• What's New in Oracle VM VirtualBox 4.2?

  A year is a long time in the IT industry. Since the last VirtualBox feature release, which was a little over a year ago, we've seen: new releases of cool new operating systems, such as Windows 8, ChromeOS, and Mountain Lion; we've seen a myriad of new Linux releases from big Enterprise class distributions like Oracle 6.3, to accessible desktop distros like Ubuntu 12.04 and Fedora 17; and we've also seen the spec of a typical PC or laptop double in power. All of these events have influenced our new VirtualBox version which we're releasing today. Here's how... Powerful hosts  One of the trends we've seen is that as the average host platform becomes more powerful, our users are consistently running more and more vm's. Some of our users have large libraries of vm's of various vintages, whilst others have groups of vm's that are run together as an assembly of the various tiers in a multi-tiered software solution, for example, a database tier, middleware tier, and front-ends.  So we're pleased to unveil a more powerful VirtualBox Manager to address the needs of these users: VM Groups Groups allow you to organize your VM library in a sensible way, e.g.  by platform type, by project, by version, by whatever. To create groups you can drag one VM onto another or select one or more VM's and choose Machine...Group from the menu bar. You can expand and collapse groups to save screen real estate, and you can Enter and Leave a group (think iPad navigation here) by using the right and left arrow keys when groups are selected. But groups are more than passive folders, because you can now also perform operations on groups, rather than all the individual VMs. So if you have a multi-tiered solution you can start the whole stack up with just one click. Autostart Many VirtualBox users run dedicated services in their VMs, for example, running a Wiki. With these types of VM workloads, you really want the VM start up when the host machine boots up. So with 4.2 we've introduced a cross-platform Auto-start mechanism to allow you to treat VMs as host services. Headless VM Launching With VM's such as web servers, wikis, and other types of server-class workloads, the Console of the VM is pretty much redundant. For some time now VirtualBox has offered a separate launch mechanism for these VM's, namely the command-line interface commands VBoxHeadless or VBoxManage startvm ... --type headless commands. But with 4.2 we also allow you launch headless VMs from the Manager. Simply hold down Shift when launching the VM from the Manager.  It's that easy. But how do you stop a headless VM? Well, with 4.2 we allow you to Close the VM from the Manager. (BTW best to use the ACPI Shutdown method which allows the guest VM to close down gracefully.) Easy VM Creation For our expert users, the  New VM Wizard was a little tiresome, so now there's a faster 2-click VM creation mode. Just Hide the description when creating a new VM. Powerful VMs  As the hosts have become more powerful, so are the guests that are running inside them. Here are some of the 4.2 features to accommodate them: Virtual Network Interface Cards  With 4.2, it's now possible to create VMs with up to 36 NICs, when using the ICH9 chipset emulation. But with great power comes great responsibility (didn't Obi-Wan say something similar?), and so we have also introduced bandwidth limiting to prevent a rogue VM stealing the whole pipe. VLAN tagging Some of our users leverage VLANs extensively so we've enhanced the E1000 NICs to support this.  Processor Performance If you are running a CPU which supports Nested Paging (aka EPT in the Intel world) such as most of the Core i5 and i7 CPUs, or are running an AMD Bulldozer or later, you should see some performance improvements from our work with these processors. And while we're talking Processors, we've added support for some of the more modern VIA CPUs too. Powerful Automation Because VirtualBox runs atop a fully blown operating system, it makes sense to leverage the capabilities of the host to run scripts that can drive the guest VMs. Guest Automation was introduced in a prior release but with 4.2 we've revamped the APIs to allow a richer and more powerful set of operations to be executed by the guest. Check out the IGuest APIs in the VirtualBox Programming Guide and Reference (SDK). Powerful Platforms  All the hardcore engineering that has gone into 4.2 has been done for a purpose and that is to deliver a fast and powerful engine that can run almost any x86 OS because of the integrity of the virtualization. So we're pleased to add support for these platforms: Mac OS X "Mountain Lion"  Windows 8 Windows Server 2012 Ubuntu 12.04 (“Precise Pangolin”) Fedora 17 Oracle Linux 6.3  Here's the proof: We don't have time to go into the myriad of smaller improvements such as support for burning audio CDs from a guest, bi-directional clipboard control,  drag-and-drop of files into Linux guests, etc. so we'll leave that as an exercise for the user as soon as you've downloaded from the Oracle or community site and taken a peek at the User Guide.   How to read the highlighted/Selected Text from any window using c#. i tried 2 approaches. Send "^c" whenever user selects some thing. But in this case my clipboard is flooded with lots of unnecessary data. • Browsers (IE and Firefox) freeze when copying large amount of text

  I have a web application - a Java servlet - that delivers data to users in the form of a text printout in a browser (text marked up with HTML in order to display in the browser as we want it to). The text does display in different colors, though most of it is black. One typical mode of operation is this: 1. User submits a form to request data. 2. Servlet delivers HTML file to browser. 3. User does CTRL+A to select all the text. 4. User does CTRL+C to copy all the text. 5. User goes to a text editor and does CTRL+V to paste the text. In the testing where I'm having this problem, step #2 successfully loads all the data - we wait for that to complete. We can scroll down to the end of what the browser loaded and see the end of the data. However, the browser freezes on step #3 (Firefox) or on step #4 (IE). Because step #2 finishes, I think it is a browser/memory issue, and not an issue with the web application. If I run queries to deliver smaller amounts of data (but after several queries we get the same data we would have above in one query) and copy/paste this text, the file I save it into ends up being about 8 MB. If I save the browser's displayed HTML to a file on my computer via File-Save As from the browser menu, it works fine and the file is about 22 MB. We've tried this on 2 different computers at work (both running Windows XP, with at least 2 GB of RAM and many GB of free disk space), using Firefox and IE. We also tried it on a home computer from a home network outside of work (thinking it might be our IT security software causing the problem), running Windows 7 using IE, and still had the problem. When I've done this, I can see whatever browser I'm using utilizing the CPU at 50%. Firefox's memory usage grows to about 1 GB; IE's stays in the several hundred MBs. We once let this run for half an hour, and it did not complete. I'm most likely going to modify the web app to have an option of delivering a plain text file for download, and I imagine that will get the users what they need. But for the mean time, and because I'm curious - and I don't like my application freezing people's browsers, does anyone have any ideas about the browser freezing? I understand that sometimes you just reach your memory limit, but 22 MB sounds to me like an amount I should be able to copy to the clipboard.

• User Guide to Dropbox Shared Folders

  Dropbox is an incredibly useful tool for keeping all your files synced between your computers and the cloud.  Here we’re going to look at how you can keep all of your team on the same page with Dropbox shared folders. Creating a Shared Folder Setting up a shared folder in Dropbox is easy.  Add the files you want to share to a folder in Dropbox on your computer, then right-click in the folder, select Dropbox, and then choose Share This Folder.   Alternately, log into your Dropbox account online, click the drop-down menu beside the folder you want to share, and click Share this folder. Now, enter the email addresses of the people you want to share the folder with, and optionally enter a message explaining why you’re sharing the folder. The people you invite will receive an email inviting them to view and join the shared folder.  If they haven’t signed up for Dropbox, they can directly signup; otherwise, they can simply log into their Dropbox account and start adding or editing files. Shared folders have a slightly different icon in your Dropbox.  Notice the shared folder on the left has an icon with 2 people, while the folder on the right that is not shared, shows previews of its contents. See Your Shared Folder’s History Whenever your collaborators with your shared folders add or change files, you will see a tooltip notification telling you what changed. You can also view the changes online.  Log into your Dropbox account in your browser and select the Events tab.  This shows all changes to your Dropbox, but you can view only the changes in your shared folder by selecting its name on the left sidebar. Now you can see all recent changes to your folder, and can also see who added or removed each file.   On the bottom of the page, you can even add a comment that all the collaborators will see. If someone deleted a file you still need, you can restore it by clicking its link in this online history.  Or, you can view any deleted files by right-clicking in your Dropbox folder in Explorer.  Select Dropbox, and then click Show Deleted Files.   Get Notified When a Change is Made You’re not always in front of your computer; you’ve got a life beyond your projects, after all (at least hopefully).  If you really want to stay connected to what’s happening with your project, though, you can easily do that no matter where you are. Your shared Dropbox folder’s history page offers an RSS feed of all changes to the folder.  Click  the Subscribe to this feed hyperlink. Now, in the popup that opens, click “Copy to clipboard” so you can use this RSS feed. You can subscribe to RSS feeds through many web browsers, email clients, dedicated feed readers, and more.  In Firefox, Internet Explorer 7/8, or Opera, you can paste the feed address into your address bar and subscribe to the feed directly in your browser.   However, subscribing to the feed in a desktop application won’t help you much when you’re away from your computer.  One great option is to subscribe in the popular Google Reader.  Then you can check your feed from any browser, on any computer or mobile device. To add your Dropbox feed to Google Reader, log into Google Reader (link below), click Add a subscription on the top left, paste your RSS feed from Dropbox, and click Add.   Now you can see any changes to files or folders in Google Reader. You can even add your feed to your iGoogle homepage.  Click the Add it Now button on the right in the front page of Google Reader to add your feeds to iGoogle.   Now you can see updates on your files from your homepage.  If you’re using a different computer, just login to your Google account to see what’s happening. You can also access your Google Reader feeds from many programs and apps for most major Smartphones including iPhone, Windows Phone, and Blackberry. Receive a Tweet or Text When Changes are Made If you’re a hyper-connected individual, chances are you send and receive tweets on the go.  If so, this might be the best way for you to get notified when changes are made to your Dropbox shared folder.  To do this, first create a new Twitter account to publish your changes through.  If you don’t want the whole world to see your updates, click Settings and set your new Twitter account to Private. Once the new account is created, follow it with your normal Twitter account so you’ll see updates. Now, let’s publish our Dropbox RSS feed to Twitter.  Create an account with Twitterfeed (link below). Once your account is setup, add your feed to it.  Name your feed, and enter your Feed address from Dropbox.  Click Advanced Settings to make your feed work just like you want. In Advanced Settings, change the frequency to “Every 30 mins” to make sure you’re updated on changes as quick as possible.  You can also change other settings if you like. Click “Continue to Step 2”, and then click Twitter under the available services to add your account. Make sure your signed into your new Twitter account, and then click Authenticate Twitter. Allow the application. Now, finally, click Create Service. Whenever a change is made, you will receive a tweet via your new Twitter account.  And since you can receive tweets via text message or many mobile applications, you’ll never be very far away from your Dropbox changes!   Conclusion Dropbox shared folders are a great way to keep your whole team working together on the same files in a project.  And with these handy tricks, you can keep up with your shared files wherever you are! • The challenge of communicating externally with IRM secured content

  I am often asked by customers about how they handle sending IRM secured documents to external parties. Their concern is that using IRM to secure sensitive information they need to share outside their business, is troubled with the inability for third parties to install the software which enables them to gain access to the information. It is a very legitimate question and one i've had to answer many times in the past 10 years whilst helping customers plan successful IRM deployments. The operating system does not provide the required level of content security The problem arises from what IRM delivers, persistent security to your sensitive information where ever it resides and whenever it is in use. Oracle IRM gives customers an array of features that help ensure sensitive information in an IRM document or email is always protected and only accessed by authorized users using legitimate applications. Examples of such functionality are; Control of the clipboard, either by disabling completely in the opened document or by allowing the cut and pasting of information between secured IRM documents but not into insecure applications. Protection against programmatic access to the document. Office documents and PDF documents have the ability to be accessed by other applications and scripts. With Oracle IRM we have to protect against this to ensure content cannot be leaked by someone writing a simple program. Securing of decrypted content in memory. At some point during the process of opening and presenting a sealed document to an end user, we must decrypt it and give it to the application (Adobe Reader, Microsoft Word, Excel etc). This process must be secure so that someone cannot simply get access to the decrypted information. The operating system alone just doesn't have the functionality to deliver these types of features. This is why for every IRM technology there must be some extra software installed and typically this software requires administrative rights to do so. The fact is that if you want to have very strong security and access control over a document you are going to send to someone who is beyond your network infrastructure, there must be some software to provide that functionality. Simple installation with Oracle IRM The software used to control access to Oracle IRM sealed content is called the Oracle IRM Desktop. It is a small, free piece of software roughly about 12mb in size. This software delivers functionality for everything a user needs to work with an Oracle IRM solution. It provides the functionality for all formats we support, the storage and transparent synchronization of user rights and unique to Oracle, the ability to search inside sealed files stored on the local computer. In Oracle we've made every technical effort to ensure that installing this software is a simple as possible. In situations where the user's computer is part of the enterprise, this software is typically deployed using existing technologies such as Systems Management Server from Microsoft or by using Active Directory Group Policies. However when sending sealed content externally, you cannot automatically install software on the end users machine. You need to rely on them to download and install themselves. Again we've made every effort for this manual install process to be as simple as we can. Starting with the small download size of the software itself to the simple installation process, most end users are able to install and access sealed content very quickly. You can see for yourself how easily this is done by walking through our free and easy self service demonstration of using sealed content. How to handle objections and ensure there is value However the fact still remains that end users may object to installing, or may simply be unable to install the software themselves due to lack of permissions. This is often a problem with any technology that requires specialized software to access a new type of document. In Oracle, over the past 10 years, we've learned many ways to get over this barrier of getting software deployed by external users. First and I would say of most importance, is the content MUST have some value to the person you are asking to install software. Without some type of value proposition you are going to find it very difficult to get past objections to installing the IRM Desktop. Imagine if you were going to secure the weekly campus restaurant menu and send this to contractors. Their initial response will be, "why on earth are you asking me to download some software just to access your menu!?". A valid objection... there is no value to the user in doing this. Now consider the scenario where you are sending one of your contractors their employment contract which contains their address, social security number and bank account details. Are they likely to take 5 minutes to install the IRM Desktop? You bet they are, because there is real value in doing so and they understand why you are doing it. They want their personal information to be securely handled and a quick download and install of some software is a small task in comparison to dealing with the loss of this information. Be clear in communicating this value So when sending sealed content to people externally, you must be clear in communicating why you are using an IRM technology and why they need to install some software to access the content. Do not try and avoid the issue, you must be clear and upfront about it. In doing so you will significantly reduce the "I didn't know I needed to do this..." responses and also gain respect for being straight forward. One customer I worked with, 6 months after the initial deployment of Oracle IRM, called me panicking that the partner they had started to share their engineering documents with refused to install any software to access this highly confidential intellectual property. I explained they had to communicate to the partner why they were doing this. I told them to go back with the statement that "the company takes protecting its intellectual property seriously and had decided to use IRM to control access to engineering documents." and if the partner didn't respect this decision, they would find another company that would. The result? A few days later the partner had made the Oracle IRM Desktop part of their approved list of software in the company. Companies are successful when sending sealed content to third parties We have many, many customers who send sensitive content to third parties. Some customers actually sell access to Oracle IRM protected content and therefore 99% of their users are external to their business, one in particular has sold content to hundreds of thousands of external users. Oracle themselves use the technology to secure M&A documents, payroll data and security assessments which go beyond the traditional enterprise security perimeter. Pretty much every company who deploys Oracle IRM will at some point be sending those documents to people outside of the company, these customers must be successful otherwise Oracle IRM wouldn't be successful. Because our software is used by a wide variety of companies, some who use it to sell content, i've often run into people i'm sharing a sealed document with and they already have the IRM Desktop installed due to accessing content from another company. The future In summary I would say that yes, this is a hurdle that many customers are concerned about but we see much evidence that in practice, people leap that hurdle with relative ease as long as they are good at communicating the value of using IRM and also take measures to ensure end users can easily go through the process of installation. We are constantly developing new ideas to reducing this hurdle and maybe one day the operating systems will give us enough rich security functionality to have no software installation. • Integration Patterns with Azure Service Bus Relay, Part 3: Anonymous partial-trust consumer

  This is the third in the IPASBR series, see also: Integration Patterns with Azure Service Bus Relay, Part 1: Exposing the on-premise service Integration Patterns with Azure Service Bus Relay, Part 2: Anonymous full-trust .NET consumer As the patterns get further from the simple .NET full-trust consumer, all that changes is the communication protocol and the authentication mechanism. In Part 3 the scenario is that we still have a secure .NET environment consuming our service, so we can store shared keys securely, but the runtime environment is locked down so we can't use Microsoft.ServiceBus to get the nice WCF relay bindings. To support this we will expose a RESTful endpoint through the Azure Service Bus, and require the consumer to send a security token with each HTTP service request. Pattern applicability This is a good fit for scenarios where: the runtime environment is secure enough to keep shared secrets the consumer can execute custom code, including building HTTP requests with custom headers the consumer cannot use the Azure SDK assemblies the service may need to know who is consuming it the service does not need to know who the end-user is Note there isn't actually a .NET requirement here. By exposing the service in a REST endpoint, anything that can talk HTTP can be a consumer. We'll authenticate through ACS which also gives us REST endpoints, so the service is still accessed securely. Our real-world example would be a hosted cloud app, where we we have enough room in the app's customisation to keep the shared secret somewhere safe and to hook in some HTTP calls. We will be flowing an identity through to the on-premise service now, but it will be the service identity given to the consuming app - the end user's identity isn't flown through yet. In this post, we’ll consume the service from Part 1 in ASP.NET using the WebHttpRelayBinding. The code for Part 3 (+ Part 1) is on GitHub here: IPASBR Part 3. Authenticating and authorizing with ACS We'll follow the previous examples and add a new service identity for the namespace in ACS, so we can separate permissions for different consumers (see walkthrough in Part 1). I've named the identity partialTrustConsumer. We’ll be authenticating against ACS with an explicit HTTP call, so we need a password credential rather than a symmetric key – for a nice secure option, generate a symmetric key, copy to the clipboard, then change type to password and paste in the key: We then need to do the same as in Part 2 , add a rule to map the incoming identity claim to an outgoing authorization claim that allows the identity to send messages to Service Bus: Issuer: Access Control Service Input claim type: http://schemas.xmlsoap.org/ws/2005/05/identity/claims/nameidentifier Input claim value: partialTrustConsumer Output claim type: net.windows.servicebus.action Output claim value: Send As with Part 2, this sets up a service identity which can send messages into Service Bus, but cannot register itself as a listener, or manage the namespace. RESTfully exposing the on-premise service through Azure Service Bus Relay The part 3 sample code is ready to go, just put your Azure details into Solution Items\AzureConnectionDetails.xml and “Run Custom Tool” on the .tt files.  But to do it yourself is very simple. We already have a WebGet attribute in the service for locally making REST calls, so we are just going to add a new endpoint which uses the WebHttpRelayBinding to relay that service through Azure. The metadata story for REST is a bit less automated. In our local webHttp endpoint we've enabled WCF's built-in help, so if you navigate to: http://localhost/Sixeyed.Ipasbr.Services/FormatService.svc/rest/help - you'll see the uri format for making a GET request to the service. The format is the same over Azure, so this is where you'll be connecting: https://[your-namespace].servicebus.windows.net/rest/reverse?string=abc123 Build the service with the new endpoint, open that in a browser and you'll get an XML version of an HTTP status code - a 401 with an error message stating that you haven’t provided an authorization header: <?xml version="1.0"?><Error><Code>401</Code><Detail>MissingToken: The request contains no authorization header..TrackingId:4cb53408-646b-4163-87b9-bc2b20cdfb75_5,TimeStamp:10/3/2012 8:34:07 PM</Detail></Error> By default, the setup of your Service Bus endpoint as a relying party in ACS expects a Simple Web Token to be presented with each service request, and in the browser we're not passing one, so we can't access the service. Note that this request doesn't get anywhere near your on-premise service, Service Bus only relays requests once they've got the necessary approval from ACS. Why didn't the consumer need to get ACS authorization in Part 2? It did, but it was all done behind the scenes in the NetTcpRelayBinding. By specifying our Shared Secret credentials in the consumer, the service call is preceded by a check on ACS to see that the identity provided is a) valid, and b) allowed access to our Service Bus endpoint. By making manual HTTP requests, we need to take care of that ACS check ourselves now. We do that with a simple WebClient call to the ACS endpoint of our service; passing the shared secret credentials, we will get back an SWT: var values = new System.Collections.Specialized.NameValueCollection(); values.Add("wrap_name", "partialTrustConsumer"); //service identity name values.Add("wrap_password", "suCei7AzdXY9toVH+S47C4TVyXO/UUFzu0zZiSCp64Y="); //service identity password values.Add("wrap_scope", "http://sixeyed-ipasbr.servicebus.windows.net/"); //this is the realm of the RP in ACS var acsClient = new WebClient(); var responseBytes = acsClient.UploadValues("https://sixeyed-ipasbr-sb.accesscontrol.windows.net/WRAPv0.9/", "POST", values); rawToken = System.Text.Encoding.UTF8.GetString(responseBytes); With a little manipulation, we then attach the SWT to subsequent REST calls in the authorization header; the token contains the Send claim returned from ACS, so we will be authorized to send messages into Service Bus. Running the sample Navigate to http://localhost:2028/Sixeyed.Ipasbr.WebHttpClient/Default.cshtml, enter a string and hit Go! - your string will be reversed by your on-premise service, routed through Azure: Using shared secret client credentials in this way means ACS is the identity provider for your service, and the claim which allows Send access to Service Bus is consumed by Service Bus. None of the authentication details make it through to your service, so your service is not aware who the consumer is (MSDN calls this "anonymous authentication").

CheckId and Category are used for in-source suppression of a warning.       2 Title The title of warning message       3 Description A description of the problem or suggested fix 4 File Name File name and the line of code number which violate the code analysis rule set 5 Category The code analysis category for this error 6 Warning /Error Depend on how you configure it in the rule set the default is Warning level 7 Action Copy: copy the warning information to the clipboard Create Work Item: If you're connected to Team Foundation Server you can create a work item most probably you may create a Task or Bug and assign it for a developer to fix certain code analysis warning Suppress Message: There are times when you might decide not to fix a code analysis warning. You might decide that resolving the warning requires too much recoding in relation to the probability that the issue will arise in any real-world implementation of your code. Or you might believe that the analysis that is used in the warning is inappropriate for the particular context. You can suppress individual warnings so that they no longer appear in the Code Analysis window. Two options available: In Source inserts a SuppressMessage attribute in the source file above the method that generated the warning. This makes the suppression more discoverable. In Suppression File adds a SuppressMessage attribute to the GlobalSuppressions.cs file of the project. This can make the management of suppressions easier. Note that the SuppressMessage attribute added to GlobalSuppression.cs also targets the method that generated the warning. It does not suppress the warning globally.       Visual Studio makes it very easy to fix Code analysis warning, all you have to do is clicking on the Check Id hyperlink if you are not aware how to fix the warring and you'll be directed to MSDN online or local copy based on the configuration you did while installing Visual Studio and you will find all the information about the warring including how to fix it. Create a Custom Code Analysis Rule Set The Microsoft standard rule sets provide groups of rules that are organized by function and depth. For example, the Microsoft Basic Design Guidelines Rules and the Microsoft Extended Design Guidelines Rules contain rules that focus on usability and maintainability issues, with added emphasis on naming rules in the Extended rule set, you can create and modify a custom rule set to meet specific project needs associated with code analysis. Price: $99 Fujitsu ScanSnap S300 Color Mobile Scanner   Doxie, the amazing scanner for documents Trevor said: “This wonderful little scanner has become absolutely essential to me. If you don’t feel like spending money for books, you can use it to read PDFs, and if you want to get really geeky, you can hack it for custom screensavers. Price: $139 iPod Touch or iPad       You can’t go wrong with either of these presents—the iPod Touch can do almost everything the iPhone can do, including games, apps, and music, and it has the same Retina display as the iPhone, HD video recording, and a front-facing camera so you can use FaceTime. Price: $229+, depending on model. The iPad is a great tablet for playing games, browsing the web, or just using on your coffee table for guests. It’s well worth buying one—but if you’re buying for yourself, keep in mind that the iPad 2 is probably coming out in 3 months. Price: $500+ MacBook Air  The MacBook Air comes in 11” or 13” versions, and it’s an amazing little machine. It’s lightweight, the battery lasts nearly forever, and it resumes from sleep almost instantly. Since it uses an SSD drive instead of a hard drive, you’re barely going to notice any speed problems for general use. So if you’ve got a lot of money to blow, this is a killer gift. Price: $999 and up. Stuck with No Idea for a Present? Gift Cards! Yeah, you’re not going to win any “thoughtful present” awards with these, but you might just give somebody what they really want—the new Angry Birds HD for their iPad, Cut the Rope, or anything else they want. ITunes Gift Card   Amazon.com Gift Card Somebody in your circle getting a new iPod, iPhone, or iPad? You can get them an iTunes gift card, which they can use to buy music, games or apps. • VLOOKUP in Excel, part 2: Using VLOOKUP without a database

  In a recent article, we introduced the Excel function called VLOOKUP and explained how it could be used to retrieve information from a database into a cell in a local worksheet.  In that article we mentioned that there were two uses for VLOOKUP, and only one of them dealt with querying databases.  In this article, the second and final in the VLOOKUP series, we examine this other, lesser known use for the VLOOKUP function. If you haven’t already done so, please read the first VLOOKUP article – this article will assume that many of the concepts explained in that article are already known to the reader. When working with databases, VLOOKUP is passed a “unique identifier” that serves to identify which data record we wish to find in the database (e.g. a product code or customer ID).  This unique identifier must exist in the database, otherwise VLOOKUP returns us an error.  In this article, we will examine a way of using VLOOKUP where the identifier doesn’t need to exist in the database at all.  It’s almost as if VLOOKUP can adopt a “near enough is good enough” approach to returning the data we’re looking for.  In certain circumstances, this is exactly what we need. We will illustrate this article with a real-world example – that of calculating the commissions that are generated on a set of sales figures.  We will start with a very simple scenario, and then progressively make it more complex, until the only rational solution to the problem is to use VLOOKUP.  The initial scenario in our fictitious company works like this:  If a salesperson creates more than $30,000 worth of sales in a given year, the commission they earn on those sales is 30%.  Otherwise their commission is only 20%.  So far this is a pretty simple worksheet: To use this worksheet, the salesperson enters their sales figures in cell B1, and the formula in cell B2 calculates the correct commission rate they are entitled to receive, which is used in cell B3 to calculate the total commission that the salesperson is owed (which is a simple multiplication of B1 and B2). The cell B2 contains the only interesting part of this worksheet – the formula for deciding which commission rate to use: the one below the threshold of $30,000, or the one above the threshold.  This formula makes use of the Excel function called IF.  For those readers that are not familiar with IF, it works like this: IF(condition,value if true,value if false) Where the condition is an expression that evaluates to either true or false.  In the example above, the condition is the expression B1<B5, which can be read as “Is B1 less than B5?”, or, put another way, “Are the total sales less than the threshold”.  If the answer to this question is “yes” (true), then we use the value if true parameter of the function, namely B6 in this case – the commission rate if the sales total was below the threshold.  If the answer to the question is “no” (false), then we use the value if false parameter of the function, namely B7 in this case – the commission rate if the sales total was above the threshold. As you can see, using a sales total of $20,000 gives us a commission rate of 20% in cell B2.  If we enter a value of $40,000, we get a different commission rate: So our spreadsheet is working. Let’s make it more complex.  Let’s introduce a second threshold:  If the salesperson earns more than $40,000, then their commission rate increases to 40%: Easy enough to understand in the real world, but in cell B2 our formula is getting more complex.  If you look closely at the formula, you’ll see that the third parameter of the original IF function (the value if false) is now an entire IF function in its own right.  This is called a nested function (a function within a function).  It’s perfectly valid in Excel (it even works!), but it’s harder to read and understand. We’re not going to go into the nuts and bolts of how and why this works, nor will we examine the nuances of nested functions.  This is a tutorial on VLOOKUP, not on Excel in general. Anyway, it gets worse!  What about when we decide that if they earn more than $50,000 then they’re entitled to 50% commission, and if they earn more than $60,000 then they’re entitled to 60% commission? Now the formula in cell B2, while correct, has become virtually unreadable.  No-one should have to write formulae where the functions are nested four levels deep!  Surely there must be a simpler way? There certainly is.  VLOOKUP to the rescue! Let’s redesign the worksheet a bit.  We’ll keep all the same figures, but organize it in a new way, a more tabular way: Take a moment and verify for yourself that the new Rate Table works exactly the same as the series of thresholds above. Conceptually, what we’re about to do is use VLOOKUP to look up the salesperson’s sales total (from B1) in the rate table and return to us the corresponding commission rate.  Note that the salesperson may have indeed created sales that are not one of the five values in the rate table ($0, $30,000, $40,000, $50,000 or $60,000).  They may have created sales of $34,988.  It’s important to note that $34,988 does not appear in the rate table.  Let’s see if VLOOKUP can solve our problem anyway… We select cell B2 (the location we want to put our formula), and then insert the VLOOKUP function from the Formulas tab: The Function Arguments box for VLOOKUP appears.  We fill in the arguments (parameters) one by one, starting with the Lookup_value, which is, in this case, the sales total from cell B1.  We place the cursor in the Lookup_value field and then click once on cell B1: Next we need to specify to VLOOKUP what table to lookup this data in.  In this example, it’s the rate table, of course.  We place the cursor in the Table_array field, and then highlight the entire rate table – excluding the headings: Next we must specify which column in the table contains the information we want our formula to return to us.  In this case we want the commission rate, which is found in the second column in the table, so we therefore enter a 2 into the Col_index_num field: Finally we enter a value in the Range_lookup field. Important:  It is the use of this field that differentiates the two ways of using VLOOKUP.  To use VLOOKUP with a database, this final parameter, Range_lookup, must always be set to FALSE, but with this other use of VLOOKUP, we must either leave it blank or enter a value of TRUE.  When using VLOOKUP, it is vital that you make the correct choice for this final parameter. To be explicit, we will enter a value of true in the Range_lookup field.  It would also be fine to leave it blank, as this is the default value: We have completed all the parameters.  We now click the OK button, and Excel builds our VLOOKUP formula for us: If we experiment with a few different sales total amounts, we can satisfy ourselves that the formula is working. Conclusion In the “database” version of VLOOKUP, where the Range_lookup parameter is FALSE, the value passed in the first parameter (Lookup_value) must be present in the database.  In other words, we’re looking for an exact match. But in this other use of VLOOKUP, we are not necessarily looking for an exact match.  In this case, “near enough is good enough”.  But what do we mean by “near enough”?  Let’s use an example:  When searching for a commission rate on a sales total of $34,988, our VLOOKUP formula will return us a value of 30%, which is the correct answer.  Why did it choose the row in the table containing 30% ?  What, in fact, does “near enough” mean in this case?  Let’s be precise: When Range_lookup is set to TRUE (or omitted), VLOOKUP will look in column 1 and match the highest value that is not greater than the Lookup_value parameter. It’s also important to note that for this system to work, the table must be sorted in ascending order on column 1!
