOT intended to be run in production mode on the Windows 7 operating system. The configuration described in this post is strictly for development or learning purposes and not supported by Microsoft. If you have trouble, you will NOT get help from them. I might be able to help, but I provide no guarantees of my ability or availablity to help. I won't provide the step-by-step instructions in this post as there are other resources that provide these details, but I will provide an overview of my approach, point you to the relevant resources, describe some of the problems I encountered, and explain how I addressed those problems to achieve my desired goal.Because my goal was not simply to set up SharePoint Server 2010 on my laptop, but specifically PowerPivot for SharePoint, I started out by referring to the installation instructions at the PowerPiovt-Info site, but mainly to confirm that I was performing steps in the proper sequence. I didn't perform the steps in Part 1 because those steps are applicable only to a server operating system which I am not running on my laptop. Then, the instructions in Part 2, won't work exactly as written for the same reason. Instead, I followed the instructions on MSDN, Setting Up the Development Environment for SharePoint 2010 on Windows Vista, Windows 7, and Windows Server 2008. In general, I found the following differences in installation steps from the steps at PowerPivot-Info:You must copy the SharePoint installation media to the local drive so that you can edit the config.xml to allow installation on a Windows client.You also have to manually install the prerequisites. The instructions provides links to each item that you must manually install and provides a command-line instruction to execute which enables required Windows features.I will digress for a moment to save you some grief in the sequence of steps to perform. I discovered later that a missing step in the MSDN instructions is to install the November CTP Reporting Services add-in for SharePoint. When I went to test my SharePoint site (I believe I tested after I had a successful PowerPivot installation), I ran into the following error: Could not load file or assembly 'RSSharePointSoapProxy, Version=10.0.0.0, Culture=neutral, PublicKeyToken=89845dcd8080cc91' or one of its dependencies. The system cannot find the file specified. I was rather surprised that Reporting Services was required. Then I found an article by Alan le Marquand, Working Together: SQL Server 2008 R2 Reporting Services Integration in SharePoint 2010,that instructed readers to install the November add-in. My first reaction was, "Really?!?" But I confirmed it in another TechNet article on hardware and software requirements for SharePoint Server 2010. It doesn't refer explicitly to the November CTP but following the link took me there. (Interestingly, I retested today and there's no longer any reference to the November CTP. Here's the link to download the latest and greatest Reporting Services Add-in for SharePoint Technologies 2010.) You don't need to download the add-in anymore if you're doing a regular server-based installation of SharePoint because it installs as part of the prerequisites automatically.When it was time to start the installation of SharePoint, I deviated from the MSDN instructions and from the PowerPivot-Info instructions:On the Choose the installation you want page of the installation wizard, I chose Server Farm.On the Server Type page, I chose Complete.At the end of the installation, I did not run the configuration wizard.Returning to the PowerPivot-Info instructions, I tried to follow the instructions in Part 3 which describe installing SQL Server 2008 R2 with the PowerPivot option. These instructions tell you to choose the New Server option on the Setup Role page where you add PowerPivot for SharePoint. However, I ran into problems with this approach and got installation errors at the end.It wasn't until much later as I was investigating an error that I encountered Dave Wickert's post that installing PowerPivot for SharePoint on Windows 7 is unsupported. Uh oh. But he did want to hear about it if anyone succeeded, so I decided to take the plunge. Perseverance paid off, and I can happily inform Dave that it does work so far. I haven't tested absolutely everything with PowerPivot for SharePoint but have successfully deployed a workbook and viewed the PowerPivot Management Dashboard. I have not yet tested the data refresh feature, but I have installed. Continue reading to see how I accomplished my objective.I unintalled SQL Server 2008 R2 and started again. I had different problems which I don't recollect now. However, I uninstalled again and approached installation from a different angle and my next attempt succeeded. The downside of this approach is that you must do all of the things yourself that are done automatically when you install PowerPivot as a new server. Here are the steps that I followed:Install SQL Server 2008 R2 to get a database engine instance installed.Run the SharePoint configuration wizard to set up the SharePoint databases.In Central Administration, create a Web application using classic mode authentication as per a TechNet article on PowerPivot Authentication and Authorization.Then I followed the steps I found at How to: Install PowerPivot for SharePoint on an Existing SharePoint Server. Especially important to note - you must launch setup by using Run as administrator. I did not have to manually deploy the PowerPivot solution as the instructions specify, but it's good to know about this step because it tells you where to look in Central Administration to confirm a successful deployment.I did spot some incorrect steps in the instructions (at the time of this writing) in How To: Configure Stored Credentials for PowerPivot Data Refresh. Specifically, in the section entitled Step 1: Create a target application and set the credentials, both steps 10 and 12 are incorrect. They tell you to provide an actual Windows user name and password on the page where you are simply defining the prompts for your application in the Secure Store Service. To add the Windows user name and password that you want to associate with the application - after you have successfully created the target application - you select the target application and then click Set credentials in the ribbon.Lastly, I followed the instructions at How to: Install Office Data Connectivity Components on a PowerPivot server. However, I have yet to test this in my current environment.I did have several stops and starts throughout this process and edited those out to spare you from reading non-essential information. I believe the explanation I have provided here accurately reflect the steps I followed to produce a working configuration. If you follow these steps and get a different result, please let me know so that together we can work through the issue and correct these instructions. I'm sure there are many other folks in the Microsoft BI community that will appreciate the ability to set up the BI stack in a Windows 7 environment for development or learning purposes.
