  • GTD tool for Mac OS X and iPhone?

The Mac application needs some functionality for synchronization with the iPhone app. Are there any GTD apps, which fit my requirements?

    Currently I'm using todoist.com as GTD manager. I'm almost satisfied with it. Is there any foss software, that could provide next features? 1. unlimited (at least 5) subtask levels 2. easy way to complete tasks (like in todoist) 3. easy to edit tasks 4. php based (as i want to host it on my server) 5. due dates (including recurring) 6. labels, colors, etc will be good, but not critical PS: i already checked several similar questions, including Which GTD tool/webservice do you recommend? But haven't found suitable software yet.

Since I'm on a family plan without data access, and since I'm stuck with the beyond awful Mobile IE, webapps aren't an acceptable solution.   • no dual screens with 11.10 and Asus m4A89 GTD Pro

    I'm having an issue getting dual monitors working for Kubuntu 11.10. I have Asus m4A89 GTD pro/USB3 mother board with integrated Ati HD4290 graphics chip. When I try to enable multiple monitors through the system settings, it says "This module is only for configuring systems with a single desktop spread across multiple monitors. You do not appear to have this configuration." I had previously attempted to fix this problem with another installation of Ubuntu 11.10, but ended up having to reinstall ubuntu because i messed up the software center dependencies. After I installed Ubuntu the first time, a notification showed up asking me to install an Ati graphics driver. I installed this driver, then restarted, and dual monitors did not work. That was when I went to the ATI site and attempted to install the fglrx driver. When I tried to run the shell script for the fglrx driver, it said i had a previous version of an fglrx driver installed, and needed to remove it in order to install the new one. So I looked up some tutorial on how to remove it and found some apt-get remove command, which i ran. Then I was able to install the new driver. Dual monitors still did not work, and i couldn't use the software center any more because it was corrupted and was unable to repair itself. So i just reinstalled ubuntu, and now i'm trying to go about this the correct way. Does anyone have this same configuration and which driver works for you?

    I want to improve the way I organize my projects/tasks/schedule What I do now is: keep an excel sheet with the name of the most important tasks/projects, I look at it at the beginning of each day and decide the ones I will focus on on iCal I write down events for each day, or for a concrete time (13 to 14 hours). I set up each day the tasks I want to accomlish, and allocate them hours I use Things (culture code) to keep info about tasks and projects not very important and which are not time allocated yet (GTD name = someday) I use Mail on Mac and create folders for the mails I want to process with the name of the different projects I save the main info for each project on freemind maps My system works well at the moment but it is pretty complicated to use. I want to make it better and I am looking for something with these requirements: must be 100% offline accessable it should use as less programs/resources as possible, ideally just one program should be able to manage all my info I can use the GTD methodology mixed with priorities and I can allocate each task converted to event on my calendar I can have different daily/weekly, etc views on a calendar to see the "big picture" must run on mac os x leopard price does not matter, I will pay for this So, according to your experience, can you recommend me something like this?   • Which tool do you use for tracking daily/weekly progress on your long-term goals?

    I read through this post and this post to get an idea of short-term task management applications out there. However, now I'm having a problem tracking my longer-term goals pertaining to things like career, education, and exercise. I just discovered Disciplanner which might meet my needs but haven't had time to set it up just yet. Not to mention, it took me about 2 weeks of playing with every online to-do list app I could find before I came to a decision on which to use. I'm very particular about my tasks and goal-setting, so I would prefer to get some advice from other superusers before diving into the web again to find another life-management website.

  • MS-Outlook add-on to move a new message to the same folder as the rest of the thread

    I'm forced to use MS-Outlook in my job, while I very much like the feature that shows all the messages of a discussion thread (that are stored in different folders) in the inbox when a new message is received for that thread, if the previous messages are in a different data file (which I'm forced to have as the MS-Exchange server quota is very very small) then the message list only shows the name of the data file and not the name of the folder where the messages are stored. As a result, because I file my message by context (i.e. all the emails for project A go into a "Project A" folder, etc), and its important for me to have all the messages in a single thread in the same folder, it is sometimes hard to figure out into which folder should I file the new message. It would be great help if there was some add-on or VBA script that I could add to my setup that will offer a shortcut key or a button to "file this message to the same folder as the previous messages in the conversation thread".

Examples of programs that demonstrate the type of search I'm trying to accomplish are Notational Velocity for MacOS, Resop for windows or SimpleNote for the web. These apps do an instant or incremental search in the files of a specific directory and make it easy/fast to narrow down the file you are looking for or create a new file. I use both but would rather live in one editor.(that being VIM) Is there some plug in that would do this?

  • Use bug tracker to get things done and manage personal tasks?

    This is slightly off-topic, but can only be answered by programmers and is useful to many programmers: Do you think it is useful to use a bug tracking system to keep track of personal todo items and to Get Things Done? I have not tried that; in fact, I don't have much experience with bug tracking systems. For my todo lists, I have played around with Google Tasks and Remember The Milk, but both of them have shortcomings: Google Tasks: I like that you can create todo lists easily, can reorder items in the list and easily create hierarchies. But it is way too simplistic and does not allow to tag tasks or move tasks from one list to another. Remember The Milk: It is nice and sleek, but you cannot create hierarchies of tasks, cannot arbitrarily reorder tasks and cannot set dependencies of tasks. That's where a bug tracking system should come in: Since I think (maybe too much?) like a programmer, my tasks have a natural hierarchy and a tree of dependencies, like in a Makefile. Here are two examples: The task of writing my thesis is done when several milestones are done. Some of these milestones can run in parallel (writing background chapter, running experiments A, running experiments B), others depend on each other (writing main chapter depends on first getting results from experiments A). The same is true for more personal goals: I want to host a dinner party, which requires finding a good date, finishing the guest list, making invitations, finding nice recipes, cooking, ... For me, all these tasks involve hierarchical dependencies and milestones that bug tracking systems should be able to handle? Here is an article that explains how to do advanced GTD with Remember The Milk, but he has to use several workarounds: (1) add a general tag 'wait' to tasks that are waiting for others to be completed but you cannot enter the IDs of the tasks that they are waiting for, (2) starting some special tasks with "." so that they are at the top of the alphabetically sorted list and signal that others are 'below' it as subgoals. Bug tracking systems should be able to handle these things much more naturally? Does anyone have experience and can recommend a lightweight bug tracking system that might be good for this? Other requirements: Should run as web app, should allow me to tag a task with several tags (like 'work', 'fun', 'short-task', 'errands', ...).

    Most software houses I have been at have this attitude about their work. Get it done quick and move on. For programmers I find that the chill time is time that can be used to either improve infrastructure, refactor some old code or learn a new language. I would like to know what your throughts about 'chill time' if its the right attitude at all, and if so what to do with it. Is this sort of chilling helpful for a programmer, what are things you do with your own chill time if you adopt this approach to work.

Web browser (tested on IE8, Firefox 3.5.2, Opera 10) shows file length before I start download the file. When I run this code on remote IIS7, web browser doesn't shows file length. File length is unknown. Why I don't get file length when this code runs under IIS7?

    A. Why Goal 1 = Help others: Have at most a 24-hour response turnaround to internal (from colleague) emails, typically achieving same day response. Goal 2 = Help projects: Not to implicitly pass/miss an opportunity to have impact on electronic discussions around any project on the radar. Not achieving goals 1 & 2 = Colleagues stop relying on you, drop you off conversations, don't see you as a contributing resource or someone that cares, you are perceived as someone with no peripheral vision. Note this is perfect if all you are doing is cruising at your job, trying to fly under the radar, with no ambitions of having impact beyond your absolute minimum 'day job'. B. DON'T: Leave unread email lurking around Don't: Receive or process all incoming emails in a single folder ('inbox' or 'unread mail'). This is actually possible if you receive a small number of emails (e.g. new to the job, not working at a company like Microsoft). Even so, with (your future) success at any level (company, community) comes large incoming email, so learn to deal with it. With large volumes, it is best to let the system help you by doing some categorization and filtering on your behalf (instead of trying to do that in your head as you process the single folder). See later section on how to achieve this. Don't: Leave emails as 'unread' (or worse: read them, then mark them as unread). Often done by individuals who think they possess super powers ("I can mentally cache and distinguish between the emails I chose not to read, the ones that are actually new, and the ones I decided to revisit in the future; the fact that they all show up the same (bold = unread) does not confuse me"). Interactions with this super-powered individuals typically end up with them saying stuff like "I must have missed that email you are talking about (from 2 weeks ago)" or "I am a bit behind, so I haven't read your email, can you remind me". TIP: The only place where you are "allowed" unread email is in your Deleted Items folder. Don't: Interpret a read email as an email that has been processed. Doing that, means you will always end up with fake unread email (that you have actually read, but haven't dealt with completely so you then marked it as unread) lurking between actual unread email. Another side effect is reading the email and making a 'mental' note to action it, then leaving the email as read, so the only thing left to remind you to carry out the action is… you. You are not super human, you will forget. This is a key distinction. Reading (or even scanning) a new email, means you now know what needs to be done with it, in order for it to be truly considered processed. Truly processing an email is to, for example, write an email of your own (e.g. to reply or forward), or take a non-email related action (e.g. create calendar entry, do something on some website), or read it carefully to gain some knowledge (e.g. it had a spec as an attachment), or keep it around as reference etc. 'Reading' means that you know what to do, not that you have done it. An email that is read is an email that is triaged, not an email that is resolved. Sometimes the thing that needs to be done based on receiving the email, you can (and want) to do immediately after reading the email. That is fine, you read the email and you processed it (typically when it takes no longer than X minutes, where X is your personal tolerance – mine is roughly 2 minutes). Other times, you decide that you don't want to spend X minutes at that moment, so after reading the email you need a quick system for "marking" the email as to be processed later (and you still leave it as 'read' in outlook). See later section for how. C. DO: Use Outlook rules and have multiple folders where incoming email is automatically moved to Outlook email rules are very powerful and easy to configure. Use them to automatically file email into folders. Here are mine (note that if a rule catches an email message then no further rules get processed): "personal" Email is either personal or business related. Almost all personal email goes to my gmail account. The personal emails that end up on my work email account, go to a dedicated folder – that is achieved via a rule that looks at the email's 'From' field. For those that slip through, I use the new Outlook 2010  quick step of "Conversation To Folder" feature to let the slippage only occur once per conversation, and then update my rules. "External" and "ViaBlog" The remaining external emails either come from my blog (rule on the subject line) or are unsolicited (rule on the domain name not being microsoft) and they are filed accordingly. "invites" I may do a separate blog post on calendar management, but suffice to say it should be kept up to date. All invite requests end up in this folder, so that even if mail gets out of control, the calendar can stay under control (only 1 folder to check). I.e. so I can let the organizer know why I won't be attending their meeting (or that I will be). Note: This folder is the only one that shows the total number of items in it, instead of the total unread. "Inbox" The only email that ends up here is email sent TO me and me only. Note that this is also the only email that shows up above the systray icon in the notification toast – all other emails cannot interrupt. "ToMe++" Email where I am on the TO line, but there are other recipients as well (on the TO or CC line). "CC" Email where I am on the CC line. I need to read these, but nobody is expecting a response or action from me so they are not as urgent (and if they are and follow up with me, they'll receive a link to this). "@ XYZ" Emails to aliases that are about projects that I directly work on (and I wasn't on the TO or CC line, of course). Test: these projects are in my commitments that I get measured on at the end of the year. "Z Mass" and subfolders under it per distribution list (DL) Emails to aliases that are about topics that I am interested in, but not that I formally own/contribute to. Test: if I unsubscribed from these aliases, nobody could rightfully complain. "Admin" folder, which resides under "Z Mass" folder Emails to aliases that I was added typically by an admin, e.g. broad emails to the floor/group/org/building/division/company that I am a member of. "BCC" folder, which resides under "Z Mass" Emails where I was not on the TO or the CC line explicitly and the alias it was sent to is not one I explicitly subscribed to (or I have been added to the BCC line, which I briefly touched on in another post). When there are only a few quick minutes to catch up on email, read as much as possible from these folders, in this order: Invites, Inbox, ToMe++. Only when these folders are all read (remember that doesn't mean that each email in them has been fully dealt with), we can move on to the @XYZ and then the CC folders. Only when those are read we can go on to the remaining folders. Note that the typical flow in the "Z Mass" subfolders is to scan subject lines and use the new Ctrl+Delete Outlook 2010 feature to ignore conversations. D. DO: Use Outlook Search folders in combination with categories As you process each folder, when you open a new email (i.e. click on it and read it in the preview pane) the email becomes read and stays read and you have to decide whether: It can take 2 minutes to deal with for good, right now, or It will take longer than 2 minutes, so it needs to be postponed with a clear next step, which is one of ToReply – there may be intermediate action steps, but ultimately someone else needs to receive email about this Action – no email is required, but I need to do something ReadLater – no email is required from the quick scan, but this is too long to fully read now, so it needs to be read it later WaitingFor – the email is informing of an intermediate status and 'promising' a future email update. Need to track. SomedayMaybe – interesting but not important, non-urgent, non-time-bound information. I may want to spend part of one of my weekends reading it. For all these 'next steps' use Outlook categories (right click on the email and assign category, or use shortcut key). Note that I also use category 'WaitingFor' for email that I send where I am expecting a response and need to track it. Create a new search folder for each category (I dragged the search folders into my favorites at the top left of Outlook, above my inboxes). So after the activity of reading/triaging email in the normal folders (where the email arrived) is done, the result is a bunch of emails appearing in the search folders (configure them to show the total items, not the total unread items). To actually process email (that takes more than 2 minutes to deal with) process the search folders, starting with ToReply and Action. E. DO: Get into a Routine Now you have a system in place, get into a routine of using it. Here is how I personally use mine, but this part I keep tweaking: Spend short bursts of time (between meetings, during boring but mandatory meetings and, in general, 2-4 times a day) aiming to have no unread emails (and in the process deal with some emails that take less than 2 minutes). Spend around 30 minutes at the end of each day processing most urgent items in search folders. Spend as long as it takes each Friday (or even the weekend) ensuring there is no unnecessary email baggage carried forward to the following week. F. "Z Mass" and subfolders under it per distribution list (DL) Emails to aliases that are about topics that I am interested in, but not that I formally own/contribute to. Test: if I unsubscribed from these aliases, nobody could rightfully complain. "Admin" folder, which resides under "Z Mass" folder Emails to aliases that I was added typically by an admin, e.g. broad emails to the floor/group/org/building/division/company that I am a member of. "BCC" folder, which resides under "Z Mass" Emails where I was not on the TO or the CC line explicitly and the alias it was sent to is not one I explicitly subscribed to (or I have been added to the BCC line, which I briefly touched on in another post). When there are only a few quick minutes to catch up on email, read as much as possible from these folders, in this order: Invites, Inbox, ToMe++. Only when these folders are all read (remember that doesn't mean that each email in them has been fully dealt with), we can move on to the @XYZ and then the CC folders. Only when those are read we can go on to the remaining folders. Note that the typical flow in the "Z Mass" subfolders is to scan subject lines and use the new Ctrl+Delete Outlook 2010 feature to ignore conversations. D. DO: Use Outlook Search folders in combination with categories As you process each folder, when you open a new email (i.e. click on it and read it in the preview pane) the email becomes read and stays read and you have to decide whether: It can take 2 minutes to deal with for good, right now, or It will take longer than 2 minutes, so it needs to be postponed with a clear next step, which is one of ToReply – there may be intermediate action steps, but ultimately someone else needs to receive email about this Action – no email is required, but I need to do something ReadLater – no email is required from the quick scan, but this is too long to fully read now, so it needs to be read it later WaitingFor – the email is informing of an intermediate status and 'promising' a future email update. Need to track. SomedayMaybe – interesting but not important, non-urgent, non-time-bound information. I may want to spend part of one of my weekends reading it. For all these 'next steps' use Outlook categories (right click on the email and assign category, or use shortcut key). Note that I also use category 'WaitingFor' for email that I send where I am expecting a response and need to track it. Create a new search folder for each category (I dragged the search folders into my favorites at the top left of Outlook, above my inboxes). So after the activity of reading/triaging email in the normal folders (where the email arrived) is done, the result is a bunch of emails appearing in the search folders (configure them to show the total items, not the total unread items). To actually process email (that takes more than 2 minutes to deal with) process the search folders, starting with ToReply and Action. E. DO: Get into a Routine Now you have a system in place, get into a routine of using it. Here is how I personally use mine, but this part I keep tweaking: Spend short bursts of time (between meetings, during boring but mandatory meetings and, in general, 2-4 times a day) aiming to have no unread emails (and in the process deal with some emails that take less than 2 minutes). Spend around 30 minutes at the end of each day processing most urgent items in search folders. Spend as long as it takes each Friday (or even the weekend) ensuring there is no unnecessary email baggage carried forward to the following week. F.   • Shortcut key to forward email to fixed email address in Postbox

    As an avid user of todo apps (currently Asana) is very much miss a way to easily forward an email from Postbox to my GTD app. Currently the workflow is: Click cmd/L to open the forward email window Type [email protected] in the To: address field Click the send button in the forward email window What I would like to have is an automator or applescript that does that for me. Ex: Highligh/select the mail I wish to convert to a task in Asana and the type a shortcut like ctrl/cmd/L to forward the mail to Asana. As most todo apps have custom email addresses you can use to convert an email into a task, the only thing that needs to be changed is the email address in the script. For Asana this would not be necessary because the email address for converting an email into a taks is the same for all Asana users.

  • Managing multiple IMAP accounts in Thunderbird

    I've been using Thunderbird for years without issues with 20+ pop3 accounts. I'm moving over to imap which will enable me to keep copies of the emails locally and on the server whilst keeping everthing synchronised. However I'm looking for the best way to manage multiple imap accounts on Thunderbird. Currently I have a filter that copies all the emails into a central inbox and into seperate local folders. The reason for this is I go through my inbox daily and delete all emails that don't require any action. I move any emails that require action to my "action" imap account folder. This way I can syncronise all the emails that require action across multiple computers (and mobile devices). This technique is my implemantion of the GTD or Getting things Done philosophy. I also copy over each email into seperate local folders. The reason I do this is just in case any emails on the imap accounts get deleted, or something drastic happens on the server which means I lose all the emails. My business partner has access to some of these emails and still uses pop3 (with "leave copy on server" checked), but I know sometimes Thunderbird can still delete emails off the server sometimes. The problem with the above is that thunderbird gives me the dreaded error dialogue saying that the emails cannot be filtered due to another process. I find the folder list in Thunderbird hard to manage. Here is a screenshot of part of my folder list- as you can see it's a bit of a complicated list and not easy to manage: What would be the best way of me managing multiple imap accounts whilst allowing me to have copies put in a central folder and emails in local folders? It would be useful if people think this is necessary, as perhaps there is a betterway? How do people manage multiple imap accounts in a way that allows them to keep on top of actionable emails? I'd be interested in how others manage this. I've never used the Thunderbird-based client "Postbox", does this handle multiple imaps better?
