  • Brighton Rocks: UA Europe 2011

    User Assistance Europe 2011 was held in Brighton, UK. Having seen Quadrophenia a dozen times, I just had to go along (OK, I wanted to talk about messages in enterprise applications). Sadly, it rained a lot, though that was still eminently more tolerable than being stuck home in Dublin during Bloomsday. So, here are my somewhat selective highlights and observations from the conference, massively skewed towards my own interests, as usual. Enjoyed Leah Guren's (Cow TC) great start ‘keynote’ on the Cultural Dimensions of Software Help Usage. Starting out by revisiting Hofstede's and Hall's work on culture (how many times I have done this for Multilingual magazine?) and then Neilsen’s findings on age as an indicator of performance, Leah showed how it is the expertise of the user that user assistance (UA) needs to be designed for (especially for high-end users), with some considerations made for age, while the gender and culture of users are not major factors. Help also needs to be contextual and concise, embedded close to the action. That users are saying things like “If I want help on Office, I go to Google ” isn't all that profound at this stage, but it is always worth reiterating how search can be optimized to return better results for users. Interestingly, regardless of user education level, the issue of information quality--hinging on the lynchpin of terminology reflecting that of the user--is critical. Major takeaway for me there. Matthew Ellison’s sessions on embedded help and demos were also impressive. Embedded help that is concise and contextual is definitely a powerful UX enabler, and I’m pleased to say that in Oracle Fusion Applications we have embraced the concept fully. Matthew also mentioned in his session about successful software demos that the principle of modality with demos is a must. Look no further than Oracle User Productivity Kit demos See It!, Try It!, Know It, and Do It! modes, for example. I also found some key takeaways in the presentation by Marie-Louise Flacke on notes and warnings. Here, legal considerations seemed to take precedence over providing any real information to users. I was delighted when Marie-Louise called out the Oracle JDeveloper documentation as an exemplar of how to use notes and instructions instead of trying to scare the bejaysus out of people and not providing them with any real information they’d find useful instead. My own session on designing messages for enterprise applications was well attended. Knowing your user profiles (remember user expertise is the king maker for UA so write for each audience involved), how users really work, the required application business and UI rules, what your application technology supports, and how messages integrate with the enterprise help desk and support policies and you will go much further than relying solely on the guideline of "writing messages in plain language". And, remember the value in warnings and confirmation messages too, and how you can use them smartly. I hope y’all got something from my presentation and from my answers to questions afterwards. Ellis Pratt stole the show with his presentation on applying game theory to software UA, using plenty of colorful, relevant examples (check out the Atlassian and DropBox approaches, for example), and striking just the right balance between theory and practice. Completely agree that the approach to take here is not to make UA itself a game, but to invoke UA as part of a bigger game dynamic (time-to-task completion, personal and communal goals, personal achievement and status, and so on). Sure there are gotchas and limitations to gamification, and we need to do more research. However, we'll hear a lot more about this subject in coming years, particularly in the enterprise space. I hope. I also heard good things about the different sessions about DITA usage (including one by Sonja Fuga that clearly opens the door for major innovation in the community content space using WordPress), the progressive disclosure of information (Cerys Willoughby), an overview of controlled language (or "information quality", as I like to position it) solutions and rationale by Dave Gash, and others. I also spent time chatting with Mike Hamilton of MadCap Software, who showed me a cool demo of their Flare product, and the Lingo translation solution. I liked the idea of their licensing model for workers-on-the-go; that’s smart UX-awareness in itself. Also chatted with Julian Murfitt of Mekon about uptake of DITA in the enterprise space. In all, it's worth attending UA Europe. I was surprised, however, not to see conference topics about mobile UA, community conversation and content, and search in its own right. These are unstoppable forces now, and the latter is pretty central to providing assistance now to all but the most irredentist of hard-copy fetishists or advanced technical or functional users working away on the back end of applications and systems. Only saw one iPad too (says the guy who carries three laptops). Tweeting during the conference was pretty much nonexistent during the event, so no community energy there. Perhaps all this can be addressed next year. I would love to see the next UA Europe event come to Dublin (despite Bloomsday, it's not a bad place place, really) now that hotels are so cheap and all. So, what is my overall impression of the state of user assistance in Europe? Clearly, there are still many people in the industry who feel there is something broken with the traditional forms of user assistance (particularly printed doc) and something needs to be done about it. I would suggest they move on and try and embrace change, instead. Many others see new possibilities, offered by UX and technology, as well as the reality of online user behavior in an increasingly connected world and that is encouraging. Such thought leaders need to be listened to. As Ellis Pratt says in his great book, Trends in Technical Communication - Rethinking Help: “To stay relevant means taking a new perspective on the role (of technical writer), and delivering “products” over and above the traditional manual and online Help file... there are a number of new trends in this field - some complementary, some conflicting. Whatever trends emerge as the norm, it’s likely the status quo will change.” It already has, IMO. I hear similar debates in the professional translation world about the onset of translation crowd sourcing (the Facebook model) and machine translation (trust me, that battle is over). Neither of these initiatives has put anyone out of a job and probably won't, though the nature of the work might change. If anything, such innovations have increased the overall need for professional translators as user expectations rise, new audiences emerge, and organizations need to collate and curate user-generated content, combining it with their own. Perhaps user assistance professionals can learn from other professions and grow accordingly.

  • 10 steps to enable &lsquo;Anonymous Access&rsquo; for your SharePoint 2010 site

    What’s Anonymous Access? Anonymous access to your SharePoint site enables all visitors to view your SharePoint site anonymously without having to log in. With this blog I’d like to go through an easy step wise procedure to enable/set up anonymous access. Before you actually enable anonymous access on the site, you’ll have to change some settings at the web app level. So let’s start with that: Prerequisite(s): 1. A hosted SharePoint 2010 farm/server. 2. An existing SharePoint site. I just thought I’d mention the above pre-reqs, since the steps mentioned below would’nt be valid or a different type of a site. Step 1: In Central Administration, under Application Management, click on the Manage web applications. Step 2: Now select the site you want to enable anonymous access and click on the Authentication Providers icon. Step 3: On the modal window click on the Default zone. Step 4: Now under the Edit Authentication section, check Enable anonymous access and click Save. This is basically to make the Anonymous Access authentication mechanism available at the web app level @ IIS. Now, web application will allow anonymous access to be set. 5. Going back to Web Application Management click on the Anonymous Policy icon. Step 6: Also before we proceed any further, under the Anonymous Access Restrictions (@ web app mgmt.) select your Zone and set the Permissions to None – No policy and click Save. Step 7:  Now lets navigate to your top level site collection for the web application. Click the Site Actions > Site Settings. Under Users and Permissions click Site permissions. Step 8: Under Users and Permissions, click on Site Permissions. Step 9: Under the Edit tab, click on Anonymous Access. Step 10: Choose whether you want Anonymous users to have access to the entire Web site or to lists and libraries only, and then click on OK. You should now be able to see the view as below under your permissions Also keep in mind: If you are trying to access the site from a browser within the domain, then you’ll need to change some browser settings to see the after affects. Normally this is because the browsers (Internet Explorer) is set to log in automatically to intranet zone only , not sure if you have explicitly changed the zones and added it to trusted sites. If this is from a box within your domain please try to access the site by temporarily changing the Internet Explorer setting to Anonymous Logon on the zone that the site is added example "Intranet" and try . You will find the same settings by clicking on Tools > Internet Options > Security Tab.

  • Make Windows Position Your Dual Monitors Correctly

    If you have a dual monitor setup and each monitor is a different size or height, it can be annoying trying to move the mouse pointer between them. Here is a quick tip that will help make the process easier. Align Monitors In our example, we’re using Windows 7, but the process is essentially the same in all versions, but getting to Display Settings is different. In Windows 7 open the Start menu and type display settings into the search box and hit Enter. In Vista right-click the desktop and click Personalize. Then from the Personalize appearance and sounds menu click on Display Settings. In XP right-click on the desktop and select Properties then in Display Properties click the Settings tab. Now here is where you can change the appearance of your monitors. In this example we have a larger 22” LCD and a smaller 19” and it can be annoying getting the mouse pointer from one to another depending where you are on each monitor. So what you want to do is simply move each display around to a particular height so it’s easier to get the pointer over. For example with this setting we know we’ll have no problem moving the pointer to the other screen at the top of each display.   Of course here you can flip your monitors around, change the display resolution, orientation, etc. If you have dual monitors where one might be larger or set up higher than the other, then this is a great way to get them finely tuned. You will have to play around with the settings a bit to settle on what works best for you.   • What I like about WIF&rsquo;s Claims-based Authorization

    In “traditional” .NET with its IPrincipal interface and IsInRole method, developers were encouraged to write code like this: public void AddCustomer(Customer customer) {     if (Thread.CurrentPrincipal.IsInRole("Sales"))     {         // add customer     } } In code reviews I’ve seen tons of code like this. What I don’t like about this is, that two concerns in your application get tightly coupled: business and security logic. But what happens when the security requirements change – and they will (e.g. members of the sales role and some other people from different roles need to create customers)? Well – since your security logic is sprinkled across your project you need to change the security checks in all relevant places (and make sure you don’t forget one) and you need to re-test, re-stage and re-deploy the complete app. This is clearly not what we want. WIF’s claims-based authorization encourages developers to separate business code and authorization policy evaluation. This is a good thing. So the same security check with WIF’s out-of-the box APIs would look like this: public void AddCustomer(Customer customer) {     try     {         ClaimsPrincipalPermission.CheckAccess("Customer", "Add");           // add customer     }     catch (SecurityException ex)     {         // access denied     } } You notice the fundamental difference? The security check only describes what the code is doing (represented by a resource/action pair) – and does not state who is allowed to invoke the code. As I mentioned earlier – the who is most probably changing over time – the what most probably not. The call to ClaimsPrincipalPermission hands off to another class called the ClaimsAuthorizationManager. This class handles the evaluation of your security policy and is ideally in a separate assembly to allow updating the security logic independently from the application logic (and vice versa). The claims authorization manager features a method called CheckAccess that retrieves three values (wrapped inside an AuthorizationContext instance) – action (“add”), resource (“customer”) and the principal (including its claims) in question. CheckAccess then evaluates those three values and returns true/false. I really like the separation of concerns part here. Unfortunately there is not much support from Microsoft beyond that point. And without further tooling and abstractions the CheckAccess method quickly becomes *very* complex. But still I think that is the way to go. In the next post I will tell you what I don’t like about it (and how to fix it).

  • How can I troubleshoot flash player/hardware conflict?

    OBJECTIVE: Have a web browser on my Ubuntu install that can play youtube and hulu videos. Also would like to understand problem so that I can fix it again if I change software. Workarounds welcome, technical understanding and solution preferable. SYMPTOMS: Flash does not run - cannot make the right-click menu appear, an empty box is where video should be, changes to black box when hovering over other links. The "The Adobe Flash plugin has crashed" message does not appear with its sad lego face. cannot activate proprietary graphics driver - causes system to reboot to a prompt. SOLUTIONS TRIED: Replaced OS (tried slackware 13.37, fedora 17, linuxmint 13 maya, gentoo, lubuntu, and even winXP. lubuntu confirmed to work, don't remember how much tweaking, if any, this required. Slack, fedora, mint, and gentoo all failed to run flash just like ubuntu) many reinstalls of flash player via different methods, including cleaning up old installs first, also tried gnash and lightspark. replaced graphics card (replaced HIS IceQ Radeon HD 4670 AGP with older GeForce 5700 LE no change in problem) flash does successfully work on winXP installation with Catalyst AGP hotfix driver applied, however I consider windows wholly unacceptable for web browsing due to lack of security. Lubuntu install also works, however I do not want to be tied down to just using Lubuntu on this computer. SYSINFO: Have latest versions of Ubuntu, Firefox, and Flash on fresh Ubuntu install. Using Gigabyte 7s748 motherboard with Athlon XP 2800+ and 3 GB of RAM with Radeon HD 4670 AGP card, also a Dell soundblaster live series sound card (due to malfunction of onboard sound on motherboard) Wired internet connection, Maxtor 6Y120L3 HDD, Sony DVD RW AW-Q170A, Dell M993s monitor. NOTES: I do not know if the graphics driver issue and the flash troubles are linked. Substitution of older graphics card having same flash troubles seems to suggest they aren't. My troubleshooting method is rather reductionist, consisting mainly of "replace things until you find out what was causing the error by process of elimination" only it seems that this must be a conflict which arises when software decides how to configure itself on my hardware. That is, I know the hardware can run Flash, and I know that on other systems the same software can too, but somehow the combination fails. Consequently I feel out of my depth. I will keep trying things off and on, but I have spent probably about 30 man-hours in the last 4 months working on this problem with no joy other than the lubuntu workaround. Any help will be appreciated, I will be checking back and posting updates. Any pertinent questions regarding me or my computer will be answered, outputs from config files can be accessed and posted (IDK which ones or what parts to post).

  • C# WPF application is using too much memory while GC.GetTotalMemory() is low

    I wrote little WPF application with 2 threads - main thread is GUI thread and another thread is worker. App has one WPF form with some controls. There is a button, allowing to select directory. After selecting directory, application scans for .jpg files in that directory and checks if their thumbnails are in hashtable. if they are, it does nothing. else it's adding their full filenames to queue for worker. Worker is taking filenames from this queue, loading JPEG images (using WPF's JpegBitmapDecoder and BitmapFrame), making thumbnails of them (using WPF's TransformedBitmap) and adding them to hashtable. Everything works fine, except memory consumption by this application when making thumbnails for big images (like 5000x5000 pixels). I've added textboxes on my form to show memory consumption (GC.GetTotalMemory() and Process.GetCurrentProcess().PrivateMemorySize64) and was very surprised, cuz GC.GetTotalMemory() stays close to 1-2 Mbytes, while private memory size constantly grows, especially when loading new image (~ +100Mb per image). Even after loading all images, making thumbnails of them and freeing original images, private memory size stays at ~700-800Mbytes. My VirtualBox is limited to 512Mb of physical memory and Windows in VirtualBox starts to swap alot to handle this huge memory consumption. I guess I'm doing something wrong, but I don't know how to investigate this problem, cuz according to GC, allocated memory size is very low.     Suppose you have two images: step1.png and step2.png . Can anyone show me a very simple example in pyglet how to loop through those 2 images say every 0.5 seconds? The character doesn't have to move, just a simple black screen with a fixed region wherein the two images continually change every 0.5 secs. I know how to make a character move, shoot projectiles etc. but I just can't figure out how to control the looping speed of the images.

  • How do I Integrate Production Database Hot Fixes into Shared Database Development model?

    We are using SQL Source Control 3, SQL Compare, SQL Data Compare from RedGate, Mercurial repositories, TeamCity and a set of 4 environments including production. I am working on getting us to a dedicated environment per developer, but for at least the next 6 months we are stuck with a shared model. To summarize our current system, we have a DEV SQL server where developers first make changes/additions. They commit their changes through SQL Source Control to a local hgdev repository. When they execute an hg push to the main repository, TeamCity listens for that and then (among other things) pushes hgdev repository to hgrc. Another TeamCity process listens for that and does a pull from hgrc and deploys the latest to a QA SQL Server where regression and integration tests are run. When those are passed a push from hgrc to hgprod occurs. We do a compare of hgprod to our PREPROD SQL Server and generate deployment/rollback scripts for our production release. Separate from the above we have database Hot Fixes that will need to be applied in between releases. The process there is for our Operations team make changes on the PreProd database, and then after testing, to use SQL Source Control to commit their hot fix changes to hgprod from the PREPROD database, and then do a compare from hgprod to PRODUCTION, create deployment scripts and run them on PRODUCTION. If we were in a dedicated database per developer model, we could simply automatically push hgprod back to hgdev and merge in the hot fix change (through TeamCity monitoring for hgprod checkins) and then developers would pick it up and merge it to their local repository and database periodically. However, given that with a shared model the DEV database itself is the source of all changes, this won't work. Pushing hotfixes back to hgdev will show up in SQL Source Control as being different than DEV SQL Server and therefore we need to overwrite the reposistory with the "change" from the DEV SQL Server. My only workaround so far is to just have OPS assign a developer the hotfix ticket with a script attached and then we run their hotfixes against DEV ourselves to merge them back in. I'm not happy with that solution. Other than working faster to get to dedicated environment, are they other ways to keep this loop going automatically?

  • Remove the Lock Icon from a Folder in Windows 7

    If you’ve been playing around with folder sharing or security options, then you might have ended up with an unsightly lock icon on a folder. We’ll show you how to get rid of that icon without over-sharing it. The lock icon in Windows 7 indicates that the file or folder can only be accessed by you, and not any other user on your computer. If this is desired, then the lock icon is a good way to ensure that those settings are in place. If this isn’t your intention, then it’s an eyesore. To remove the lock icon, we have to change the security settings on the folder to allow the Users group to, at the very least, read from the folder. Right-click on the folder with the lock icon and select Properties. Switch to the Security tab, and then press the Edit… button. A list of groups and users that have access to the folder appears. Missing from the list will be the “Users” group. Click the Add… button. The next window is a bit confusing, but all you need to do is enter “Users” into the text field near the bottom of the window. Click the Check Names button. “Users” will change to the location of the Users group on your particular computer. In our case, this is PHOENIX\Users (PHOENIX is the name of our test machine). Click OK. The Users group should now appear in the list of Groups and Users with access to the folder. You can modify the specific permissions that the Users group has if you’d like – at the minimum, it must have Read access. Click OK. Keep clicking OK until you’re back at the Explorer window. You should now see that the lock icon is gone from your folder! It may be a small aesthetic nuance, but having that one folder stick out in a group of other folders is needlessly distracting. Fortunately, the fix is quick and easy, and does not compromise the security of the folder!     I have been recently studying more on the dynamic types in C#. With some examples I understood once the code is compiled, it does not need to be recompiled again but can be executed directly. I feel the flexibility provided by the keyword to actually be able to change data type at will is a great advantage. Question, Are there any specific shortcomings apart from wrong dynamic method calls which throw run time exceptions which developers must know before starting the implementation.

    I was wondering how the creator of Minecraft went about lighting the objects (player and pickaxe) based on the lighting level around the player. I have implemented the ability to light the blocks around the player but I can't really think of anyway to implement with objects. Also, when I the player moves and the lighting values change will I have to rebuild it's vertexbuffers? Or is there some other way? Any ideas?

How do you find new shortcuts to master, and how do you change them to match ones you’ve already learned in other tools? These are the driving questions for today’s post. While some of us may be keyboard ninjas, and others are more driven to use the mouse – everyone has probably picked up a few strategic keyboard shortcuts over the years. For example, I’ve personally JUST memorized the Cmd-Shift-4 ‘trick’ in Mac OS X. And of course we all know what F1 does, right? Right?!? Here are a few more keyboard shortcuts to commit to memory.   • Using SQL Source Control and Vault Professional Part 4

    Two weeks ago I upgraded our installation of Fortress to the latest version, which is now named Vault Professional.  This is the version of Vault (i.e. Vault Standard 5.1 / Vault Professional 5.1) that will be officially supported with Red-Gate SQL Source Control 2.1.  While the folks at Red-Gate did a fantastic job of working with me to get SQL Source Control to work with the older Fortress version, we weren’t going to just sit on that.  There are a couple of things that Vault Professional cleaned up for us, such as improved integration with Visual Studio 2010, so it was a win all around. Shortly after that upgrade, I received notice from Red-Gate that they had a new Early Access version of SQL Source Control available that included the ability to source control static data.  The idea here is that you probably have a few fairly static lookup tables in your system, and those data values are similar in concept to source code, and should be versioned in your source control management system also.  I agree with this, but please be wise…somebody out there is bound to try to use this feature as their disaster recovery for their entire database, and that is NOT the purpose.  First off, you should never have your PROD (or LIVE, whatever you call it) system attached to source control.  Source Control is for development, not for PROD systems.  Second, use the features that are intended for this purpose, such as BACKUP and RESTORE. Laying that tangent aside, it is great that now you can include these critical values in your repository and make them part of a deployment process.  As you would guess, SQL Source Control uses SQL Data Compare to create the data change scripts just like it uses SQL Compare to create the schema change scripts.  Once again, they did a very good job with the integration to their other products.  At this point we are really starting to see some good payback on our investment in the full SQL Developer Bundle.  Those products were worth the investment back when we only used them sporadically for troubleshooting and DBA analysis, but now with SQL Source Control, they are becoming everyday-use products for the development team. I like this software (SQL Source Control) so much that I am about to break my own rules and distribute it to my team to use even though it is still in beta.  This is the first time that I have approved the use of any beta software in a production scenario (actively building our next versions of internal software) but I predict that the usability and productivity gain of using SQL Source Control over manual scripting is worth the risk.  Of course, I have also put this beta software through its paces pretty well to be comfortable with it, and Red-Gate has proven their responsiveness to issues that came up in my early beta testing, and so I am willing to bet on their continued support.  Likewise, SourceGear, the maker of Vault Professional, has proven itself to me as well, and so the combination of SQL Source Control with Vault Professional is the new standard for my development team.
