    For many reasons--legal, business, and ethical--Oracle recognizes the need for its applications, and our customers' and partners' products built with our tools, to be usable by the disabled community. The following features of Tutor Author and Publisher software facilitate the creation of accessible HTML content for the disabled community.TablesThe following formatting guidelines will ensure that Tutor documents containing tables will be accessible once they are converted to HTML.• Determine whether a table is a "data table" or whether you are using a table simply for formatting. If it's a data table, you must use a heading for each column, and you should format this heading row as "table heading" style and select Table > Heading Rows Repeat.• For non data tables, it is not necessary to include a heading row.GraphicsTo create accessible graphics, add a caption to the graphic. In Microsoft Office 2000 and greater, right-click on the graphic and select Format Picture > Web (tab) > Alternative Text or select the graphic then Format > Picture > Web (tab) Alternative Text.   • Oracle Tutor: Are Documented Policies and Procedures Necessary?

    People refer to policies and procedures with a variety of expressions including business process documentation, standard operating procedures (SOPs), department operating procedures (DOPs), work instructions, specifications, and so on. For our purpose here, policies and procedures mean a set of documents that describe an organization's policies (rules) for operation and the procedures (containing tasks performed by individuals) to fulfill the policies. When an organization documents policies and procedures properly, they can be the strategic link between an organization's vision and its daily operations. Policies and procedures are often necessary because of some external requirement, such as environmental compliance or other governmental regulations. One example of an external requirement would be the American Sarbanes-Oxley Act, requiring full openness in accounting practices. Here are a few other examples of business issues that necessitate writing policies and procedures: Operational needs -- policies and procedures ensure fundamental processes are performed in a consistent way that meets the organization's needs. Risk management -- policies and procedures are identified by the Committee of Sponsoring Organizations of the Treadway Commission (COSO) as a control activity needed to manage risk. Continuous improvement -- Procedures can improve processes by building important internal communication practices. Compliance -- Well-defined and documented processes (i.e. procedures, training materials) along with records that demonstrate process capability can demonstrate an effective internal control system compliant with regulations and standards. In addition to helping with the above business issues, policies and procedures can support the basic needs of employees and management.   • Oracle Tutor - Is Anyone Reading Your Documentation?

    If you are responsible for documenting your business practices, wouldn't it be nice to know if anyone is using the documentation? If the employees find it useful? You might want to consider surveying the users of the documentation on a regular basis. There are a number of free survey tools online (search for "free survey tools"), and you can have a survey ready in a matter of minutes. It's as simple as gathering a list of questions and a list of email addresses. For the questions, here are some suggestions. How often do you access the policy and procedure site? How useful is the site? How easy is it to navigate the site? How often are your questions answered on the site? What suggestions do you have to make the site more useful? You may want to consider just asking a few questions each month so that employees can complete the survey in less than 5 minutes (you'll get more responses). Make sure you have several comment boxes in the survey so that the employees can give suggestions. As the users of your documentation, the employees may have some terrific ideas that will enhance the usability of your policy and procedure site.   • Customizing Flowcharts in Oracle Tutor

    Today we're going to look at how you can customize the flowcharts within Oracle Tutor procedures, and how you can share those changes with other authors within your company. Here is an image of a flowchart within a Tutor procedure with the default size and color scheme. You may want to change the size of your flowcharts as your end-users might have larger screens or need larger fonts. To change the size and number of columns, navigate to Tutor Author Author Options Flowcharts. The default is to have 4 columns appear in each flowchart, but, if I change it to six, my end-users will see a denser flowchart. This might be too dense for my end-users, so I will change it to 5 columns, and I will also deselect the option to have separate task boxes. Now let's look at how to customize the colors. Within the Flowchart options dialog, there is a button labeled "Colors." This brings up a dialog box of every object on a Tutor flowchart, and I can modify the color of each object, as well as the text within the object. If I click on the background, the "page" object appears in the Item field, and now I can customize the color and the title text by selecting Select Fill Color and/or Select Text Color. A dialog box with color choices appears. If I select Define Custom Colors, I can make my selections even more precise. Each time I change the color of an object, it appears in the selection screen. When the flowchart customization is finished, I can save my changes by naming the scheme. Although the color scheme I have chosen is rather silly looking, perhaps I want others to give me their feedback and make changes as they wish. I can share the color scheme with them by copying the FCP.INI file in the Tutor\Author directory into the same directory on their systems. If the other users have color schemes that they do not want to lose, they can copy the relevant lines from the FCP.INI file into their file. If I flowchart my document with the new scheme, I can see how it looks within the document. Sometimes just one or two changes to the default scheme are enough to customize the flowchart to your company's color palette. I have seen customers who have only changed the Start object to green and the End object to red, and I've seen another customer who changed every object to some variant of black and orange.   • Transform your Oracle Tutor Documents to Your Corporate Standard

    You have all of your company's processes documented in Oracle Tutor, and now you want to get the HTML files to reflect your company's corporate look and feel. How are you going to do this without having an HTML guru to change every HTML page? The good news is you do not need to be an HTML expert to make minor changes to your documents. All Tutor HTML files are attached to a group of style sheets, so any changes you make to the style sheets will immediately be reflected in all of your HTML documents. If you want to give it a try, here's what you do (please note that these tips are applicable to release Oracle Tutor 12.2 and greater): Navigate to your Tutor HTML directory, and copy into a draft folder a representative group of HTML files (don't forget the flowchart image files that are associated with the procedures). You'll also need to copy the following files: tutor.css tutor_notabs.css tutor_scripts.js tutor_tabs.css flow_icon.gif Here's the default look to the Oracle Tutor desk manual. Let's say I want to use my company's corporate style in the HTML documents. At Oracle, we use Oracle Red (FF0000), Oracle Black (000000), and Oracle Gray (666666). So I want to incorporate those colors into the Tutor HTML files. I open tutor.css from the draft folder in a text editor. My preference is to use Notepad, but there are others. Make sure, however, that it is a text editor, and not a word processing program. I want to change the headings to Oracle Red. The desk manual title is listed as the DMPAGETITLE, so I find that in tutor.css. The style names in the style sheets are descriptive, but sometimes you may have to experiment to find the right style (this is why you're working in a draft folder). I change the color attribute to FF00000, and then I save the document. Now I look at one of the desk manuals in my draft folder. I've successfully changed the title of the desk manual, so, now that I have more confidence that I can do this, I start changing other styles. I need to make changes in the tutor_tabs.css file as well, so I open that document. Then I look at one of the procedures. Oops! All that red is distracting, and the users may not be able to follow their procedures. So I go back to the corporate style guide, and I find some shades of gray that have been approved. So I use that, and it is now more readable. It's good enough for a first draft, and I would show it to my colleagues at this point to get their input.   • Oracle Tutor: Installing Is Not Implementing or Why CIO's should care about End User Adoption

    Eighteen months ago I showed Tutor and UPK Productive Day One overview to a CIO friend of mine. He works in a manufacturing business which had been recently purchased by a global conglomerate. He had a major implementation coming up, but said that the corporate team would be coming in to handle the project. I asked about their end user training approach, but it was unclear to him at the time. We were in touch over the course of the implementation project. The major activities were data conversion, how-to workshops, General Ledger realignment, and report definition. The message was "Here's how we do it at corporate, and here's how you are going to do it." In short, it was an application software installation. The corporate team had experience and confidence and the effort through go-live was smooth. Some weeks after cutover, problems with customer orders began to surface. Orders could not be fulfilled in a timely fashion. The problem got worse, and the corporate emergency team was called in. After many days of analysis, the issue was tracked down and resolved, but by then there were weeks of backorders, and their customer base was impacted in a significant way. It took three months of constant handholding of customers by the sales force for good will to be reestablished, and this itself diminished a new product sales push. I learned of these results in a recent conversation with the CIO. I asked him what the solution to the problem was, and he replied that it was twofold. The first component was a lack of understanding by customer service reps about how a particular data item in order entry was to be filled in, resulting in discrepant order data. The second component was that product planners were using this data, along with data from other sources, to fill in a spreadsheet based on the abandoned system. This spreadsheet was the primary input for planning data. The result of these two inaccuracies was that key parts were not being ordered to effectively meet demand and the lead time for finished goods was pushed out by weeks. I reminded him about the Productive Day One approach, and it's focus on methodology and tools for end user training. A more collaborative solution workshop would have identified proper applications use in the new environment. Using UPK to document correct transaction entry would have provided effective guidelines to the CSRs for data entry. Using Oracle Tutor to document the manual tasks would have eliminated the use of an out of date spreadsheet. As we talked this over, he said, "I wish I knew when I started what I know now." Effective end user adoption is the most critical and most overlooked success factor in applications implementations. When the switch is thrown at go-live, employees need to know how to use the new systems to do their jobs. Their jobs are made up of manual steps and systems steps which must be performed in the right order for the implementing organization to operate smoothly. Use Tutor to document the manual policies and procedures, use UPK to document the systems tasks, and develop this documentation in conjunction with a solution workshop.   • Implementing Database Settings Using Policy Based Management

    Introduction Database Administrators have always had a tough time to ensuring that all the SQL Servers administered by them are configured according to the policies and standards of organization. Using SQL Server’s  Policy Based Management feature DBAs can now manage one or more instances of SQL Server 2008 and check for policy compliance issues. In this article we will utilize Policy Based Management (aka Declarative Management Framework or DMF) feature of SQL Server to implement and verify database settings on all production databases. It is best practice to enforce the below settings on each Production database. However, it can be tedious to go through each database and then check whether the below database settings are implemented across databases. In this article I will explain it to you how to utilize the Policy Based Management Feature of SQL Server 2008 to create a policy to verify these settings on all databases and in cases of non-complaince how to bring them back into complaince. Database setting to enforce on each user database : Auto Close and Auto Shrink Properties of database set to False Auto Create Statistics and Auto Update Statistics set to True Compatibility Level of all the user database set as 100 Page Verify set as CHECKSUM Recovery Model of all user database set to Full Restrict Access set as MULTI_USER Configure a Policy to Verify Database Settings 1. Connect to SQL Server 2008 Instance using SQL Server Management Studio 2. In the Object Explorer, Click on Management > Policy Management and you will be able to see Policies, Conditions & Facets as child nodes 3. Right click Policies and then select New Policy…. from the drop down list as shown in the snippet below to open the  Create New Policy Popup window. 4. In the Create New Policy popup window you need to provide the name of the policy as “Implementing and Verify Database Settings for Production Databases” and then click the drop down list under Check Condition. As highlighted in the snippet below click on the New Condition… option to open up the Create New Condition window. 5. In the Create New Condition popup window you need to provide the name of the condition as “Verify and Change Database Settings”. In the Facet drop down list you need to choose the Facet as Database Options as shown in the snippet below. Under Expression you need to select Field value as @AutoClose and then choose Operator value as ‘ = ‘ and finally choose Value as False. Now that you have successfully added the first field you can now go ahead and add rest of the fields as shown in the snippet below. Once you have successfully added all the above shown fields of Database Options Facet, click OK to save the changes and to return to the parent Create New Policy – Implementing and Verify Database Settings for Production Database windows where you will see that the newly created condition “Verify and Change Database Settings” is selected by default.   • Oracle Tutor: XPDL conversion (and why you should care)

    You may have noticed that the Oracle Business Process Converter feature in Tutor 14 supports "XPDL" conversion to Oracle Business Process Analysis Suite (BPA), Oracle Business Process Management Suite (BPM), and Oracle Tutor, and you may have briefly wondered "what is XPDL?" before you moved on to the Visio import feature (a very popular feature in Tutor 14). This posting is for those who do not yet understand (or care) about XPDL and process modeling. Many of us (and I'm including myself) have spent years working in the process definition arena: we've written procedures, designed systems and software to help others write procedures, and have been responsible for embedding policies and procedures into training material for employees. We've worked with tools such as Oracle Tutor, Microsoft Visio, Microsoft Word, and UPK. Most of us have never worked with "modeling tools" before, and we certainly never had to understand BPMN. It's a brave new world in this arena, and companies desperately need people with policy and procedural system expertise to be able to work with system analysts so there is a seamless transfer of knowledge from IT to employees. When working with applications, a picture is worth a thousand words, so eventually you're going to need to understand and be able to work with business process models. XPDL is an acronym for XML Process Definition Language, and it is an interchange format for business process models. It allows you to take a BPMN model that was developed in one workflow application such as BizAgi and import it into another workflow application or a true BPMN management system such as Oracle BPM. Specifically, the XPDL format contains the graphical information of a model as well as any executable information. By using a common format, models can be moved from a basic modeling application used by business owners to applications used by system architects. Over 80 applications support the XPDL format, including MetaStorm ProVision, BEA ALBPM, BizAgi, and Tibco. I mention these applications because we have provided XSLT mapping files specifically for these vendors. Oracle Business Process Converter was designed with user extensibility in mind, and thus users can add their own XML files so that additional XPDL models from other vendors can be converted to BPM, BPA, and Oracle Tutor. Instructions on how to add your own files can be found in Appendix 4 of the Oracle Business Converter manual. Let's take a visual look at how this works. Here is an example of a model devloped in BizAgi: This model can be created by the average business user without a large learning curve, and it's a good start for the system analyst who will be adding web services as well as for the business manager who manages the process described in the model. By exporting this model as XPDL, the information can be converted into Oracle BPA and Oracle BPM as well as converted to Oracle Tutor to become the framework for a procedure. Through this conversion feature, one graphic illustration of a business process can be used by a system analyst, business analyst, business manager, and employee, as seen below. Model Converted to Tutor Procedure Below is the task section of the procedure after conversion from an XPDL file. Model converted to BPA Model converted to BPM End users still want step by step instructions on how to perform their jobs, so procedures (Oracle Tutor) and application simulations (UPK) are still a critical piece of the solution. But IT professionals need graphic descriptions of how the applications work, regardless of whether there are any tasks involving humans. Now there is a way to convert procedures (Oracle Tutor docx files) and basic models (XPDL files) so that business managers and system analysts can share process information.     Overview Your organization (executives, managers, and employees) understands the value of having written business process documents (process maps, procedures, instructions, reference documents, and form abstracts). Policies and procedures should be documented because they help to reduce the range of individual decisions and encourage management by exception: the manager only needs to give special attention to unusual problems, not covered by a specific policy or procedure. As more and more procedures are written to cover recurring situations, managers will begin to make decisions which will be consistent from one functional area to the next.Companies should take a project management approach when implementing an environment for a sustainable documentation program and do the following:1. Identify an Executive Champion2. Put together a winning team3. Assign ownership4. Centralize publishing5. Establish the Document Maintenance Process Up Front6. Document critical activities only7. Each document has a single owner, who is responsible for ensuring that the document is necessary and that it reflects actual practice. The owner must be a person who is knowledgeable about the activity and who has the authority to build consensus among the persons who participate in the activity as well as the authority to define or change the way an activity is performed. The owner must be an advocate of the performers and negotiate, not dictate practices.In the Tutor environment, a document's owner is the only person with the authority to approve an update to that document. 4. Centralize Publishing Although it is tempting (especially in a networked environment and with document management software solutions) to decentralize the control of all documents -- with each owner updating and distributing his own -- Tutor promotes centralized publishing by assigning the Document Administrator (gate keeper) to manage the updates and distribution of the procedures library. 5. Establish a Document Maintenance Process Up Front (and stick to it) Everyone in your organization should know they are invited to suggest changes to procedures and should understand exactly what steps to take to do so. Tutor provides a set of procedures to help your company set up a healthy document control system. There are many document management products available to automate some of the document change and maintenance steps. Depending on the size of your organization, a simple document management system can reduce the effort it takes to track and distribute document changes and updates. Whether your company decides to store the written policies and procedures on a file server or in a database, the essential tasks for maintaining documents are the same, though some tasks are automated. 6. Document Critical Activities Only The best way to keep your documentation simple is to reduce the number of process documents to a bare minimum and to include in those documents only as much detail as is absolutely necessary. The first step to reducing process documentation is to document only those activities that are deemed critical. Not all activities require documentation. In fact, some critical activities cannot and should not be standardized. Others may be sufficiently documented with an instruction or a checklist and may not require a procedure. A document should only be created when it enhances the performance of the employee performing the activity. If it does not help the employee, then there is no reason to maintain the document. Activities that represent little risk (such as project status), activities that cannot be defined in terms of specific tasks (such as product research), and activities that can be performed in a variety of ways (such as advertising) often do not require documentation. Sometimes, an activity will evolve to the point where documentation is necessary. For example, an activity performed by single employee may be straightforward and uncomplicated -- that is, until the activity is performed by multiple employees. Sometimes, it is the interaction between co-workers that necessitates documentation; sometimes, it is the complexity or the diversity of the activity.7. Document Actual Practices The only reason to maintain process documentation is to enhance the performance of the employee performing the activity. And documentation can only enhance performance if it reflects reality -- that is, current best practice. Documentation that reflects an unattainable ideal or outdated practices will end up on the shelf, unused and forgotten.Documenting actual practice means (1) auditing the activity to understand how the work is really performed, (2) identifying best practices with employees who are involved in the activity, (3) building consensus so that everyone agrees on a common method, and (4) recording that consensus.8. Minimize Documentation One way to keep it simple is to document at the highest level possible. That is, include in your documents only as much detail as is absolutely necessary.When writing a document, you should ask yourself, What is the purpose of this document? That is, what problem will it solve?By focusing on this question, you can target the critical information.• What questions are the end users likely to have?• What level of detail is required?• Is any of this information extraneous to the document's purpose? Short, concise documents are user friendly and they are easier to keep up to date. 9. Support Continuous Improvement Employees who perform an activity are often in the best position to identify improvements to the process. In other words, continuous improvement is a natural byproduct of the work itself -- but only if the improvements are communicated to all employees who are involved in the process, and only if there is consensus among those employees.Traditionally, process documentation has been used to dictate performance, to limit employees' actions. In the Tutor environment, process documents are used to communicate improvements identified by employees. How does this work? The Tutor methodology requires a process document to reflect actual practice, so the owner of a document must routinely audit its content -- does the document match what the employees are doing? If it doesn't, the owner has the responsibility to evaluate the process, to build consensus among the employees, to identify "best practices," and to communicate these improvements via a document update. Continuous improvement can also be an outgrowth of corrective action -- but only if the solutions to problems are communicated effectively. The goal should be to solve a problem once and only once, which means not only identifying the solution, but ensuring that the solution becomes part of the process. The Tutor system provides the method through which improvements and solutions are documented and communicated to all affected employees in a cost-effective, timely manner; it ensures that improvements are not lost or confined to a single employee. 10. Keep it Simple Process documents don't have to be complex and unfriendly. In fact, the simpler the format and organization, the more likely the documents will be used. And the simpler the method of maintenance, the more likely the documents will be kept up-to-date.     To Clarify: my question is why isn't my password policy applying to people in the domain. Hey guys, having trouble with our password policy in Active Directory. Sometimes it just helps me to type out what I’m seeing It appears to not be applying properly across the board. I am new to this environment and AD in general but I think I have a general grasp of what should be going on. It’s a pretty simple AD setup without too many Group Policies being applied. It looks something like this DOMAIN Default Domain Policy (link enabled) Password Policy (link enabled and enforce) Personal OU Force Password Change (completely empty nothing in this GPO) IT OU Lockout Policy (link enabled and enforced) CS OU Lockout Policy Accouting OU Lockout Policy The password policy and default domain policy both define the same things under Computer ConfigWindows seetings sec settings Account Policies / Password Policy Enforce password History : 24 passwords remembered Maximum Password age : 180 days Min password age: 14 days Minimum Password Length: 6 characters Password must meet complexity requirements: Enabled Store Passwords using reversible encryption: Disabled Account Policies / Account Lockout Policy Account Lockout Duration 10080 Minutes Account Lockout Threshold: 5 invalid login attempts Reset Account Lockout Counter after : 30 minutes IT lockout This just sets the screen saver settings to lock computers when the user is Idle. After running Group Policy modeling it seems like the password policy and default domain policy is getting applied to everyone. Therefore I thought the best way to visualize it, using a flowchart. The problem is, in this hierarchical set it is possible to end in more than one state and its totally valid. I have never seen a flowchart where you can enter more than one state. Is it still possible and I am missing the right symbol to present this logic or are flowchart not fitting anyway? What other graphical representation could I use, is there something fitting in UML? A non-deterministic state machine seems not to be intuitive enough, transfering it into a deterministic state machine would result in to many states, and so on.

Let's assume I call this method someMethod. The C code could look something like this: bool someMethod(int Foo, int Bar) { foo += 5; bar -= 5; return (foo == bar); } This means that my flowchart will have a subroutine block where I call this function. But how do I correctly show the reader which integers I pass? And when I create the flowchart of "someMethod", I face a similar problem: how do I correctly show the reader that Foo and Bar are passed parameters?

So far I have only found out how to create new Group Policy objects using Interop.GPMGMTLib (gpmgmt.dll), yet I haven't figured out how to change the policy's password rules and I am not sure if there is an easier way.

Well, here is a quick tutorial to answer this. Let us see how quickly we can do it. Requirements Check if the guest user is disabled in all the user-created databases. Exclude master, tempdb and msdb database for guest user validation. We will create the following conditions based on the above two requirements: If the name of the user is ‘guest’ If the user has connect (@hasDBAccess) permission in the database Check in All user databases, except: master, tempDB and msdb Once we create two conditions, we will create a policy which will validate the conditions. Condition 1: Is the User Guest? Expand the Database >> Management >> Policy Management >> Conditions Right click on the Conditions, and click on “New Condition…”. First we will create a condition where we will validate if the user name is ‘guest’, and if it’s so, then we will further validate if it has DB access. Check the image for the necessary configuration for condition: Facet: User Expression: @Name = ‘guest’ Condition 2: Does the User have DBAccess? Expand the Database >> Management >> Policy Management >> Conditions Right click on Conditions and click on “New Condition…”. Now we will validate if the user has DB access. Condition: Has User DBAccess Target Database: Every Database except (master, tempdb and MSDB) Target User: Every User in Target Database with name ‘guest’ Now we have options for two evaluation modes: 1) On Demand and 2) On Schedule We will select On Demand in this example; however, you can change the mode to On Schedule through the drop down menu, and select the interval of the evaluation of the policy. Evaluate the Policies We have selected OnDemand as our policy evaluation mode. We will now evaluate by means of executing Evaluate policy. Click on Evaluate and it will give the following result: The result demonstrates that one of the databases has a policy violation. Username guest is enabled in AdventureWorks database. You can disable the guest user by running the following code in AdventureWorks database. USE AdventureWorks; REVOKE CONNECT FROM guest; Once you run above query, you can already evaluate the policy again. Notice that the policy violation is fixed now. You can change the method of the evaluation policy to On Schedule and validate policy on interval. You can check the history of the policy and detect the violation.     I need to develop an GUI application in C# where users can freely add conditional/statement blocks on the algorithm flowchart like the one shown below. By freely, I mean users can add a block on wherever the arrows are. I'm having some problems brainstorming how to approach this problem, especially what to choose for my datastructure to store the blocks. I was thinking LinkedList since everything follows a linear fashion and every node always has a head and tail, but the If/Else block (ba) has two branches (heads) to store, so this complicates things a little bit. How would a smart one approach problems like this? My apologies if this question isn't suited for Programmers stackexchange, but this is more of a conceptual problem rather than implementation problem so I figured this place was appropriate for the question.

    I'm a student working with various techniques of programming, and I've come across pseudocode and flowchart. I know that these are both used in order to think through the problem before actually programming, but I have a few questions with this. When would I use pseudocode to plan out and when would I use flowcharts? Or is it better to do both before actually programming. Particularly for a small arcade sort of game in JAVA since that is my next project. I've noticed that pseudocode is very similar to the actual code rather than flowcharts. Would this make pseudocoding better because you essentially copy/paste the pseudocode into your program (of course, you have to change it to fit the language. I understand that part). Is it practical to use both of these while programming? Particularly the same game mentioned earlier. Thanks.
