• Introducing AutoVue Document Print Service

  We recently announced the availability of our new AutoVue Document Print Service products. For more information, please read the article entitled Print Any Document Type with AutoVue Document Print Services that was posted on our blog. The AutoVue Document Print Service products help address a trivial, yet very common challenge: printing and batch printing documents. The AutoVue Document Print Service is a Web-Services based interface, which allows developers to complement their print server solutions by leveraging AutoVue's printing capabilities within broader enterprise applications like Asset Lifecycle Management, Product Lifecycle Management, Enterprise Content Management solutions, etc. This means that you can leverage the AutoVue Document Print Service products as part of your printing solution to automate the printing of virtually any document type required in any business process. Clients that consume AutoVue's Document Print Service can be written in any language (for example Java or .NET) as long as they understand Web Services Description Language (WSDL) and communicate using Simple Object Access Protocol (SOAP). The print solution consists of three main components, as described in the diagram below: a print server (not included in the AutoVue Document Print Service offering) that will interact with your application to identify the files that need to be printed, the printer to send each file, as well as the print options needed for each file (paper size, page orientation, etc), and collate the print job requests. The print server will also take care of calling the AutoVue Document Print Service to perform the actual printing. The AutoVue Document Print Services send files to a printer for printing. The AutoVue Document Print Service products leverage AutoVue's format- and platform agnostic technology to let you print/batch virtually any type of files, without requiring the authoring application installed on your machine. and Printers As shown above, you can trigger printing from your application either programmatically through automated business processes or manually through human interaction. If documents that need to be printed from your application are stored inside a content repository/Document Management System (DMS) such as Oracle Universal Content Management System (UCM), then the Print Server will need to identify the list of documents and pass the ID of each document to the AutoVue DPS to print. In this case, AutoVue DPS leverages the AutoVue VueLink integration (note: AutoVue VueLink integrations are pre-packaged AutoVue integrations with most common enterprise systems. Check our Website for more information on the subject) to fetch documents out of the document management system for printing. In lieu of the AutoVue VueLink integration, you can also leverage the AutoVue Integration Software Development Kit (iSDK) to build your own connector. If the documents you need to print from your application are not stored in a content management system, the Print Server will need to ensure that files are made available to the AutoVue Document Print Service. The Print Server could for example fetch the files out of your application or an extension to the application could be developed to fetch the files and make them available to the AutoVue DPS.   AutoVue release 20.0 boasts a brand new architecture. As part of this product rearchitecture, AutoVue can now be deployed either as a desktop deployment to serve the needs of individual users in their personal productivity; or in a Client / Server deployment for those that require connections to enterprise applications / back-end systems. The most common question that we hear from our customers about this new architecture is the following: "Is AutoVue Desktop Version still part of release 20.0 and if so, what is the difference between AutoVue Desktop Version and the Desktop deployment of AutoVue release 20.0?" A detailed answer to these questions is provided in a very complete article entitled Understanding Deployment Options for AutoVue 19.3 Desktop Version users upgrading to AutoVue 20.0 (note 1058254.1) which was posted on My Oracle Support. Is AutoVue Desktop Version still part of AutoVue 20.0? Yes, AutoVue Desktop Version 20.0 is still available to customers and partners, as a maintenance release of AutoVue 19.3. As such, it will not contain any of the new capabilities featured in AutoVue release 20.0. All format enhancements and new format support have been added to release 20.0 Desktop Version though. • Associating File Types with AutoVue Desktop Deployment

  Windows users take for granted that when they double click on a document or design, that it will open up in its application automatically. One of the questions I'm commonly asked is "How can I get the same behavior with AutoVue Desktop Deployment?". It's pretty easy, but there are a few tricks to doing it. Step 1: Download new jvue_direct.bat and icon The first thing you'll need to do is download a slightly modified version of jvue_direct.bat. You can find it here (Document 1075784.1) on Oracle's Support Portal. You also want to download the AV.ico file. This is the icon that will be used for all file types associated with AutoVue. Place both of these files in your <AutoVueInstallDirectory>\bin directory. Step 2: Associate File Types With AutoVue There are two ways to do this. You can do this through the Windows user interface, or you can set up a batch file to do this. Associating File Types Through Windows The way most people associate file types to an application is using the Windows user interface. You've probably tried to open a file type that Windows doesn't recognize and seen this window pop up: Although you can use this dialog to associate that file type with AutoVue, I don't recommend it. I much prefer using a batch file to associate file types with AutoVue. Associating File Types Using A Batch File There are a few good reasons to associate file types using a batch file instead of using the pop-up dialog method: If you have several file types to associate with AutoVue, it's much easier to use a batch file to do them all at once. Doing it through the Windows user interface requires having files of each type available. Using a batch file doesn't require having the files you're associating. Associating file types through the dialog may work well for one person, but what if you're an administrator doing an enterprise wide deployment of AutoVue Desktop Deployment for several hundred users? You don't want to do this manually for each user. You can have one simple batch file that's run on each user's PC to set up all the file types. You can easily associate an icon with the file types you're opening with AutoVue. To use the batch file method follow these steps: Create a file called filetype.bat using a text editor and copy and paste the following into it: @assoc .dwg=AVFile @assoc .jpg=AVFile @assoc .doc=AVFile @ftype AVFile="%~dp0jvue_direct.bat" "%%1" @reg add HKEY_CLASSES_ROOT\AVFile\DefaultIcon /v "" /f /d "%~dp0AV.ico" Change the lines starting with @assoc. Each of these lines associates a file extension with AutoVue. You can have as many @assoc lines as you want. Save this file in your <AutoVueInstallDirectory>\bin directory. Double click this file, or run it from a command prompt. Restart Windows to get the icons to show up. How Does This Work? The first three lines are creating a file type called AVFile. We are associating the extensions .dwg, .jpg, and .doc with this file type. You will want to change these lines when creating your own batch file. For example, to associate Microstation designs, which have extension .dgn, you should delete the @assoc lines above and add the line: @assoc .dgn=AVfile The line beginning with @ftype tells Windows that all AVFile type files should be opened using AutoVue Desktop Deployment. The final line associates the AutoVue icon with these file types. You may need to restart Windows to see the new icons. Warning: One Size Doesn't Fit All When deciding which file types should be associated with AutoVue, remember that there are different types of users using it. Your engineers may be pretty surprised to find that after installing AutoVue, double clicking their .dwg file opens up AutoVue instead of AutoCAD. If you have more than one type of AutoVue user, make sure you've considered what file types each user group will and will not want to be associated with AutoVue. If necessary, create a separate file association batch file for each user type. So that's it. In two simple steps you can double click your favorite designs and have them open automatically in AutoVue Desktop Deployment. I'd love to hear how are you using AutoVue Desktop Deployment. • The Work Order Printing Challenge

  One of the biggest concerns we've heard from maintenance practitioners is the ability to print and batch print work order details along with its accompanying attachments. Indeed, maintenance workers traditionally rely on work order packets to complete their job. A standard work order packet can include a variety of information like equipment documentation, operating instructions, checklists, end-of-task feedback forms and the likes. Now, the problem is that most Asset Lifecycle Management applications do not provide a simple and efficient solution for process printing with document attachments. Work order forms can be easily printed but attachments are usually left out of the printing process. This sounds like a minor problem, but when you are processing high volume of work orders on a regular basis, this inconvenience can result in important inefficiencies. In order to print work order and its related attachments, maintenance personnel need to print the work order details and then go back to the work order and open each individual attachment using the proper authoring application to view and print each document. The printed output is collated into a work order packet. The AutoVue Document Print Service products that were just released in April 2010 aim at helping organizations address the work order printing challenge. Customers and partners can leverage the AutoVue Document Print Services to build a complete printing solution that complements their existing print server solution with AutoVue's document- and platform-agnostic document print services. The idea is to leverage AutoVue's printing services to invoke printing either programmatically or manually directly from within the work order management application, and efficiently process the printing of complete work order packets, including all types of attachments, from office files to more advanced engineering documents like 2D CAD drawings. Oracle partners like MIPRO Consulting, specialists in PeopleSoft implementations, have already expressed interest in the AutoVue Document Print Service products for their ability to offer print services to the PeopleSoft ALM suite, so that customers are able to print packages of documents for maintenance personnel. I then bumped on to a PostScript interpreter called GhostScript (http://www.ghostscript.com/) and then the solution starts to get clearer and clearer.I managed to achieve a solution (maybe not be the simplest but efficient enough to achieve the least-maintenance-least-components goal) in 3-simple steps:Install GhostScript (http://www.ghostscript.com/download/) - this is an open-source PostScript and PDF interpreter. Printing directly using GhostScript only produces grayscale prints using the laserjet generic driver unless you save as BMP image and then interpret the colours using the imageInstall GSView (http://pages.cs.wisc.edu/~ghost/gsview/)- this is a GhostScript add-on to make it easier to directly print to a Windows printer. GSPrint automates the above  PDF -> BMP -> Printer Driver.Run the GSPrint command from SQL Server agent or Windows Service:"C:\Program Files\Ghostgum\gsview\gsprint.exe" -color -landscape -all -printer "printername" "C:\temp\print.pdf"Command line options are here: http://pages.cs.wisc.edu/~ghost/gsview/gsprint.htmAnother lesson learned is, since you are calling the script from the Service Account, it will not necessarily have the Printer mapped in its Windows profile (if it even has one). The workaround to this is by adding a local printer as you normally would and then map this printer to the network printer. Note that you may need to install the Printer Driver locally in the server.So, that's it! There are many ways to achieve a solution. The key thing is how you provide the smartest solution!

• AutoVue at the Oracle Asset Lifecycle Management Summit

  I recently had the opportunity to attend and present the integration between AutoVue and Primavera P6 during the Oracle ALM Summit, which was held in March at Redwood Shores, on Oracle Headquarters grounds. The ALM Summit brought together over 300 Oracle maintenance practitioners who endured the foggy and rainy San Francisco weather to attend the 4th edition of this Oracle-driven conference. Attendees have roles in maintenance management and IT. Following a general session, Ralph Rio from ARC Advisory Group provided a very interesting keynote session discussing Asset Management directions, both in the short and long run. An interesting point that Ralph raised is that most organizations have done a good job at improving performance at the design / build, operate and maintain and portfolio management phases by leveraging solutions like Asset Lifecycle Management and Project & Portfolio management solutions; however, there seem to be room for improvement in between those phases, when information flows from one group to the other, during the data handover phase or when time comes to update / modify drawings to reflect the reality of physical assets. This is where AutoVue comes into play. By integrating with enterprise applications like content management systems, asset lifecycle management applications and project management solutions, AutoVue can be a real-process enabler, streamlining information flows from concept/design to decommissioning and ensuring that all project stakeholders have access to asset information and engineering data throughout the asset lifecycle. AutoVue's built-in digital annotation capabilities allows maintenance workers and technicians to report changes in configuration and visually capture the delta between as-built and as-maintained versions of asset documents. This information can then be easily handed over to engineers who can identify changes and incorporate these modifications into the drawings during the next round of document revisions. PPL Power Generation, an electric utilities headquarted in Allentown, Pennsylvania discussed this usage of AutoVue during an interesting Webcast around AutoVue's role in the Utilities space. After the keynote sessions, participants broke off into product-centric tracks around Oracle's Asset Lifecycle Management solutions (E-Business Suite, PeopleSoft, and JD Edwards). The second day of the conference was the occasion for us to present the integration between AutoVue and Primavera P6 to the Maintenance Summit audience. The presentation was a great success and generated much discussion with partners and customers during breaks. • Redaction in AutoVue

  As the trend to digitize all paper assets continues, so does the push to digitize all the processes around these assets. One such process is redaction - removing sensitive or classified information from documents. While for some this may conjure up thoughts of old CIA documents filled with nothing but blacked out pages, there are actually many uses for redaction today beyond military and government. Many companies have a need to remove names, phone numbers, social security numbers, credit card numbers, etc. from documents that are being scanned in and/or released to the public or less privileged users - insurance companies, banks and legal firms are a few examples. The process of digital redaction actually isn't that far from the old paper method: Step 1. Find a folder with a big red stamp on it labeled "TOP SECRET" Step 2. Make a copy of that document, since some folks still need to access the original contents Step 3. Black out the text or pages you want to hide Step 4. Release or distribute this new 'redacted' copy So where does a solution like AutoVue come in? Well, we've really been doing all of these things for years! 1. With AutoVue's VueLink integration and iSDK, we can integrate to virtually any content management system and view documents of almost any format with a single click. Finding the document and opening it in AutoVue: CHECK! 2. With AutoVue's markup capabilities, adding filled boxes (or other shapes) around certain text is a no-brainer. You can even leverage AutoVue's powerful APIs to automate the addition of markups over certain text or pre-defined regions using our APIs. Black out the text you want to hide: CHECK! 3. With AutoVue's conversion capabilities, you can 'burn-in' the comments into a new file, either as a TIFF, JPEG or PDF document. Burning-in the redactions avoids slip-ups like the recent (well-publicized) TSA one. Through our tight integrations, the newly created copies can be directly checked into the content management system with no manual intervention. Make a copy of that document: CHECK! 4. Again, leveraging AutoVue's integrations, we can now define rules in the system based on a user's privileges. An 'authorized' user wishing to view the document from the repository will get exactly that - no redactions. An 'unauthorized' user, when requesting to view that same document, can get redirected to open the redacted copy of the same document. Release or distribute the new 'redacted' copy: CHECK! See this movie (WMV format, 2mins, 20secs, no audio) for a quick illustration of AutoVue's redaction capabilities. • Unleash AutoVue on Your Unmanaged Data

  Over the years, I've spoken to hundreds of customers who use AutoVue to collaborate on their "managed" data stored in content management systems, product lifecycle management systems, etc. via our many integrations. Through these conversations I've also learned a harsh reality - we will never fully move away from unmanaged data (desktops, file servers, emails, etc). If you use AutoVue today you already know that even if your primary use is viewing content stored in a content management system, you can still open files stored locally on your computer. But did you know that AutoVue actually has - built-in - a great solution for viewing, printing and redlining your data stored on file servers? Using the 'Server protocol' you can point AutoVue directly to a top-level location on any networked file server and provide your users with a link or shortcut to access an interface similar to the sample page shown below. Many customers link to pages just like this one from their internal company intranets. Through this webpage, users can easily search and browse through file server data with a 'click-and-view' interface to find the specific image, document, drawing or model they're looking for. Any markups created on a document will be accessible to everyone else viewing that document and of course real-time collaboration is supported as well. • New Walkthrough Capability in AutoVue 20

  New in AutoVue 20 is the capability to view a 3D model of a building from the inside - this is a very powerful tool for anyone who needs to work with models of plants, refineries, or other buildings. All of the standard AutoVue functionality is available, so you can click on any part of the building to get attribute data, manipulate the view, do measurement, etc. For example, in the image below we've made the Architectural model (Walls, Floors, etc.) transparent, but left the electrical and mechanical models opaque, so it's easy to see where the wires and piping run behind the walls. Additionally you can bring together different files and different types of files, using our digital mockup capability - in the image below the heating and air conditioning sytem on the left came from one file, and the electrical box on the right came from another wile, and the model of the room came from yet a third file, but with everything brought together into AutoVue you can do things like use our measurement capability to ensure there's enough space to get maintenance equipment down the hallway, before the building is even built. As the Oracle AutoVue Product Management team is busy prioritizing the next round of improvements, enhancements and new innovation to the AutoVue platform, I thought it would be a good idea to provide our blog-readers with a recap of how best to provide product feedback to the AutoVue Product Management team. This gives you the opportunity to help shape our future agenda and make our solutions better for you. Enterprise Visualization Special Interest Group (EV SIG): the AutoVue EV SIG is a customer-driven initiative that has recently been created to share knowledge and information between members and discuss common and best practices around Enterprise Visualization. The EV SIG also serves as a mechanism for establishing and communicating to AutoVue Product Management users’ collective priorities for the future development, direction and enhancement of the AutoVue product family with the objective of ensuring their continuous improvement. Essentially, EV SIG members meet in order to share and prioritize feedback and use this input to begin dialog with the AutoVue Product Management team on what they deem to be the most important improvements to Enterprise Visualization solutions. This is the best way to share feedback with us at the functionality level; for instance if you would like to see a new format supported in AutoVue or make suggestions as per how certain functionality can be improved or should behave. Once the ER is logged, it is then evaluated by Product Management based on feasibility, product adequation and business justification. Product Management then decides whether to consider this ER for future release or not. What helps accelerate the process is hearing from a large number of customers who urgently need a particular feature or configuration. Hence the importance of logging Metalink Service Requests, and describing in details your business expectations. You can include key milestones dates and justifications as to why this request is important and the benefits your organization stands to gain should this request be accepted. Again, feedback from customers and partners is critical to ensure we offer solutions that have the biggest impact on customers’ business processes and day-to-day operations. All feedback is welcome,. • Getting started with Document Set in SharePoint2010

  Folders are widely used in traditional file based system, in SharePoint world you can create folder in the document library as well. However, there is a new improved feature in SharePoint called Document Set; you can attach metadata to the document set. To get start with Document set, you can perforce the following steps. 1. Go to Site Settings >>Site collection features >>Activate the Document Sets feature. 2. After the Document Sets feature is activated, you will get a new content type called Document Set. 3. Next, we can create a custom content type called Loan Application Document Set that inherited from Document Set Content Type. 4. Then I create a new column called Application Number. 5. Add this field to the loan application content type 6. Create a new Content Type called Loan Contract form that inherited from Document content type. 7. Add the Application Number to the Loan Contract form content type. 8. Create a new Content Type called Loan Application form that inherited from Document content type and add Application Number to it.(The same step as above.) 9.Go to the Loan Application Document Set content type and go to the Document Set Settings. 10. You can define which content type you would like this Document set contains and you can also define the default document for each content type. When you create a new document set, those default documents will get automatically created in the document set. You can also define the Shared field that shared across content types; in my case I define the Application number and description as my shared fields. Finally, you can define the fields that you’d like to show in the document set welcome page. 11. Now create a new document library and attach those content types to the document library and create a new loan application document set. 12. You will see the default document created in the document set.If you updated Application Number on the document set , the field will get updated in the documents inside the document set as well.
