  • The Politics of Junk Filtering

    If the national postal service, such as the Royal Mail in the UK, were to go through your letters and throw away all the stuff it considered to be junk instead of delivering it to you, you might be rather pleased until you discovered that it took a too liberal decision about what was junk. Catalogs you'd asked for? Junk! Requests from charities? Who needs them! Parcels from competing carriers? Toss them away! The possibility for abuse for an agency that was in a monopolistic position is just too scary to tolerate. After all, the postal service could charge 'consultancy fees' to any sender who wanted to guarantee that his stuff got delivered, or they could even farm this out to other companies. Because Microsoft Outlook is just about the only email client used by the international business community in the west, its' SPAM filter is the final arbiter as to what gets read. My Outlook 2007, set to the default settings, junks all the perfectly innocent email newsletters that I subscribe to. Whereas Google Mail, Yahoo, and LIVE are all pretty accurate in detecting spam, Outlook makes all sorts of silly mistakes. The documentation speaks techno-babble about 'advanced heuristics', but the result boils down to an inaccurate mess. The more that Microsoft fiddles with it, the stickier the mess. To make matters worse, it still lets through obvious spam. The filter is occasionally updated along with other automatic 'security' updates you opt for automatic updates. As an editor for a popular online publication that provides a newsletter service, this is an obvious source of frustration. We follow all the best-practices we know about. We ensure that it is a trivial task to opt out of receiving it. We format the newsletter to the requirements of the Service Providers. We follow up, and resolve, every complaint. As a result, it gets delivered. It is galling to discover that, after all that effort, Outlook then often judges the contents to be junk on a whim, so you don't get to see it. A few days ago, Microsoft published the PST file format specification, under pressure from a European Union interoperability investigation by ECIS (the European Committee for Interoperable Systems). The objective was that other applications could then access existing PST files so as to migrate from existing Outlook installations to other solutions. Joaquín Almunia, the current competition commissioner, should now turn his attention to the more subtle problems of Microsoft Outlook. The Junk problem seems to have come from clumsy implementation of client-side spam filtering rather than from deliberate exploitation of a monopoly on the desktop email client for businesses, but it is a growing problem nonetheless.   • Outlook 2007 Backup to D:\Outlook Fails - Access Denied, Write-Protected or File In Use

    I can successfully save the Outlook PST file to the default location on the C drive (C:\Documents and Settings\user\ ... \Outlook) but when I change the backup save to directory to Outlook on the D drive I get the error: Cannot copy Outlook: Access is denied. Make sure the disk is not full or write protected and that the file is not currently in use. I suppose it is not that crucial that I save this file here, but I have never seen this problem before and I have made this same change in the past. I did some searching in this knowledge exchange as well as elsewhere on changing permissions, etc, but this didn't help. I discovered that the folder on my D drive (called Outlook) is not write-protected and nor is it read-only, as I can save to and modify files in that directory, as well as rename and delete the directory itself. At the time when I installed this version of Outlook, I used a previously saved Personal Folder (a backup PST file) and I thought having this still open in Outlook was causing the trouble. But I closed it and still have the same problem. I know this is probably a silly error on my part but I would like to figure it out. I'm new to superuser, but the answers I see are usually very good, so I thought I would post my first question. Thanks in advance.

  • Exporting Client Data from Groupwise 6.5 to Outlook 2010 without Crashing

    My employer has recently moved from Novell GroupWise 6.5 to Exchange 2010. We've imposed mailbox limits on staff but we still need to move their old messages, contacts, calendars, etc. over to Outlook 2010. Our problem however is this, utilizing the Novell MAPI client is slow within Outlook 2010 and upon exporting messages to a PST file (for later re-attachment, and offline backup purposes) crashes the GroupWise server. Connecting to the server in Outlook via IMAP to export messages to PST is faster and apparently more stable but also crashes the server. We'll be keeping our GroupWise server online internally until then end of the year but I have staff with mailboxes approaching 12 gigabytes, which is fine if we're going to move the data to offline storage (DVD set) but if I keep crashing the server every time I try to get the data I'll just be spinning my wheels. In my first attempts, I tried to move mail for a staff member with 3GB of data. The transfer lasted roughly 8 hours before crashing. I'm wondering if there is an open source solution to my problem. Paid solutions exist but we're a not-for-profit organization and have too many staff to justify the costs of per seat licenses just to migrate mail.

  • NetApp NDMP backup with BE 2010 R2 works, restore fails

    Hi, I'm having some issues with a new Backup Exec 2010 R2 installation. I configured a NetApp FAS2020 as an NDMP device and want to backup files from the NAS to a tape drive connected to my backup server. I set up ndmpd according to this document (http://www.symantec.com/business/support/index?page=content&id=TECH48957) and created a separate backup user (http://filers.blogspot.com/2006/09/setting-veritas-netbackup-with-non.html). Backup works perfectly, but restoring any file gives me an authentication failed error. The NDMP device has a "global" ndmp user configured in the device tab (tried this with the newly created ndmpd backup user and the netapp root) and I can also configure separate resource credentials in the BE restore job. I have tried setting the same accounts for the "global" ndmp device and the restore credentials and have also tried setting different accounts for them. NDMP debug level is at 5 and this is what shows up in /etc/messages. The session is closed immediately after it has been granted. 16:12:07 PST [Java_Thread:info]: ndmpdserver: ndmpd.access allowed for version = 4, sessionId = 51, from src ip = 192.168.11.17, dst ip = FAS2020-1/192.168.11.75, src port = 50857, dst port = 10000 16:12:07 PST [Java_Thread:info]: Ndmpd51: ndmpd session closed successfully for version = 4, sessionId = 51, from src ip = 192.168.11.17, dst ip = FAS2020-1/192.168.11.75, src port = 50857, dst port = 10000 Running wireshark on the backup server doesn't produce much. It shows a SYN - SYN/ACK - NDMP CONNECT_CLOSE Request from the backup server. The Resource Credentials for the restore job behave very oddly. If I enter NDMP credentials and do "Test All" it fails. If I use my regular domain backup account, it is successful. There are no failed or succeeded logons in the NetApp ndmp log and tracing this check shows that it doesn't even connect to the NAS. This makes me think that this is more likely flaky BE behaviour rather than misconfiguration of the NAS.   • Search for partial IP address using Windows Search?

    I have a folder, c:\projects\, added to Windows Index. I know the indexing is working because I search for stuff in this folder all the time and the results come up very fast, and I've never noticed any accuracy problem until now. (I have had to tweak Indexing options to expand which file types have their contents indexed rather than just the file name, etc, but after that Search has worked pretty well for me). I've encountered a problem while trying to search for references to a particular IP address subnet. I'm trying to find all references to IP's with the pattern "192.168.220.xxx" (AKA, the 192.168.220.0/24, AKA 192.168.220.0/255.255.255.0 IP/netmask). Within Windows Explorer: c:\projects**.* is indexed c:\projects\work\project1\network_list.txt contains several "192.168.220.xxx" IP's Indexing status says all items are indexed (193,000 items). When I try to search for partial IP match, there are no search results. Tried searching for: 192.168.220, 192.168, 192.168.220., 192.168.220., 192.168.220.?, 192.168.220.??, 192.168.220.???, 192.168., 192.168.. Also tried variants of all the above surrounded with double quotes. All the searches returned 0 results. Within MS Outlook 2007: My mailbox, and all my offline .pst's are indexed. I search in Outlook pretty frequently, so I'm pretty sure indexed searches work across inbox and all .pst's. Indexing status in Outlook says all items are indexed. I also have references to these IP's in email, and I'd like to find all of them. Basically same deal as above, can't search for "192.168.220.xxx" IP's. Any way to fix this?

  • Reconnecting OST with Exchange

    Hi. I have a quite big problem with customer's MS Exchange. The server got it's disk filled about 2 weeks ago, so it's currently offline. They plan to upgrade it, but not in hurry, as they use it mainly for OWA and back-up - the mails exchange is done via SMTP and POP3. Trying to diagnose some problem today, one of the users has (following the ISP instructions), removed the Exchange account from Outlook, which essentially left the OST orphaned. The user naturally didn't move the emails or any other data to the Archive / PST before, so these emails located on the OST only. So currently I'm trying to figure out how to restore them. There are 2 options: 1) Make the user buy some tool to convert them to PST, and import as archive / main Outlok file? 2) Reconnect the Outlook to Exchange (once it up), let it sync the old server content, then shutdown Outlook and replace the new OST with the old one, start Outlook again in offline mode and move these files to archive. 3) Any other method? Can someone advice what would be the best approach here? The used versions are Outlook 2007 and Exchange 2003. Thanks!

  • How do you optimize your Outlook Exchange + IMAP setup?

    My company provides an Outlook/Exchange account we must use for mail/calendar. Like many companies, they unfortunately also provide a ridiculously small mail quota. I got tired of managing and backing up .pst files (since I'm always in my e-mail there is never a good time to back it up), so I started storing my archived mail "in the cloud", using an IMAP server I set up on my Linux box. This has a few drawbacks for me: IMAP (at least the implementation in Outlook) is *very slow*. Furthermore, if I move a large number of messages to the IMAP server, it blocks the entire Outlook client for hours sometimes, which is quite annoying. Can't use exchange over HTTP to do mail without launching a VPN session, because the client-side rules I have which organize my mail fail and disable the rule if the IMAP server can't be reached. If I reply to a message from my IMAP store, I have to specify a SMTP server willing to relay for me in order to send e-mail, unless I always remember to select my Exchange account while composing e-mail. ... but the main advantage of being very easy to back up, with a couple of cron jobs that essentially do an 'rsync'. Short of moving the IMAP server to my local host (which seem like might have the same file locking problems as using a .pst), my options seem limited for solving (1). I'd like to come up with a solution for (2) and (3) though. For problem (2) would it be possible to somehow tell Outlook that the IMAP server is "offline", and have it synchronize my changes during a periodic "send and receive"? If so, I wonder if it would block the Outlook client, like it does in problem (1), and if it would be compatible with the client-only rules I use to sort my mail into folders. I've looked all over the options menu and have not found a way to tell Outlook to not use a certain account for sending mail, which would solve (3). Is anyone else crazy enough to be doing something like this? Any ideas?

  • Outlook locking network connection/session?

    Scenario: We have an 'automatic orders' machine sat in the corner running XP with Outlook 2003. Its job is to check for new emails on a specific account, when it encounters one it checks the e-mail body for specific wording to determine which customer it is from (using a macro), then it checks the attachment for specific order codes before parsing the attachment to create a .csv file (which is then e-mailed onto one of the sales team) before importing the .csv into our bespoke ERP/Sales Order system to create an order. Problem: Periodically the machine will have symptoms of a lost network connection (unable to connect to any network source). Sometimes after several days, sometimes over a week. Volume of emails/orders processed does not seem to be linked. Additional info: The machines .pst is stored on a mapped network location. The .csv created is stored on a mapped network location. This is a workgroup, not a domain. All network drives are Samba shares from an Ubuntu fileserver. Our bespoke system runs from a database (MySQL) Ubuntu server. Our troubleshooting so far: I have switched machines (previous was Win2000) with the same symptoms. Restarting the machine FIXES the problem. Closing Outlook and then end tasking an Outlook.exe background process FIXES the problem. If you close Outlook, without end taking the background process, outlook will not reopen (saying it cannot find the pst file & it will not open any network location). Does Outlook have some kind of 'max session' linking it to network activity that is not closing after a mail request? Could Auto-archive be causing this? Is there a tool to check/display what each outlook.exe process is doing? Have not found many ways to troubleshoot this yet, as it is so infrequent...

  • Mass-migrating from POP3 to Exchange 2010, how do I copy mailboxes?

    I'm in the process of planning our migration from an internal hosted POP3-server (dovecot) to Exchange 2010. We're using Outlook 2003 for the moment, but will soon upgrade to Outlook 2010. The big problem is that we have about 50 computers here in our HQ, plus ~30 clients in branch offices (wich will get their Exchange migration later sometime). I'm the only IT personel, and having to go around and manually set up Outlook and copy over their PST contents is not a option I'm looking for. Some users have set outlook to keep messages for X number of days on the POP3 server, others have not. Using a POP3 connector to transfer over the mails is not a viable option. Here is what I've done so far: Created a transform for the Office 2003 administrative installation point Created a .PRF file to modify any existing e-mail account to switch over to Exchange (including the RPC-encrypt hotfix described in MSKB 2006508) Tested both transform and PRF, both works Created a test-OU and GPO containing the Office 2003 installation with transform applied, also works My big question is: How can I force Outlook to import any existing .PST into the new Exchange mailbox when the user starts up Outlook for the first time after the MST/PRF have been applied? Is this possible?

  • Google MAIL not arriving - relay not allowed

    I have a server with sendmail, hosting my domain mind-zone.nl, i changed the MX records to point to the server. When I use Hotmail or any other client the email arrives and everything is fine. ONLY mail from GMAIL server is bounced and gmail returns "relay denied". I have set all the virtual server host settings etc, from command line I can send mails as well, hotmail works, etc. Just not gmail. The strange thing is, this is what gmail returns: Look at the lower part: "Received by" it returns some IP address which is not mine and has absolutely nothing with my domain. While when I do a NSLOOKUP and change to google's DNS server it will state that the IP Address for my domain is correctly pointing at my server. Technical details of permanent failure: Google tried to deliver your message, but it was rejected by the recipient domain. We recommend contacting the other email provider for further information about the cause of this error.   • Can not connect remotely to MySQL Server on Ubuntu 10.10

    Ok I have searched google for two days trying to get this to work. Here are the steps I have taken so far: Clean install of Ubuntu 10.10 Install mysql 5.1 as well as admin Comment out the bind address in the config file Create a new database Create a new user that is username@% to allow remote connections Grant all access to this user to the new database EXCEPT the grant option Login on the server is ok using this new user and database on the localhost Login on the server is ok using this new user and database on the server internal network ip Login from a remote computer is ok using this new user and database using the internal network ip Login is not working when logging in with this username and database using the external ip address from the server or the remote computer. I have port forwarding enabled for this port and it is viewable from outside as confirmed by canyouseeme.org I have nmap'd using the following command on the internal ip and get the below result: nmap -PN -p 3306 192.168.1.73 Starting Nmap 5.21 ( http://nmap.org ) at 2011-02-19 13:41 PST Nmap scan report for computername-System-Name (192.168.1.73) Host is up (0.00064s latency). PORT STATE SERVICE 3306/tcp open mysql Nmap done: 1 IP address (1 host up) scanned in 0.23 seconds I have nmap'd using the following command on the internal ip and get the below result(I have hidden ip for obvious reasons): nmap -PN -p 3306 xxx.xxx.xx.xxx Starting Nmap 5.21 ( http://nmap.org ) at 2011-02-19 13:42 PST Nmap scan report for HOSTNAME (xxx.xxx.xx.xxx) Host is up (0.00056s latency). I have tried everything under the moon and still can not connect from a remote external ip address. Any help is greatly appreciated and I need to do anything to help find the problem let me know and I will post the results here.

  • Outlook 2010: Can I search Only My: Inbox, All Inbox Subfolders, and Specified Archive File Folders all at once

    The setup is a user that has a laptop with Outlook 2010. We have Outlook hosted by Sherweb. The user that has a large number of emails (40,000) in a single Inbox subfolder. (I believe) Having such a large number of emails in an inox is slowing the users laptop down and I want to start moving old emails to a seperate pst file on a machine on our network. The problem I have is the user needs to be able to search all 40,000 emails. Right now he can can search do a search on the single subfolder. I would like to be able to move some of the emails to a seperate pst so I can compact the Inbox and still give them a 'one-click' search function that is still fairly quick. I don't think the 'Search All Outlook Items' is the soltuion because this will search all outlook folders -- sent items, other public folders. P.S. I'm not a expericenced outlook administrator, so there may be some assumptions in my questions that are wrong. I have no problem with somebody showing the error of my ways.

  • Email sent from server with rDNS & SPF being blocked by Hotmail

    I have been unable to send email to users on hotmail or other Microsoft email servers for some time. Its been a major headache trying to find out why and how to fix the issue. The emails being sent that are blocked from my domain canadaka.net. I use Google Aps to host my regular email serverice for my @canadaka.net email addresses. I can sent email from my desktop or gmail to a hotmail without any problem. But any email sent from my server on behalf of canadaka.net is blocked, not even arriving in the junk email. The IP that the emails are being sent from is the same IP that my site is hosted on: 66.199.162.177 This IP is new to me since August 2010, I had a different IP for the previous 3-4 years. This IP is not on any credible spam lists http://www.anti-abuse.org/multi-rbl-check-results/?host=66.199.162.177 The one list spamcannibal.org my IP is listed on seems to be out of my control, says "no reverse DNS, MX host should have rDNS - RFC1912 2.1". But since I use Google for my email hosting, I don't have control over setting up RDNS for all the MX records. I do have Reverse DNS setup for my IP though, it resolves to "mail.canadaka.net". I have signed up for SNDS and was approved. My ip says "All of the specified IPs have normal status." Sender Score: 100 https://www.senderscore.org/lookup.php?lookup=66.199.162.177&ipLookup.x=55&ipLookup.y=14 My Mcafee threat level seems fine I have a TXT SPF record setup, I am currently using xname.org as my DNS, and they don't have a field for SPF, but their FAQ says to add the SPF info as a TXT entry. v=spf1 a include:_spf.google.com ~all Some "SPF checking" tools ive used detect that my domain has a valid SPF, but others don't. Like Microsoft's SPF wizard, i think this is because its specifically looking for an SPF record and not in the TXT. "No SPF Record Found. A and MX Records Available". From my home I can run "nslookup -type=TXT canadaka.net" and it returns: Server: google-public-dns-a.google.com Address: 8.8.8.8 Non-authoritative answer: canadaka.net text = "v=spf1 a include:_spf.google.com ~all" One strange thing I found is i'm unable to ping hotmail.com or msn.com or do a "telnet mail.hotmail.com 25". I am able to ping gmail.com and many other domains I tried. I tried changing my DNS servers to Google's Public DNS and did a ipconfig /flushdns but that had no effect. I am however able to connect with telnet to mx1.hotmail.com This is what the email headers look like when I send to a Google email server and I receive the email with no troubles. You can see that SPF is passing. I don't know what i'm doing wrong! UPDATE 1 I have been removed from hotmails IP block and am now able to send emails to hotmail, but they are all going directly to the JUNK folder. UPDATE 2 I used Telnet to send a test message to port25.com, seems my SPF is not being detected. Result: neutral (SPF-Result: None) canadaka.net. SPF (no records) canadaka.net. TXT (no records) I do have a TXT record, its been there for years, I did change it a week ago. Other sites that allow you to check your SPF detect it, but some others like Microsofts Wizard doesn't. This iw what my SPF record in my xname.org DNS file looks like: canadaka.net. 86400 IN TXT "v=spf1 a include:_spf.google.com ~all" I did have a nameserver as my 4th option that doens't have the TXT records since it doens't support it. So I removed it from the list and instead added wtfdns.com as my 4th adn 5th nameservers, which does support TXT.
