  • Death March

    It is a horrible sight to watch a project fail. There are few things as bad. Watching a project fail regardless of the reason is almost like sitting in a room with a "Dementor" from Harry Potter. It will literally suck all of the life and joy out of the room. Nearly every project that I have seen fail has failed because of political challenges or management challenges. Sometimes there are technical challenges that bring a project to its knees, but usually projects fail for less technical reasons. Here a few observations about projects failing for political reasons. Both the client and the consultants have to be committed to seeing the project succeed. Put simply, you cannot solve a problem when the primary stake holders do not truly want it solved. This could come from a consultant being more interested in extended the engagement. It could come from a client being afraid of what will happen to them once the problem is solved. It could come from disenfranchised stake holders. Sometimes a project is beset on all sides. When you find yourself working on a project that has this kind of threat, do all that you can to constrain the disruptive influences of the bad apples. If their influence cannot be constrained, you truly have no choice but to move on to a new project. Tough choices have to be made to make a project successful. These choices will affect everyone involved in the project. These choices may involve users not getting a change request through that they want. Developers may not get to use the tools that they want. Everyone may have to put in more hours that they originally planned. Steps may be skipped. Compromises will be made, but if everyone stays committed to the end goal, you can still be successful. If individuals start feeling disgruntled or resentful of the compromises reached, the project can easily be derailed. When everyone is not working towards a common goal, it is like driving with one foot on the break and one foot on the accelerator. Not only will you not get to where you are planning, you will also damage the car and possibly the passengers as well.   It is important to always keep the end result in mind. Regardless of the development methodology being followed, the end goal is not comprehensive documentation. In all cases, it is working software. Comprehensive documentation is nice but useless if the software doesn't work.   You can never get so distracted by the next goal that you fail to meet the current goal. Most projects are ultimately marathons. This means that the pace must be sustainable. Regardless of the temptations, you cannot burn the team alive. Processes will fail. Technology will get outdated. Requirements will change, but your people will adapt and learn and grow. If everyone on the team from the most senior analyst to the most junior recruit trusts and respects each other, there is no challenge that they cannot overcome. When everyone involved faces challenges with the attitude "This is my project and I will not let it fail" "You are my teammate and I will not let you fail", you will in fact not fail. When you find a team that embraces this attitude, protect it at all cost. Edward Yourdon wrote a book called Death March. In it, he included a graph for categorizing Death March project types based on the Happiness of the Team and the Chances of Success.   Chances are we have all worked on Death March projects. We will all most likely work on more Death March projects in the future. To a certain extent, they seem to be inevitable, but they should never be suicide or ugly. Ideally, they can all be "Mission Impossible" where everyone works hard, has fun, and knows that there is good chance that they will succeed. If you are ever lucky enough to work on such a project, you will know that sense of pride that comes from the eventual success. You will recognize a profound bond with the team that you worked with. Chances are it will change your life or at least your outlook on life. If you have not already read this book, get a copy and study it closely. It will help you survive and make the most out of your next Death March project.

  • Why not .NET-style delegates rather than closures in Java?

    OK, this is going to be my beating a dying horse for the 3rd time. However, this question is different from my earlier two about closures/delegates, which asks about plans for delegates and what are the projected specs and implementation for closures. This question is about - why is the Java community struggling to define 3 different types of closures when we could simply steal the whole concept of delegates lock, stock and barrel from our beloved and friendly neighbour - Microsoft. There are two non-technical conclusions I would be very tempted to jump into: The Java community should hold up its pride, at the cost of needing to go thro convoluted efforts, by not succumbing to borrowing any Microsoft concepts or otherwise vindicate Microsoft's brilliance. Delegates is a Microsoft patented technology. Alright, besides the above two possibilities, Q1. Is there any weakness or inadequacy in msft-styled delegates that the three (or more) forms of closures would be addressing? Q2. I am asking this while shifting between java and c# and it intrigues me that c# delegates does exactly what I needed. Are there features that would be implemented in closures that are not currently available in C# delegates? If so what are they because I cannot see what I need more than what C# delegates has adequately provided me? Q3. I know that one of the concerns about implementing closures/delegates in java is the reduction of orthogonality of the language, where more than one way is exposed to perform a particular task. Is it worth the level convolution and time spent to avoid delegates just to ensure java retains its level of orthogonality? In SQL, we know that it is advisable to break orthogonality by frequently adequately satisfying only the 2nd normal form. Why can't java be subjected to reduction of orthogonality and OO-ness for the sake of simplicity? Q4. The architecture of JVM is technically constrained from implementing .NET-styled delegates. If this reason WERE (subjunctive to emphasize unlikelihood) true, then why can't the three closures proposals be hidden behind a simple delegate keyword or annotation: if we don't like to use @delegate, we could use @method. I cannot see how delegate statement format is more complex than the three closure proposals.

Properties would be the configuration element, and log section would be the configuration element collection.   • Why We Should Learn to Stop Worrying and Love Millennials

    By Christine Mellon Much is said and written about the new generations of employees entering our workforce, as though they are a strange specimen, a mysterious life form to be “figured out,” accommodated and engaged – at a safe distance, of course.  At its worst, this talk takes a critical and disapproving tone, with baby boomer employees adamantly refusing to validate this new breed of worker, let alone determine how to help them succeed and achieve their potential.   The irony of our baby-boomer resentments and suspicions is that they belie the fact that we created the very vision that younger employees are striving to achieve.  From our frustrations with empty careers that did not fulfill us, from our opposition to “the man,” from our sharp memories of our parents’ toiling for 30 years just for the right to retire, from the simple desire not to live our lives in a state of invisibility, came the seeds of hope for something better. One characteristic of Millennial workers that grew from these seeds is the desire to experience as much as possible.  They are the “Experiential Employee”, with a passion for growing in diverse ways and expanding personal and professional horizons.  Rather than rooting themselves in a single company for a career, or even in a single career path, these employees are committed to building a broad portfolio of experiences and capabilities that will enable them to make a difference and to leave a mark of significance in the world.  How much richer is the organization that nurtures and leverages this inclination?  Our curmudgeonly ways must be surrendered and our focus redirected toward building the next generation of talent ecosystems, if we are to optimize what future generations have to offer.   Accelerating Professional Development In spite of our Boomer grumblings about Millennials’ “unrealistic” expectations, the truth is that we have a well-matched set of circumstances.  We have executives-in-waiting who want to learn quickly and a concurrent, urgent need to ramp up their development time, based on anticipated high levels of retirement in the next 10+ years.  Since we need to rapidly skill up these heirs to the corporate kingdom, isn’t it a fortunate coincidence that they are hungry to learn, develop and move fluidly throughout our organizations??  So our challenge now is to efficiently operationalize the wisdom we have acquired about effective learning and development.   We have already evolved from classroom-based models to diverse instructional methods.  The next step is to find the best approaches to help younger employees learn quickly and apply new learnings in an impactful way.   Creating temporary or even permanent functional partnerships among Millennial employees is one way to maximize outcomes.  This might take the form of 2 or more employees owning aspects of what once fell under a single role.  While one might argue this would mean duplication of resources, it could be a short term cost while employees come up to speed.  And the potential benefits would be numerous:  leveraging and validating the inherent sense of community of new generations, creating cross-functional skills with broad applicability, yielding additional perspectives and approaches to traditional work outcomes, and accelerating the performance curve for incumbents through Cooperative Learning (Johnson, D. and Johnson R., 1989, 1999).  This well-researched teaching strategy, where students support each other in the absorption and application of new information, has been shown to deliver faster, more efficient learning, and greater retention. Alternately, perhaps short term contracts with exiting retirees, or former retirees, to help facilitate the development of following generations may have merit.  Again, a short term cost, certainly.  However, the gains realized in shortening the learning curve, and strengthening engagement are substantial and lasting. Ultimately, there needs to be creative thinking applied for each organization on how to accelerate the capabilities of our future leaders in unique ways that mesh with current culture. The manner in which performance is evaluated must finally shift as well.  Employees will need to be assessed on how well they have developed key skills and capabilities vs. end-to-end mastery of functional positions they have no interest in keeping for an entire career. As we become more comfortable in placing greater and greater weight on competencies vs. tasks, we will realize increased organizational agility via this new generation of workers, which will be further enhanced by their natural flexibility and appetite for change. Revisiting Succession  For many years, organizations have failed to deliver desired succession planning outcomes.  According to CEB’s 2013 research, only 28% of current leaders were pre-identified in a succession plan. These disappointing results, along with the entrance of the experiential, Millennial employee into the workforce, may just provide the needed impetus for HR to reinvent succession processes.   We have recognized that the best professional development efforts are not always linear, and the time has come to fully adopt this philosophy in regard to succession as well.  Paths to specific organizational roles will not look the same for newer generations who seek out unique learning opportunities, without consideration of a singular career destination.  Rather than charting particular jobs as precursors for key positions, the experiences and skills behind what makes an incumbent successful must become essential in succession mapping.  And the multitude of ways in which those experiences and skills may be acquired must be factored into the process, along with the individual employee’s level of learning agility. While this may seem daunting, it is necessary and long overdue.  We have talked about the criticality of competency-based succession, however, we have not lived up to our own rhetoric.  Many Boomers have experienced the same frustration in our careers; knowing we are capable of shining in a particular role, but being denied the opportunity due to how our career history lined up, on paper, with documented job requirements.  These requirements usually emphasized past jobs/titles and specific tasks, versus capabilities, drive and willingness (let alone determination) to learn new things.  How satisfying would it be for us to leave a legacy where such narrow thinking no longer applies and potential is amplified? Realizing Diversity Another bloom from the seeds we Boomers have tried to plant over the past decades is a completely evolved view of diversity.  Millennial employees assume a diverse workforce, and are startled by anything less.  Their social tolerance, nurtured by wide and diverse networks, is unprecedented.  College graduates expect a similar landscape in the “real world” to what they experienced throughout their lives.  They appreciate and seek out divergent points of view and experiences without needing any persuasion.  The face of our U.S. workforce will likely see dramatic change as Millennials apply their fresh take on hiring and building strong teams, with an inherent sense of inclusion.  This wonderful aspect of the Millennial wave should be celebrated and strongly encouraged, as it is the fulfillment of our own aspirations. Future Perfect The Experiential Employee is operating more as a free agent than a long term player, and their commitment will essentially last as long as meaningful organizational culture and personal/professional opportunities keep their interest.  As Boomers, we have laid the foundation for this new, spirited employment attitude, and we should take pride in knowing that.  Generations to come will challenge organizations to excel in how they identify, manage and nurture talent.   • Effectiveness and Efficiency

    In the professional environment, i.e. at work, I am always seeking personal growth and to be challenged. The result is that my assignments, my work list, my tasks, my goals, my commitments, my [insert whatever word resonates with you] keep growing (in scope and desired impact). Which in turn means I have to keep finding new ways to deliver more value, while not falling into the trap of working more hours. To do that I continuously evaluate both my effectiveness and my efficiency. EFFECTIVENESS The first thing I check is my effectiveness: Am I doing the right things? Am I focusing too much on unimportant things? Am I spending more time doing stuff that is important to my team/org/division/business/company, or am I spending it on stuff that is important to me and that I enjoy doing? Am I valuing activities that maybe I have outgrown and should be delegated to others who are at a stage I have surpassed (in Microsoft speak: is the work I am doing level appropriate or am I still operating at the previous level)? Notice how the answers to those questions change over time and due to certain events, so I have to remind myself to revisit them frequently. Events that force me to re-examine them are: change of role, change of team/org/etc, change of direction of team/org/etc, re-org, new hires on the team that take on some of the work I did, personal promotion, change of manager... and if none of those events has occurred since the last annual review, I ask myself those at each annual review anyway. If you think you are not being effective at work, make a list of the stuff that you do and start tracking where your time goes. In parallel, have a discussion with your manager about where they think your time should go. Ultimately your time is finite and hence it is your most precious investment, don't waste it. If your management doesn't value as highly what you spend your time on, then either convince your management, or stop spending your time on it, or find different management: Lead, Follow, or get out of the way! That's my view on effectiveness. You have to fix that before moving to being efficient, or you may end up being very efficient at stuff that nobody wants you to be doing in the first place. For example, you may be spending your time writing blog posts and becoming better and faster at it all the time. If your manager thinks that is not even part of your job description, you are wasting your time to satisfy your inner desires. Nobody can help you with your effectiveness other than your management chain and your management peers - they are the judges of it. EFFICIENCY The second thing I check is my efficiency: Am I doing things right? For me, doing things right means that I deliver the same quality of work faster [than what I used to, and than my peers, and than expected of me]. The result is that I can achieve more [than what I used to, and than my peers, and than expected of me]. Notice how the efficiency goal is a more portable one. If, by whatever criteria, you think you are the best at [insert your own skill here], this can change at two events: because you have new colleagues (who are potentially better than your older ones), and it can change with a change of manager (who has potentially higher expectations). That's about it. Once you are efficient at something, you carry that with you... All you need to really be doing here is, when taking on new kinds of work that you haven't done before, try a few approaches and devise a system so that you can become efficient at this new activity too... Just keep "collecting" stuff that you are efficient at. If you think you are not being efficient at something, break it down: What are the steps you take to complete that task? How long do you spend on each step? Talk to others about what steps they take, to see if you can optimize some steps away or trade them for better steps, or just learn how to complete a step faster. Have a system for every task you take so that you can have repeatable success. That's my view on efficiency. You have to fix it so that you can free up time to do more. When you plan a route from A to B - all else being equal - you try to get there as fast as possible so why would you not want to do that with your everyday work? For example, imagine you are inefficient at processing email: You spend more time than necessary dealing with email, and you still end up with dropped email threads and with slower response times than others. How can you improve? Talk to someone that you think is good at this, understand their system (e.g. here is my email processing system) and come up with one that works for you. Parting Thoughts Are you considered, by your colleagues and manager, an effective and efficient person at your workplace? If you are, what would you change if you were asked by your management to do the job of two people? Seriously, think about that! Your immediate reaction may be "that is not possible", but it actually is. You just have to re-assess what things that were previously important will now stop being important, by discussing them with your management and reaching agreement on relative priorities. For example, stuff that was previously on your plate may now have to be delegated or dropped. Where you thought you were efficient, maybe now you have to find an even faster path to completion, perhaps keeping in mind that Perfect is the Enemy of “Good Enough”. My personal experience (from both observing others and from my own reflection) is that when folks are struggling to keep up at work it is because of two reasons: They are investing energy in stuff that they enjoy doing which the business regards as having a lower priority than a lot of other things on their plate. They are completing tasks to a level of higher quality than what is required (due to personal pride) missing the big picture which almost always mandates completing three tasks at good enough quality than knocking only one of them out of the park while the other two come in late or not at all. There is a lot of content on the web, so I strongly encourage you to use your favorite search engine to read other views on effectiveness and efficiency (Bing, Google).   • Using DateTime in a SqlParameter for Stored Procedure, format error

    I'm trying to call a stored procedure (on a SQL 2005 server) from C#, .NET 2.0 using DateTime as a value to a SqlParameter. The SQL type in the stored procedure is 'datetime'. Executing the sproc from SQL Management Studio works fine. But everytime I call it from C# I get an error about the date format. When I run SQL Profiler to watch the calls, I then copy paste the exec call to see whats going on. These are my observations and notes about what I've attempted: 1) If I pass the DateTime in directly as a DateTime or converted to SqlDateTime, the field is surrounding by a PAIR of single quotes, such as @Date_Of_Birth=N''1/8/2009 8:06:17 PM'' 2) If I pass the DateTime in as a string, I only get the single quotes 3) Using SqlDateTime.ToSqlString() does not result in a UTC formatted datetime string (even after converting to universal time) 4) Using DateTime.ToString() does not result in a UTC formatted datetime string. 5) Manually setting the DbType for the SqlParameter to DateTime does not change the above observations. So, my questions then, is how on earth do I get C# to pass the properly formatted time in the SqlParameter? Surely this is a common use case, why is it so difficult to get working? I can't seem to convert DateTime to a string that is SQL compatable (e.g. '2009-01-08T08:22:45') EDIT RE: BFree, the code to actually execute the sproc is as follows: using (SqlCommand sprocCommand = new SqlCommand(sprocName)) { sprocCommand.Connection = transaction.Connection; sprocCommand.Transaction = transaction; sprocCommand.CommandType = System.Data.CommandType.StoredProcedure; sprocCommand.Parameters.AddRange(parameters.ToArray()); sprocCommand.ExecuteNonQuery(); } To go into more detail about what I have tried: parameters.Add(new SqlParameter("@Date_Of_Birth", DOB)); parameters.Add(new SqlParameter("@Date_Of_Birth", DOB.ToUniversalTime())); parameters.Add(new SqlParameter("@Date_Of_Birth", DOB.ToUniversalTime().ToString())); SqlParameter param = new SqlParameter("@Date_Of_Birth", System.Data.SqlDbType.DateTime); param.Value = DOB.ToUniversalTime(); parameters.Add(param); SqlParameter param = new SqlParameter("@Date_Of_Birth", SqlDbType.DateTime); param.Value = new SqlDateTime(DOB.ToUniversalTime()); parameters.Add(param); parameters.Add(new SqlParameter("@Date_Of_Birth", new SqlDateTime(DOB.ToUniversalTime()).ToSqlString())); Additional EDIT The one I thought most likely to work: SqlParameter param = new SqlParameter("@Date_Of_Birth", System.Data.SqlDbType.DateTime); param.Value = DOB; Results in this value in the exec call as seen in the SQL Profiler @Date_Of_Birth=''2009-01-08 15:08:21:813'' If I modify this to be @Date_Of_Birth='2009-01-08T15:08:21' It works, but it won't parse with pair of single quotes, and it wont convert to a datetime correctly with the space between the date and time and with the milliseconds on the end. Update and Success First and foremost, thank you everyone for the answers. I post this for the sake of completeness and accuracy on SO - because I certainly do not do it for my pride... I had copy/pasted the code above after the request from below. I trimmed things here and there to be concise. Turns out my problem was in the code I left out, which I'm sure any one of you would have spotted in an instant. I had wrapped my sproc calls inside a transaction. Turns out that I was simply not doing transaction.Commit()!!!!! I'm ashamed to say it, but there you have it. I still don't know what's going on with the syntax I get back from the profiler. A coworker watched with his own instance of the profiler from his computer, and it returned proper syntax. Watching the very SAME executions from my profiler showed the incorrect syntax. It acted as a red-herring, making me believe there was a query syntax problem instead of the much more simple and true answer, which was that I need to commit the transaction! I marked an answer below as correct, and threw in some up-votes on others because they did, after all, answer the question, even if they didn't fix my specific (brain lapse) issue.   • MVP Summit 2011 summary and thoughts: The &ldquo;I hope I don&rsquo;t cross a line and lose my MVP status&rdquo; post

    I've been wanting to write this post summarizing my thoughts about the MVP summit but have been dragging my feet since it's a very difficult one to write. However seeing Andy (http://forums.create.msdn.com/forums/t/77625.aspx) and Catalin (http://www.catalinzima.com/2011/03/mvp-summit-2011/) and Chris (http://geekswithblogs.net/cwilliams/archive/2011/03/07/144229.aspx) post about it has encouraged me to finally take the plunge. I'm going to have to write carefully though because I'm going to be dancing around a ton of NDA mine fields as well as having to walk the tight-rope of not sending the wrong message or having people read too much into what I'm saying. I want to note that most of what I'm about to say is just based on my observations, they're not thoughts that Microsoft has asked me to pass along and they're not things I heard Microsoft say. It's just me sharing what I think after going to the MVP summit. Let's start off with a short imaginary question and answer session.     Has the App Hub forums and XBLIG management been rather poor by Microsoft? Yes.     Do I think we're going to see changes to that overnight? No.     Will it continue to look bad from the outside? Somewhat. Confusing right? Well that's kind of how things are right now. Lots of confusion. XNA is doing AWESOME. Like, really, really awesome. As a result of that awesomeness, XNA is on three major platforms: Xbox 360, WP7 and PC. This means that internally Microsoft is really excited and invested in the technology. That's fantastic for XNA and really should show you the future the framework has. It's here to stay. So why are Xbox LIVE Indie Game developers feeling so much pain? The ironic thing is that pain is being caused by the success of XNA. When XNA was just a small thing, there was more freedom and more focus. It was just us and them. We were an only child. Now our family has grown and everyone has and wants some time with XNA. This gets XNA pulled in all directions and as it moves onto new platforms, it plays catch up trying to get those platforms up to speed to where Xbox LIVE Indie Games has grown. Forums, documentation, educational content. They all need to be there because Xbox LIVE Indie Games has all of that and more. Along with the catch up in features/documentation/awesomeness there's the catch up that the people on the team have to play. New platforms and new areas of development mean new players and those new guys don't have the history of being around from the beginning. This leads to a lack of understanding at times just how important some things are because they seem so small and insignificant (Rich Text defaulting for new forum profiles would be one things that jumps to mind). If you're not aware that the forums have become more than just a basic Q&A, if you're not aware that they're a central hub to a very active community, then you don't understand why that small change should be prioritized over something else. New people have to get caught up and figure out how to make a framework and central forum site work for everyone it's now serving. So yeah, a lot of our pain this last year has been simply that XNA is doing well and XBLIG is doing well so the focus was shifted to catch other things up. It hurts when a parent seems to not have any time for you and they're spending some much time with your new baby brother. Growing pains. All families and in our case our product family experience it to some degree. I think as WP7 matures we'll see the team figuring out how to give everyone the right amount of attention. While we're talking about some of our growing pains, it is also important to note (although not really an excuse) that the Xbox LIVE Arcade developers complain about many of the same things that we do. If you paid attention to talks and information coming out of GDC 2011, most of the the XBLA guys were saying things that sounded eerily similar to what the XBLIG developers are saying (Scott Nichols from GayGamer.net noticed http://twitter.com/#!/NaviFairyGG/status/43540379206811650). Does this mean we should just accept the status quo since we're being treated exactly the same? No way. However it DOES show that the way we're being treated is no indication of the stability and future of the platform, it's just Microsoft dropping the communication ball on two playing fields. We're not alone and we're not even being treated worse. Not great, but also in a weird way a very good sign. Now on to a few tidbits I think I CAN share from the summit (I'm really crossing my fingers I'm not stepping over some NDA line I shouldn't be). First, I discovered that the XBLIG user base is bigger than I personally had originally estimated. I won't give the exact numbers (although we did beg Microsoft to release some of these numbers so maybe someday?) but it was much larger than my original guestimates and I was pleasantly surprised. Maybe some of you guys had the right number when you were guessing, but I know that mine was much too low. And even MORE importantly the number of users/shoppers is growing at a steady pace as well. Our market is growing! That was fantastic news and really something that I had to share. On to the community manager discussion. It was mentioned. I was mentioned. I blushed. Nothing more to report there than the blush in my cheeks was a light crimson color. If I ever see a job description posted for that position I have a resume waiting in the wings. I can't deny that I think that would be my dream job... ...so after I finished blushing, the MVPs did make it very, very clear that the communication has to improve. Community manager or not the single biggest pain point with the Xbox LIVE Indie Game community has been a lack of communication. I have seen dramatic improvement in the team responding to MVPs and I'm even seeing more communication from them on the forums so I'm hoping that's a long term change. I really think they understood the issue, the problem remains how to open that communication channel in a way that was sustainable. I think they'll get it figured out and hopefully that's sooner rather than later. During the summit, you may have seen me tweeting about how I was "that guy" (http://twitter.com/#!/clingermangw/status/42740432471470081). You also may have noticed that Andy and Catalin both mentioned me in their summit write ups. I may have come on a bit strong while I was there...went a little out of character for myself. I've been agitated for a while with the way things have been and I've been listening to you guys and hearing you guys be agitated. I'm also watching some really awesome indie game developers looking elsewhere and leaving the platform. Some of them we might not have been able to keep even with changes, but others are only leaving because of perceptions and lack of communication from Microsoft. And that pisses me off. And I let Microsoft know that I was pissed off. You made your list and I took that list and verbalized it. I verbalized the hell out of it. [It was actually mentioned that I'm a lot nicer on the forums and in email than I am in person...I felt bad about that, but I couldn't stay silent]. Hopefully it did something guys, I really did try hard to get the message across. Along with my agitation, I also brought some pride. I mentioned several things in person to the team that I was particularly proud of. From people in the community that are doing an awesome job, to the re-launch of XboxIndies that was going on that week and even gamers like Steven Hurdle (http://writingsofmassdeduction.com/) who have purchased one XBLIG every day for over 100 days now. The community is freaking rocking it and I made sure to highlight that. So in conclusion, I'd just like to say hang in there (you know, like that picture of the cat). If you've been worried about investing in Xbox LIVE Indie Games because you think it's on shaky ground. It's not. Dream Build Play being about the Xbox 360 should have helped a little to point that out. The team is really scrambling around trying to figure things out and make improvements all around. There’s quite a few new gals and guys and it's going to take them time to catch up and there are a lot of constantly shifting priorities. We all have one toy, one team and we're fighting for time with it. It's also time for the community to continue spreading our wings and going out on our own more often. The Indie Game Winter Uprising was a fantastic example of that. We took things into our own hands and it got noticed and Microsoft got behind it. They do every time we stand up and do something (look at how many Microsoft employees tweeted, wrote about the re-launch of XboxIndies.com or the support I've gotten from them for my weekly XNA Notes). XNA is here to stay, it's time for us to stop being scared of that and figure out how to make our own games the successes they should be. There's definitely a list of things that need to be fixed, things that should be improved and I think we should definitely keep vocal about that with Microsoft. Keep it short, focused and prioritized. There's also a lot of things we can do ourselves while we're waiting on them to fix and change things. Lots of ways we can compensate for particular weaknesses in the channel. The kind of stuff that we can step up and do ourselves. Do it on our own, you know, the way Indies always do. And I'm really looking forward to watching us do just that.

  • Productivity Tips

    A few months ago during my first end of year review at Microsoft I was doing an assessment of my year.  One of my personal goals to come out of this reflection was to improve my personal productivity.  While I hear many people say “I wish I had more hours in the day so that I could get more done” I feel like that is the wrong approach.  There is an inherent assumption that you are being productive with your time that you already have and thus more time would allow you to be as productive given more time.    Instead of wishing I could add more hours to the day I’ve begun adopting a number of processes or behavior changes in my personal life to make better use of my time with the goal of improving productivity.  The areas of focus are as follows: Focus Processes Tools Personal health Email Note: A number of these topics have spawned from reading Scott Hanselman’s blog posts on productivity, reading of David Allen’s book Getting Things Done, and discussions with friends and coworkers who had great insights into this topic.   Focus Pre-reading / viewing: Overcome your work addiction Millennials paralyzed by choice Its Not What You Read Its What You Ignore (Scott Hanselman video)    I highly recommend Scott Hanselman’s video above and this post before continuing with this article.  It is well worth the 40+ mins price of admission for the video and couple minutes for article.  One key takeaway for me was listing out my activities in an average week and realizing which ones held little or no value to me.  We all have a finite amount of time to work each day.  Do you know how much time and effort you spend on various aspects of your life (family, friends, religion, work, personal happiness, etc.)?  Do your actions and commitments reflect your priorities?    The biggest time consumers with little value for me were time spent on social media services (Twitter and Facebook), playing an MMO video game, and watching TV.  I still check up on Facebook, Twitter, Microsoft internal chat forums, and other services to keep contact with others but I’ve reduced that time significantly.  As for TV I’ve cut the cord and no longer subscribe to cable TV.  Instead I use Netflix, RedBox, and over the air channels but again with reduced time consumption.  With the time I’ve freed up I’m back to working out 2-3 times a week and reading 4 nights a week (both of which I had been neglecting previously).  I’ll mention a few tools for helping measure your time in the Tools section.   Processes    Do not multi-task.  I’ll say it again.  Do not multi-task.  There is no such thing as multi tasking.  The human brain is optimized to work on one thing at a time.  When you are “multi-tasking” you are really doing 2 or more things at less than 100%, usually by a wide margin.  I take pride in my work and when I’m doing something less than 100% the results typically degrade rapidly.    Now there are some ways of bending the rules of physics for this one.  There is the notion of getting a double amount of work done in the same timeframe.  Some examples would be listening to podcasts / watching a movie while working out, using a treadmill as your work desk, or reading while in the bathroom.    Personally I’ve found good results in combining one task that does not require focus (making dinner, playing certain video games, working out) and one task that does (watching a movie, listening to podcasts).  I believe this is related to me being a visual and kinesthetic (using my hands or actually doing it) learner.  I’m terrible with auditory learning.  My fiance and I joke that sometimes we talk and talk to each other but never really hear each other.   Goals / Tasks    Goals can give us direction in life and a sense of accomplishment when we complete them.  Goals can also overwhelm us and give us a sense of failure when we don’t complete them.  I propose that you shift your perspective and not dwell on all of the things that you haven’t gotten done, but focus instead on regularly setting measureable goals that are within reason of accomplishing.    At the end of each time frame have a retrospective to review your progress.  Do not feel guilty about what you did not accomplish.  Feel proud of what you did accomplish and readjust your goals for the next time frame to more attainable goals.  Here is a sample schedule I’ve seen proposed by some.  I have not consistently set goals for each timeframe, but I do typically set 3 small goals a day (this blog post is #2 for today). Each day set 3 small goals Each week set 3 medium goals Each month set 1 large goal Each year set 2 very large goals   Tools    Tools are an extension of our human body.  They help us extend beyond what we can physically and mentally do.  Below are some tools I use almost daily or have found useful as of late. Disclaimer: I am not getting endorsed to promote any of these products.  I just happen to like them and find them useful. Instapaper – Save internet links for reading later.  There are many tools like this but I’ve found this to be a great one.  There is even a “read it later” JavaScript button you can add to your browser so when you navigate to a site it will then add this to your list. Stacks for Instapaper – A Windows Phone 7 app for reading my Instapaper articles on the go.  It does require a subscription to Instapaper (nominal $3 every three months) but is easily worth the cost.  Alternatively you can set up your Kindle to sync with Instapaper easily but I haven’t done so. SlapDash Podcast – Apps for Windows Phone and  Windows 8 (possibly other platforms) to sync podcast viewing / listening across multiple devices.  Now that I have my Surface RT device (which I love) this is making my consumption easier to manage. Feed Reader – Simple Windows 8 app for quickly catching up on my RSS feeds.  I used to have hundreds of unread items all the time.  Now I’m down to 20-50 regularly and it is much easier and faster to consume on my Surface RT.  There is also a free version (which I use) and I can’t see much different between the free and paid versions currently. Rescue Time – Have you ever wondered how much time you’ve spent on websites vs. email vs. “doing work”?  This service tracks your computer actions and then lets you report on them.  This can help you quantitatively identify areas where your actions are not in line with your priorities. PowerShell – Windows automation tool.  It is now built into every client and server OS.  This tool has saved me days (and I mean the full 24 hrs worth) of time and effort in the past year alone.  If you haven’t started learning PowerShell and you administrating any Windows OS or server product you need to start today. Various blogging tools – I wrote a post a couple years ago called How I Blog about my blogging process and tools used.  Almost all of it still applies today.   Personal Health    Some of these may be common sense or debatable, but I’ve found them to help prioritize my daily activities. Get plenty of sleep on a regular basis.  Sacrificing sleep too many nights a week negatively impacts your cognition, attitude, and overall health. Exercise at least three days.  Exercise could be lifting weights, taking the stairs up multiple flights of stairs, walking for 20 mins, or a number of other "non-traditional” activities.  I find that regular exercise helps with sleep and improves my overall attitude. Eat a well balanced diet.  Too much sugar, caffeine, junk food, etc. are not good for your body.  This is not a matter of losing weight but taking care of your body and helping you perform at your peak potential.   Email    Email can be one of the biggest time consumers (i.e. waster) if you aren’t careful. Time box your email usage.  Set a meeting invite for yourself if necessary to limit how much time you spend checking email. Use rules to prioritize your email.  Email from external customers, my manager, or include me directly on the To line go into my inbox.  Everything else goes a level down and I have 30+ rules to further sort it, mostly distribution lists. Use keyboard shortcuts (when available).  I use Outlook for my primary email and am constantly hitting Alt + S to send, Ctrl + 1 for my inbox, Ctrl + 2 for my calendar, Space / Tab / Shift + Tab to mark items as read, and a number of other useful commands.  Learn them and you’ll see your speed getting through emails increase.   • Masters vs. PhD - long [closed]

    I'm 21 years old and a first year master's computer science student. Whether or not to continue with my PhD has been plaguing me for the past few months. I can't stop thinking about it and am extremely torn on the issue. I have read http://www.cs.unc.edu/~azuma/hitch4.html and many, many other masters vs phd articles on the web. Unfortunately, I have not yet come to a conclusion. I was hoping that I could post my ideas about the issue on here in hopes to 1) get some extra insight on the issue and 2) make sure that I am correct in my assumptions. Hopefully having people who have experience in the respective fields can tell me if I am wrong so I don't make my decision based on false ideas. Okay, to get this topic out of the way - money. Money isn't the most important thing to me, but it is still important. It's always been a goal of mine to make 6 figures, but I realize that will probably take me a long time with either path. According to most online salary calculating sites, the average starting salary for a software engineer is ~60-70k. The PhD program here is 5 years, so that's about 300k I am missing out on by not going into the workforce with a masters. I have only ever had ~1k at one time in my life so 300k is something I can't even really accurately imagine. I know that I wouldn't have at once obviously, but just to know I would be earning that is kinda crazy to me. I feel like I would be living quite comfortably by the time I'm 30 years old (but risk being too content too soon). I would definitely love to have at least a few years of my 20s to spend with that kind of money before I have a family to spend it all on. I haven't grown up very financially stable so it would be so nice to just spend some money…get a nice car, buy a new guitar or two, eat some good food, and just be financially comfortable. I have always felt like I deserved to make good money in my life, even as a kid growing up, and I just want to have it be a reality. I know that either path I take will make good money by the time I'm ~40-45 years old, but I guess I'm just sick of not making money and am getting impatient about it. However, a big idea pushing me towards a PhD is that I feel the masters path would give me a feeling of selling out if I have the capability to solve real questions in the computer science world. (pretty straight-forward - not much to elaborate on, but this is a big deal) Now onto other aspects of the decision. I originally got into computer science because of programming. I started in high school and knew very soon that it was what I wanted to do for a career. I feel like getting a masters and being a software engineer in the industry gives me much more time to program in my career. In research, I feel like I would spend more time reading, writing, trying to get grant money, etc than I would coding. A guy I work with in the lab just recently published a paper. He showed it to me and I was shocked by it. The first two pages was littered with equations and formulas. Then the next page or so was followed by more equations and formulas that he derived from the previous ones. That was his work - breaking down and creating all of these formulas for robotic arm movement. And whenever I read computer science papers, they all seem to follow this pattern. I always pictured myself coding all day long…not proving equations and things of that nature. I know that's only one part of computer science research, but that part bores me. A couple cons on each side - Phd - I don't really enjoy writing or feel like I'm that great at technical writing. Whenever I'm in groups to make something, I'm always the one who does the large majority of the work and then give it to my team members to write up a report. Presenting is different though - I don't mind presenting at all as long as I have a good grasp on what I am presenting. But writing papers seems like such a chore to me. And because of this, the "publish or perish" phrase really turns me off from research. Another bad thing - I feel like if I am doing research, most of it would be done alone. I work best in small groups. I like to have at least one person to bounce ideas off of when I am brainstorming. The idea of being a part of some small elite group to build things sounds ideal to me. So being able to work in small groups for the majority of my career is a definite plus. I don't feel like I can get this doing research. Masters - I read a lot online that most people come in as engineers and eventually move into management positions. As of now, I don't see myself wanting to be a part of management. Lets say my company wanted to make some new product or system - I would get much more pride, enjoyment, and overall satisfaction to say "I made this" rather than "I managed a group of people that made this." I want to be a big part of the development process. I want to make things. I think it would be great to be more specialized than other people. I would rather know everything about something than something about everything. I always have been that way - was a great pitcher during my baseball years, but not so good at everything else, great at certain classes in school, but not so good at others, etc. To think that my career would be the same way sounds okay to me. Getting a PhD would point me in this direction. It would be great to be some guy who is someone that people look towards and come to ask for help because of being such an important contributor to a very specific field, such as artificial neural networks or robotic haptic perception. From what I gather about the software industry, being specialized can be a very bad thing because of the speed of the new technology. I When it comes to being employed, I have pretty conservative views. I don't want to change companies every 5 years. Maybe this is something everyone wishes, but I would love to just be an important person in one company for 10+ (maybe 20-25+ if I'm lucky!) years if the working conditions were acceptable. I feel like that is more possible as a PhD though, being a professor or researcher. The more I read about people in the software industry, the more it seems like most software engineers bounce from company to company at rapid paces. Some even work like a hired gun from project to project which is NOT what I want AT ALL. But finding a place to make great and important software would be great if that actually happens in the real world. I'm a very competitive person. I thrive on competition. I don't really know why, but I have always been that way even as a kid growing up. Competition always gave me a reason to practice that little extra every night, always push my limits, etc. It seems to me like there is no competition in the research world. It seems like everyone is very relaxed as long as research is being conducted. The only competition is if someone is researching the same thing as you and its whoever can finish and publish first (but everyone seems to careful to check that circumstance). The only noticeable competition to me is just with yourself and your own discipline. I like the idea that in the industry, there is real competition between companies to put out the best product or be put out of business. I feel like this would constantly be pushing me to be better at what I do. One thing that is really pushing me towards a PhD is the lifetime of the things you make. I feel like if you make something truly innovative in the industry…just some really great new application or system…there is a shelf-life of about 5-10 years before someone just does it faster and more efficiently. But with research work, you could create an idea or algorithm that last decades. For instance, the A* search algorithm was described in 1968 and is still widely used today. That is amazing to me. In the words of Palahniuk, "The goal isn't to live forever, its to create something that will." Over anything, I just want to do something that matters. I want my work to help and progress society. Seriously, if I'm stuck programming GUIs for the next 40 years…I might shoot myself in the face. But then again, I hate the idea that less than 1% of the population will come into contact with my work and even less understand its importance.   • Project Management Helps AmeriCares Deliver International Aid

On a mission to restore health and save lives during times of disaster, the nonprofit international relief and humanitarian aid organization delivers donated medicines, medical supplies, and humanitarian aid to people in the U.S. and around the globe. Founded in 1982 with the express mission of responding as quickly and efficiently as possible to help people in need, the Stamford, Connecticut-based AmeriCares has delivered more than US$10.5 billion in aid to 147 countries over the past three decades. Launch the Slideshow “It’s critically important to us that we steward all the donations and that the medical supplies and medicines get to people as quickly as possible with no loss,” says Kate Sears, senior vice president for finance and technology at AmeriCares. “Whether we’re shipping IV solutions to victims of cholera in Haiti or antibiotics to Somali famine victims, we need to get the medicines there sooner because it means more people will be helped and lives improved or even saved.” Ten years ago, the tracking systems used by AmeriCares associates were paper-based. In recent years, staff started using spreadsheets, but the tracking processes were not standardized between teams. “Every team was tracking completely different information,” says Megan McDermott, senior associate, Sub-Saharan Africa partnerships, at AmeriCares. “It was just a few key things. For example, we tracked the date a shipment was supposed to arrive and the date we got reports from our partner that a hospital received aid on their end.” While the data was accurate, much detail was being lost in the process. AmeriCares management knew it could do a better job of tracking this enterprise data and in 2011 took a significant step by implementing Oracle’s Primavera P6 Professional Project Management. “It’s a comprehensive solution that has helped us improve the monitoring and controlling processes. It has allowed us to do our distribution better,” says Sears. In addition, the implementation effort has been a change agent, helping AmeriCares leadership rethink project management across the entire organization. Initially, much of the focus was on standardizing processes, but staff members also learned the importance of thinking proactively to prevent possible problems and evaluating results to determine if goals and objectives are truly being met. Such data about process efficiency and overall results is critical not only to AmeriCares staff but also to the donors supporting the organization’s life-saving missions. Efficiency Saves Lives One of AmeriCares’ core operations is to gather product donations from the private sector, establish where the most-urgent needs are, and solicit monetary support to send the aid via ocean cargo or airlift to welfare- and health-oriented nongovernmental organizations, hospitals, health networks, and government ministries based in areas in need. In 2011 alone, AmeriCares sent more than 3,500 shipments to 95 countries in response to both ongoing humanitarian needs and more than two dozen emergencies, including deadly tornadoes and storms in the U.S. and the devastating tsunami in Japan. When it comes to nonprofits in general, donors want to know that the charitable organizations they support are using funds wisely. Typically, nonprofits are evaluated by donors in terms of efficiency, an area where AmeriCares has an excellent reputation: 98 percent of expenses go directly to supporting programs and less than 2 percent represent administrative and fundraising costs. Donors, however, should look at more than simple efficiency, says Peter York, senior partner and chief research and learning officer at TCC Group, a nonprofit consultancy headquartered in New York, New York. They should also look at whether organizations have the systems in place to sustain their missions and continue to thrive. An expert on nonprofit organizational management, York has spent years studying sustainable charitable organizations. He defines them as nonprofits that are able to achieve the ongoing financial support to stay relevant and continue doing core mission work. In his analysis of well over 2,500 larger nonprofits, York has found that many are not sustaining, and are actually scaling back in size. “One of the biggest challenges of nonprofit sustainability is the general public’s perception that every dollar donated has to go only to the delivery of service,” says York. “What our data shows is that there are some fundamental capacities that have to be there in order for organizations to sustain and grow.” York’s research highlights the importance of data-driven leadership at successful nonprofits. “You’ve got to have the tools, the systems, and the technologies to get objective information on what you do, the people you serve, and the results you’re achieving,” says York. “If leaders don’t have the knowledge and the data, they can’t make the strategic decisions about programs to take organizations to the next level.” Historically, AmeriCares associates have used time-tested and cost-effective strategies to ship and then track supplies from donation to delivery to their destinations in designated time frames. When disaster strikes, AmeriCares ships by air and generally pulls out all the stops to deliver the most urgently needed aid within the first few days and weeks. Then, as situations stabilize, AmeriCares turns to delivering sea containers for the postemergency and ongoing aid so often needed over the long term. According to McDermott, getting a shipment out the door is fairly complicated, requiring as many as five different AmeriCares teams collaborating together. The entire process can take months—from when products are received in the warehouse and deciding which recipients to allocate supplies to, to getting customs and governmental approvals in place, actually shipping products, and finally ensuring that the products are received in-country. Delivering that aid is no small affair. “Our volume exceeds half a billion dollars a year worth of donated medicines and medical supplies, so it’s a sizable logistical operation to bring these products in and get them out to the right place quickly to have the most impact,” says Sears. “We really pride ourselves on our controls and efficiencies.” Adding to that complexity is the fact that the longer it takes to deliver aid, the more dire the human need can be. Any time AmeriCares associates can shave off the complicated aid delivery process can translate into lives saved. “It’s really being able to track information consistently that will help us to see where are the bottlenecks and where can we work on improving our processes,” says McDermott. Setting a Standard Productivity and information management improvements were key objectives for AmeriCares when staff began the process of implementing Oracle’s Primavera solution. But before configuring the software, the staff needed to take the time to analyze the systems already in place. According to Greg Loop, manager of database systems at AmeriCares, the organization received guidance from several consultants, including Rich D’Addario, consulting project manager in the Primavera Global Business Unit at Oracle, who was instrumental in shepherding the critical requirements-gathering phase. D’Addario encouraged staff to begin documenting shipping processes by considering the order in which activities occur and which ones are dependent on others to get accomplished. This exercise helped everyone realize that to be more efficient, they needed to keep track of shipments in a more standard way. “The staff didn’t recognize formal project management methodology,” says D’Addario. “But they did understand what the most important things are and that if they go wrong, an entire project can go off course.” Before, if a boatload of supplies was being sent to Haiti and there was a problem somewhere, a lot of time was taken up finding out where the problem was—because staff was not tracking things in a standard way. As a result, even more time was needed to find possible solutions to the problem and alert recipients that the aid might be delayed. “For everyone to put on the project manager hat and standardize the way every single thing is done means that now the whole organization is on the same page as to what needs to occur from the time a hurricane hits Haiti and when a boat pulls in to unload supplies,” says D’Addario. With so much care taken to put a process foundation firmly in place, configuring the Primavera solution was actually quite simple. Specific templates were set up for different types of shipments, and dashboards were implemented to provide executives with clear overviews of every project in the system. AmeriCares’ Loop reports that system planning, refining, and testing, followed by writing up documentation and training, took approximately four months. The system went live in spring 2011 at AmeriCares’ Connecticut headquarters. While the nonprofit has an international presence, with warehouses in Europe and offices in Haiti, India, Japan, and Sri Lanka, most donated medicines come from U.S. entities and are shipped from the U.S. out to the rest of the world. In addition, all shipments are tracked from the U.S. office. AmeriCares doesn’t expect the Primavera system to take months off the shipping time, especially for sea containers. However, any time saved is still important because it will allow aid to be delivered to people more quickly at a lower overall cost. “If we can trim a day or two here or there, that can translate into lives that we’re saving, especially in emergency situations,” says Sears. A Cultural Change Beyond the measurable benefits that come with IT-driven process improvement, AmeriCares management is seeing a change in culture as a result of the Primavera project. One change has been treating every shipment of aid as a project, and everyone involved with facilitating shipments as a project manager. “This is a revolutionary concept for us,” says McDermott. “Before, we were used to thinking we were doing logistics—getting a container from point A to point B without looking at it as one project and really understanding what it meant to manage it.” AmeriCares staff is also happy to report that collaboration within the organization is much more efficient. When someone creates a shipment in the Primavera system, the same shared template is used, which means anyone can log in to the system to see the status of a shipment. Knowledgeable staff can access a shipment project to help troubleshoot a problem. Management can easily check the status of projects across the organization. “Dashboards are really useful,” says McDermott. “Instead of going into the details of each project, you can just see the high-level real-time information at a glance.” The new system is helping team members focus on proactively managing shipments rather than simply reacting when problems occur. For example, when a container is shipped, documents must be included for customs clearance. Now, the shipping template has built-in reminders to prompt team members to ask for copies of these documents from freight forwarders and to follow up with partners to discover if a shipment is on time. In the past, staff may not have worked on securing these documents until they’d been notified a shipment had arrived in-country. Another benefit of capturing and adopting best practices within the Primavera system is that staff training is easier. “Capturing the processes in documented steps and milestones allows us to teach new staff members how to do their jobs faster,” says Sears. “It provides them with the knowledge of their predecessors so they don’t have to keep reinventing the wheel.” With the Primavera system already generating positive results, management is eager to take advantage of advanced capabilities. Loop is working on integrating the company’s proprietary inventory management system with the Primavera system so that when logistics or warehousing operators input data, the information will automatically go into the Primavera system. In the past, this information had to be manually keyed into spreadsheets, often leading to errors. Mining Historical Data Another feature on the horizon for AmeriCares is utilizing Primavera P6 Professional Project Management reporting capabilities. As the system begins to include more historical data, management soon will be able to draw on this information to conduct analysis that has not been possible before and create customized reports. For example, at the beginning of the shipment process, staff will be able to use historical data to more accurately estimate how long the approval process should take for a particular country. This could help ensure that food and medicine with limited shelf lives do not get stuck in customs or used beyond their expiration dates. The historical data in the Primavera system will also help AmeriCares with better planning year to year. The nonprofit’s staff has always put together a plan at the beginning of the year, but this has been very challenging simply because it is impossible to predict disasters. Now, management will be able to look at historical data and see trends and statistics as they set current objectives and prepare for future need. In addition, this historical data will provide AmeriCares management with the ability to review year-end data and compare actual project results with goals set at the beginning of the year—to see if desired outcomes were achieved and if there are areas that need improvement. It’s this type of information that is so valuable to donors. And, according to York, project management software can play a critical role in generating the data to help nonprofits sustain and grow. “It is important to invest in systems to help replicate, expand, and deliver services,” says York. “Project management software can help because it encourages nonprofits to examine program or service changes and how to manage moving forward.” Sears believes that AmeriCares donors will support the return on investment the organization will achieve with the Primavera solution. “It won’t be financial returns, but rather how many more people we can help for a given dollar or how much more quickly we can respond to a need,” says Sears. “I think donors are receptive to such arguments.” And for AmeriCares, it is all about the future and increasing results. The project management environment currently may be quite simple, but IT staff plans to expand the complexity and functionality as the organization grows in its knowledge of project management and the goals it wants to achieve. “As we use the system over time, we’ll continue to refine our best practices and accumulate more data,” says Sears. “It will advance our ability to make better data-driven decisions.”

  • .NET Code Evolution

Most of the code is quite good and some is even a masterpiece. And there is also code which makes you think WTF… oh it was written by me. Hm not so bad after all. There are many excuses reasons for bad code. Most often it is time pressure followed by not enough ambition (who cares) or insufficient training. Normally I do care about code quality quite a lot which makes me a (perceived) slow worker who does write many tests and refines the code quite a lot because of the design deficiencies. Most of the deficiencies I do find by putting my design under stress while checking for invariants. It does also help a lot to step into the code with a debugger (sometimes also Windbg). I do this much more often when my tests are red. That way I do get a much better understanding what my code really does and not what I think it should be doing. This time I do want to show you how code can evolve over the years with different .NET Framework versions. Once there was  time where .NET 1.1 was new and many C++ programmers did switch over to get rid of not initialized pointers and memory leaks. There were also nice new data structures available such as the Hashtable which is fast lookup table with O(1) time complexity. All was good and much code was written since then. At 2005 a new version of the .NET Framework did arrive which did bring many new things like generics and new data structures. The “old” fashioned way of Hashtable were coming to an end and everyone used the new Dictionary<xx,xx> type instead which was type safe and faster because the object to type conversion (aka boxing) was no longer necessary. I think 95% of all Hashtables and dictionaries use string as key. Often it is convenient to ignore casing to make it easy to look up values which the user did enter. An often followed route is to convert the string to upper case before putting it into the Hashtable. Hashtable Table = new Hashtable(); void Add(string key, string value) { Table.Add(key.ToUpper(), value); } This is valid and working code but it has problems. First we can pass to the Hashtable a custom IEqualityComparer to do the string matching case insensitive. Second we can switch over to the now also old Dictionary type to become a little faster and we can keep the the original keys (not upper cased) in the dictionary. Dictionary<string, string> DictTable = new Dictionary<string, string>(StringComparer.OrdinalIgnoreCase); void AddDict(string key, string value) { DictTable.Add(key, value); } Many people do not user the other ctors of Dictionary because they do shy away from the overhead of writing their own comparer. They do not know that .NET has for strings already predefined comparers at hand which you can directly use. Today in the many core area we do use threads all over the place. Sometimes things break in subtle ways but most of the time it is sufficient to place a lock around the offender. Threading has become so mainstream that it may sound weird that in the year 2000 some guy got a huge incentive for the idea to reduce the time to process calibration data from 12 hours to 6 hours by using two threads on a dual core machine. Threading does make it easy to become faster at the expense of correctness. Correct and scalable multithreading can be arbitrarily hard to achieve depending on the problem you are trying to solve. Lets suppose we want to process millions of items with two threads and count the processed items processed by all threads. A typical beginners code might look like this: int Counter; void IJustLearnedToUseThreads() { var t1 = new Thread(ThreadWorkMethod); t1.Start(); var t2 = new Thread(ThreadWorkMethod); t2.Start(); t1.Join(); t2.Join(); if (Counter != 2 * Increments) throw new Exception("Hmm " + Counter + " != " + 2 * Increments); } const int Increments = 10 * 1000 * 1000; void ThreadWorkMethod() { for (int i = 0; i < Increments; i++) { Counter++; } } It does throw an exception with the message e.g. “Hmm 10.222.287 != 20.000.000” and does never finish. The code does fail because the assumption that Counter++ is an atomic operation is wrong. The ++ operator is just a shortcut for Counter = Counter + 1 This does involve reading the counter from a memory location into the CPU, incrementing value on the CPU and writing the new value back to the memory location. When we do look at the generated assembly code we will see only inc dword ptr [ecx+10h] which is only one instruction. Yes it is one instruction but it is not atomic. All modern CPUs have several layers of caches (L1,L2,L3) which try to hide the fact how slow actual main memory accesses are. Since cache is just another word for redundant copy it can happen that one CPU does read a value from main memory into the cache, modifies it and write it back to the main memory. The problem is that at least the L1 cache is not shared between CPUs so it can happen that one CPU does make changes to values which did change in meantime in the main memory. From the exception you can see we did increment the value 20 million times but half of the changes were lost because we did overwrite the already changed value from the other thread. It does give the expected result but it can result in deadlocks because you do lock on this. This is in general a bad idea since it can lead to deadlocks when other threads use your class instance as lock object. It is therefore recommended to create a private object as lock object to ensure that nobody else can lock your lock object. When you read more about threading you will read about lock free algorithms. They are nice and can improve performance quite a lot but you need to pay close attention to the CLR memory model. It does make quite weak guarantees in general but it can still work because your CPU architecture does give you more invariants than the CLR memory model. For a simple counter there is an easy lock free alternative present with the Interlocked class in .NET. As a general rule you should not try to write lock free algos since most likely you will fail to get it right on all CPU architectures. void Experienced() { var time = Stopwatch.StartNew(); Task t1 = Task.Factory.StartNew(ThreadWorkMethod_Experienced); Task t2 = Task.Factory.StartNew(ThreadWorkMethod_Experienced); t1.Wait(); t2.Wait(); if (Counter != 2 * Increments) throw new Exception(String.Format("Hmm {0:N0} != {1:N0}", Counter, 2 * Increments)); Console.WriteLine("Experienced did take: {0:F1}s", time.Elapsed.TotalSeconds); } void ThreadWorkMethod_Experienced() { for (int i = 0; i < Increments; i++) { Interlocked.Increment(ref Counter); } } Since time does move forward we do not use threads explicitly anymore but the much nicer Task abstraction which was introduced with .NET 4 at 2010. It is educational to look at the generated assembly code. The Interlocked.Increment method must be called which does wondrous things right? Lets see: lock inc dword ptr [eax] The first thing to note that there is no method call at all. Why? Because the JIT compiler does know very well about CPU intrinsic functions. Atomic operations which do lock the memory bus to prevent other processors to read stale values are such things. Second: This is the same increment call prefixed with a lock instruction. The only reason for the existence of the Interlocked class is that the JIT compiler can compile it to the matching CPU intrinsic functions which can not only increment by one but can also do an add, exchange and a combined compare and exchange operation. But be warned that the correct usage of its methods can be tricky. If you try to be clever and look a the generated IL code and try to reason about its efficiency you will fail. Only the generated machine code counts. Is this the best code we can write? Perhaps. It is nice and clean. But can we make it any faster? Lets see how good we are doing currently. But if you simply use simply an integer array of two items, one for each core and add the items at the end you will be much slower than the lock free version (factor 3). Each CPU core has its own cache line size which is something in the range of 16-256 bytes. When you do access a value from one location the CPU does not only fetch one value from main memory but a complete cache line (e.g. 16 bytes). This means that you do not pay for the next 15 bytes when you access them. This can lead to dramatic performance improvements and non obvious code which is faster although it does have many more memory reads than another algorithm. So what have we done here? We have started with correct code but it was lacking knowledge how to use the .NET Base Class Libraries optimally. Then we did try to get fancy and used threads for the first time and failed. Our next try was better but it still had non obvious issues (lock object exposed to the outside). Knowledge has increased further and we have found a lock free version of our counter which is a nice and clean way which is a perfectly valid solution. The last example is only here to show you how you can get most out of threading by paying close attention to your used data structures and CPU cache coherency. Although we are working in a virtual execution environment in a high level language with automatic memory management it does pay off to know the details down to the assembly level. Only if you continue to learn and to dig deeper you can come up with solutions no one else was even considering. I have studied particle physics which does help at the digging deeper part. Have you ever tried to solve Quantum Chromodynamics equations? Compared to that the rest must be easy ;-). Although I am no longer working in the Science field I take pride in discovering non obvious things. This can be a very hard to find bug or a new way to restructure data to make something 10 times faster. Now I need to get some sleep ….

  • Zen and the Art of File and Folder Organization

    Is your desk a paragon of neatness, or does it look like a paper-bomb has gone off? If you’ve been putting off getting organized because the task is too huge or daunting, or you don’t know where to start, we’ve got 40 tips to get you on the path to zen mastery of your filing system. For all those readers who would like to get their files and folders organized, or, if they’re already organized, better organized—we have compiled a complete guide to getting organized and staying organized, a comprehensive article that will hopefully cover every possible tip you could want. Signs that Your Computer is Poorly Organized If your computer is a mess, you’re probably already aware of it.  But just in case you’re not, here are some tell-tale signs: Your Desktop has over 40 icons on it “My Documents” contains over 300 files and 60 folders, including MP3s and digital photos You use the Windows’ built-in search facility whenever you need to find a file You can’t find programs in the out-of-control list of programs in your Start Menu You save all your Word documents in one folder, all your spreadsheets in a second folder, etc Any given file that you’re looking for may be in any one of four different sets of folders But before we start, here are some quick notes: We’re going to assume you know what files and folders are, and how to create, save, rename, copy and delete them The organization principles described in this article apply equally to all computer systems.  However, the screenshots here will reflect how things look on Windows (usually Windows 7).  We will also mention some useful features of Windows that can help you get organized. Everyone has their own favorite methodology of organizing and filing, and it’s all too easy to get into “My Way is Better than Your Way” arguments.  The reality is that there is no perfect way of getting things organized.  When I wrote this article, I tried to keep a generalist and objective viewpoint.  I consider myself to be unusually well organized (to the point of obsession, truth be told), and I’ve had 25 years experience in collecting and organizing files on computers.  So I’ve got a lot to say on the subject.  But the tips I have described here are only one way of doing it.  Hopefully some of these tips will work for you too, but please don’t read this as any sort of “right” way to do it. At the end of the article we’ll be asking you, the reader, for your own organization tips. Why Bother Organizing At All? For some, the answer to this question is self-evident. And yet, in this era of powerful desktop search software (the search capabilities built into the Windows Vista and Windows 7 Start Menus, and third-party programs like Google Desktop Search), the question does need to be asked, and answered. I have a friend who puts every file he ever creates, receives or downloads into his My Documents folder and doesn’t bother filing them into subfolders at all.  He relies on the search functionality built into his Windows operating system to help him find whatever he’s looking for.  And he always finds it.  He’s a Search Samurai.  For him, filing is a waste of valuable time that could be spent enjoying life! It’s tempting to follow suit.  On the face of it, why would anyone bother to take the time to organize their hard disk when such excellent search software is available?  Well, if all you ever want to do with the files you own is to locate and open them individually (for listening, editing, etc), then there’s no reason to ever bother doing one scrap of organization.  But consider these common tasks that are not achievable with desktop search software: Find files manually.  Often it’s not convenient, speedy or even possible to utilize your desktop search software to find what you want.  It doesn’t work 100% of the time, or you may not even have it installed.  Sometimes its just plain faster to go straight to the file you want, if you know it’s in a particular sub-folder, rather than trawling through hundreds of search results. Find groups of similar files (e.g. all your “work” files, all the photos of your Europe holiday in 2008, all your music videos, all the MP3s from Dark Side of the Moon, all your letters you wrote to your wife, all your tax returns).  Clever naming of the files will only get you so far.  Sometimes it’s the date the file was created that’s important, other times it’s the file format, and other times it’s the purpose of the file.  How do you name a collection of files so that they’re easy to isolate based on any of the above criteria?  Short answer, you can’t. Move files to a new computer.  It’s time to upgrade your computer.  How do you quickly grab all the files that are important to you?  Or you decide to have two computers now – one for home and one for work.  How do you quickly isolate only the work-related files to move them to the work computer? Synchronize files to other computers.  If you have more than one computer, and you need to mirror some of your files onto the other computer (e.g. your music collection), then you need a way to quickly determine which files are to be synced and which are not.  Surely you don’t want to synchronize everything? Choose which files to back up.  If your backup regime calls for multiple backups, or requires speedy backups, then you’ll need to be able to specify which files are to be backed up, and which are not.  This is not possible if they’re all in the same folder. Finally, if you’re simply someone who takes pleasure in being organized, tidy and ordered (me! me!), then you don’t even need a reason.  Being disorganized is simply unthinkable. Tips on Getting Organized Here we present our 40 best tips on how to get organized.  Or, if you’re already organized, to get better organized. Tip #1.  Choose Your Organization System Carefully The reason that most people are not organized is that it takes time.  And the first thing that takes time is deciding upon a system of organization.  This is always a matter of personal preference, and is not something that a geek on a website can tell you.  You should always choose your own system, based on how your own brain is organized (which makes the assumption that your brain is, in fact, organized). We can’t instruct you, but we can make suggestions: You may want to start off with a system based on the users of the computer.  i.e. “My Files”, “My Wife’s Files”, My Son’s Files”, etc.  Inside “My Files”, you might then break it down into “Personal” and “Business”.  You may then realize that there are overlaps.  For example, everyone may want to share access to the music library, or the photos from the school play.  So you may create another folder called “Family”, for the “common” files. You may decide that the highest-level breakdown of your files is based on the “source” of each file.  In other words, who created the files.  You could have “Files created by ME (business or personal)”, “Files created by people I know (family, friends, etc)”, and finally “Files created by the rest of the world (MP3 music files, downloaded or ripped movies or TV shows, software installation files, gorgeous desktop wallpaper images you’ve collected, etc).”  This system happens to be the one I use myself.  See below:  Mark is for files created by meVC is for files created by my company (Virtual Creations)Others is for files created by my friends and familyData is the rest of the worldAlso, Settings is where I store the configuration files and other program data files for my installed software (more on this in tip #34, below). Each folder will present its own particular set of requirements for further sub-organization.  For example, you may decide to organize your music collection into sub-folders based on the artist’s name, while your digital photos might get organized based on the date they were taken.  It can be different for every sub-folder! Another strategy would be based on “currentness”.  Files you have yet to open and look at live in one folder.  Ones that have been looked at but not yet filed live in another place.  Current, active projects live in yet another place.  All other files (your “archive”, if you like) would live in a fourth folder. (And of course, within that last folder you’d need to create a further sub-system based on one of the previous bullet points). Put some thought into this – changing it when it proves incomplete can be a big hassle!  Before you go to the trouble of implementing any system you come up with, examine a wide cross-section of the files you own and see if they will all be able to find a nice logical place to sit within your system. Tip #2.  When You Decide on Your System, Stick to It! There’s nothing more pointless than going to all the trouble of creating a system and filing all your files, and then whenever you create, receive or download a new file, you simply dump it onto your Desktop.  You need to be disciplined – forever!  Every new file you get, spend those extra few seconds to file it where it belongs!  Otherwise, in just a month or two, you’ll be worse off than before – half your files will be organized and half will be disorganized – and you won’t know which is which! Tip #3.  Choose the Root Folder of Your Structure Carefully Every data file (document, photo, music file, etc) that you create, own or is important to you, no matter where it came from, should be found within one single folder, and that one single folder should be located at the root of your C: drive (as a sub-folder of C:\).  In other words, do not base your folder structure in standard folders like “My Documents”.  If you do, then you’re leaving it up to the operating system engineers to decide what folder structure is best for you.  And every operating system has a different system!  In Windows 7 your files are found in C:\Users\YourName, whilst on Windows XP it was C:\Documents and Settings\YourName\My Documents.  In UNIX systems it’s often /home/YourName. These standard default folders tend to fill up with junk files and folders that are not at all important to you.  “My Documents” is the worst offender.  Every second piece of software you install, it seems, likes to create its own folder in the “My Documents” folder.  These folders usually don’t fit within your organizational structure, so don’t use them!  In fact, don’t even use the “My Documents” folder at all.  Allow it to fill up with junk, and then simply ignore it.  It sounds heretical, but: Don’t ever visit your “My Documents” folder!  Remove your icons/links to “My Documents” and replace them with links to the folders you created and you care about! Create your own file system from scratch!  Probably the best place to put it would be on your D: drive – if you have one.  This way, all your files live on one drive, while all the operating system and software component files live on the C: drive – simply and elegantly separated.  The benefits of that are profound.  Not only are there obvious organizational benefits (see tip #10, below), but when it comes to migrate your data to a new computer, you can (sometimes) simply unplug your D: drive and plug it in as the D: drive of your new computer (this implies that the D: drive is actually a separate physical disk, and not a partition on the same disk as C:).  You also get a slight speed improvement (again, only if your C: and D: drives are on separate physical disks). Warning:  From tip #12, below, you will see that it’s actually a good idea to have exactly the same file system structure – including the drive it’s filed on – on all of the computers you own.  So if you decide to use the D: drive as the storage system for your own files, make sure you are able to use the D: drive on all the computers you own.  If you can’t ensure that, then you can still use a clever geeky trick to store your files on the D: drive, but still access them all via the C: drive (see tip #17, below). If you only have one hard disk (C:), then create a dedicated folder that will contain all your files – something like C:\Files.  The name of the folder is not important, but make it a single, brief word. There are several reasons for this: When creating a backup regime, it’s easy to decide what files should be backed up – they’re all in the one folder! If you ever decide to trade in your computer for a new one, you know exactly which files to migrate You will always know where to begin a search for any file If you synchronize files with other computers, it makes your synchronization routines very simple.   It also causes all your shortcuts to continue to work on the other machines (more about this in tip #24, below). Once you’ve decided where your files should go, then put all your files in there – Everything!  Completely disregard the standard, default folders that are created for you by the operating system (“My Music”, “My Pictures”, etc).  In fact, you can actually relocate many of those folders into your own structure (more about that below, in tip #6). The more completely you get all your data files (documents, photos, music, etc) and all your configuration settings into that one folder, then the easier it will be to perform all of the above tasks. Once this has been done, and all your files live in one folder, all the other folders in C:\ can be thought of as “operating system” folders, and therefore of little day-to-day interest for us. Here’s a screenshot of a nicely organized C: drive, where all user files are located within the \Files folder:   Tip #4.  Use Sub-Folders This would be our simplest and most obvious tip.  It almost goes without saying.  Any organizational system you decide upon (see tip #1) will require that you create sub-folders for your files.  Get used to creating folders on a regular basis. Tip #5.  Don’t be Shy About Depth Create as many levels of sub-folders as you need.  Don’t be scared to do so.  Every time you notice an opportunity to group a set of related files into a sub-folder, do so.  Examples might include:  All the MP3s from one music CD, all the photos from one holiday, or all the documents from one client. It’s perfectly okay to put files into a folder called C:\Files\Me\From Others\Services\WestCo Bank\Statements\2009.  That’s only seven levels deep.  Ten levels is not uncommon.  Of course, it’s possible to take this too far.  If you notice yourself creating a sub-folder to hold only one file, then you’ve probably become a little over-zealous.  On the other hand, if you simply create a structure with only two levels (for example C:\Files\Work) then you really haven’t achieved any level of organization at all (unless you own only six files!).  Your “Work” folder will have become a dumping ground, just like your Desktop was, with most likely hundreds of files in it. Tip #6.  Move the Standard User Folders into Your Own Folder Structure Most operating systems, including Windows, create a set of standard folders for each of its users.  These folders then become the default location for files such as documents, music files, digital photos and downloaded Internet files.  In Windows 7, the full list is shown below: Some of these folders you may never use nor care about (for example, the Favorites folder, if you’re not using Internet Explorer as your browser).  Those ones you can leave where they are.  But you may be using some of the other folders to store files that are important to you.  Even if you’re not using them, Windows will still often treat them as the default storage location for many types of files.  When you go to save a standard file type, it can become annoying to be automatically prompted to save it in a folder that’s not part of your own file structure. But there’s a simple solution:  Move the folders you care about into your own folder structure!  If you do, then the next time you go to save a file of the corresponding type, Windows will prompt you to save it in the new, moved location. Moving the folders is easy.  Simply drag-and-drop them to the new location.  Here’s a screenshot of the default My Music folder being moved to my custom personal folder (Mark): Tip #7.  Name Files and Folders Intelligently This is another one that almost goes without saying, but we’ll say it anyway:  Do not allow files to be created that have meaningless names like Document1.doc, or folders called New Folder (2).  Take that extra 20 seconds and come up with a meaningful name for the file/folder – one that accurately divulges its contents without repeating the entire contents in the name. Tip #8.  Watch Out for Long Filenames Another way to tell if you have not yet created enough depth to your folder hierarchy is that your files often require really long names.  If you need to call a file Johnson Sales Figures March 2009.xls (which might happen to live in the same folder as Abercrombie Budget Report 2008.xls), then you might want to create some sub-folders so that the first file could be simply called March.xls, and living in the Clients\Johnson\Sales Figures\2009 folder. A well-placed file needs only a brief filename! Tip #9.  Use Shortcuts!  Everywhere! This is probably the single most useful and important tip we can offer.  A shortcut allows a file to be in two places at once. Why would you want that?  Well, the file and folder structure of every popular operating system on the market today is hierarchical.  This means that all objects (files and folders) always live within exactly one parent folder.  It’s a bit like a tree.  A tree has branches (folders) and leaves (files).  Each leaf, and each branch, is supported by exactly one parent branch, all the way back to the root of the tree (which, incidentally, is exactly why C:\ is called the “root folder” of the C: drive). That hard disks are structured this way may seem obvious and even necessary, but it’s only one way of organizing data.  There are others:  Relational databases, for example, organize structured data entirely differently.  The main limitation of hierarchical filing structures is that a file can only ever be in one branch of the tree – in only one folder – at a time.  Why is this a problem?  Well, there are two main reasons why this limitation is a problem for computer users: The “correct” place for a file, according to our organizational rationale, is very often a very inconvenient place for that file to be located.  Just because it’s correctly filed doesn’t mean it’s easy to get to.  Your file may be “correctly” buried six levels deep in your sub-folder structure, but you may need regular and speedy access to this file every day.  You could always move it to a more convenient location, but that would mean that you would need to re-file back to its “correct” location it every time you’d finished working on it.  Most unsatisfactory. A file may simply “belong” in two or more different locations within your file structure.  For example, say you’re an accountant and you have just completed the 2009 tax return for John Smith.  It might make sense to you to call this file 2009 Tax Return.doc and file it under Clients\John Smith.  But it may also be important to you to have the 2009 tax returns from all your clients together in the one place.  So you might also want to call the file John Smith.doc and file it under Tax Returns\2009.  The problem is, in a purely hierarchical filing system, you can’t put it in both places.  Grrrrr! Fortunately, Windows (and most other operating systems) offers a way for you to do exactly that:  It’s called a “shortcut” (also known as an “alias” on Macs and a “symbolic link” on UNIX systems).  Shortcuts allow a file to exist in one place, and an icon that represents the file to be created and put anywhere else you please.  In fact, you can create a dozen such icons and scatter them all over your hard disk.  Double-clicking on one of these icons/shortcuts opens up the original file, just as if you had double-clicked on the original file itself. Consider the following two icons: The one on the left is the actual Word document, while the one on the right is a shortcut that represents the Word document.  Double-clicking on either icon will open the same file.  There are two main visual differences between the icons: The shortcut will have a small arrow in the lower-left-hand corner (on Windows, anyway) The shortcut is allowed to have a name that does not include the file extension (the “.docx” part, in this case) You can delete the shortcut at any time without losing any actual data.  The original is still intact.  All you lose is the ability to get to that data from wherever the shortcut was. So why are shortcuts so great?  Because they allow us to easily overcome the main limitation of hierarchical file systems, and put a file in two (or more) places at the same time.  You will always have files that don’t play nice with your organizational rationale, and can’t be filed in only one place.  They demand to exist in two places.  Shortcuts allow this!  Furthermore, they allow you to collect your most often-opened files and folders together in one spot for convenient access.  The cool part is that the original files stay where they are, safe forever in their perfectly organized location. So your collection of most often-opened files can – and should – become a collection of shortcuts! If you’re still not convinced of the utility of shortcuts, consider the following well-known areas of a typical Windows computer: The Start Menu (and all the programs that live within it) The Quick Launch bar (or the Superbar in Windows 7) The “Favorite folders” area in the top-left corner of the Windows Explorer window (in Windows Vista or Windows 7) Your Internet Explorer Favorites or Firefox Bookmarks Each item in each of these areas is a shortcut!  Each of those areas exist for one purpose only:  For convenience – to provide you with a collection of the files and folders you access most often. It should be easy to see by now that shortcuts are designed for one single purpose:  To make accessing your files more convenient.  Each time you double-click on a shortcut, you are saved the hassle of locating the file (or folder, or program, or drive, or control panel icon) that it represents. Shortcuts allow us to invent a golden rule of file and folder organization: “Only ever have one copy of a file – never have two copies of the same file.  Use a shortcut instead” (this rule doesn’t apply to copies created for backup purposes, of course!) There are also lesser rules, like “don’t move a file into your work area – create a shortcut there instead”, and “any time you find yourself frustrated with how long it takes to locate a file, create a shortcut to it and place that shortcut in a convenient location.” So how to we create these massively useful shortcuts?  There are two main ways: “Copy” the original file or folder (click on it and type Ctrl-C, or right-click on it and select Copy):  Then right-click in an empty area of the destination folder (the place where you want the shortcut to go) and select Paste shortcut: Right-drag (drag with the right mouse button) the file from the source folder to the destination folder.  When you let go of the mouse button at the destination folder, a menu pops up: Select Create shortcuts here. Note that when shortcuts are created, they are often named something like Shortcut to Budget Detail.doc (windows XP) or Budget Detail – Shortcut.doc (Windows 7).   If you don’t like those extra words, you can easily rename the shortcuts after they’re created, or you can configure Windows to never insert the extra words in the first place (see our article on how to do this). And of course, you can create shortcuts to folders too, not just to files! Bottom line: Whenever you have a file that you’d like to access from somewhere else (whether it’s convenience you’re after, or because the file simply belongs in two places), create a shortcut to the original file in the new location. Tip #10.  Separate Application Files from Data Files Any digital organization guru will drum this rule into you.  Application files are the components of the software you’ve installed (e.g. Microsoft Word, Adobe Photoshop or Internet Explorer).  Data files are the files that you’ve created for yourself using that software (e.g. Word Documents, digital photos, emails or playlists). Software gets installed, uninstalled and upgraded all the time.  Hopefully you always have the original installation media (or downloaded set-up file) kept somewhere safe, and can thus reinstall your software at any time.  This means that the software component files are of little importance.  Whereas the files you have created with that software is, by definition, important.  It’s a good rule to always separate unimportant files from important files. So when your software prompts you to save a file you’ve just created, take a moment and check out where it’s suggesting that you save the file.  If it’s suggesting that you save the file into the same folder as the software itself, then definitely don’t follow that suggestion.  File it in your own folder!  In fact, see if you can find the program’s configuration option that determines where files are saved by default (if it has one), and change it. Tip #11.  Organize Files Based on Purpose, Not on File Type If you have, for example a folder called Work\Clients\Johnson, and within that folder you have two sub-folders, Word Documents and Spreadsheets (in other words, you’re separating “.doc” files from “.xls” files), then chances are that you’re not optimally organized.  It makes little sense to organize your files based on the program that created them.  Instead, create your sub-folders based on the purpose of the file.  For example, it would make more sense to create sub-folders called Correspondence and Financials.  It may well be that all the files in a given sub-folder are of the same file-type, but this should be more of a coincidence and less of a design feature of your organization system. Tip #12.  Maintain the Same Folder Structure on All Your Computers In other words, whatever organizational system you create, apply it to every computer that you can.  There are several benefits to this: There’s less to remember.  No matter where you are, you always know where to look for your files If you copy or synchronize files from one computer to another, then setting up the synchronization job becomes very simple Shortcuts can be copied or moved from one computer to another with ease (assuming the original files are also copied/moved).  There’s no need to find the target of the shortcut all over again on the second computer Ditto for linked files (e.g Word documents that link to data in a separate Excel file), playlists, and any files that reference the exact file locations of other files. This applies even to the drive that your files are stored on.  If your files are stored on C: on one computer, make sure they’re stored on C: on all your computers.  Otherwise all your shortcuts, playlists and linked files will stop working! Tip #13.  Create an “Inbox” Folder Create yourself a folder where you store all files that you’re currently working on, or that you haven’t gotten around to filing yet.  You can think of this folder as your “to-do” list.  You can call it “Inbox” (making it the same metaphor as your email system), or “Work”, or “To-Do”, or “Scratch”, or whatever name makes sense to you.  It doesn’t matter what you call it – just make sure you have one! Once you have finished working on a file, you then move it from the “Inbox” to its correct location within your organizational structure. You may want to use your Desktop as this “Inbox” folder.  Rightly or wrongly, most people do.  It’s not a bad place to put such files, but be careful:  If you do decide that your Desktop represents your “to-do” list, then make sure that no other files find their way there.  In other words, make sure that your “Inbox”, wherever it is, Desktop or otherwise, is kept free of junk – stray files that don’t belong there. So where should you put this folder, which, almost by definition, lives outside the structure of the rest of your filing system?  Well, first and foremost, it has to be somewhere handy.  This will be one of your most-visited folders, so convenience is key.  Putting it on the Desktop is a great option – especially if you don’t have any other folders on your Desktop:  the folder then becomes supremely easy to find in Windows Explorer: You would then create shortcuts to this folder in convenient spots all over your computer (“Favorite Links”, “Quick Launch”, etc). Tip #14.  Ensure You have Only One “Inbox” Folder Once you’ve created your “Inbox” folder, don’t use any other folder location as your “to-do list”.  Throw every incoming or created file into the Inbox folder as you create/receive it.  This keeps the rest of your computer pristine and free of randomly created or downloaded junk.  The last thing you want to be doing is checking multiple folders to see all your current tasks and projects.  Gather them all together into one folder. Here are some tips to help ensure you only have one Inbox: Set the default “save” location of all your programs to this folder. Set the default “download” location for your browser to this folder. If this folder is not your desktop (recommended) then also see if you can make a point of not putting “to-do” files on your desktop.  This keeps your desktop uncluttered and Zen-like: (the Inbox folder is in the bottom-right corner) Tip #15.  Be Vigilant about Clearing Your “Inbox” Folder This is one of the keys to staying organized.  If you let your “Inbox” overflow (i.e. allow there to be more than, say, 30 files or folders in there), then you’re probably going to start feeling like you’re overwhelmed:  You’re not keeping up with your to-do list.  Once your Inbox gets beyond a certain point (around 30 files, studies have shown), then you’ll simply start to avoid it.  You may continue to put files in there, but you’ll be scared to look at it, fearing the “out of control” feeling that all overworked, chaotic or just plain disorganized people regularly feel. So, here’s what you can do: Visit your Inbox/to-do folder regularly (at least five times per day). Scan the folder regularly for files that you have completed working on and are ready for filing.  File them immediately. Make it a source of pride to keep the number of files in this folder as small as possible.  If you value peace of mind, then make the emptiness of this folder one of your highest (computer) priorities If you know that a particular file has been in the folder for more than, say, six weeks, then admit that you’re not actually going to get around to processing it, and move it to its final resting place. Tip #16.  File Everything Immediately, and Use Shortcuts for Your Active Projects As soon as you create, receive or download a new file, store it away in its “correct” folder immediately.  Then, whenever you need to work on it (possibly straight away), create a shortcut to it in your “Inbox” (“to-do”) folder or your desktop.  That way, all your files are always in their “correct” locations, yet you still have immediate, convenient access to your current, active files.  When you finish working on a file, simply delete the shortcut. Ideally, your “Inbox” folder – and your Desktop – should contain no actual files or folders.  They should simply contain shortcuts. Tip #17.  Use Directory Symbolic Links (or Junctions) to Maintain One Unified Folder Structure Using this tip, we can get around a potential hiccup that we can run into when creating our organizational structure – the issue of having more than one drive on our computer (C:, D:, etc).  We might have files we need to store on the D: drive for space reasons, and yet want to base our organized folder structure on the C: drive (or vice-versa). Your chosen organizational structure may dictate that all your files must be accessed from the C: drive (for example, the root folder of all your files may be something like C:\Files).  And yet you may still have a D: drive and wish to take advantage of the hundreds of spare Gigabytes that it offers.  Did you know that it’s actually possible to store your files on the D: drive and yet access them as if they were on the C: drive?  And no, we’re not talking about shortcuts here (although the concept is very similar). By using the shell command mklink, you can essentially take a folder that lives on one drive and create an alias for it on a different drive (you can do lots more than that with mklink – for a full rundown on this programs capabilities, see our dedicated article).  These aliases are called directory symbolic links (and used to be known as junctions).  You can think of them as “virtual” folders.  They function exactly like regular folders, except they’re physically located somewhere else. For example, you may decide that your entire D: drive contains your complete organizational file structure, but that you need to reference all those files as if they were on the C: drive, under C:\Files.  If that was the case you could create C:\Files as a directory symbolic link – a link to D:, as follows: mklink /d c:\files d:\ Or it may be that the only files you wish to store on the D: drive are your movie collection.  You could locate all your movie files in the root of your D: drive, and then link it to C:\Files\Media\Movies, as follows: mklink /d c:\files\media\movies d:\ (Needless to say, you must run these commands from a command prompt – click the Start button, type cmd and press Enter) Tip #18. Customize Your Folder Icons This is not strictly speaking an organizational tip, but having unique icons for each folder does allow you to more quickly visually identify which folder is which, and thus saves you time when you’re finding files.  An example is below (from my folder that contains all files downloaded from the Internet): To learn how to change your folder icons, please refer to our dedicated article on the subject. Tip #19.  Tidy Your Start Menu The Windows Start Menu is usually one of the messiest parts of any Windows computer.  Every program you install seems to adopt a completely different approach to placing icons in this menu.  Some simply put a single program icon.  Others create a folder based on the name of the software.  And others create a folder based on the name of the software manufacturer.  It’s chaos, and can make it hard to find the software you want to run. Thankfully we can avoid this chaos with useful operating system features like Quick Launch, the Superbar or pinned start menu items. Even so, it would make a lot of sense to get into the guts of the Start Menu itself and give it a good once-over.  All you really need to decide is how you’re going to organize your applications.  A structure based on the purpose of the application is an obvious candidate.  Below is an example of one such structure: In this structure, Utilities means software whose job it is to keep the computer itself running smoothly (configuration tools, backup software, Zip programs, etc).  Applications refers to any productivity software that doesn’t fit under the headings Multimedia, Graphics, Internet, etc. In case you’re not aware, every icon in your Start Menu is a shortcut and can be manipulated like any other shortcut (copied, moved, deleted, etc). With the Windows Start Menu (all version of Windows), Microsoft has decided that there be two parallel folder structures to store your Start Menu shortcuts.  One for you (the logged-in user of the computer) and one for all users of the computer.  Having two parallel structures can often be redundant:  If you are the only user of the computer, then having two parallel structures is totally redundant.  Even if you have several users that regularly log into the computer, most of your installed software will need to be made available to all users, and should thus be moved out of the “just you” version of the Start Menu and into the “all users” area. To take control of your Start Menu, so you can start organizing it, you’ll need to know how to access the actual folders and shortcut files that make up the Start Menu (both versions of it).  To find these folders and files, click the Start button and then right-click on the All Programs text (Windows XP users should right-click on the Start button itself): The Open option refers to the “just you” version of the Start Menu, while the Open All Users option refers to the “all users” version.  Click on the one you want to organize. A Windows Explorer window then opens with your chosen version of the Start Menu selected.  From there it’s easy.  Double-click on the Programs folder and you’ll see all your folders and shortcuts.  Now you can delete/rename/move until it’s just the way you want it. Note:  When you’re reorganizing your Start Menu, you may want to have two Explorer windows open at the same time – one showing the “just you” version and one showing the “all users” version.  You can drag-and-drop between the windows. Tip #20.  Keep Your Start Menu Tidy Once you have a perfectly organized Start Menu, try to be a little vigilant about keeping it that way.  Every time you install a new piece of software, the icons that get created will almost certainly violate your organizational structure. So to keep your Start Menu pristine and organized, make sure you do the following whenever you install a new piece of software: Check whether the software was installed into the “just you” area of the Start Menu, or the “all users” area, and then move it to the correct area. Remove all the unnecessary icons (like the “Read me” icon, the “Help” icon (you can always open the help from within the software itself when it’s running), the “Uninstall” icon, the link(s)to the manufacturer’s website, etc) Rename the main icon(s) of the software to something brief that makes sense to you.  For example, you might like to rename Microsoft Office Word 2010 to simply Word Move the icon(s) into the correct folder based on your Start Menu organizational structure And don’t forget:  when you uninstall a piece of software, the software’s uninstall routine is no longer going to be able to remove the software’s icon from the Start Menu (because you moved and/or renamed it), so you’ll need to remove that icon manually. Tip #21.  Tidy C:\ The root of your C: drive (C:\) is a common dumping ground for files and folders – both by the users of your computer and by the software that you install on your computer.  It can become a mess. There’s almost no software these days that requires itself to be installed in C:\.  99% of the time it can and should be installed into C:\Program Files.  And as for your own files, well, it’s clear that they can (and almost always should) be stored somewhere else. In an ideal world, your C:\ folder should look like this (on Windows 7): Note that there are some system files and folders in C:\ that are usually and deliberately “hidden” (such as the Windows virtual memory file pagefile.sys, the boot loader file bootmgr, and the System Volume Information folder).  Hiding these files and folders is a good idea, as they need to stay where they are and are almost never needed to be opened or even seen by you, the user.  Hiding them prevents you from accidentally messing with them, and enhances your sense of order and well-being when you look at your C: drive folder. Tip #22.  Tidy Your Desktop The Desktop is probably the most abused part of a Windows computer (from an organization point of view).  It usually serves as a dumping ground for all incoming files, as well as holding icons to oft-used applications, plus some regularly opened files and folders.  It often ends up becoming an uncontrolled mess.  See if you can avoid this.  Here’s why… Application icons (Word, Internet Explorer, etc) are often found on the Desktop, but it’s unlikely that this is the optimum place for them.  The “Quick Launch” bar (or the Superbar in Windows 7) is always visible and so represents a perfect location to put your icons.  You’ll only be able to see the icons on your Desktop when all your programs are minimized.  It might be time to get your application icons off your desktop… You may have decided that the Inbox/To-do folder on your computer (see tip #13, above) should be your Desktop.  If so, then enough said.  Simply be vigilant about clearing it and preventing it from being polluted by junk files (see tip #15, above).  On the other hand, if your Desktop is not acting as your “Inbox” folder, then there’s no reason for it to have any data files or folders on it at all, except perhaps a couple of shortcuts to often-opened files and folders (either ongoing or current projects).  Everything else should be moved to your “Inbox” folder. In an ideal world, it might look like this: Tip #23.  Move Permanent Items on Your Desktop Away from the Top-Left Corner When files/folders are dragged onto your desktop in a Windows Explorer window, or when shortcuts are created on your Desktop from Internet Explorer, those icons are always placed in the top-left corner – or as close as they can get.  If you have other files, folders or shortcuts that you keep on the Desktop permanently, then it’s a good idea to separate these permanent icons from the transient ones, so that you can quickly identify which ones the transients are.  An easy way to do this is to move all your permanent icons to the right-hand side of your Desktop.  That should keep them separated from incoming items. Tip #24.  Synchronize If you have more than one computer, you’ll almost certainly want to share files between them.  If the computers are permanently attached to the same local network, then there’s no need to store multiple copies of any one file or folder – shortcuts will suffice.  However, if the computers are not always on the same network, then you will at some point need to copy files between them.  For files that need to permanently live on both computers, the ideal way to do this is to synchronize the files, as opposed to simply copying them. We only have room here to write a brief summary of synchronization, not a full article.  In short, there are several different types of synchronization: Where the contents of one folder are accessible anywhere, such as with Dropbox Where the contents of any number of folders are accessible anywhere, such as with Windows Live Mesh Where any files or folders from anywhere on your computer are synchronized with exactly one other computer, such as with the Windows “Briefcase”, Microsoft SyncToy, or (much more powerful, yet still free) SyncBack from 2BrightSparks.  This only works when both computers are on the same local network, at least temporarily. A great advantage of synchronization solutions is that once you’ve got it configured the way you want it, then the sync process happens automatically, every time.  Click a button (or schedule it to happen automatically) and all your files are automagically put where they’re supposed to be. If you maintain the same file and folder structure on both computers, then you can also sync files depend upon the correct location of other files, like shortcuts, playlists and office documents that link to other office documents, and the synchronized files still work on the other computer! Tip #25.  Hide Files You Never Need to See If you have your files well organized, you will often be able to tell if a file is out of place just by glancing at the contents of a folder (for example, it should be pretty obvious if you look in a folder that contains all the MP3s from one music CD and see a Word document in there).  This is a good thing – it allows you to determine if there are files out of place with a quick glance.  Yet sometimes there are files in a folder that seem out of place but actually need to be there, such as the “folder art” JPEGs in music folders, and various files in the root of the C: drive.  If such files never need to be opened by you, then a good idea is to simply hide them.  Then, the next time you glance at the folder, you won’t have to remember whether that file was supposed to be there or not, because you won’t see it at all! To hide a file, simply right-click on it and choose Properties: Then simply tick the Hidden tick-box:   Tip #26.  Keep Every Setup File These days most software is downloaded from the Internet.  Whenever you download a piece of software, keep it.  You’ll never know when you need to reinstall the software. Further, keep with it an Internet shortcut that links back to the website where you originally downloaded it, in case you ever need to check for updates. See tip #33 below for a full description of the excellence of organizing your setup files. Tip #27.  Try to Minimize the Number of Folders that Contain Both Files and Sub-folders Some of the folders in your organizational structure will contain only files.  Others will contain only sub-folders.  And you will also have some folders that contain both files and sub-folders.  You will notice slight improvements in how long it takes you to locate a file if you try to avoid this third type of folder.  It’s not always possible, of course – you’ll always have some of these folders, but see if you can avoid it. One way of doing this is to take all the leftover files that didn’t end up getting stored in a sub-folder and create a special “Miscellaneous” or “Other” folder for them. Tip #28.  Starting a Filename with an Underscore Brings it to the Top of a List Further to the previous tip, if you name that “Miscellaneous” or “Other” folder in such a way that its name begins with an underscore “_”, then it will appear at the top of the list of files/folders. The screenshot below is an example of this.  Each folder in the list contains a set of digital photos.  The folder at the top of the list, _Misc, contains random photos that didn’t deserve their own dedicated folder: Tip #29.  Clean Up those CD-ROMs and (shudder!) Floppy Disks Have you got a pile of CD-ROMs stacked on a shelf of your office?  Old photos, or files you archived off onto CD-ROM (or even worse, floppy disks!) because you didn’t have enough disk space at the time?  In the meantime have you upgraded your computer and now have 500 Gigabytes of space you don’t know what to do with?  If so, isn’t it time you tidied up that stack of disks and filed them into your gorgeous new folder structure? So what are you waiting for?  Bite the bullet, copy them all back onto your computer, file them in their appropriate folders, and then back the whole lot up onto a shiny new 1000Gig external hard drive! Useful Folders to Create This next section suggests some useful folders that you might want to create within your folder structure.  I’ve personally found them to be indispensable. The first three are all about convenience – handy folders to create and then put somewhere that you can always access instantly.  For each one, it’s not so important where the actual folder is located, but it’s very important where you put the shortcut(s) to the folder.  You might want to locate the shortcuts: On your Desktop In your “Quick Launch” area (or pinned to your Windows 7 Superbar) In your Windows Explorer “Favorite Links” area Tip #30.  Create an “Inbox” (“To-Do”) Folder This has already been mentioned in depth (see tip #13), but we wanted to reiterate its importance here.  This folder contains all the recently created, received or downloaded files that you have not yet had a chance to file away properly, and it also may contain files that you have yet to process.  In effect, it becomes a sort of “to-do list”.  It doesn’t have to be called “Inbox” – you can call it whatever you want. Tip #31.  Create a Folder where Your Current Projects are Collected Rather than going hunting for them all the time, or dumping them all on your desktop, create a special folder where you put links (or work folders) for each of the projects you’re currently working on. You can locate this folder in your “Inbox” folder, on your desktop, or anywhere at all – just so long as there’s a way of getting to it quickly, such as putting a link to it in Windows Explorer’s “Favorite Links” area: Tip #32.  Create a Folder for Files and Folders that You Regularly Open You will always have a few files that you open regularly, whether it be a spreadsheet of your current accounts, or a favorite playlist.  These are not necessarily “current projects”, rather they’re simply files that you always find yourself opening.  Typically such files would be located on your desktop (or even better, shortcuts to those files).  Why not collect all such shortcuts together and put them in their own special folder? As with the “Current Projects” folder (above), you would want to locate that folder somewhere convenient.  Below is an example of a folder called “Quick links”, with about seven files (shortcuts) in it, that is accessible through the Windows Quick Launch bar: See tip #37 below for a full explanation of the power of the Quick Launch bar. Tip #33.  Create a “Set-ups” Folder A typical computer has dozens of applications installed on it.  For each piece of software, there are often many different pieces of information you need to keep track of, including: The original installation setup file(s).  This can be anything from a simple 100Kb setup.exe file you downloaded from a website, all the way up to a 4Gig ISO file that you copied from a DVD-ROM that you purchased. The home page of the software manufacturer (in case you need to look up something on their support pages, their forum or their online help) The page containing the download link for your actual file (in case you need to re-download it, or download an upgraded version) The serial number Your proof-of-purchase documentation Any other template files, plug-ins, themes, etc that also need to get installed For each piece of software, it’s a great idea to gather all of these files together and put them in a single folder.  The folder can be the name of the software (plus possibly a very brief description of what it’s for – in case you can’t remember what the software does based in its name).  Then you would gather all of these folders together into one place, and call it something like “Software” or “Setups”. If you have enough of these folders (I have several hundred, being a geek, collected over 20 years), then you may want to further categorize them.  My own categorization structure is based on “platform” (operating system): The last seven folders each represents one platform/operating system, while _Operating Systems contains set-up files for installing the operating systems themselves.  _Hardware contains ROMs for hardware I own, such as routers. Within the Windows folder (above), you can see the beginnings of the vast library of software I’ve compiled over the years: An example of a typical application folder looks like this: Tip #34.  Have a “Settings” Folder We all know that our documents are important.  So are our photos and music files.  We save all of these files into folders, and then locate them afterwards and double-click on them to open them.  But there are many files that are important to us that can’t be saved into folders, and then searched for and double-clicked later on.  These files certainly contain important information that we need, but are often created internally by an application, and saved wherever that application feels is appropriate. A good example of this is the “PST” file that Outlook creates for us and uses to store all our emails, contacts, appointments and so forth.  Another example would be the collection of Bookmarks that Firefox stores on your behalf. And yet another example would be the customized settings and configuration files of our all our software.  Granted, most Windows programs store their configuration in the Registry, but there are still many programs that use configuration files to store their settings. Imagine if you lost all of the above files!  And yet, when people are backing up their computers, they typically only back up the files they know about – those that are stored in the “My Documents” folder, etc.  If they had a hard disk failure or their computer was lost or stolen, their backup files would not include some of the most vital files they owned.  Also, when migrating to a new computer, it’s vital to ensure that these files make the journey. It can be a very useful idea to create yourself a folder to store all your “settings” – files that are important to you but which you never actually search for by name and double-click on to open them.  Otherwise, next time you go to set up a new computer just the way you want it, you’ll need to spend hours recreating the configuration of your previous computer! So how to we get our important files into this folder?  Well, we have a few options: Some programs (such as Outlook and its PST files) allow you to place these files wherever you want.  If you delve into the program’s options, you will find a setting somewhere that controls the location of the important settings files (or “personal storage” – PST – when it comes to Outlook) Some programs do not allow you to change such locations in any easy way, but if you get into the Registry, you can sometimes find a registry key that refers to the location of the file(s).  Simply move the file into your Settings folder and adjust the registry key to refer to the new location. Some programs stubbornly refuse to allow their settings files to be placed anywhere other then where they stipulate.  When faced with programs like these, you have three choices:  (1) You can ignore those files, (2) You can copy the files into your Settings folder (let’s face it – settings don’t change very often), or (3) you can use synchronization software, such as the Windows Briefcase, to make synchronized copies of all your files in your Settings folder.  All you then have to do is to remember to run your sync software periodically (perhaps just before you run your backup software!). There are some other things you may decide to locate inside this new “Settings” folder: Exports of registry keys (from the many applications that store their configurations in the Registry).  This is useful for backup purposes or for migrating to a new computer Notes you’ve made about all the specific customizations you have made to a particular piece of software (so that you’ll know how to do it all again on your next computer) Shortcuts to webpages that detail how to tweak certain aspects of your operating system or applications so they are just the way you like them (such as how to remove the words “Shortcut to” from the beginning of newly created shortcuts).  In other words, you’d want to create shortcuts to half the pages on the How-To Geek website! Here’s an example of a “Settings” folder: Windows Features that Help with Organization This section details some of the features of Microsoft Windows that are a boon to anyone hoping to stay optimally organized. Tip #35.  Use the “Favorite Links” Area to Access Oft-Used Folders Once you’ve created your great new filing system, work out which folders you access most regularly, or which serve as great starting points for locating the rest of the files in your folder structure, and then put links to those folders in your “Favorite Links” area of the left-hand side of the Windows Explorer window (simply called “Favorites” in Windows 7):   Some ideas for folders you might want to add there include: Your “Inbox” folder (or whatever you’ve called it) – most important! The base of your filing structure (e.g. C:\Files) A folder containing shortcuts to often-accessed folders on other computers around the network (shown above as Network Folders) A folder containing shortcuts to your current projects (unless that folder is in your “Inbox” folder) Getting folders into this area is very simple – just locate the folder you’re interested in and drag it there! Tip #36.  Customize the Places Bar in the File/Open and File/Save Boxes Consider the screenshot below: The highlighted icons (collectively known as the “Places Bar”) can be customized to refer to any folder location you want, allowing instant access to any part of your organizational structure. Note:  These File/Open and File/Save boxes have been superseded by new versions that use the Windows Vista/Windows 7 “Favorite Links”, but the older versions (shown above) are still used by a surprisingly large number of applications. The easiest way to customize these icons is to use the Group Policy Editor, but not everyone has access to this program.  If you do, open it up and navigate to: User Configuration > Administrative Templates > Windows Components > Windows Explorer > Common Open File Dialog If you don’t have access to the Group Policy Editor, then you’ll need to get into the Registry.  Navigate to: HKEY_CURRENT_USER \ Software \ Microsoft  \ Windows \ CurrentVersion \ Policies \ comdlg32 \ Placesbar It should then be easy to make the desired changes.  Log off and log on again to allow the changes to take effect. Tip #37.  Use the Quick Launch Bar as a Application and File Launcher That Quick Launch bar (to the right of the Start button) is a lot more useful than people give it credit for.  Most people simply have half a dozen icons in it, and use it to start just those programs.  But it can actually be used to instantly access just about anything in your filing system: For complete instructions on how to set this up, visit our dedicated article on this topic. Tip #38.  Put a Shortcut to Windows Explorer into Your Quick Launch Bar This is only necessary in Windows Vista and Windows XP.  The Microsoft boffins finally got wise and added it to the Windows 7 Superbar by default. Windows Explorer – the program used for managing your files and folders – is one of the most useful programs in Windows.  Anyone who considers themselves serious about being organized needs instant access to this program at any time.  A great place to create a shortcut to this program is in the Windows XP and Windows Vista “Quick Launch” bar: To get it there, locate it in your Start Menu (usually under “Accessories”) and then right-drag it down into your Quick Launch bar (and create a copy). Tip #39.  Customize the Starting Folder for Your Windows 7 Explorer Superbar Icon If you’re on Windows 7, your Superbar will include a Windows Explorer icon.  Clicking on the icon will launch Windows Explorer (of course), and will start you off in your “Libraries” folder.  Libraries may be fine as a starting point, but if you have created yourself an “Inbox” folder, then it would probably make more sense to start off in this folder every time you launch Windows Explorer. To change this default/starting folder location, then first right-click the Explorer icon in the Superbar, and then right-click Properties:Then, in Target field of the Windows Explorer Properties box that appears, type %windir%\explorer.exe followed by the path of the folder you wish to start in.  For example: %windir%\explorer.exe C:\Files If that folder happened to be on the Desktop (and called, say, “Inbox”), then you would use the following cleverness: %windir%\explorer.exe shell:desktop\Inbox Then click OK and test it out. Tip #40.  Ummmmm…. No, that’s it.  I can’t think of another one.  That’s all of the tips I can come up with.  I only created this one because 40 is such a nice round number… Case Study – An Organized PC To finish off the article, I have included a few screenshots of my (main) computer (running Vista).  The aim here is twofold: To give you a sense of what it looks like when the above, sometimes abstract, tips are applied to a real-life computer, and To offer some ideas about folders and structure that you may want to steal to use on your own PC. Let’s start with the C: drive itself.  Very minimal.  All my files are contained within C:\Files.  I’ll confine the rest of the case study to this folder: That folder contains the following: Mark: My personal files VC: My business (Virtual Creations, Australia) Others contains files created by friends and family Data contains files from the rest of the world (can be thought of as “public” files, usually downloaded from the Net) Settings is described above in tip #34 The Data folder contains the following sub-folders: Audio:  Radio plays, audio books, podcasts, etc Development:  Programmer and developer resources, sample source code, etc (see below) Humour:  Jokes, funnies (those emails that we all receive) Movies:  Downloaded and ripped movies (all legal, of course!), their scripts, DVD covers, etc. Music:  (see below) Setups:  Installation files for software (explained in full in tip #33) System:  (see below) TV:  Downloaded TV shows Writings:  Books, instruction manuals, etc (see below) The Music folder contains the following sub-folders: Album covers:  JPEG scans Guitar tabs:  Text files of guitar sheet music Lists:  e.g. “Top 1000 songs of all time” Lyrics:  Text files MIDI:  Electronic music files MP3 (representing 99% of the Music folder):  MP3s, either ripped from CDs or downloaded, sorted by artist/album name Music Video:  Video clips Sheet Music:  usually PDFs The Data\Writings folder contains the following sub-folders: (all pretty self-explanatory) The Data\Development folder contains the following sub-folders: Again, all pretty self-explanatory (if you’re a geek) The Data\System folder contains the following sub-folders: These are usually themes, plug-ins and other downloadable program-specific resources. The Mark folder contains the following sub-folders: From Others:  Usually letters that other people (friends, family, etc) have written to me For Others:  Letters and other things I have created for other people Green Book:  None of your business Playlists:  M3U files that I have compiled of my favorite songs (plus one M3U playlist file for every album I own) Writing:  Fiction, philosophy and other musings of mine Mark Docs:  Shortcut to C:\Users\Mark Settings:  Shortcut to C:\Files\Settings\Mark The Others folder contains the following sub-folders: The VC (Virtual Creations, my business – I develop websites) folder contains the following sub-folders: And again, all of those are pretty self-explanatory.
