  • Gmail Now Searches Inside PDF, Word, and PowerPoint Attachments

    Gmail has long had a robust system for searching within the subjects and bodies of your emails, now you can search inside select attachments–PDF, Word, and PowerPoint attachments are all searchable. Prior to this update, Gmail could search inside of HTML attachments but lacked more advanced attachment querying abilities. Now when you search your Gmail account you’ll see search results for not only the subject and body contents but also the contents of popular formats like PDF and Word documents. Don’t forget to take advantage of advanced search terms to speed up your query. If you know the information you need is in an attachment but can’t remember which email, include “has:attachment” in your search to only peek inside emails with attachments.   • Bring Office 2003 Menus Back to 2010 with UBitMenu

    Are you having trouble getting used to the Ribbon interface in Office 2010?  Here’s how you can roll back the clock a bit and bring back the familiar menus and toolbars from 2003. The Office 2007 Ribbon was both praised and criticized.  While many users felt they were more productive with the new interface, others felt frustrated searching for commands they had memorized in older versions of Office.  Now, with Office 2010, the ribbon interface has been brought to every app in the Office suite, and is integrated into many newer programs from Microsoft. If you’re moving from Office 2003, using UBitMenu allows you to add the old familiar menus back along with the new Ribbon interface for an easier learning curve. Also, with the customizability of Office 2010, we can strip away the extra Ribbon tabs to make it more like 2003. Get the 2003 Menus and Toolbars Back in Office 2010 Download UBitMenu (link below), and install as normal.  Make sure all of your Office programs are closed during the installation.  This handy utility is very small, and installed amazingly quick. Open Word, Excel, or PowerPoint and there’s now a new Menu tab beside Home in the Ribbon.  Now you can access all of your favorite old Office commands in the familiar menus, and access many of the newer Office features such as SmartArt.   Here’s a close-up of the toolbar.  Notice that the layout is very similar to that of Word 2003. You can access all of the new Transitions in PowerPoint 2010 from the menu bar.   The menu in Excel even included support for the new PivotTable and PivotCharts Wizard. One problem we noticed was that the toolbars were condensed to a drop-down menu if the Office window was less than 870px wide.  This may be a frustration to users with low-resolution displays, and you might want to use the Office Apps maximized. Get Rid of the Ribbon Now that you’ve got the old menus back, you can get rid of the extra ribbon tabs if you’d like.  Office 2010 lets you customize your ribbon and remove tabs, so let’s get rid of all the other tabs except for our new Menu tab.  In our example we’re using Word, but you can do it in Excel or PowerPoint the same way. Click the File tab and select Options. Alternately, in the Menu tab, select Tools and then Word Options. Select Customize Ribbon on the left sidebar, then uncheck the boxes beside all the ribbon tabs you want to hide on the right.  Click Ok when you’re finished. While you’re at it, you can change the default color scheme as well. Note: The color change will automatically change the color scheme in all of the Office apps, so you’ll only need to do that once. Now the ribbon only has 2 tabs…the File tab for the new Backstage View, and the UBitMenu tab we just installed.  It almost has the appearance Word 2003, but with the new features of Word 2010!  You’ll need to repeat these steps in Excel and PowerPoint if you want to customize their ribbon the same.   Conclusion If you’ve been having a hard time getting used to Office 2010, UBitMenu is a great way to get familiar with the new interface, or simply stay productive with your old tricks.  We do wish it supported the other Office applications like OneNote and Outlook. That doesn’t make it a deal breaker though, it can make the learning curve easier in Word, PowerPoint, and Excel. UBitMenu is free for personal use, and available at a very reasonable price for businesses. If you’re using Office 2007 and not a fan of the Ribbon, UBitMenu works for it as well.   • How to add a 'second elbow' to an 'elbow arrow connector' in Powerpoint 2007?

    I'm trying to put together a relatively complex flow-chart thing -as part of a University assignment (health-related, and gosh, does my university love all things Microsoft Office...). Because of the way the chart progresses I have to connect two objects with a 'double elbow' version of the 'elbow arrow connector.' I accept that perhaps this complexity means I should redesign the chart, but I've tried and failed to simplify things already. If you'll pardon my ASCII art, this is what I have: +----------------+ | 1 | | | +-------+--------+ | | +-------+--------+ /\ |2 +--------|-----/ 3\ +----------------+ \ / \/ Shape 1 should connect to shape 3, currently the line doing so passes behind shape 2.   • How to convert PowerPoint presentations into a Kindle/E-reader friendly form?

    I have a lot of documents in .ppt and .pptx (blame the co-workers). I would like to read them on way home or elsewhere... when I have a little time to catch up with things. One thing I could do with the documents is cutting them together into one file. But saving that one even if a smaller version of PDF (according to Office 2010) results in a huge file. And PDF is hardly readable on a Kindle. I would need something .epub free, easy-on-the-device way. Is there such a thing? (Manually I could copy all the images down into native text and whatnot and create new presentations, save those, convert them. But that would just take a lot of time.)

  • How can I modify the "Picture Styles" shortcut gallery in Microsoft Office (Word and Powerpoint, specifically)?

    The Microsoft Office Ribbon has a convenient gallery of styles to apply to pictures, shown here. It functions much like the Quick Styles gallery in Word for quickly applying formatting to text. But whereas one can create a new text style and add it to the Quick Styles gallery, I haven't been able to find a way to do the same with the Picture Styles gallery. The default styles aren't what I need, and the styles I do need involve changing multiple settings, so a shortcut would be nice. Am I stuck just using the copy-paste format options?

  • Record the timestamps of slide changes during a live Powerpoint presentation?

    I am planning to implement a lecture capture solution. One of the requirements is to record both the presenter and the slideshow. The presenter is recorded with a videocamera obviously, and the slideshow will probably be captured using a tool like Camtasia. Now during playback three components are visible: the presenter, the slides and a table of contents. Clicking a chapter title in the TOC causes the video to navigate to the corresponding section. This means that a mapping must be made between chapter titles and their timestamps in the video. Usually a change of topic is accompanied with a slide change in the Powerpoint presentation. So the timestamps could be deduced from the slidechanges. However, this requires me to detect slide changes during the live presentation. And I don't know how to do that. Anyone here knows how to do detect slide changes? Is there a Powerpoint API where I can connect event handlers or something like that? I'd greatly appreciate your help!   • Best video codec for filmed powerpoint presentation

    I have some presentations that are filmed. The audio is the presenter and the video is all the Powerpoint slides (size 1024x768, video codec H264, audio codec AAC). I would like to reduce their final file size since a 1 hour presentation is about 800 MB. Most of it is the video part which as I said is mostly powerpoint slides that don't change much over a matter of several seconds. Which codec would be better suited to encode this images and reduce the size of the end file?

  • PowerPoint 2007 slides are only partially converted to PDF since SP3

    EDIT: Microsoft support has confirmed that it's a bug with PowerPoint 2007 SP3. I have recently encountered a problem with the "Save as PDF/XPS" add-in for PowerPoint 2007. When I use "Save as PDF/XPS" to create a PDF version of my presentation, some slides are only partially included in the resulting PDF file. For example, this: (download the PPTX file here) is reduced to this (in Adobe Reader X or Acrobat Pro X (both 10.1.1)): (download the PDF file here) So far, I have only encountered this with slides that contain animation elements, but which part of the elements remain in the PDF version appears not to have anything to do with the order in which the animated elements appear, so that might just be a coincidence. Update: The problem persists even if I "un-animate" the slides (removing the animation but leaving the previously animated elements intact). When viewing the affected slides in Acrobat Reader, it sometimes complains about the file containing invalid elements, and that I should complain to whoever generated the PDF file... Update 2: I have just installed Office 2007 on a new Windows 7 x64 PC. With the original Office version (12.0.4518.1014 MSO 12.0.6562.5003), a correct PDF file is generated. After installation of SP3 (12.0.6606.1000 SP3 MSO 12.0.6607.1000) a corrupt PDF file is generated. Today's Microsoft Updates (to PowerPoint version 12.0.6654.5000) haven't changed anything, by the way. Update 3: I have opened a tech support incident with Microsoft. They have confirmed the "limitation", as they called it, and it is indeed limited to 2007 SP 3 only. They are going to pass it on to the developers but they can't say when or even if a fix would be forthcoming, so I guess I'll upgrade to 2010...

  • Is there a way to display multiple power point documents in separate power point windows?

    In Microsoft PowerPoint 2007, when opening multiple .pptx/.ppt documents simultaneously, the documents are opened in the same physical PowerPoint window. I was wondering if anyone was aware of a way to separate these documents into separate physical windows. I am aware that you can arrange and cascade separate documents within the same PowerPoint window, but I find that method a bit awkward and frustrating (especially when juggling more than two documents simultaneously).

I've tried this to calculate it, but it does not work correctly. //This gives me the distance between the Coordinate and the Center of the Callout. DistanceX = Coordinate.X - (Callout.X + Callout.X_Ext)/2 DistanceY = Coordinate.Y - (Callout.Y + Callout.Y_Ext)/2 But, the geometric value is not the distance between the two points. Anybody know what the formula is for calculating this?

    Ok so the title pretty much says it all. We are offering a Hosted Exchange solution for our customer. Everything is working fine except for one customer complaining that he is receiving winmail.dat or winmail.txt attachments instead of the actual Word Excel or PowerPoint attachments he should be receiving, only when these messages come from a specific European senders, that is using Lotus Notes. I know that usually the problem is coming from Outlook senders to other mail clients, but this is not the first they inform me of this but I can't find anything on the matter so far. Has anyone ever gotten and solved this problem? If not, does anyone have any idea regarding this? I had solved this problem a few months ago, by upgrading Outlook to SP2 and then uninstalling it using the Service Pack removing tool of Microsoft. It seems that only the latest SP1 version could work but not the SP2. The problem is that now nothing is working at all. Thank you for your help, Philippe

  • What presentation software suits my needs?

    Background: I'm teaching biology to 12th grade students. The syllabus I'm teaching is huge. I mean literally, very huge. There is a lot for students to remember. There are no less than 1000 facts (weird names, dates etc) for students to remember. They'll have to remember all of them, they don't have a choice. The notes I compiled for their learning itself is upto 80 printed pages(Just the bullet outline & facts). That's just one chapter. We have 34 chapters. Also my students are very hardworking, they study upto 8-10hrs per day (Yeah! we are from India :). So, I want to ensure maximum retaining by the students at each and every stage (Teaching & Learning). I'm trying to as many memory training techniques as possible. I'm trying to incorporate, mnemonics, strong visual aids (pictures, 3D-animations, real videos etc.), spaced repetition etc. I think MS powerpoint is not suitable for my needs: There are about 200 slides per chapter. Its very easy for students to get lost while teaching. Because the problem with powerpoint is that it gives facts (as bullets) but it doesn't exploit the association & organization (Concept Map) of the content, which helps students learn quickly. I found an amazing software called XMind. You can see the screenshot here. Problem is that it is not as powerpoint in terms of powerpoint. This software can be used for just for concept maps. In the above screenshot, each topic occupies a single slide. I have an Image/picture(Detailed huge picture) and about 5-10 bullet points and probably a video or an animation of somethings. And this XMind is not good at presenting, in terms that it doesn't allow me to set what to present after what. I want to present a top down view, with a slide for each topic. PS: I Don't like prezi.com. I tried but it simply is too confusing for my students. It zooms here and there. I didn't tried it but I've seen few presentations.

    Hi, I have a Powerpoint 2007 document with hyperlinks to other slides and external docs both on the master layout and on serveral slides. When I try to convert it to PDF, it loses all the hyperlinks. I have the following Questions: Which PDF-Converter does not kill my Hyperlinks made in the Powerpoint Layout master? I tried Adobe and DoPDF. And how do I have to setup the prog/converter? thanks in advance!
