  I am in the process of setting up mass email service. My question is: what are the best practices to achieve maximum deliver-ability. More precisely - what should I do/know to prevent spam filters from blocking the emails (the emails are not spam). for example- how can I tell if my IP address is blacklisted somewhere and how can I prevent it from becoming blacklisted. Is amazon web services a suitable platform due to dynamic IP addresses, what are the restrictions on the from address, can it be different from the mail server domain.... you get it....

• How difficult is it to setup a mailserver?

  I want a secure mail solution, as I am looking to move away from Google and other parties looking into my private data. How much of a PITA is it to setup my own mailserver? Should I go for an external provider with a good privacy policy and encrypted data instead? I have a VPS running Debian (with a dedicated IP + reverse DNS), and I'm a fairly capable Linux administrator, having setup a couple of webservers, home networks, and looking over the shoulder of sysadmins at work. The security I currently have on the VPS is limited to iptables and installing/running the bare minimum of what I need (currently basically irssi and lighttpd). When setting up a mail server, is there a lot of stuff to take into consideration? Will my outgoing mail be marked as spam on other servers if I don't implement a number of solutions? Will reliable spam filtering be difficult to setup? Can I easily encrypt the stored mail?

• Domain of sender address does not resolve (in reply to MAIL FROM command)

  When sending out emails with postfix I sometimes get this error: 451 #4.1.8 Domain of sender address <[email protected]> does not resolve (in reply to MAIL FROM command) The domain mydomain.tld is resolvable though, meaning A, MX, PTR records are set properly. However, the sending server does have a different domain anotherdomain.tld but it is allowed to send emails from mydomain.tld since I set the MX records of mydomain.tld to anotherdomain.tld. The envelope from of the problematic emails is [email protected]. Is there some other dns entry I have to set? Or how else could I solve the problem? (I would like to keep the server structure though)

• Advance DNS - Redirecting Emails to new webhost

  I am not to sure if this question belongs here but I will surely find out soon enough. I have two web hosts (Not sure why it has been setup this way but it has). I do not want to use the original web host to handle the emails as the Data that we get from them is 500 mb which is already full with hosting the website. The second web host has an unlimited data plan and was created so we could use this host for the email accounts. Now the problem is I have reset the Advance DNS Zone records on both accounts and I am not sure what they were before. (Silly me should have taken a backup of how it was setup before hand I know) Emails were working before and going to the second hosts server now they are going to the first host but it has no email addresses setup for use so all emails are bouncing saying that the address does not exist. Host 1 IP: 192.185.96.110 Host 2 IP: 27.54.88.66 So far I have changed the Advanced DNS Zone record on Host 1 with the following: A Record: mail.australisinstitute.qld.edu.au - 27.54.88.66 I have not made any changes on Host 2 and both hosts have the default MX Records. If I need to provide any more information I can but I just hope someone can decipher what I have said haha. Cheers in advance!

• Installing and maintaining an email server

  I need to move hosting providers for four or five domains and for several reasons I'm considering a Linux VPS rather than staying with my current shared, managed hosting provider. The only thing that's stopping me is email. I have lots of experience running and maintaining Apache, but none with email servers. Based on some research, if I want to keep what I've using now, it looks like I'd be going with Postfix and Dovecot, and probably Exim and SpamAssassin. I have no problem performing regular maintenance and watching for security updates, but I don't want to bite off more than I can chew. For someone new to email services, how hard is it to set up an email server that is externally accessible (via SMTP and POP3, not IMAP), available over SSL/TLS and reasonably reliable for multiple domains? How much of a time commitment is it to maintain one?

• Looking for an open source email archiving application

  I'm looking for an open source application that will archive my email. It might do this by logging in to my POP3 account on a regular basis and copying the emails across, or it might just read my Unix mbox/maildir file/directory directly on the mail server. It must be open and it must run on Linux (or any open OS actually). Ideally, it would have a web interface, but this is not a major requirement. MXsense (http://www.mxsense.com/mxsense.html) seems to be pretty-much what I want, except it's not open. I have no requirement for MS Exchange support. Any suggestions? The rationale (maybe a bit silly) is that I run Linux exclusively and it's still doesn't have an email client that is anywhere close to MS Outlook in terms of awesomeness, so I find myself switching between mail clients often. I would feel better about this if I had an archive of my emails, so it wouldn't matter which mail client I was using this month.

• Emails sent to outlook.com not being delivered

  I'm having an issue that is a little strange. I have a cPanel webserver that I own and have root. I was testing out emailing and noticed some issues. When I send an email to outlook.com address the email sends ok but nothing is recieved at the outlook mailbox.   running an email system using roundcube, with about 200 people using it. 99% of them do as they are told and only email clients they have already spoken to, however 1% of them decide to bulk spam bcc emails, which then tripped an aol filter and almost got us banned from our host. I have disabled the guys account but I am worried about something similar happening in the future, what would be the best way to stop this? I read that if aol recieve 3 emails within 60 seconds from the same ip address then its an instant ban, so i am guessing with the big companies like google, their email accounts must have different ip addresses? and if so is there any way to implement a similar feature? Also i have spam assasin enabled, in this case what would be the best configuration for it?

  I am setting up a mail server: Dovecot and Postfix with MySQL support and Postfixadmin. Spend literally all day trying to figure it out, but I'm still unable to neither send nor receive any emails. To my knowledge, I have configured everything correctly, so either there is another problem, or my knowledge isn't good enough. • Which server software and configuration to retrieve from multiple POP servers, routing by address to correct user

  I am setting up a small email server on a Debian machine, which needs to pick up mail from a variety of POP servers and figure out who to send it to from the address, but I'm not clear what software will do what I need, although it seems like a very simple question! For example, I have 2 users, Alice and Bob. Any email to [email protected] ([email protected] etc) should go to Alice, all other mail to domain.example.com should go to Bob. Any email to [email protected] should go to Bob, and [email protected] should go to Alice Anything to *@bobs.place.com should go to Bob And so on... The idea is to pull together a load of mail addresses that have built up over the years and present them all as a single mailbox for Bob and another one for Alice. I'm expecting something like Postfix + Dovecot + Amavis + Spamassassin + Squirrelmail to fit the bill, but I'm not sure where the above comes in, can Postfix deal with it as a set of defined regular expressions, or is it a job for Amavis, or something else entirely? Do I need fetchmail in this mix, or is its role now included in one of the other components above. I think of it as content-filtering, but everything I read about content-filtering is focussed on detecting spam rather than routing email.

  i have read some articles about mda and mta but still don't have a hang on it. what is exactly is the difference between a mda like fetchmail and a mta like sendmail. in my computer, do i have to have a mta installed? if im using Apple Mail to send messages, is it using a mta application in my computer to send the mail? where does it send the mail? and if i receive mails with it, does it receives it with mda installed in my computer? would be great if someone could explain how it works for me, or give me good links to good tutorials. thanks

• IMAP can't access virtual account sharing name with local user account

  I am setting up a postfix/dovecot mail server with virtual accounts, per the Chris Haas tutorial. I'm finding that virtual users who also have local user accounts on the mail server cannot access their email remotely via IMAP. They're told they cannot login. (I'm using Thunderbird for that). These same users can login when emulating IMAP locally via telnet. Virtual users without local accounts have no trouble with IMAP access from remote clients. These local user accounts have vestiges of prior efforts in their home directories: mbox files, Mail and mail directories. I've looked at the logs for clues to where the remote login process is failing (dovecot authentication failure? confusion over where emails are stored?) but found nothing helpful. I haven't found much in the dovecot or postfix documentation that describes the IMAP login process and expectations in enough detail to help me diagnose this. So: how do I go about identifying the problem and researching a solution?

Can anyone give me some leads on how to correct the settings to allow emails to go through properly? In particular, the emails are not going through to a Network Solutions email account and Network Solutions has not been very helpful thus far. In addition, can a domain's DNS settings affect this error? Currently, the domains are hosted by Network Solutions and use the Network Solutions email service to send/receive email. The server is located with a different company and the Domains' DNS points to it. Which mail related DNS entries are allowed or not allowed in this scenario? Thanks

• How do I make exchange forward email to a non-exchange mail server (postfix on mac)?

  Hi, I'm not sure what I'm doing. Exchange has been working a long time. I just installed a mac mail server postfix/dovecot. They both work but not together. If I send email directly to the new server with [email protected], I can send email to the Internet and I can receive email at the [email protected]. But, if I log onto my exchange account with OWA and I put in [email protected] I never receive it and I never get any errors back in OWA or on my mac server logs. It just disappears. On the mac, I thought that as long as I had mail running and had SMTP set to allow incoming email checked it would receive email from anywhere. How can I make my Exchange server send email to the mac box if the email doesn't exist in the exchange server? Is this where I would put a new SMTP connector and a bridgehead using DNS? (Not spam) I really like Google Apps but they have sending limits 2000 sending per day, that is not suit for my case becuz I cannot have sending limits. • What is the correct mail set up for multiple domains on one server?

  I have a machine (centos 5) with one external ip address. On that machine I have many virtual hosts with a few different top level domain names and sub-domains under those eg. sub1.domain1.com sub2.domain1.com sub3.domain1.com sub1.domain2.com sub2.domain2.com sub1.domain3.com And so on... Alot of these different sites need to send mail as their corresponding domain (or second-level domain at least). I need to set up DKIM, SPF (but that's handled on the DNS) and rDNS lookup so the mail gets received. As I understand it, you can only have one rDNS entry per machine. I could set up a server for each top level domain, but I'm thinking that'll get expensive. What should I do here? Is there a way to have multiple rDNS lookups on one ip address? How do I setup DKIM signing for multiple domain names on the one machine? Are there any services out there that could handle this for me? Thanks for your help...

• When pointing to new DNS servers is there any chance of E-mails being lost if the old E-mail hosting service is still up?

  I am changing webhosts and will be using the new hosts mail servers instead of the old ones. I have created all the correctly named mailboxes on the new service but have also not yet cut ties with the old webhost. I am expecting that even if the new DNS values which point to the new hosts DNS servers and respective SOA\zone file with the new MX values have not yet propagated and an E-mail is directed at the old hosts mail servers as per the mx records in the SOA\zone records which the old hosting provider holds, the E-mail would still come through to the mailbox that's on the old host providers mail servers. So I am just trying to reaffirm if I got this right and it's essentially impossible for me to loose an E-mail since it will hit either the old hosts mail servers or the new ones ? Also is it possible to configure the same E-mail account to check and collect mail from different mail servers by entering multiple pop3 addresses ? And if I choose to keep the old web hosts mail hosting services as a backup by specifying the mx records for it with a lower priority in the SOA records hosted by the new webhost, is it possible to have any incoming E-mails sent to both servers by the mail daemon so I have two copies? Or is my only option having the primary mail server forward the E-mail somehow to the old mailserver ?

  Lately I've been really interested in doing some very unique things with email most of which rely on a SMTP and POP or IMAP server that gives the administrator an API to create arbitrary methods for email storage, notifications, or delivery. What I'm looking for would be analogous to mod_php and apache where apache handles the delivery protocol and php handles the content creation and storage. I've considered making my own, as those three protocols are quite simple, but I'm always nervous about putting my code public facing especially when it's at that low of a level. So are there any email servers that allow for this much arbitrary control over email delivery, fetching, and receiving.

  I have ha VPS on webbynode with Citadel groupware suite installed, but I'm not so happy with It. I would like to try other alternatives. This is a VPS where I do tons of experiment so it's better for me to avoid any DIY solution if not extremely easy to reinstall. In fact I destroy and rebuild this VPS frequently.
