  • Oracle UCM GET_SEARCH_RESULTS service with full text search

    Newly I was working on portlet which should be able to do full text search through the UCM documents and I was experimenting with the Ridc and also with the CIS API's. There are some ticks you may take care of, for example using quotes is a very spacial case and most of situations UCM will throw an exception if you not use them well. To be able to proceed with the full text search you have to use dDocFullText attribute inside the search query. The tag <substring> is the same as 'like'. Also you have to put your searching string or words in quotes which could be a problem sometime, so I used the tag <qsch>. Using this tag you can have quotes now inside you searching string without to break the code and get parsing exceptions.To be able to test the example, you do have to enable full text search inside UCM.     Estamos muy activos con la implantación de plataformas ECM que den servicio a múltiples clientes. Consiguiendo 2 objetivos muy importantes:El cliente final puede pagar al proveedor por una plataformas ECM como servicio (SaaS). Y, lógicamente, se ahorra en complejidad y gastos de infraestructura, administración, formación, almacenamiento, etc...Hemos estado explicando estos días el modelo Master-Proxy de Oracle UCM con el que podemos implantar este tipo de plataformas. No siempre será la solución más adecuada porque a veces vamos a querer disponer de plataformas compartidas, pero con clientes completamente aislados. Siempre, la consola de migración nos permite exportar e importar componentes, metadatos, contenidos, workflows, etc... para que elijamos el modelo más adecuado para cada caso.Pero, ¿Cómo funciona?. Podéis ver en la imágen que se basa en la instalación de varias instancias de UCM y configurarlas de forma que varias de ellas se comporten como "Master" (digo varias para conseguir alta disponibilidad), y el resto se comporten como "Proxy" (también varias instancias de UCM pueden comportarse como un mismo "Proxy" permitiendo balancear la carga en función de que cada cliente requiera más o menos rendimiento). Esta configuración (que vemos en la imágen adjunta), nos permite:Delegar la gestión de usuarios de cada cliente. Los usuarios del Master podrán acceder a todos los Proxies, pero los usuarios de cada proxy sólo acceden a su repositorio.Delegar funcionalidad y componentes. Es posible configurar diferentes funcionalidades en cada proxy de forma que algunos servidores estén especializados en Web Content Management, otros en Document Management (por ejemplo).Diferentes modelos de metadatos.   • How to create Adhoc workflow in UCM

    UCM has an inbuilt workflow engine that can handle document centric workflow approval/rejection process to ensure the right set of assets go into the repository. Anybody who has gone through the documentation is aware that there are two types of work flows that can be defined using the Workflow Admin applet in UCM namely Criteria and Basic While criteria is an Automatic workflow  process based on certain metadata attributes (Security Group and One of the Metadata Fields) , basic workflow is a manual workflow that need to be initiated by the admin. Any workflow  that can be put on the white board can be translated into the UCM wokflow process and there are concepts like sub workflows, tokens, events. idoc scripting that be introduced to handle any kind of complex workflows. There is a specific Workflow Implementation guide that explains the concepts in detail. One of the standard queries i come across is how to handle adhoc workflows where at the time of contributing the content, the contributors would like to decide on the workflow to be initiated and the users to be picked for approval in each step, hence this post.This is what i want to acheive, i would like to display on my Checkin Screen on the kind of workflows that a contributor could choose from:Based on the Workflow the contributor chooses, the other metadata fields (Step One, Step Two and Step Three)  need to be filled in and these fields decide who the approvers are going to be.1. Create a criteria workflow called One_Step_Review2.create two tokens StepOne <$wfAddUser(xWorkflowStepOne, "user")$>,  OrginalAuthor  <$wfAddUser(wfGet("OriginalAuthor"), "user")$>View image3.create two steps in the work flow created (One_Step_Review)View image4. Edit Step1 of the Workflow and add the Step One token and select the review permissionView image5. In the exit conditions tab have atleast One reveiwerView image6. In the events tab add an entry event <$wfSet("OriginalAuthor",dDocAuthor)$> to capture the contributor who shall be notified in the second step of the workflowView image7. Add the second step Notify_Author to the workflow8. Add the original author token to the above step9.  Enable the workflow10. Open the configration manager applet and create a Metadata field Workflow with option list enabled and add the list of values as show hereView image11. Create another metadata field WorkflowStepOne with option list configured to the Users View. This shall display all the users registered with UCM, which when selected shall be associated with the tokens associated with the workflow. Refer the above token.View imageAs indicated in the above steps you could create multiple work flows and associate the custom metadata field values to the tokens so that the contributors can decide who can approve their  content.

  • Site Studio Mobile Example - WCM Reuse

    Mobile internet usage is growing by leaps and bounds and it is theorized that in the not-to-distant future it will eclipse traditional access via desktop browsers. Mary Meeker, a managing director at Morgan Stanley and head of their global technology research team, recently predicted that mobile usage will eclipse desktop usage within the next 5 years in an Events@Google series presentation. In order for organizations to reach their prospects, customers and business partners, they will need to make their content readily available on mobile devices. A few years ago it was fairly challenging to provide a special, separate, site to cater to mobile users using technologies like WML (Wireless Markup Language). Modern mobile browsers have rendered the need for this as irrelevant and now the focus has moved toward providing a browsing experience that works well on small screen sizes and is highly performant. What does all of this mean for Oracle UCM? Taking site content from an existing Site Studio site and targeting it for consumption for mobile devices is a very straightforward process that is aided by a number of native capabilities in the product. The example highlighted in this post takes advantage of dynamic conversion capabilities in Oracle UCM to enable site content to be created and updated via MS Office documents. These documents are then converted to a simple, clean HTML format for consumption in the desktop and mobile browsing experiences. To help better understand how this is possible the example below shows a fictional .COM and its mobile site counterpart that both leverage the same underlying content. The scenario is not complete or production ready, but highlights that a mobile experience may be best delivered by omitting portions of a site that would be present within the version served to desktop clients. If you have browsed CNet (news.com) on a mobile device it becomes quickly apparent that they are serving an optimized version for your mobile device. An iPhone style version can be accessed at http://iphone.cnet.com/. In order to do that they leveraged some work done for the iPhone iUi project developed by Joe Hewitt that provides mobile browsers an experience that is similar to what users may find in a native iPhone application. For our example parts of this framework are used (the CSS) and this approach provides a page that will degrade nicely over a wide range of mobile browsers, since it is comprised of lightweight HTML markup and CSS. The iPhone iUi framework also provides some nice JavaScript to enable animated transitions between pages, but for the widest range of mobile browser compatibility we will only incorporate the CSS and HTML DIV / UL based page markup in our example.

  • UCM 11g is 4 days old!

    Ok...so I missed posting a blog entry when UCM 11g and the entire ECM suite released on Tuesday. Hopefully you've already seen the announcements on any number of the Oracle ECM blogs out there such as ECM Alerts, Fusion ECM, bex huff, or C4. So I won't bore you with the same talking points like 179 million check-ins per day or 124 web site page hits per second. Instead, I thought I'd show some screenshots of the new features in UCM and URM 11g. WebLogic Server and Enterprise Manager So probably the biggest change in 11g is UCM and URM now run on top of the WebLogic Server application server. This is a huge step as ECM is now on a standard platform with the rest of Oracle Fusion Middleware which makes installation, configuration, and integration consistent among all the products. From a feature perspective, it's also beneficial because it's now integrated with Oracle Enterprise Manager. Enterprise Manager provides a lot of provisioning control over servers as well as performance monitoring and access to logs and debugging information. Desktop Integration Suite Desktop Integration Suite got a complete overhaul for 11g. It exposes a lot more features within Windows Explorer such as saved searches, workflow queue, and checked-out items. It also now support metadata pop-up screens to let users fill in additional metadata when they drag-n-drop files in! And the integration within Office applications has changed significantly by introducing a dedicated UCM menu to do open, save, compare, etc. Site Studio for External Applications In UCM Site Studio 10gR4, a major architectural shift was introduced which brought several new objects such as elements, region definitions, region templates, and placeholder definitions. This truly separated the content from the display and from the definition. It also allowed separation of the content from needing to be rendered on a complete Site Studio page. Well, the new Site Studio for External Applications takes advantage of that architecture and introduces pre-built tags and plug-ins to JDeveloper to allow to go from simply adding a content area to your web application page to building an entire web site, just like you would have done in Site Studio Designer. In addition to these changes, enhancements to the core Site Studio have been added as well. One of the big ones is called Designer Mode which allows power-users to bypass the standard rules defined by the placeholder definition or template and perform any number of additional actions. This reduces the need to go back to Site Studio Designer or JDeveloper to make more advanced changes to the site. Dashboards As part of the updated records management functionality in both UCM and URM, users can now set a dashboard view on their home page to surface common functions in a single view. It has pre-built "portlets" users can choose from to display and organize they way they want. Behind the scenes, these dashboards are stored as Content Folios. So the dashboards themselves are content items that can be revisioned and shared between users. And new dashboard portlets can be easily added (like the User Profile one in the screenshots) by getting a copy of an existing one, modifying the display, and then checking it in as a new one to select from. URM Interface Enhancements URM includes several new UI and usability enhancements in 11g. There is a new view for physical records, a place to configure "favorite" items to quickly get to, and new placement of the records management menu. BI Publisher Reports Records management in UCM and URM now offer reports generated through embedded BI Publisher. Templates are controlled by rich text files checked directly into the repository, so they can be easily modified. Other Features A new Inbound Refinery conversion option is available that does native Microsoft Office HTML conversion. If your IBR is on Windows and you have the native applications loaded, the IBR can use them to produce HTML. A new GUI template editor for Dynamic Converter is available. It's written in Java so is available through all the supported browsers and platforms. The original ActiveX based editor is also still available. The Component Manager interface has changed to help provide an easier and more descriptive way to enable core components that are installed along with UCM. All of the supported components are immediately available to turn on and do not have to be installed separately as in previous versions. My Downloads is located in the My Content Server menu and provides for easy download of client installs including Desktop Integration Suite and Site Studio Designer. Well, hopefully that gives you a taste for some of the new things in 11g. We're all pretty excited here at Oracle about all the new changes and enhancements. Over the next few months I hope to highlight some of these features more in-depth, so keep your eye out for those posts.

    Recently, I had blogged about enabling the UCM content cache invalidator for Spaces (found here).  This can also be enabled for a WebCenter Custom Portal application as well.  The much overlooked setting is done through the Content Repository connection definition in the JDeveloper Application Resources section.   Enabling the cache invalidator "sweeper" can be invaluable, where UCM content is being updated from within UCM (console) and not within the portal.

  • Changes to File Store Provider in UCM PS3

    In the recent PS3 release of UCM (11.1.1.4.0) there are some significant changes to the File Store Provider (FSP) configuration. For new PS3 installs (not upgrades from PS2) the FSP default storage rule includes a dispersion rule that will change the web-layout and vault paths by adding dispersion directories to the paths to limit the number of files in the vault and web-layout directories. What that means is that if you install a new PS3 UCM instance and migrate content in from a previous version of UCM the web URL will change. That is a critical problem for web sites and just general document management.     The purpose of this post is to guide you setting up the integration between UCM and SES. On my next post I’ll show different approaches to integrate WebCenter Portal, UCM and SES based on some common scenarios. Let’s get started. WebCenter Content Configuration WebCenter Content has a component that adds functionality to the content server to allow it to be searched via the Oracle SES. To enable the component installation, go to Administration -&gt; Admin Server and select SESCrawlerExport. Click the update button and restart UCM_server1 managed server. Once the managed server is back, we’ll configure the component. In the menu, under Administration you should see SESCrawlerExport. Click on the link. You’ll see the window below. Click on Configure SESCrawlerExport. Configure the values below: Hostname: SES hostname. Feed Location: Directory where data feeds will be saved. Metadata List: List of metadata that will be searchable by SES. After updating the values click on the Update button. Come back to the SESCrawlerExport Administration UI and click on Take Snapshot button. It will create the data feeds in the specified Feed Location. Go back to the Home tab and click on Sources on the top left. Select Oracle Content Server on the right and click the Create button. Configuration URL: URL that point to the configuration file. Example: http://&lt;ucm_hostname&gt;:&lt;port&gt;/cs/idcplg?IdcService=SES_CRAWLER_DOWNLOAD_CONFIG&amp;source=default. User ID: UCM Admin user. Password: Password to Admin user. Click on the Authorization tab and add the appropriate values to the fields below. Make sure you see the ACCOUNT and DOCSECURITYGROUP security attributes at the end of the page. HTTP endpoint for authorization: http://&lt;ucm_hostname&gt;:&lt;port&gt;/cs/idcplg. Display URL prefix: http://&lt;ucm_hostname&gt;:&lt;port&gt;/cs. Administrator user: UCM Admin user. Administrator password. On the Document Types tab, add the documents that should be indexed by SES. As our last step, we’ll configure the Federation Trusted Entities under Global Settings. Entity Name: The user must be present in both the identity management server configured for your WebCenter application and the identity management server configured for Oracle SES.   • Configuring UCM cache to check for external Content Server changes

    Recently, I was involved in a customer scenario where they were modifying the Content Server's contributor data files directly through Content Server.  This operation of course is completely supported.  However, since the contributor data file was modified through the "backdoor", a running WebCenter Spaces page, which also used the same data file, would not get the updates immediately.  This was due to two reasons.  The first reason is that the Spaces page was using Content Presenter to display the contents of the data file. The second reason is that the Spaces application was using the "cached" version of the data file.  Fortunately, there is a way to configure cache so backdoor changes can be picked up more quickly and automatically. First a brief overview of Content Presenter.  The Content Presenter task flow enables WebCenter Spaces users with Page-Edit permissions to precisely customize the selection and presentation of content in a WebCenter Spaces application.  With Content Presenter, you can select a single item of content, contents under a folder, a list of items, or query for content, and then select a Content Presenter based template to render the content on a page in a Spaces application.  In addition to displaying the folders and the files in a Content Server, Content Presenter integrates with Oracle Site Studio to allow you to create, access, edit, and display Site Studio contributor data files (Content Server Document) in either a Site Studio region template or in a custom Content Presenter display template.  More information about creating Content Presenter Display Template can be found in the OFM Developers Guide for WebCenter Portal. The easiest way to configure the cache is to modify the WebCenter Spaces Content Server service connection setting through Enterprise Manager.  From here, under the Cache Details, there is a section to set the Cache Invalidation Interval.  Basically, this enables the cache to be monitored by the cache "sweeper" utility.  The cache sweeper queries for changes in the Content Server, and then "marks" the object in cache as "dirty".  This causes the application in turn to get a new copy of the document from the Content Server that replaces the cached version.  By default the initial value for the Cache Invalidation Interval is set to 0 (minutes).  This basically means that the sweeper is OFF.  To turn the sweeper ON, just set a value (in minutes).  The mininal value that can be set is 2 (minutes): Just a note.  In some instances, once the value of the Cache Invalidation Interval has been set (and saved) in the Enterprise Manager UI, it becomes "sticky" and the interval value cannot be set back to 0.  The good news is that this value can also be updated throught a WLST command.   The WLST command to run is as follows: setJCRContentServerConnection(appName, name, [socketType, url, serverHost, serverPort, keystoreLocation, keystorePassword, privateKeyAlias, privateKeyPassword, webContextRoot, clientSecurityPolicy, cacheInvalidationInterval, binaryCacheMaxEntrySize, adminUsername, adminPassword, extAppId, timeout, isPrimary, server, applicationVersion]) One way to get the required information for executing the command is to use the listJCRContentServerConnections('webcenter',verbose=true) command.  For example, this is the sample output from the execution: ------------------ UCM ------------------ Connection Name: UCM Connection Type: JCR External Appliction ID: Timeout: (not set) CIS Socket Type: socket CIS Server Hostname: webcenter.oracle.local CIS Server Port: 4444 CIS Keystore Location: CIS Private Key Alias: CIS Web URL: Web Server Context Root: /cs Client Security Policy: Admin User Name: sysadmin Cache Invalidation Interval: 2 Binary Cache Maximum Entry Size: 1024 The Documents primary connection is "UCM" From this information, the completed  setJCRContentServerConnection would be: setJCRContentServerConnection(appName='webcenter',name='UCM', socketType='socket', serverHost='webcenter.oracle.local', serverPort='4444', webContextRoot='/cs', cacheInvalidationInterval='0', binaryCacheMaxEntrySize='1024',adminUsername='sysadmin',isPrimary=1) Note: The Spaces managed server must be restarted for the change to take effect. More information about using WLST for WebCenter can be found here. Once the sweeper is turned ON, only cache objects that have been changed will be invalidated.  To test this out, I will go through a simple scenario.  The first thing to do is configure the Content Server so it can monitor and report on events.  Log into the Content Server console application, and under the Administration menu item, select System Audit Information.  Note: If your console is using the left menu display option, the Administration link will be located there. Under the Tracing Sections Information, add in only "system" and "requestaudit" in the Active Sections.  Check Full Verbose Tracing, check Save, then click the Update button.  Once this is done, select the View Server Output menu option.  This will change the browser view to display the log.  This is all that is needed to configure the Content Server.   • ClearCase UCM Mainline Configuration Management Pattern Question

    A configuration management pattern question (using Rational ClearCase UCM) When I use the mainline approach I create new releases by: - create release 1 from mainline - on a certain moment baseline release 1, deliver release 1 to mainline - create release 2 from mainline - on a certain moment baseline release 2, deliver release 2 to mainline - create release 3 from mainline - etc... Works very nice because the pathname is /main/release 3/latest instead of /main/release 1/release 2/release 3/latest etc... However... when in release 1 are new elements that have to be propagated to later releases I can not use the mainline since the mainline is already on e.g. release 4. The only thing I can do is deliver/merge from release 1 directly to release 2. The bad thing is that the pathname then becomes /main/release 1/release 2/latest for that files (and possibly later releases). That is I think not in line with the mainline approach. What am I doing wrong?

  • Adding UCM as a search source in Windows Explorer

    A customer recently pointed out to me that Windows 7 supports federated search within Windows Explorer. This means you can perform searches to external sources such as Google, Flickr, YouTube, etc right from within Explorer. While we do have the Desktop Integration Suite which offers searching within Explorer, I thought it would be interesting to look into this method which would not require any client software to implement. Basically, federated searching hooks up in Windows Explorer through the OpenSearch protocol. A Search Connector Descriptor file is run and it installs the search provider. The file is a .osdx file which is an OpenSearch Description document. It describes the search provider you are hooking up to along with the URL for the query. If those results can come back as an RSS or ATOM feed, then you're all set. So the first step is to install the RSS Feeds component from the UCM Samples page on OTN. If you're on 11g, I've found the RSS Feeds works just fine on that version too. Next, you want to perform a Quick Search with a particular search term and then copy the RSS link address for that search result. You will then need to convert the ampersand symbols to '&' to make them XML compliant. Finally, you'll want to switch out the search term with '{searchTerms}'. For the second Url element, you can do the same thing except you want to copy the UCM search results URL from the page of results. Now when you double-click on an item, it will try and download the web viewable for viewing. You also have the ability to save the search, just as you would in UCM. And there is a link to Search On Website which will launch your browser and go directly to the search results page there. And with some tweaks to the RSS component, you can make the results a bit more interesting. It supports the Media RSS standard, so you can pass along the thumbnail of the documents in the results. To enable this, edit the rss_resources.htm file in the RSS Feeds component.   • Filtering option list values based on security in UCM

    Fellow UCM blog writer John Sim recently posted a comment asking about filtering values based on the user's security. I had never dug into that detail before, but thought I would take a look. It ended up being tricker then I originally thought and required a bit of insider knowledge, so I thought I would share. The first step is to create the option list table in Configuration Manager. You want to define the column for the option list value and any other columns desired. You then want to have a column which will store the security attribute to apply to the option list value. In this example, we'll name the column 'dGroupName'. Next step is to create a View based on the new table. For the Internal and Visible column, you can select the option list column name. Then click on the Security tab, uncheck the 'Publish view data' checkbox and select the 'Use standard document security' radio button. Click on the 'Edit Values...' button and add the values for the option list. In the dGroupName field, enter the Security Group (or Account if you use Accounts for security) to apply to that value. Create the custom metadata field and apply the View just created. The next step requires file system access to the server. Open the file [ucm directory]\data\schema\views\[view name].hda in a text editor. Below the line '@Properties LocalData', add the line: schSecurityImplementorColumnMap=dGroupName:dSecurityGroup The 'dGroupName' value designates the column in the table which stores the security value. 'dSecurityGroup' indicates the type of security to check against. It would be 'dDocAccount' if using Accounts. Save the file and restart UCM. Now when a user goes to the check-in page, they will only see the options for which they have read and write privileges to the associated Security Group. And on the Search page, they will see the options for which they have just read access. One thing to note is if a value that a user normally can't view on Check-in or Search is applied to a document, but the document is viewable by the user, the user will be able to see the value on the Content Information screen.

Iremos utilizar Select Cache Query para retornar a lista de favoritos de um usuário. - Service: Os serviços são os responsáveis por executar as queries (ou classes java, mas isso é papo para um outro tutorial...). O serviço recebe os parâmetros de entrada, executa a query e retorna o ResultSet (no caso de um SELECT). Os serviços podem ser executados através de templates, páginas IDOC, outras aplicações (através de API), ou diretamente na URL do browser. Neste exercício criaremos serviços para Criar, Editar, Deletar e Listar os favoritos de um usuário. - Template: Os templates são as interfaces gráficas (páginas) que serão apresentadas aos usuários. Por exemplo, antes de executar o serviço que deleta um documento do favoritos, quero que o usuário veja uma tela com o ID do Documento e um botão Confirma, para que ele tenha certeza que está deletando o registro correto. Esta tela pode ser criada como um template. Neste exercício iremos construir templates para os principais serviços, além da página que lista todos os favoritos do usuário e apresenta as ações de editar e deletar. Os templates nada mais são do que páginas HTML com scripts IDOC.   • Page debugging got easier in UCM 11g

    UCM is famous for it's extra parameters you can add to the URL to do different things. You can add &IsJava=1 to get all of the local data and result set information that comes back from the idc_service. You can add &IsSoap=1 and get back a SOAP message with that information. Or &IsJson=1 will send it in JSON format. There are ones that change the display like &coreContentOnly=1 which will hide the footer and navigation on the page. In 10g, you could add &ScriptDebugTrace=1 and it would display the list of resources that were called through includes or eval functions at the bottom of the page. And it would list them in nested order so you could see the order in which they were called and which components overrode each other. But in 11g, that parameter flag no longer works. Instead, you get a much more powerful one called &IsPageDebug=1. When you add that to a page, you get a small gray tab at the bottom right-hand part of the browser window. When you click it, it will expand and let you choose several pieces of information to display. You can select 'idocscript trace' and display the nested includes you used to get with ScriptDebugTrace. You can select 'initial binder' and see the local data and result sets coming back from the service, just as you would with IsJava. But in this display, it formats the results in easy to read tables (instead of raw HDA format). Then you can get the final binder which would contain all of the local data and result sets after executing all of the includes for the display of the page (and not just from the Service call). And then a 'javascript log' for reporting on the javascript functions and times being executed on the page. Together, these new data displays make page debugging much easier in 11g. *Note: This post also applies to Universal Records Management (URM).

    While the recent Patch Set 3 (PS3) release was mostly focused on bug fixes and such, a new configuration flag was added for security. In 10gR3 and prior versions, UCM had a component called Collaboration Manager which allowed for project folders to be created and groups of users assigned as members to collaborate on documents. With this component came access control lists (ACL) for content and folders. Users could assign specific security rights on each and every document and folder within a project. And it was possible to enable these ACL's without having the Collaboration Manager component enabled. But it took some special instructions (see technote# 603148.1) and added some extraneous pieces still related to Collaboration Manager. When 11g came out, Collaboration Manager was no longer available. But the configuration settings to turn on ACLs were still there. Well, in PS3 they've been cleaned up a bit and a new configuration flag has been added to simply turn on the ACL fields and none of the other collaboration bits. To enable ACLs: UseEntitySecurity=true Along with this configuration flag to turn ACLs on, you also need to define which Security Groups will honor the ACL fields. If an ACL is applied to a content item with a Security Group outside this list, it will be ignored. SpecialAuthGroups=HumanResources,Legal,Marketing Save the settings and restart the instance. Upon restart, two new metadata fields will be created: xClbraUserList, xClbraAliasList. If you are using OracleTextSearch as the search indexer, be sure to run a Fast Rebuild on the collection. On the Check In, Search, and Update pages, values are added by simply typing in the value and getting a type-ahead list of possible values. Select the value, click Add and then set the level of access (Read, Write, Delete, or Admin). If all of the fields are blank, then it simply falls back to just Security Group and Account access. As for how they are stored in the metadata fields, each entry starts with it's identifier: ampersand (&) symbol for users, "at" (@) symbol for groups, and colon (:) for roles. Following that is the entity name. And at the end is the level of access in paranthesis. e.g. (RWDA). And each entry is separated by a comma. So if you were populating values through batch loader or an external source, the values would be defined this way. And there is a new component available which adds an additional dimension to define security on the object, Roles. So now instead of selecting individual users or groups of users (defined as an Alias in User Admin), you can select a particular role. And if a user has that role, they are granted that level of access. This can allow for a much more flexible and manageable security model instead of trying to manage with just user and group access as people come and go in the organization. The way that it is enabled is still through configuration entries. First log in as an administrator and go to Administration -> Admin Server. On the Component Manager page, click the 'advanced component manager' link in the description paragraph at the top. In the list of Disabled Components, enable the RoleEntityACL component. Then click the General Configuration link on the left. In the Additional Configuration Variables text area, enter the new configuration values: UseEntitySecurity=true SpecialAuthGroups=<comma separated list of Security Groups to honor ACLs> The SpecialAuthGroups should be a list of Security Groups that honor the ACL fields. If an ACL is applied to a content item with a Security Group outside this list, it will be ignored. Save the settings and restart the instance. Upon restart, three new metadata fields will be created: xClbraUserList, xClbraAliasList, xClbraRoleList. If you are using OracleTextSearch as the search indexer, be sure to run a Fast Rebuild on the collection. On the Check In, Search, and Update pages, values are added by simply typing in the value and getting a type-ahead list of possible values. Select the value, click Add and then set the level of access (Read, Write, Delete, or Admin). If all of the fields are blank, then it simply falls back to just Security Group and Account access. For Users and Groups, these values are automatically picked up from the corresponding database tables. In the case of Roles, this is an explicitly defined list of choices that are made available. These values must match the role that is being defined from WebLogic Server or you LDAP/AD repository. To add these values, go to Administration -> Admin Applets -> Configuration Manager. On the Views tab, edit the values for the ExternalRolesView. By default, 'guest' and 'authenticated' are added. Once added to through the view, they will be available to select from for the Roles Access List. As for how they are stored in the metadata fields, each entry starts with it's identifier: ampersand (&) symbol for users, "at" (@) symbol for groups, and colon (:) for roles. Following that is the entity name. And at the end is the level of access in paranthesis. e.g. (RWDA). And each entry is separated by a comma. So if you were populating values through batch loader or an external source, the values would be defined this way.
