  • New Release Overview Part 2

    - by brian.harrison
To continue our discussion of the next release of WCI, lets take a look at a few other new features that have been developed and tested. Password Management With customer implementations starting to go more external, we were finding that these customers wanted to use the native users within the portal because the customer did not want to provide an LDAP server that is externally facing. However, the portal does not provide anything close to the same level of password policy that a standard LDAP environment would provide. With that being the case, we made the decision to provide the same kind of password policies directly within WCI that a standard LDAP environment would have. Password Expiration - In how many days will a password expire which will force the user to change their password? Also, in how many days prior to expiration with the user be notified that their password is about the expire? Password Rotation - How many of your previous passwords will you not be able to use when changing your password? Password Policies - What are the requirements for the password that is being created by the user? Number of Characters Numbers Required Symbols Required Capitalization Required Easily Configurable - Configuration is handled through the Portal Settings utility within Administration. All options are available on the main page of the utility. In addition to the configuration options that were mention above, there has also been a complete rewrite of the Change Password screen to provide better information to the user when they are changing their password. The Change Password will now provide a red light/green light listing of all the policies the user must meet for the changed password to be successful. As the user is typing the password, the red lights will change to green lights as the policies as met. In addition, text will show next to the password text box stating what policy has not been met yet. NOTE: The password policy functionality is not held within the User Editor page within Administration. We did not want to remove the option for Administrators to change a user's password on the fly in the case of a password reset situation. Miscellaneous Features In addition to the Password Management feature, there are a few other features that are related to WCI that should be mentioned. Consolidated Installer - Instead of having up to 12 or 13 different installers, one for each of the main products and separate services, we are going to only provide two installers. One that will be used for Collaboration and its respective images. The second will contain WCI and all of the relevant services required for a WCI architecture as well as the IDK, .NET App Accelerator, SharePoint Console as well as all Content Web Services and Identity Services. Updated Documentation - Most of us are aware that the documentation hasn't been properly kept up to date with the last couple of releases. We are doing everything that we can to remedy this with the next release by consolidating and reviewing everything that is available. We are making sure to fill in the gaps that are already there, add in all documentation for the functionality as well as clearing anything that is no longer valid based on the newly released version. I hope that you enjoyed reading through this new release information. Next time we will start to talk about the new functionality that will be available within the next release of Collaboration. If there is anything in particular that you would like to get more detail about, then please don't hesitate to send me a comment.

  • New Release Overview Part 1

    - by brian.harrison
Ladies & Gentlemen, I have been getting a lot of questions over the last month or two about the next release of WCI codenamed "Neo". Unfortunately I cannot give you an exact release date which I know you all would be asking me for if we were talking face to face, but I can definitely provide you with information about some of the features that will be made available. So over the next few blog entries, I am going to provide you with details about two features and even provide you with screenshots for some of them. KD Browser Portlet This portlet will provide a windows explorer look and feel to the Knowledge Directory from with a Community Page or My Page. Not only will the portlet provide access to the folder structure and the documents within, but the user or community manager will also have the ability to modify what is being shown. From with a preferences page, the user or community manager can change what top-level folders are shown within the folder structure as well as what properties are available for each document that is shown. There are also a number of other portlet specific customizations available as well. Embedded Tagging Engine As some of you might be aware, there was a product made available just prior to the Oracle acquisition known as Pathways which gave users the ability to add tags to documents that were either in the Knowledge Directory or in the Collaboration Documents section. Although this product is no longer available separately for customers to purchase, we definitely did feel that the functionality was important and interesting enough that other customers should have access to it. The decision was made for this release to embed the original Pathways product as the Tagging Engine for WCI and Collaboration. This tagging engine will allow a user to add tags to a document as well as through the Collaboration Documents section. Once the tags are added to the Tagging Engine and associated with documents, then a user will have the ability to filter the documents when processing a search according to the Tags Cloud that will now be available on the Search Results page and this will be true no matter what kind of search is being processed. In addition to all of that, all of the Pathways portlets will also be available for users to add to their My Page.

  • Imaging: Paper Paper Everywhere, but None Should be in Sight

    - by Kellsey Ruppel
Author: Vikrant Korde, Technical Architect, Aurionpro's Oracle Implementation Services team My wedding photos are stored in several empty shoeboxes. Yes...I got married before digital photography was mainstream...which means I'm old. But my parents are really old. They have shoeboxes filled with vacation photos on slides (I doubt many of you have even seen a home slide projector...and I hope you never do!). Neither me nor my parents should have shoeboxes filled with any form of photographs whatsoever. They should obviously live in the digital world...with no physical versions in sight (other than a few framed on our walls). Businesses grapple with similar challenges. But instead of shoeboxes, they have file cabinets and warehouses jam packed with paper invoices, legal documents, human resource files, material safety data sheets, incident reports, and the list goes on and on. In fact, regulatory and compliance rules govern many industries, requiring that this paperwork is available for any number of years. It's a real challenge...especially trying to find archived documents quickly and many times with no backup. Which brings us to a set of technologies called Image Process Management (or simply Imaging or Image Processing) that are transforming these antiquated, paper-based processes. Oracle's WebCenter Content Imaging solution is a combination of their WebCenter suite, which offers a robust set of content and document management features, and their Business Process Management (BPM) suite, which helps to automate business processes through the definition of workflows and business rules. Overall, the solution provides an enterprise-class platform for end-to-end management of document images within transactional business processes. It's a solution that provides all of the capabilities needed - from document capture and recognition, to imaging and workflow - to effectively transform your ‘shoeboxes’ of files into digitally managed assets that comply with strict industry regulations. The terminology can be quite overwhelming if you're new to the space, so we've provided a summary of the primary components of the solution below, along with a short description of the two paths that can be executed to load images of scanned documents into Oracle's WebCenter suite. WebCenter Imaging (WCI): the electronic document repository that provides security, annotations, and search capabilities, and is the primary user interface for managing work items in the imaging solution SOA & BPM Suites (workflow): provide business process management capabilities, including human tasks, workflow management, service integration, and all other standard SOA features. It's interesting to note that there a number of 'jumpstart' processes available to help accelerate the integration of business applications, such as the accounts payable invoice processing solution for E-Business Suite that facilitates the processing of large volumes of invoices WebCenter Enterprise Capture (WEC): expedites the capture process of paper documents to digital images, offering high volume scanning and importing from email, and allows for flexible indexing options WebCenter Forms Recognition (WFR): automatically recognizes, categorizes, and extracts information from paper documents with greatly reduced human intervention WebCenter Content: the backend content server that provides versioning, security, and content storage There are two paths that can be executed to send data from WebCenter Capture to WebCenter Imaging, both of which are described below: 1. Direct Flow - This is the simplest and quickest way to push an image scanned from WebCenter Enterprise Capture (WEC) to WebCenter Imaging (WCI), using the bare minimum metadata. The WEC activities are defined below: The paper document is scanned (or imported from email). The scanned image is indexed using a predefined indexing profile. The image is committed directly into the process flow 2. WFR (WebCenter Forms Recognition) Flow - This is the more complex process, during which data is extracted from the image using a series of operations including Optical Character Recognition (OCR), Classification, Extraction, and Export. This process creates three files (Tiff, XML, and TXT), which are fed to the WCI Input Agent (the high speed import/filing module). The WCI Input Agent directory is a standard ingestion method for adding content to WebCenter Imaging, the process for doing so is described below: WEC commits the batch using the respective commit profile. A TIFF file is created, passing data through the file name by including values separated by "_" (underscores). WFR completes OCR, classification, extraction, export, and pulls the data from the image. In addition to the TIFF file, which contains the document image, an XML file containing the extracted data, and a TXT file containing the metadata that will be filled in WCI, are also created. All three files are exported to WCI's Input agent directory. Based on previously defined "input masks", the WCI Input Agent will pick up the seeding file (often the TXT file). Finally, the TIFF file is pushed in UCM and a unique web-viewable URL is created. Based on the mapping data read from the TXT file, a new record is created in the WCI application.  Although these processes may seem complex, each Oracle component works seamlessly together to achieve a high performing and scalable platform. The solution has been field tested at some of the largest enterprises in the world and has transformed millions and millions of paper-based documents to more easily manageable digital assets. They do not evaluate single tools anymore for different application areas, but buy into a complete ecosystem of hardware, software and services. The best ecosystem is the one that offers the most options, in environments where the uncertainty is high and investments are hard to reverse. The key to successfully managing such an environment is middleware, and BI and EPM become increasingly middleware intensive. In fact, given the horizontal nature of BI and EPM, sitting on top of all business functions and applications, you could call them 'upperware.'" -- Frank Buytendijk (tags: oracle otn enterprisearchitecture bi)

  • Launch Webcast Q&A: Oracle WebCenter Suite 11g - The Platform for the Modern User Experience

    - by howard.beader(at)oracle.com
Did you have a chance to watch the Oracle WebCenter Suite 11g Launch Webcast yet? Andy MacMillan presented some great information on the webcast and answered quite a few of your questions in the Q&A session as well. For your reading pleasure we have captured a number of the questions and answers and they are summarized below: Question: Can you tell me what should our Portal strategy be for integrating and extending our Oracle enterprise applications? Answer: We recommend that you look at this in two steps, the first would be to ensure that you have a good understanding of our common user experience architecture. Internally our product teams at Oracle are already investing in this quite heavily today for Fusion Applications and this is driving natural convergence from a UX strategy standpoint. The second step would be to look at how best to componentize the back office applications so that the business users across your organization can take advantage of these -- don't make it just about putting a new skin on top of what you already have from an application standpoint, instead look at how best to embed the social computing capabilities as part of the solution for your business users. Question: We are currently using the BEA WebLogic Portal now, should we stay on WLP or should we be looking at moving to WebCenter or when should we move to WebCenter? Answer: Our strategy has been called "Continue & Converge", this theme means that you can continue to use WebLogic or Plumtree portals until your organization is ready to move to WebCenter and in the mean time you can continue to deploy what you need to in your organization of WLP or WCI Portals with the full support of Oracle. In addition WebCenter Services can be leveraged for social computing to complement what you are already doing today and enable your organization to take advantage of some of the latest and greatest social computing capabilities. We have migration scripts and conversion capabilities available as well as programs where Oracle can help you evaluate your options to decide how best to move forward. WebCenter provides the best of the best capabilities and will enable you to take advantage of new capabilities that may not exist in your current portal today. In the end though it's up to you as a customer as to when you want to make the transition to Oracle WebCenter Suite. Question: Can you tell me how is Oracle leveraging WebCenter internally and for its Application and Middleware product UX strategies? Answer: Internally, Oracle is leveraging WebCenter for our employees and thus far we are seeing significant updates with our users taking advantage of the business activity streams, team spaces and collaboration capabilities. From a product strategy standpoint, our product teams are taking advantage of the common user experience architecture and leveraging WebCenter to provide social and collaborative capabilities to the Oracle Applications and providing new types of composite applications with what is coming with Fusion Applications. WebCenter also provides a common user experience across all the products in the Oracle Fusion Middleware family as well. Question: Our organization is currently using SharePoint, but we are also an Oracle Applications customer, how should we be thinking about WebCenter as we move forward? Answer: Great question. Typically, we are seeing organizations using SharePoint for its core use cases of small team collaboration and file server replacement. WebCenter can connect to SharePoint as a content source to feed into WebCenter quite easily and it leverages the robust Oracle ECM product under WebCenter as well. In addition, SharePoint team sites can be connected to WebCenter utilizing our SharePoint connector. With Oracle WebCenter though, we are really targeting business users and enterprise applications, thus affecting positive change on the processes that drive the business to improve productivity across your organization. Question: Are organizations today using WebCenter as a Web platform for externally facing public websites? Answer: Yes, we are seeing a convergence around web content management and portal types of websites with customers converting them from just broadcasting content to making it a much richer personalized experience and also exposing back-office applications as well. Web Content Management capabilities are already embedded in WebCenter so that organizations can take advantage now of the benefits a personalized web experience provides for your customers. This is simply a short summary of a few of the questions addressed on the webcast, please tune in now to learn more about Oracle WebCenter, the user experience platform for the enterprise and the web! The Oracle WebCenter Suite 11g Launch Webcast can be found here
