  • That Escalated Quickly

All of my coworkers during that time have also worked remotely. Lots of folks have written about the challenges inherent in facilitating communication on remote teams and strategies for overcoming them. A popular theme around this topic is the notion of “escalating communication”. In this context “escalating” means taking a conversation from one mode of communication to a different, higher fidelity mode of communication. Here are the five modes of communication I use at work in order of increasing fidelity: Email – This is the “lowest fidelity” mode of communication that I use. I usually only check it a few times a day (and I’m trying to check it even less frequently than that) and I only keep items in my inbox if they represent an item I need to take action on that I haven’t tracked anywhere else. Forums / Message boards – Being a developer, I’ve gotten into the habit of having other people look over my code before it becomes part of the product I’m working on. These code reviews often happen in “real time” via screen sharing, but I also always have someone else give all of the changes another look using pull requests. A pull request takes my code and lets someone else see the changes I’ve made side-by-side with the existing code so they can see if I did anything dumb. Pull requests can facilitate a conversation about the code changes in an online-forum like style. Some teams I’ve worked on also liked using tools like Trello or Google Groups to have on-going conversations about a topic or task that was being worked on. Chat & Instant Messaging  - Chat and instant messaging are the real workhorses for communication on the remote teams I’ve been a part of. I know some teams that are co-located that also use it pretty extensively for quick messages that don’t warrant walking across the office to talk with someone but reqire more immediacy than an e-mail. For the purposes of this post I think it’s important to note that the terms “chat” and “instant messaging” might insinuate that the conversation is happening in real time, but that’s not always true. Modern chat and IM applications maintain a searchable history so people can easily see what might have been discussed while they were away from their computers. Voice, Video and Screen sharing – Everyone’s got a camera and microphone on their computers now, and there are an abundance of services that will let you use them to talk to other people who have cameras and microphones on their computers. I’m including screen sharing here as well because, in my experience, these discussions typically involve one or more people showing the other participants something that’s happening on their screen. Obviously, this mode of communication is much higher-fidelity than any of the ones listed above. Scheduled meetings are typically conducted using this mode of communication. In Person – No matter how great communication tools become, there’s no substitute for meeting with someone face-to-face. However, opportunities for this kind of communcation are few and far between when you work on a remote team. When a conversation gets escalated that usually means it moves up one or more positions on this list. A lot of people advocate jumping to #4 sooner than later. Like them, I used to believe that, if it was possible, organizing a call with voice and video was automatically better than any kind of text-based communication could be. Lately, however, I’m becoming less convinced that escalating is always the right move. Working Asynchronously Last year I attended a talk at our local code camp given by Drew Miller. Drew works at GitHub and was talking about how they use GitHub internally. Many of the folks at GitHub work remotely, so communication was one of the main themes in Drew’s talk. During the talk Drew used the phrase, “asynchronous communication” to describe their use of chat and pull request comments. That phrase stuck in my head because I hadn’t heard it before but I think it perfectly describes the way in which remote teams often need to communicate. You don’t always know when your co-workers are at their computers or what hours (if any) they are working that day. In order to work this way you need to assume that the person you’re talking to might not respond right away. You can’t always afford to wait until everyone required is online and available to join a voice call, so you need to use text-based, persistent forms of communication so that people can receive and respond to messages when they are available. Going back to my list from the beginning of this post for a second, I characterize items #1-3 as being “asynchronous” modes of communication while we could call items #4 and #5 “synchronous”. When communication gets escalated it’s almost always moving from an asynchronous mode of communication to a synchronous one. Now, to the point of this post: I’ve become increasingly reluctant to escalate from asynchronous to synchronous communication for two primary reasons: 1 – You can often find a higher fidelity way to convey your message without holding a synchronous conversation 2 - Asynchronous modes of communication are (usually) persistent and searchable. You Don’t Have to Broadcast Live Let’s start with the first reason I’ve listed. A lot of times you feel like you need to escalate to synchronous communication because you’re having difficulty describing something that you’re seeing in words. You want to provide the people you’re conversing with some audio-visual aids to help them understand the point that you’re trying to make and you think that getting on Skype and sharing your screen with them is the best way to do that. Firing up a screen sharing session does work well, but you can usually accomplish the same thing in an asynchronous manner. For example, you could take a screenshot and annotate it with some text and drawings to illustrate what it is you’re seeing. If a screenshot won’t work, taking a short screen recording while your narrate over it and posting the video to your forum or chat system along with a text-based description of what’s in the recording that can be searched for later can be a great way to effectively communicate with your team asynchronously. I Said What?!? Now for the second reason I listed: most asynchronous modes of communication provide a transcript of what was said and what decisions might have been made during the conversation. There have been many occasions where I’ve used the search feature of my team’s chat application to find a conversation that happened several weeks or months ago to remember what was decided. Unfortunately, I think the benefits associated with the persistence of communicating asynchronously often get overlooked when people decide to escalate to a in-person meeting or voice/video call. I’m becoming much more reluctant to suggest a voice or video call if I suspect that it might lead to codifying some kind of design decision because everyone involved is going to hang up the call and immediately forget what was decided. I recognize that you can record and archive these types of interactions, but without being able to search them the recordings aren’t terribly useful. When and How To Escalate I don’t mean to imply that communicating via voice/video or in person is never a good idea. I probably jump on a Skype call with a co-worker at least once a day to quickly hash something out or show them a bit of code that I’m working on. Also, meeting in person periodically is really important for remote teams. There’s no way around the fact that sometimes it’s easier to jump on a call and show someone my screen so they can see what I’m seeing. So when is it right to escalate? I think the simplest way to answer that is when the communication starts to feel painful. Everyone’s tolerance for that pain is different, but I think you need to let it hurt a little bit before jumping to synchronous communication. When you do escalate from asynchronous to synchronous communication, there are a couple of things you can do to maximize the effectiveness of the communication: Takes notes – This is huge and yet I’ve found that a lot of teams don’t do this. If you’re holding a meeting with  > 2 people you should have someone taking notes. Taking notes while participating in a meeting can be difficult but there are a few strategies to deal with this challenge that probably deserve a short post of their own. After the meeting, make sure the notes are posted to a place where all concerned parties (including those that might not have attended the meeting) can review and search them. Persist decisions made ASAP – If any decisions were made during the meeting, persist those decisions to a searchable medium as soon as possible following the conversation. All the teams I’ve worked on used a web-based system for tracking the on-going work and a backlog of work to be done in the future. I always try to make sure that all of the cards/stories/tasks/whatever in these systems always reflect the latest decisions that were made as the work was being planned and executed. If held a quick call with your team lead and decided that it wasn’t worth the effort to build real-time validation into that new UI you were working on, go and codify that decision in the story associated with that work immediately after you hang up. Even better, write it up in the story while you are both still on the phone. That way when the folks from your QA team pick up the story to test a few days later they’ll know why the real-time validation isn’t there without having to invoke yet another conversation about the work. Communicating Well is Hard At this point you might be thinking that communicating asynchronously is more difficult than having a live conversation. You’re right: it is more difficult. In order to communicate effectively this way you need to very carefully think about the message that you’re trying to convey and craft it in a way that’s easy for your audience to understand. This is almost always harder than just talking through a problem in real time with someone; this is why escalating communication is such a popular idea. Why wouldn’t we want to do the thing that’s easier? Easier isn’t always better. If you and your team can get in the habit of communicating effectively in an asynchronous manner you’ll find that, over time, all of your communications get less painful because you don’t need to re-iterate previously made points over and over again. If you communicate right the first time, you often don’t need to rehash old conversations because you can go back and find the decisions that were made laid out in plain language. You’ll also find that you get better at doing things like writing useful comments in your code, creating written documentation about how the feature that you just built works, or persuading your team to do things in a certain way.

  • Using Quickly for text-heavy app

    I am trying to create a small app that displays documentation. When it is run, the application window will display a main menu with buttons labeled 'Document 1', 'Document 2', etc. If a user clicks on one of those buttons, the text from the corresponding document will be displayed in the window. Very basic. The text documents range in length from 1000 to 5000 words, and they need basic formatting (bold, italic, maybe one or two font choices). My question is this: what is the best way to store and display long blocks of formatted text, using Quickly? There seems to be a few options: (1) I could load the text blocks into long python strings, (2) I could load the text from text files, or (3) I could somehow copy and paste the formatted text into Glade. In the first two options, I'm not sure how I would format the text (add italic and bold, for instance) once it was loaded. I have experience with PHP/MySQL/HTML/CSS/Javascript, but I'm new to Python. Any help would be appreciated.

  • Algorithmic problem - quickly finding all #'s where value %x is some given value

    Problem I'm trying to solve, apologies in advance for the length: Given a large number of stored records, each with a unique (String) field S. I'd like to be able to find through an indexed query all records where Hash(S) % N == K for any arbitrary N, K (e.g. given a million strings, find all strings where HashCode(s) % 17 = 5. Is there some way of memoizing this so that we can quickly answer any question of this form without doing the % on every value? The motivation for this is a system of N distributed nodes, where each record has to be assigned to at least one node. The nodes are numbered 0 - (K-1) , and each node has to load up all of the records that match it's number: If we have 3 nodes Node 0 loads all records where Hash % 3 ==0 Node 1 loads all records where Hash % 3 ==1 Node 2 loads all records where Hash % 3 ==2 adding a 4th node, obviously all the assignments have to be recomputed - Node 0 loads all records where Hash % 4 ==0 ... etc I'd like to easily find these records through an indexed query without having to compute the mod individually. The best I've been able to come up with so far: If we take the prime factors of N (p1 * p2 * ... ) if N % M == I then p % M == I % p for all of N's prime factors e.g. 10 nodes : N % 10 == 6 then N % 2 = 0 == 6 %2 N % 5 = 1 == 6 %5 so storing an array of the "%" of N for the first "reasonable" number of primes for my data set should be helpful. For example in the above example we store the hash and the primes HASH PRIMES (array of %2, %3, %5, %7, ... ]) 16 [0 1 1 2 .. ] so looking for N%10 == 6 is equivalent to looking for all values where array[1]==1 and array[2] == 1. However, this breaks at the first prime larger than the highest number I'm storing in the factor table. Is there a better way?

  • How to quickly search through a very large list of strings / records on a database

    I have the following problem: I have a database containing more than 2 million records. Each record has a string field X and I want to display a list of records for which field X contains a certain string. Each record is about 500 bytes in size. To make it more concrete: in the GUI of my application I have a text field where I can enter a string. Above the text field I have a table displaying the (first N, e.g. 100) records that match the string in the text field. When I type or delete one character in the text field, the table content must be updated on the fly. I wonder if there is an efficient way of doing this using appropriate index structures and / or caching. As explained above, I only want to display the first N items that match the query. Therefore, for N small enough, it should not be a big issue loading the matching items from the database. Besides, caching items in main memory can make retrieval faster. I think the main problem is how to find the matching items quickly, given the pattern string. Can I rely on some DBMS facilities, or do I have to build some in-memory index myself? Any ideas? EDIT I have run a first experiment. I have split the records into different text files (at most 200 records per file) and put the files in different directories (I used the content of one data field to determine the directory tree). I end up with about 50000 files in about 40000 directories. I have then run Lucene to index the files. Searching for a string with the Lucene demo program is pretty fast. Splitting and indexing took a few minutes: this is totally acceptable for me because it is a static data set that I want to query. The next step is to integrate Lucene in the main program and use the hits returned by Lucene to load the relevant records into main memory.

  • Quickly Preview Songs in Windows Media Center 12 in Windows 7

    Do you ever wish you could quickly preview a song without having to play it? Today we look at a quick and easy way to do that in Windows Media Player 12. Open Windows Media Player in Library Mode and select your Music library. Hover your cursor over the Title of the song and a Preview pop-up window will appear after a few seconds.    Click on the Preview in the pop-up window and the song will begin to play. As the preview begins to play, you will see the Skip link and a song timer. Click on Skip to jump ahead 15 seconds in the song. When you are finished previewing the song, simply move your mouse away from the preview window to stop playback. Automatically Preview Songs You can adjust settings in Windows Media Player to automatically preview songs when you hover your cursor over the title. Select Tools  from the menu and click Options. On the Options window, select the Library tab and click on Automatically preview songs on title hover. Click OK.   Now when you simply hover your cursor over the song title the preview window will appear and playback will begin automatically.   • How to Quickly Add Multiple IP Addresses to Windows Servers

    If you have ever added multiple IP addresses to a single Windows server, going through the graphical interface is an incredible pain as each IP must be added manually, each in a new dialog box. Here’s a simple solution. Needless to say, this can be incredibly monotonous and time consuming if you are adding more than a few IP addresses. Thankfully, there is a much easier way which allows you to add an entire subnet (or more) in seconds. Adding an IP Address from the Command Line Windows includes the “netsh” command which allows you to configure just about any aspect of your network connections. If you view the accepted parameters using “netsh /?” you will be presented with a list of commands each which have their own list of commands (and so on). For the purpose of adding IP addresses, we are interested in this string of parameters: netsh interface ipv4 add address Note: For Windows Server 2003/XP and earlier, “ipv4″ should be replaced with just “ip” in the netsh command. If you view the help information, you can see the full list of accepted parameters but for the most part what you will be interested in is something like this: netsh interface ipv4 add address “Local Area Connection” 192.168.1.2 255.255.255.0 The above command adds the IP Address 192.168.1.2 (with Subnet Mask 255.255.255.0) to the connection titled “Local Area Network”. Adding Multiple IP Addresses at Once When we accompany a netsh command with the FOR /L loop, we can quickly add multiple IP addresses. The syntax for the FOR /L loop looks like this: FOR /L %variable IN (start,step,end) DO command So we could easily add every IP address from an entire subnet using this command: FOR /L %A IN (0,1,255) DO netsh interface ipv4 add address “Local Area Connection” 192.168.1.%A 255.255.255.0 This command takes about 20 seconds to run, where adding the same number of IP addresses manually would take significantly longer.   • Quickly Copy Movie Files to Individually Named Folders

    Some HTPC media manager applications require movie files to be in stored in separate folders to properly store information such as cover art images and other metadata. Here we look at copying movie files to individual folders. If you already have a large movie collection stored in a single folder, we’ll show you how to quickly move those files into their own individually named folders. File2Folder FIle2folder is a handy portable app that automatically creates and moves movie files into a folder of the same filename. There is no installation needed. Simply download and run the .exe file (link below). Enter the current movie directory, or browse for the folder. File2folder now supports both local and network shares. When you are ready to create the folders and move the files, click Move! You’ll see the move progress displayed in the window. When the process is finished, you’ll have all your movie file in individual folders.   Change your mind? Just click the Undo! button…   …and the move and folder creation process will be undone. If you would like to have the folder monitored for new files, click the Start button. File2folder will process any new files it discovers every 180 seconds. To turn it off, click Stop. This simple little program is a huge timesaver for those looking to organize movie collections for their HTPC. We should also note that this will work with any files, not just videos.   • How to Quickly Cut a Clip From a Video File with Avidemux

    Whether you’re cutting out the boring parts of your vacation video or getting a hilarious scene for an animated GIF, Avidemux provides a quick and easy way to cut clips from any video file. It’s overkill to use a full-featured video editing program if you just want to cut a few clips from a video file. Even programs that are designed to be small can have confusing interfaces when dealing with video. We’ve found that a great free program, Avidemux, makes the job of cutting clips extremely simple. Note: While the screenshots in this guide are taken from the Windows version, Avidemux runs on all of the major platforms – Windows, Mac OS X and Linux (GTK). Image by Keith Williamson. Cutting Clips from a Video File Open up Avidemux, and load the video file that you want to work with. If you get a prompt like this one: we recommend clicking Yes to use the safer mode. Find the portion of the video that you’d like to isolate. Get as close as you can to the start of the clip you want to cut. Once you find the start of your clip, look at the “Frame Type” of the current frame. You want it to read I; if it isn’t frame type I, then use the single left and right arrow buttons to go forward or backward one frame until you find an appropriate I frame. Once you’ve found the right starting frame, click the button with the A over a red bar. This will set the start of the clip. Advance to where you want your clip to end. Click on the button with a B when you’ve found the appropriate frame. This frame can be of any type. You can now save the clip, either by going to File –> Save –> Save Video… or by pressing Ctrl+S. Give the file a name, and Avidemux will prepare your clip. And that’s it! You should now have a movie file that contains only the portion of the original file that you want.   • Laptop battery fails to change unless power level very low, and then dicharges quickly

    I've had my laptop for about 5-6 weeks. Its a DELL Alienware M15x and I have never replaced the battery,such as http://www.pcbatteria.com/dell-alienware-m15x-series.html. The past 3 weeks or so the battery can only charge when the computer is off or in a low power state. If its on and plugged in it will still lose its charge unless its already at 100%. On a full charge without being plugged in it only holds its charge for about 1 hour on "power saver". This makes it extremely hard to use it as a portable device so i'm trying to find a way to troubleshoot the problem without having to buy a new battery or laptop. Unfortunately I need it for the next few months in some of my classes so its kind of urgent. Thanks for your help!

  • how do I write a functional specification quickly and efficiently

    So I just read some fabulous articles by Joel on specs here. (Was written in 2000!!) I read all 4 parts, but Im looking for some methodical approaches to writing my specs. Im the only lonely dev, working on this fairly complicated app (or family of apps) for a very well known finance company. I've never made something this serious, I started out writing something like a bad spec, an overview of some sorts, and it has wasted a LOT of my time. Ive also made 3 mockup-kinda-thingies for my client so I have a good understanding of what they want. Also released a preview (a throw away working app with the most basic workflow), and Ive only written and tested some of the very core/base systems. I think the mistake Ive been making so far is not writing a detailed spec, so Im getting to it now. So the whole thing comprises of An MVC website (for admins & data viewing) 2 Silverlight modules (For 2 specific tasks) 1 Desktop Application Im totally short on time, resources and need to get this done quick, also, need to make sure these guys read it up equally quick and painlessly. So how do I go about it, Im looking for any tips, any real world stuff, how do you guys usually do it? Do you make a mock screenie of every dialog/form/page? Im thinking of making a dummy asp.net web forms project, then filling in html files in folders and making it look like my mvc url structure. Then having a section in the spec for the website and write up a page for every URL Ive got with a screenie. For my win forms app, Ive made somewhat of a demo Win Form project, would I then put in a dialog or stucture everything as I would in the real app and then screen shot it?

  • Laptop drains of quickly with battery

    I am a user since years in ubuntu and I have not come across this problem with ubuntu till date. My battery drains off immediately after I unplug my AC power. The options I tried: 1) checked the battery state with : cat /proc/acpi/battery/BAT0/state present: yes capacity state: ok charging state: charged present rate: 0 mA remaining capacity: 392 mAh present voltage: 12476 mV Initially it was showing charging state: charging after 5mins it started displaying as charged. ! Based on that if I remove my AC Power it shows low battery notification. 2) When I run acpi : acpi -b Battery 0: Unknown, 9% The battery state shows as unknown. But initially when we plug-in to AC adapter acpi -b Battery 0: Charging, 9%, 13:04:00 until charged 3) When the check the same with : upower -i /org/freedesktop/UPower/devices/battery_BAT0 native-path: /sys/devices/LNXSYSTM:00/device:00/PNP0A08:00/device:02/PNP0C09:00/PNP0C0A:00/power_supply/BAT0 vendor: HP power supply: yes updated: Thu Nov 1 16:06:40 2012 (20 seconds ago) has history: yes has statistics: yes battery present: yes rechargeable: yes state: charging energy: 4.2336 Wh energy-empty: 0 Wh energy-full: 33.1128 Wh energy-full-design: 33.1128 Wh energy-rate: 5.6052 W voltage: 12.474 V time to full: 5.2 hours percentage: 12.7854% capacity: 100% technology: lithium-ion Is the power stats output, It says 5hrs to charge completely, If I charge it even more than 5hrs and unplug the AC power, It again cribs stating LOW BATTERY !! The same thing does not happen with Windows7. Any suggestions/ help will be greatly appreciated.

  • Quickly compute added and removed lines

    I'm trying to compare two text files. I want to compute how many lines were added and removed. Basically what git diff --stat is doing. Bonus points for not having to store the entire file contents in memory. The approach I'm currently having in mind is: read each line of the old file compute a hash (probably MD5 or SHA-1) for each line store the hashes in a set do the same for each line in the new file every hash from the old file set that's missing in the new file set was removed every hash from the new file set that's missing in the old file set was added I'll probably want to exclude empty and all white space lines. There is a small issue with duplicated lines. This can either be solved by additionally storing how often a hash appears or comparing the number of lines in the old and new file and adjust either the added or removed lines so that the numbers add up. Do you see room for improvements or a better approach?

  • Battery is drained too quickly

    I'm getting really low battery life under ubuntu, not even close to windows. I tried powertop, and I saw that my laptop is consuming in idle nearly 20 watts (a bit more). I tried to install laptop-mode-tools, change "good" into "bad" in powertop, but nothing changes. I see that I have the the HD audio output device which is running at 100% every time. Could this be the problem? This is a report from powertop. Customers tell us that the volume of search results returned can make it difficult to find the information they need, especially when similar Oracle products exist. These simple tips show you how to filter, browse, search, and refine your results to get relevant answers faster. Filter first: PowerView is your best friend Powerview is an often ignored feature of My Oracle Support that enables you to control the information displayed on the Dashboard, the Knowledge tab and regions, and the Service Request tab based on one or more parameters. You can define a PowerView to limit information based on product, product line, support ID, platform, hostname, system name and others. Using PowerView allows you to restrict: Your search results to the filters you have set The product list when selecting your products in Search & Browse and when creating service requests   The PowerView menu is at the top of My Oracle Support, near the title You turn PowerView on by clicking PowerView is Off, which is a button. When PowerView is On, and filters are active, clicking the button again will toggle Powerview off. Click the arrow to the right to create new filters, edit filters, remove a filter, or choose from the list of previously created filters. You can create a PowerView in 3 simple steps! Turn PowerView on and select New from the PowerView menu. Select your filter from the Select Filter Type dropdown list and make selections from the other two menus. Hint: While there are many filter options, selecting your product line or your list of products will provide you with an effective filter. Click the plus sign (+) to add more filters. The best match document, called an “information center,” is an aggregate of dynamically updated links to information pertinent to the product, task, and version (if applicable) you chose. These documents are refreshed every 24 hours to ensure that you have the most current information at your fingertips. Note: Not all products have “information centers.” If no information center appears as a best match, click Search to see a list of search results. From the information center, you can access topics from a product overview to security information, as shown in the left menu. Just want to search? That’s easy too!
